A Power BI Desktop template (.PBIT) gives your team a reusable report starting point: it preserves report pages, visuals, model structure and query definitions, but not the report data. Create one from a finished report, share it under your organization’s data-handling rules, and have each recipient supply any requested parameters and connect to their own data.

What a Power BI Desktop template contains

A .PBIT file packages the report definition rather than a populated report. It can carry report pages and visuals, the model definition—including schema, relationships and measures—and query definitions such as parameters. When a colleague opens it, they reuse those elements as the basis of a new report. Microsoft’s overview of Desktop templates describes the contents and workflow.

A template does not include the report data. However, that does not mean every value is automatically absent: metadata can retain values, such as a field value used in a filter. Microsoft cautions that report metadata and .PBIT templates can contain column values in some circumstances. Check filters and metadata before sharing, and handle the file according to your organization’s security and data-loss-prevention rules. See Microsoft’s content planning guidance.

How to create a .PBIT template

  1. Open the report in Power BI Desktop and review its pages, visuals, model and queries. Remove content or saved values that should not be part of a shared starter.

Power BI creates a report using the template’s pages, visuals, model items and queries. The recipient’s connection and credentials provide access to the data; the template itself does not deliver the original report’s data. Prompt details can depend on the template’s parameters and data sources. Microsoft documents this sequence in its guide to creating and using report templates.

What templates standardize—and what they do not

A shared starter can make intended design choices visible instead of leaving each author to invent them independently. Microsoft identifies consistency, efficiency and a lower learning curve as qualitative benefits. Its examples include organizational branding and design standards, good visualization practice, common table structure and useful DAX calculations. Microsoft does not publish a quantified productivity or error-reduction result for templates in the cited guidance.

How to distribute and maintain a team template

For a template to remain useful, treat it as a maintained team asset rather than an informal attachment. The following governance practices are recommendations for applying the documented template workflow; Microsoft does not prescribe this specific checklist.

.PBIT versus .PBIX: which file fits the job?

Question .PBIT template .PBIX report
What is it for? A reusable authoring starter built from report and model definitions. A report file to share as a populated report.
What travels with it? Report pages, visuals, model definition and query definitions; not report data. Can carry report data along with the report, depending on the file and its contents.
What does the recipient do? May provide parameter values, identify the data location and connect with their own credentials. Opens the report file; whether it needs a new connection depends on how it was built and shared.
Best fit Starting multiple reports from a common design and model pattern. Sharing a report that is already populated with data.

The key distinction is the intended handoff: reusable definition or populated report. A .PBIT is not a data-free guarantee for sensitive metadata, so inspect it before distribution.

.PBIT files and Power BI template apps are different routes

A Desktop .PBIT is a file opened in Power BI Desktop. A template app is a separate way to package and distribute service content through Power BI. Do not assume requirements for one workflow apply to the other.

Aspect Desktop .PBIT Template app
Distribution surface A template file shared with users. Power BI service/app publishing and distribution.
Use and connection flow Recipient opens the file, may enter parameters, then points it to data and connects with their credentials. Users receive packaged service content through the app workflow; app setup and data connection follow that route.
Builder prerequisites The cited Desktop-template instructions specify the Desktop workflow; they do not establish template-app prerequisites for .PBIT use. Microsoft’s app guidance lists Power BI Pro and basic Power BI familiarity among builder prerequisites; Desktop is optional in that workflow.
Parameter constraint The cited .PBIT guidance does not state the template-app parameter type restriction. Template-app parameters do not support types Any and Binary.

For the app workflow, consult Microsoft’s template app creation guide and template app authoring tips. These are separate from the Desktop .PBIT steps above.

Can external tools edit a .PBIT?

Microsoft’s External Tools documentation says editing a Power BI Desktop template (.PBIT) with external tools is not supported. See External Tools in Power BI Desktop.
