To stop unexpected meeting invitations from appearing automatically, change the invitation rule in the calendar account that owns the events. In Google Calendar, use Settings > General > Event settings > Add invitations to my calendar, then choose When I respond to the invitation in email for the most deliberate control, or Only if the sender is known to keep automatic additions from trusted people. If the entries are flights, hotels, rental cars, or deliveries extracted from messages, they are Outlook Events from email and require a different web setting.
First identify what is being added
“Invitations” can describe two different calendar behaviors:
- Meeting invitations: Someone sends a calendar invitation to your email address. Google Calendar decides whether to place that invitation on your calendar automatically.
- Email-derived events: Outlook reads supported information in messages, such as a flight confirmation or package delivery notice, and creates a calendar entry. This is controlled by Events from email, not by the meeting-invitation rule.
Open the event and check which account or calendar contains it. If changing a setting has no effect, verify that you are editing the same Google Account or Microsoft account that owns the affected calendar. A phone may display several accounts at once, so an event visible in a calendar app is not necessarily controlled by the account you changed.

Pick the symptom - the matching free tool is one click away.
Also look at the event’s wording and details before changing anything. A meeting invitation normally identifies an organizer, invitees, a response status, and an option to accept or decline. An email-derived entry usually names a reservation, shipment, itinerary, or delivery and may not have an organizer or RSVP controls. This quick check prevents you from changing Google invitation handling when the real source is Outlook’s message extraction, or vice versa.

Stop automatic invitations in Google Calendar
Google Calendar offers three invitation behaviors. The setting applies to invitations received in the future; it does not remove invitations that are already on your calendar. It also governs how invitations addressed directly to your account are handled, so changing it is not the same as blocking a sender or turning off all calendar notifications.
Change the setting on a computer
- Open Google Calendar in a desktop browser.
- Select Settings.
- Under General, choose Event settings.
- Find Add invitations to my calendar.
- Select the behavior you want. Google saves the change in the account settings.
Use the account switcher first if you regularly use more than one Google Account. The setting is account-specific, and changing the account currently open in another browser tab will not change the calendar owned by a different account.

Choose the right invitation behavior
| Option | What happens | Best for | Trade-off |
|---|---|---|---|
| From everyone | Every invitation sent directly to your email address is added automatically. | People who want the broadest visibility and rarely receive unwanted invitations. | Unexpected or unsolicited invitations can appear without an RSVP. |
| Only if the sender is known | An invitation is added automatically when the sender is in your contacts, belongs to your organization, or is someone you previously interacted with. Invitations from unknown senders arrive by email instead of being added automatically. | People who want convenience for colleagues, contacts, and regular correspondents while filtering unfamiliar senders. | Google warns that selecting this option may reveal to a sender that they are not in your contacts. |
| When I respond to the invitation in email | The event is added only after you respond to the invitation message by email. | People who want every calendar addition to require an explicit action. | You must open and respond to the invitation email before the event is placed on the calendar. |
For the strongest protection against random meetings, select When I respond to the invitation in email. If you still want trusted senders to be added without an extra step, select Only if the sender is known. Under that rule, adding a legitimate sender to Google Contacts is one documented way to make future invitations qualify as known. Prior interaction with the sender or membership in your organization can also qualify.
The three choices balance filtering against effort. From everyone requires the least manual work but gives you the least protection from calendar clutter. Only if the sender is known keeps the routine flow for people Google recognizes while diverting unfamiliar invitations to email. When I respond is the clearest choice when you want to inspect every invitation before it becomes visible as a scheduled event. You still receive the invitation email, so this setting does not prevent someone from contacting you; it changes when the event is committed to the calendar.
Google’s definition of “known” is broader than your saved contacts. A person in your organization or someone you have previously interacted with may qualify even if you have never manually added that address. Conversely, an address that looks familiar may not qualify if the invitation was sent from a different alias. Check the actual sender address when an expected invitation is filtered.
What happens to invitations already visible
Google states that “Your updated settings only apply to new invitations.” Changing the rule does not clean up events that are already on the calendar. Open existing unwanted events and delete them individually, or remove them from the specific calendar where they were created. If the event remains, inspect its details to determine whether it belongs to another account or a shared calendar.
Changing the setting also does not retroactively reclassify an old invitation as approved or declined. Treat the preference change and calendar cleanup as two separate tasks: first choose how future invitations should be handled, then review the entries already present. If an old event is on several calendars, remove it from the calendar that owns it rather than only hiding one copy in the viewing app.
If a sender is still treated as unknown
When someone should qualify as known but does not, check whether your Google Account permits Google products to save contact information when you interact with people. The contact-saving choice can affect how Google recognizes a sender. Adding the address to Contacts is the most direct documented route, but organization membership and prior interaction are also part of Google’s definition of a known sender.
Ask the sender which address they used if an invitation is unexpectedly filtered. A work address, personal address, alias, or group address can produce different results. Google also warns that using Only if the sender is known might reveal to a sender that they are not in your contacts, so consider that privacy implication before using the option for sensitive or external correspondence.

When a Google Workspace administrator controls the choices
On a work or school account, an administrator can set the organization default and restrict the least-restrictive invitation level users may select. The available policy levels correspond to invitations from everyone, known senders, or invitations added after the user responds by email.
If one or more choices are missing, the administrator may have restricted them. Ask the administrator to review the organization’s Google Calendar invitation policy rather than repeatedly changing personal settings. Administrator policy changes affect future invitations and do not alter events already present on users’ calendars.
Google announced expanded administrator controls on August 14, 2026. The rollout to Rapid Release and Scheduled Release domains was gradual and could take up to 15 days for the feature to become visible; Google listed the controls as available to all Google Workspace customers. After an administrator changes a policy, Google says the change can take up to 24 hours to reach users, although it is usually faster.
That timing explains why a user may see a different list of choices from a colleague in the same organization. The policy can be available to administrators before it appears for every end user, and a newly changed policy may not be effective immediately. If the option is still absent after the propagation period, provide the administrator with the exact account and setting path so they can confirm the organizational restriction rather than assuming the browser is malfunctioning.
Limit what calendar collaborators can see
Stopping automatic additions and limiting invitation visibility are separate controls. A shared Google calendar has a setting named Let others see all invitations if they have permission to view or edit my events. Turn it off if people with view or edit permission should not see invitations that have not yet appeared on the calendar.
This sharing control does not decide whether invitations are automatically added. It controls visibility to collaborators. People who have availability-only permission cannot see event details.
Use this option when the problem is disclosure rather than clutter. For example, a delegate with permission to view or edit events may be able to see pending invitations even though you have not accepted them. Turning off the sharing option limits that pending-invitation view, but it will not stop the invitation from arriving in your inbox or change the automatic-add rule. Review both settings when you need privacy and stricter calendar control.
Stop Outlook from creating events from email
If the unwanted entries are travel reservations, hotel stays, rental-car bookings, or package-delivery information extracted from messages, use Outlook’s Events from email controls. This feature is separate from the rule that handles meeting invitations.
Outlook can process supported details without a conventional meeting invitation. That is why declining or changing a meeting-invitation preference may have no effect on a delivery or itinerary entry. Match the control to the event category that is being generated instead of disabling every calendar feature.

- Review each listed event type, such as flights, hotels, rental cars, and package deliveries.
- For an event type you do not want placed on the calendar, choose Don’t show event summaries in email or on my calendar, or use the available display controls to prevent calendar display.
Outlook lets you control event types individually. Depending on the account and current interface, you can retain a summary in email while preventing a calendar entry, hide both the summary and the calendar event, or show both. Change only the categories that are causing clutter if you still want other confirmations to appear.

With clearly marked ordinal dates and holidays, it helps you manage schedules effortlessly. Covering July 2026 through December 2027, it’s perfect for long-term projects, academic or teaching schedules, and work commitments.

- Premium 120 gsm Paper: Crafted from high-quality 120 gsm paper, this desk calendar ensures a smooth and enjoyable writing experience. The paper resists ink bleeding and smudging, keeping your writing clear and professional—whether you’re jotting down quick reminders or detailed plans. Please remember to flip open the clear protective sheet before writing, as the transparent layer is not designed for writing.
- Protected & Sturdy for Daily Use: Designed for long-term durability, the 2026–2027 desk calendar features a waterproof transparent cover and protective corners to guard against spills and dirt, keeping the pages in excellent condition even with frequent handling. It also includes two hanging holes and a sturdy rope, allowing you to hang it on the wall for easy access or keep it on your desk for convenience.
- An Ideal Present Choice: This desk calendar is not only a great tool for yourself but also a thoughtful gift for family, friends, or colleagues. It helps them stay organized and work efficiently throughout the new year—making it a practical and meaningful present for any occasion.
For instance, you can leave flight summaries available in email while preventing flight entries from appearing on the calendar, without changing how hotel or package-delivery messages are handled. Conversely, hiding both the summary and calendar event for one category removes both forms of convenience. Review each category rather than assuming one switch controls all email-derived events.
Why the Outlook desktop app may not show the setting
Microsoft documents these controls on the web. Outlook for Windows does not provide the Events from email settings, so use Outlook on the web or Outlook.com instead of searching the Windows application’s calendar options.
If you normally work in a desktop mail client, open a browser and sign in to the same Microsoft account. The web setting controls processing for that account; changing a local view, notification preference, or Windows calendar display does not turn off the server-side event extraction.

Account and regional limitations
Events from email is documented for Microsoft accounts such as Outlook.com and Microsoft 365 accounts, but availability depends on the region and service plan. Microsoft’s current support information lists availability across North America, Asia Pacific, Europe, Australia, the United Kingdom, Switzerland, India, Japan, Korea, and Latin America. Certain 21Vianet, Germany, and government environments are excluded. If the menu is absent, consult Microsoft’s current support page for the account type and region rather than assuming the feature is enabled.
Availability can also differ between accounts that are signed in to the same browser. Check the profile name before changing the setting, especially if a personal Outlook.com account and a work Microsoft 365 account are both open. A missing category may reflect service coverage rather than a mistake in the navigation steps.
Troubleshooting when events keep appearing
The setting changed, but new Google invitations still appear
- Confirm that you changed the Google Account that owns the calendar. In a browser, switch accounts and inspect the calendar list.
- Check whether the event is a meeting invitation or an Outlook-style event extracted from email. The controls are different.
- Remember that the Google rule applies only to new invitations. An older event will remain until you remove it.
- If the account is managed by an employer or school, check whether an administrator has limited the available choices.
- If an unwanted event appears only on Android, review which apps have access to the calendar. Another authorized app may be writing to the calendar independently of Google’s invitation rule.
If an event appears briefly and then returns after deletion, note whether it is being recreated from a new message or synchronized from another calendar. Repeated creation usually indicates that the source account or an authorized app is still active; deleting the visible copy alone will not change that source behavior.
A trusted sender is filtered out
- Add the sender’s address to Google Contacts.
- Check that the sender is using the address you recognize; aliases and alternate addresses may be treated as different senders.
- Interact with the sender through the same Google Account if you want the prior-interaction criterion to apply.
- Review the account setting that allows Google products to save contact information when you interact with people.
After making the sender known, apply the change to a new invitation rather than judging it from an older event. Existing invitations follow the old state and are not automatically moved or removed by the preference change.

- Return to Settings > Calendar > Events from email on the web and change the specific event category. Disabling one category does not necessarily disable another.
- Check that you are signed in to the Microsoft account whose calendar is receiving the event.
- Allow for account or regional limitations if the Events from email page or a category is unavailable.
- Remove entries that were already created separately; changing the preference controls future processing and is not a general calendar-cleanup tool.
Check more than one message if the behavior seems inconsistent. A flight confirmation and a package-delivery notice are separate supported categories, so changing the flight control will not necessarily affect delivery entries. Likewise, retaining email summaries while hiding calendar display can make it appear that the feature is still active even though it is no longer creating events.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Which setting should you use?
| Your situation | Recommended choice | Reason |
|---|---|---|
| You receive unsolicited or unfamiliar meeting invitations. | Google Calendar: When I respond to the invitation in email. | No invitation is added until you take an explicit action. |
| You want colleagues and known contacts added automatically, but not strangers. | Google Calendar: Only if the sender is known. | Contacts, organization members, and people you previously interacted with can be added automatically. |
| You want every direct invitation visible immediately. | Google Calendar: From everyone. | It provides the least filtering and the most automatic visibility. |
| Flights, hotels, rental cars, or deliveries are appearing from messages. | Outlook on the web: Calendar > Events from email. | These are email-derived events, not ordinary meeting invitations. |
| People with calendar access can see pending invitations. | Google Calendar sharing: turn off Let others see all invitations if they have permission to view or edit my events. | This limits collaborator visibility without changing your invitation-addition rule. |
The practical choice depends on where you want the interruption. With Only if the sender is known, Google makes the trust decision automatically and may expose that a sender is not recognized. With When I respond, you make the decision yourself for each invitation, at the cost of one extra email action. Outlook’s controls let you make a narrower category decision instead of changing all calendar invitations.
A practical cleanup and prevention sequence
- Open one unexpected event and identify its owning account, calendar, and event type.
- If it is a Google meeting invitation, set Add invitations to my calendar to When I respond to the invitation in email or Only if the sender is known.
- If it is generated from Outlook email, change the relevant category under Settings > Calendar > Events from email on the web.
- Delete existing unwanted events; neither preference automatically removes them.
- For work or school Google accounts, contact the administrator if the preferred option is unavailable.
- On Android, review calendar-app permissions if events continue despite the correct account setting.
- If the calendar is shared, separately adjust pending-invitation visibility for collaborators.
These steps separate the three problems that are often mistaken for one another: deciding whether new meeting invitations are added, deciding whether Outlook extracts events from email, and deciding who can see pending invitations on a shared calendar. Once the source is identified, change only the relevant control, then remove old entries manually and test with a new invitation or message.

Frequently Asked Questions
Will changing Google Calendar’s invitation setting remove events that are already there?
No. Google says the updated setting applies only to new invitations. Delete existing unwanted events from the calendar that owns them, and check for another account or shared calendar if an entry remains.
What is the safest Google Calendar option for random invitations?
Choose When I respond to the invitation in email. The event is added only after you respond to the invitation message, so an unexpected invitation does not become a calendar entry automatically.
How does Google decide whether a sender is known?
A sender may qualify because they are in your contacts, belong to your organization, or are someone you previously interacted with. Adding the address to Google Contacts is a documented way to establish that relationship.
Why is a Google Calendar invitation option missing at work?
A Google Workspace administrator can set the organization default and restrict the least-restrictive option users may choose. Ask the administrator to review the Calendar invitation policy; administrator changes can take up to 24 hours to reach users.
Can calendar collaborators see invitations that are not yet on my calendar?
They may, if they have permission to view or edit events and the sharing option Let others see all invitations if they have permission to view or edit my events is enabled. Turn that option off to limit pending-invitation visibility. Availability-only users cannot see event details.

Choose When I respond to the invitation in email for deliberate approval or Only if the sender is known for filtered automation. These choices affect new invitations only. For flights, hotels, rental cars, or deliveries created from Outlook messages, use Settings > Calendar > Events from email on the web.
