There is no universal “sync” switch for open-source note apps. The correct setup depends on the app, your operating systems, and whether you want a hosted service, your own server, object storage, or a local folder. Joplin provides a clear offline-first workflow: configure one sync target on the first device, wait for the initial upload, then connect other devices to that same target. This guide walks through that process, explains encryption and backup implications, and contrasts it with Obsidian’s file-based vault approach so you can follow the instructions for the app you actually use.
What note synchronisation actually does
In an offline-first application, your notes remain on the device where you create or edit them. Synchronisation copies changes through a selected target so another installation can receive them. It is not the same as opening one shared document in a browser, and it is not automatically a backup.
Joplin describes its applications as “offline first,” meaning data is saved locally on the device. The app supports Windows, Linux, macOS, Android and iOS. You can therefore keep working without a network connection; when the app next synchronises, it sends local changes and retrieves changes made elsewhere.

The exact screens and conflict rules differ between applications. Do not assume that a Joplin menu path applies to another open-source notes app. First identify the app, desktop or mobile operating system, and sync method it supports on every device in your workflow.

Before you begin: decide what must match
Inventory your devices
- List each device that will read or edit the notes, including its operating system.
- Install the same app family on each device. A desktop client and a mobile client may expose different settings even when they use the same account.
- Choose one sync target that the app supports on every device. A target that works on a laptop but not on a phone cannot complete the setup.
Choose where the synchronised data will live
Joplin lists seven targets: Joplin Cloud, Nextcloud, S3, WebDAV, Dropbox, OneDrive and a local filesystem. The list includes managed hosting, self-managed servers, object storage and a folder on a device. Availability of a target does not mean that it is configured for you; credentials, server addresses, buckets and folder paths depend on the target.

The available information does not establish current prices, uptime or a reliability ranking for these targets. Choose based on administration, storage control, operating-system support, privacy requirements and your own recovery plan rather than assuming one is universally best.
Joplin setup: sync the first device
1. Install Joplin and assemble the source notes
Install Joplin on the device that currently contains your notes. Create or import the notebooks there before configuring synchronisation. Because Joplin stores data locally first, you can verify that the complete collection is present without relying on a network connection.
- Open several notebooks and representative attachments to confirm that the import completed.
- Remove accidental duplicates or unfinished test notes before the first upload; those items will otherwise be copied to every connected device.
- Make an independent copy of irreplaceable notes before changing sync settings. Synchronisation is designed to propagate edits and deletions, not to preserve every historical state.
2. Select a target in synchronisation settings
Open Joplin’s synchronisation settings and select one of the supported targets. The label and location of this screen can vary slightly by release and platform, but the decision is the same: choose the target, then enter the credentials or server and folder details it requests.

- Choose the target that is available on all planned devices.
- Enter its account, server, bucket or folder information exactly as required by that target.
- Save the settings and check that the connection test or status indicator reports a usable configuration.
- Do not configure a second target for the same note collection as a way to “make it safer.” Use one synchronisation path and maintain a separate backup instead.
3. Start the initial upload
Run a manual sync on the original device. Watch the status until the initial upload has finished. Joplin warns that adding other devices before this first upload completes can leave the full data set unavailable during their initial setup.
The first run can take longer than later runs because it transfers notebooks, notes, resources and metadata. Keep the app open, maintain network access and avoid changing the target settings while the operation is in progress. If the status reports an error, stop and correct the target credentials, server address, permissions or folder path before proceeding.
4. Confirm the remote copy before adding devices
After the upload reports completion, verify the result using the target’s own account or file view when that is available. Check that several notebooks, a recently edited note and an attachment appear. This does not replace a backup, but it catches a wrong account or wrong folder before other devices download an incomplete collection.
Connect additional Joplin devices
Install and point each device to the same target
Install Joplin on the next device, open its synchronisation settings, and select the identical target, account and location used on the original device. A similar-looking account or a different server path can create a separate, empty data set.

- Sign in or enter the same server and storage details.
- Start synchronisation manually.
- Allow the initial download to finish before editing notes on that device.
- Open a few downloaded notebooks and attachments to verify that the expected collection arrived.
- Repeat the process one device at a time until every device is connected.
Once the initial setup is complete, Joplin says that an edit on one device automatically synchronises to the others within a few minutes when the applications are running. A manual sync remains available when you need to push or pull changes immediately, such as before shutting down a laptop or switching to a phone.
Understand the first-sync warning
If you configure several devices while the original upload is still running, a new device may download only the portion that has reached the target. That can make notebooks appear to be missing. Let the original upload finish, then restart synchronisation on the affected device so it can obtain the complete data set.
Enable Joplin end-to-end encryption safely
Joplin’s end-to-end encryption (E2EE) is an optional privacy layer. It should not be implied that a target is encrypted end to end merely because it is a hosted service or uses a secure connection. The feature must be enabled and completed correctly.

Initialize encryption on one device
- On one device, preferably a desktop or terminal installation as Joplin recommends for initial encryption, open the encryption settings.
- Enable E2EE and create a master-key password.
- Store that password in a secure password manager or another protected recovery location. Joplin states that the master-key password cannot be recovered if you forget it.
- Run the first encrypted synchronisation and wait for the encrypted upload to complete.
Enroll other devices sequentially
After the first encrypted upload, sync one additional device. It should receive the encryption key and ask for the master-key password when required. Complete that device before moving to the next one. Joplin specifically advises against manually enabling encryption on multiple devices in parallel; instead, let each device receive the key from the already encrypted installation.

If a device cannot decrypt the downloaded notes, do not create a new key on it. Check that it is using the same target and account, confirm the master-key password, and allow the key-sync process to finish. Creating independent encryption setups can prevent installations from reading the same data.
Sync is not a backup
A synchronisation service is intended to make the current state available across devices. Joplin’s sync specification says deletions propagate to the server and eventually to each device. If you delete a notebook accidentally, that deletion can therefore spread just as an edit does.
Maintain an independent backup that is not merely another live sync client. Suitable approaches depend on your environment, but the essential properties are that the copy is separate from the active synchronisation path and can be restored without relying on the same account, server or folder. Test that you can open or restore a sample backup before trusting it.

- Keep more than one historical point when the notes are important; a single mirror may preserve only the latest deletion.
- Protect backup files with access controls appropriate to their contents. E2EE on the sync path does not automatically encrypt every exported or copied backup.
- Document the target account, server path and encryption password location so recovery does not depend on memory.
Common Joplin sync failures and fixes
The second device shows an empty library
Confirm that the first device completed its upload. Then compare the target type, account, server address, bucket or folder path on both devices. An empty library usually means the device is pointing at a different location, not that all notes have been erased. Correct the settings and run sync again.

Some notebooks or attachments are missing
Wait for the initial transfer to complete and run another sync. Large resources may arrive after note text. If the problem persists, check the original device for the item, verify that both installations use the same target location, and inspect the sync status for permission or quota errors.
Changes do not appear within a few minutes
Joplin’s “within a few minutes” guidance assumes the apps are running and able to reach the target. Open the app on both devices, start a manual sync, and check network access. Then inspect credentials, server availability and storage limits. Do not create a second target to work around an unresolved connection error.
Two devices contain different edits
Stop making further edits until both devices have synchronised. Record which version contains the needed text, resolve the note deliberately, and then sync the corrected version. Keep an independent backup before deleting either copy. The exact conflict behavior is app- and version-specific, so consult the current Joplin instructions for the release you run rather than assuming a universal merge rule.

Verify that the device is connected to the same target and that the master-key password is correct. Let the already encrypted device complete a sync before enrolling another. If the password is lost, Joplin says it cannot be recovered; retain any readable copy or backup made before encryption changes.
How Obsidian differs
Obsidian is not open source, but it illustrates why app-specific instructions matter. It stores notes as ordinary files in a vault and documents several ways to synchronise that folder: Obsidian Sync, iCloud, OneDrive, Google Drive, Syncthing and Git. The operating-system caveats are different from Joplin’s target-based database workflow.
- Obsidian’s guide recommends iCloud for macOS and iOS, while warning that iCloud Drive on Windows can cause file duplication or corruption.
- Git requires manual push and pull, so edits do not automatically appear on another device unless you perform those operations.
- Obsidian advises against using more than one sync service on the same vault because overlapping services can create conflicts or corruption.
- Because the vault is a folder of files, file names, attachments, plugins and platform-specific paths become part of the migration and recovery plan.
The lesson is not to copy Joplin’s menu sequence into Obsidian or another app. Read the chosen application’s current guide, select one supported method, and follow its operating-system warnings.
A repeatable checklist for any open-source notes app
- Identify the app, version and operating systems involved.
- Confirm whether the app stores a local database, a folder of files, or another format.
- Choose one sync method supported on every device.
- Prepare accounts, server details, permissions and storage locations before entering settings.
- Import or create the complete note collection on one device.
- Make an independent backup.
- Run the first upload and wait for an explicit completion status.
- Connect additional devices one at a time using the identical target and location.
- Allow each initial download to finish before editing.
- Enable encryption, if offered, in the order specified by that app; record any unrecoverable key or password securely.
- Test an edit, an attachment and a deletion policy before relying on the workflow.
- Keep the backup process separate from synchronisation and test restoration periodically.
Bottom line
For Joplin, the dependable sequence is simple: keep the notes locally on one device, choose one target available everywhere, finish the first upload, then connect each other device to that same location. Treat E2EE as a deliberate one-device initialization followed by sequential key distribution, and treat backups as a separate control because deletions synchronise too. Other apps may use entirely different mechanisms; Obsidian’s vault and platform-specific file guidance demonstrates why the app’s own instructions must determine the final steps.
