The reliable way to track beauty conversations is to build a listening system around how people actually refer to a brand: official names, product and shade names, handles, hashtags, spelling variants, and recommendation language. Collect the original post, classify what it says, and compare platforms using the same query rules and time window. Treat every count as observed coverage rather than a census of all consumer conversation, because each platform and tool exposes different content, history, ranking and format limits.
Start with a decision, not a keyword
A monitoring project becomes useful when every alert answers a business question. Create separate query groups and reports for different decisions so a change made for one purpose does not quietly rewrite another time series.
Brand health
Track broad discussion of the company and its major lines. Include praise, complaints, questions, comparisons and service issues. Report volume alongside examples and themes; a large spike may be one viral post rather than a broad change in opinion.

Give each important product its own group. Add shade, size, finish, scent or formula terms when those distinctions matter. This separates a discussion of a specific mascara or serum from general brand awareness and makes recurring questions easier to find.

Recommendation discovery
Look for advice language such as “recommend,” “repurchase,” “dupe,” “best for,” “routine,” “worth it,” “holy grail,” “what should I buy,” and equivalent expressions in the languages your audience uses. Recommendation content may be spoken or displayed in a video, so caption-only searches will miss some of it.
Campaign and launch tracking
Use a dedicated group for campaign tags, launch names, promotional phrases and creator-specific tracking terms. Keep campaign queries separate from evergreen brand queries; otherwise a temporary campaign can make the long-term trend appear healthier than it is.
Competitor comparison and creator prospecting
Define the comparison set before collecting data. For creator prospecting, capture people who already discuss the product category or brand, then evaluate the relevance and quality of their posts rather than selecting only by follower count. HypeAuditor describes using Instagram and TikTok listening for specified accounts or hashtags and a capacity of up to 5,000 profiles over a maximum 90-day period; verify the current plan and limits before designing a larger program.
Build a query dictionary that reflects real beauty language
Begin with a maintained dictionary rather than one long search string. Assign every term to a type so you can see which part of the dictionary produced a result.
- Brand names: the legal or consumer-facing name, abbreviated forms and product-line names.
- Product identifiers: exact product names, shade names, collection names, model numbers and common abbreviations.
- Handles and hashtags: official account handles, campaign tags, product tags and frequently used community tags.
- Variants: spacing, punctuation, capitalization, transliteration and common misspellings. The beauty methodology described by Syncly explicitly normalizes spacing and spelling variants.
- Recommendation and review language: words indicating advice, comparison, testing, wear, repurchase, suitability or dissatisfaction.
- Exclusions: meanings of common-word brand names, unrelated people or places, and terms that repeatedly create false matches.
Review actual matches during the first collection cycle. Similarity matching and common-word names can generate false positives, so mark each sample as relevant, unrelated or uncertain, then adjust the dictionary and record the change date. Do not silently change terms in an ongoing trend report: keep a versioned query list and annotate when terms or exclusions change.
Map each platform’s content surfaces before comparing results
Write down exactly what every source can expose. A vendor’s list of supported channels does not prove that it indexes every format on those channels.

These constraints are documented capabilities of the named sources, not universal guarantees. Record source, surface, lookback period and collection rule beside every metric.

Choose collection methods that match the question
Native platform review
Native search and notifications are useful for a small brand, a short campaign or a quality-control sample. They let a person inspect the original post in context, but they rarely provide uniform history or cross-platform exports. Use them as a verification layer even when a listening platform supplies the initial result.
Official APIs
APIs are appropriate when you need scheduled collection, structured fields or integration with a reporting system. Start by documenting authorization, eligibility, fields returned, ranking rules and retention limits. For TikTok’s Mentions API, authorization is followed by a 24-hour wait, and the 90-day, top-1,000 and caption-mention rules must remain visible in the report. An API result set should be labeled as the output of those rules, not as total platform conversation.
Listening and creator-discovery software
Commercial tools can centralize queries, tagging, dashboards and creator discovery, but their capabilities vary by source and plan. Confirm whether a claimed surface means public posts, comments, Stories, captions, transcripts, on-screen text or only account-level data. Ask how historical backfill works and whether a metric is calculated on every source or only a subset.
A practical hybrid
For most teams, use software or APIs for discovery and aggregation, then open original posts for adjudication. Keep a manual review queue for high-impact mentions, uncertain matches, automated transcripts and any item that will drive outreach or a public response.
Store evidence so every result can be audited
For each matched item, retain these fields:
- Platform and source type.
- Permanent post or video URL, when the source provides one.
- Author or creator identifier.
- Publication timestamp and collection timestamp.
- Matched brand, product, handle, hashtag or recommendation term.
- Content format: post, comment, reply, video, caption, transcript or on-screen text.
- A short coded label such as recommendation, review, question, complaint, praise, comparison or unrelated match.
- Engagement fields supplied by the source, with the collection time.
- Human-review status and a note explaining any exclusion.
Preserve the original content for review, especially when a tool has transcribed speech or generated a summary. A transcript can mishear a product name, and an AI label can mistake a sarcastic comment for a recommendation. Keep the raw match and the human decision rather than overwriting the evidence.

Find recommendations inside short-form video
Recommendation discovery is a content problem, not just a keyword problem. A creator may name a product in speech, show its packaging, write it in on-screen text, and omit it from the caption.
Syncly’s beauty short-form methodology says its measurement uses captions, hashtags, speech transcripts, on-screen text and AI-generated video summaries. That description explains one vendor’s method; it does not establish that every listening product indexes all five surfaces. When a recommendation matters, check the original video and record which surface contained the evidence.
Classify the recommendation
- Direct advice: the creator tells viewers to buy, try or avoid a product.
- Experience report: a wear test, routine or before-and-after presentation without an explicit instruction.
- Comparison: the product is weighed against another brand or formula.
- Question: a viewer asks whether the product is suitable or worth buying.
- Incidental appearance: the package appears but the product is not discussed.
Do not count an incidental appearance as a recommendation. If the tool offers sentiment or recommendation labels, treat them as triage and verify a sample against the video.
Analyze with stable definitions
At minimum, compare the following dimensions in every reporting period:

| Topic and sentiment | Consistent labels for concerns, benefits, use cases and polarity; note which sources support the metric. | Explains what changed, while acknowledging that sentiment coverage may differ by source. |
Meltwater lists volume, sentiment, key phrases, topics, top mentions and other analytics, but source support varies by metric. Check the metric definition before combining values from Instagram, TikTok, Facebook, Reddit or another network.
Report mention counts as observed coverage. They do not establish sales, total consumer awareness or the prevalence of an opinion. A platform’s ranking, privacy settings, indexing choice and format coverage all shape the sample.

Compare brands without creating a misleading score
For a brand-versus-brand report, publish the category panel, query rules, date range and source list. Keep product categories separate when a company operates in skincare, makeup, hair and fragrance; otherwise a large discussion area can dominate the comparison.
Syncly’s beauty index provides a concrete example of a vendor-defined framework: it measures the share of short-form beauty videos associated with a panel of 10 brands in each of skincare, makeup, hair and fragrance, reports a 0–100 score monthly, and identifies September 2026 as the first edition. That score is useful only as defined by that methodology. It is not an industry-wide benchmark and should not be presented as market share.
Design an API-based tracking workflow
If your team asks, “How do you track brand mentions with an API?”, use this sequence:
- Define the record: decide which fields are required, how duplicates are identified and which content types qualify as a mention or recommendation.
- Authorize the source: document account ownership, permissions, age or visibility eligibility and any post-authorization delay. For TikTok’s Mentions API, wait 24 hours after authorization before requesting mention data.
- Submit versioned queries: send the current dictionary identifier with every job. Store additions and exclusions as a change log.
- Respect source windows: design pagination and scheduling around the documented lookback. TikTok’s Mentions API reaches back 90 days and ranks eligible results by the top 1,000 most-liked posts; Threads coverage documented by Brandwatch is 14 days for that source.
- Normalize records: map platform-specific fields into common fields while retaining the original response and platform identifiers.
- Deduplicate and classify: identify reposts, mark the matched term and assign recommendation, review, question, complaint, praise or unrelated labels.
- Queue human review: prioritize high-engagement items, ambiguous names, transcripts and content that may trigger customer support or creator outreach.
- Publish coverage notes: show platforms, formats, time limits, query version and any source outage or configuration change beside the dashboard.
Never describe an endpoint’s output as “all mentions” unless the provider explicitly guarantees that scope. Most practical APIs return a defined slice governed by permissions, ranking, privacy and retention rules.

- Create a spreadsheet with the query dictionary, version date and exclusion terms.
- Set native alerts and saved searches for official names, handles, hashtags and major product terms on the platforms where your customers are active.
- Review a fixed schedule, such as each business day during a launch, and record the post URL, author, date, matched term, format and classification.
- Open each high-priority video or ambiguous result and verify whether the product was actually recommended.
- Calculate volume by platform and label, then compare equal date windows.
- Keep a coverage note listing sources checked, formats unavailable and query changes.
This approach can reveal themes and creators, but it will not provide uniform cross-platform history. Use it for directional learning rather than precise market measurement.

Troubleshoot common failures
The dashboard suddenly shows more mentions
Check whether a source, format, query term or historical backfill was added. Compare the query version and source list with the prior period before attributing the increase to consumer interest.
Recommendations are missing from video
Check whether the source indexes speech, on-screen text or only captions and hashtags. Mention’s YouTube discovery, for example, requires a title or description match, so spoken-only advice may not appear. Sample the original videos and add a review path for high-value content.
Search results contain unrelated posts
Identify the exact collision, add spacing or spelling variants where needed, and create an exclusion rule for the unrelated meaning. Recheck the rule against a sample so it does not remove legitimate beauty discussion.

Align date range, platform, public-versus-owned scope, content format, query terms and deduplication. If the definitions cannot be aligned, publish separate figures with their coverage notes instead of averaging them.
A platform has too little history for a trend
Do not backfill with an invented baseline. Start a clearly dated series, label the available window and avoid comparing it with a source that has years of historical data.
Automated sentiment looks wrong
Review sarcasm, slang, mixed-language posts and product-versus-brand sentiment separately. Keep the original text or video available and report sentiment only for sources and records that support a consistent classification.
Turn findings into action
Prioritize repeated product questions, recurring praise or concerns, emerging themes and creators who already discuss the product category. Use those observations to improve customer responses, product education and outreach. A concise decision record might say: “Three independent videos in the same week raised the same shade-selection question; two included spoken recommendations; comments requested a comparison.” That is more useful than reporting a large undifferentiated mention total.
