Do not use grammar as your main test. Generative AI can produce fluent, correctly spelled phishing messages, so judge the email by its sender, link destination, request, timing, and whether you can verify it through a separate trusted channel. Do not click, reply, open an attachment, or use an unsubscribe link until you have checked those signals. Report suspicious mail through your email provider, your workplace or school security team, and—if you are in the United States—consumer reporting channels.
What AI changes about phishing detection
Artificial intelligence can help criminals create convincing wording, imitate a company’s tone, translate messages, and personalize a lure from publicly available information. That does not make every polished email malicious, and it does not mean every phishing campaign uses AI. It does mean that writing quality is a weak signal.
The Cybersecurity and Infrastructure Security Agency (CISA) says poor grammar and misspellings were once common clues, but that some emails now have perfect grammar and spelling in the era of AI. Treat a typo-free message as unproven, not trustworthy. The official guidance does not provide a dependable way for an ordinary recipient to determine whether a particular email was written by AI from the text alone.
Instead of asking “Does this sound machine-written?”, ask “What is this message trying to make me do, and can I verify that request independently?”

CISA’s phishing guidance and Microsoft’s phishing guidance emphasize behavior and context: unexpected requests, mismatched senders, suspicious links, urgency, credential or payment demands, and unanticipated attachments.
The signals to check before you interact
Use several signals together. A familiar logo, display name, or signature can be copied, and a real company can send a legitimate urgent message. No single clue proves fraud, but multiple inconsistencies should stop you from interacting.
Inspect the actual sender address and domain
Expand the sender details and read the complete address, not only the name shown beside it. Look for a misspelled domain, an extra word, an unexpected country-code domain, or a free-mail account where a business address should be. Be careful with look-alike characters and subdomains: an address such as billing.example-security.com is controlled by example-security.com, not necessarily by example.com.
Check the reply-to address as well. A message can display one address while replies go somewhere else. A sender you recognize may also have a compromised account, so a familiar address is a useful data point, not proof.
Read the request, not just the explanation
Phishing commonly asks you to sign in, confirm a password, provide a one-time code, change bank details, buy gift cards, send a wire, pay an invoice, or “verify” personal information. A request for credentials or payment information is high risk when it arrives unexpectedly or bypasses the organization’s normal process.
Ask whether the action is one you were already expecting. Did you recently place the order, open the case, or schedule the meeting mentioned? Does the sender normally contact you this way? A plausible story does not make an unexpected request safe.

Check the real link destination
On a computer, hover over a link without clicking. On a phone, press and hold only if your mail app shows the destination safely without opening it. Compare the displayed URL with the organization’s known domain. Watch for shortened links, misspellings, extra hyphens, misleading subdomains, numeric addresses, and links that go to a different service than the message claims.
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteWindows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallA padlock or https means the connection is encrypted; it does not prove that the site is legitimate. Attackers can obtain encrypted certificates for fraudulent domains.
Treat urgency and threats as pressure tactics
“Your account will close today,” “payment is overdue,” “you have minutes to respond,” and “keep this confidential” are designed to shorten your decision time. Pause when a message threatens a penalty, promises an unexpected reward, or insists that you bypass another person or normal approval process.
Handle attachments as potential code
Unexpected invoices, shared-document notices, archives, spreadsheets, and executable files can deliver malware or send you to a fake sign-in page. Do not open an attachment merely to see what it is. If a file might be genuine, verify it with the sender through a known channel before opening it.
Use writing style only as a minor clue
Odd wording, an unusual tone, or inconsistent branding can support a suspicion, but polished prose cannot clear a message. Conversely, a typo does not prove a message is malicious. AI-assisted campaigns can be grammatically perfect, and legitimate people make mistakes.

Compare the message with your normal relationship
Look at the timing, conversation history, signature, invoice format, and normal payment or login process. A sudden change in bank details, a new request for secrecy, or a message that arrives outside an established workflow deserves independent confirmation. Be especially cautious when a thread appears to continue a real conversation but introduces a new link, attachment, or payment destination.

Quick decision table
| Signal | What to ask | Safe response |
|---|---|---|
| Sender or reply-to mismatch | Does the complete address match the organization and the person’s normal address? | Do not reply; verify through a saved address or phone number. |
| Unexpected credential request | Why would this service need my password or one-time code by email? | Do not enter it; open the known official site yourself. |
| Payment or bank-detail change | Does this follow the established approval process? | Confirm with a known contact using a separate conversation. |
| Suspicious link | Where does the link actually go? | Do not click; type the known site address or use a saved bookmark. |
| Unexpected attachment | Was this file expected and independently confirmed? | Leave it unopened until confirmation. |
| Urgency or secrecy | Is pressure preventing normal checks? | Pause and escalate to a trusted person or security team. |
A safe verification routine
Use this sequence whenever a message might be genuine but contains a risky request.
- Pause. Do not let a countdown, threat, or promise dictate your next action.
- Leave the message untouched. Do not click links, open attachments, reply, forward it to coworkers, or use an “unsubscribe” link. Unsubscribe links can confirm that your address is active or lead to a malicious site.
- Record the details you may need for reporting. Note the sender address, subject, date, the requested action, and any visible destination without visiting it. Preserve the original message where your provider allows.
- Start a separate verification. Type the organization’s known website into your browser, use a bookmark you created previously, call a number from a statement or official card, or start a new conversation with a known contact. Do not use phone numbers, email addresses, links, or QR codes supplied in the suspicious message.
- Ask a precise question. For example: “Did you send a request today to change the supplier’s bank account?” Include no passwords, one-time codes, or sensitive data in the verification message.
- Follow the established process. A genuine employer, bank, school, or service should be able to confirm the request through its normal portal or support channel. If it cannot, treat the email as suspicious.
- Report it before deleting it. Provider reports help filter future messages, and your security or IT team may need the original headers.
If the message is from someone you know, verify through a different channel. Their account could be compromised, and replying in the same thread may send your question to the attacker.
How to report a suspicious email
Reporting routes serve different purposes. The email provider can improve filtering and remove the message; workplace or school IT can investigate account and domain activity; consumer agencies collect reports for enforcement and trend analysis.
Recommended Free Tools
Outlook and Outlook.com
- Select the suspicious message.
- Choose Report, then Report phishing.
- Follow the confirmation prompt. Microsoft says this reports the message and can remove it from your inbox.
Use the current controls in your version of Outlook because labels and placement can vary between desktop, web, and mobile interfaces. Details are in Microsoft’s phishing protection guidance.
Microsoft Teams
In Teams, open the message’s More options or More actions menu and report it as a security risk. The exact label can vary by interface version and organization settings. If the message concerns a work account, also notify your workplace IT or security team through its normal incident channel.
Other email clients reporting to Microsoft
For a message that should be reported to Microsoft from another mail client, Microsoft asks users to send the original message as an attachment to phish@office365.microsoft.com. Do not simply forward the message if the goal is to preserve the headers Microsoft needs for analysis. Your organization may have a different internal reporting address; use that first for work or school mail.

Gmail
In Gmail, open the message’s More menu and use the phishing-report workflow. Google’s labels and menu location can change, so follow the current steps in Google’s “Avoid & report phishing emails” help page. Reporting through Gmail is separate from reporting an incident to your employer, bank, or a government agency.
Work or school accounts
Use the organization’s phishing-report button, help desk, security mailbox, or incident portal. Include the original message or attach it in the format requested. Tell IT whether you clicked, opened a file, entered credentials, approved a sign-in, or sent money; those details determine the response. Do not conceal a mistake because you are embarrassed—speed matters more than blame.
United States consumer reporting
The Federal Trade Commission (FTC) advises consumers to forward phishing emails to reportphishing@apwg.org and report the attempted scam at ReportFraud.ftc.gov. These routes complement, rather than replace, provider reporting and workplace escalation. The FTC’s April 2025 consumer alert says its data showed email was the top method scammers used to contact people in 2024; that statistic covers scam contact generally, not AI-generated phishing specifically. See the FTC alert and the FTC’s phishing-avoidance article.
If you are outside the United States, use your country’s cybercrime or consumer-protection reporting service in addition to your provider and local organization. The correct government route depends on your jurisdiction.

- Close the page and do not download or run anything it offered.
- Report the message through your provider and to workplace or school IT if the account is managed.
- Run the security checks required by your device or organization. If a file downloaded, do not open it; tell IT exactly what happened.
- Watch for follow-up messages, unexpected sign-in alerts, and browser or account changes.
You entered a password or one-time code
- Change the exposed password immediately on the real service, reached through a typed address or trusted bookmark.
- Change every other account that reused that password. Use a unique password for each service.
- Enable multifactor authentication if it is available, and review active sessions, recovery addresses, forwarding rules, and recent sign-ins.
- Tell your workplace or school IT team at once if the account is managed. An administrator may need to revoke sessions, reset tokens, or check mailbox rules.
- Ignore anyone who contacts you claiming to “recover” the account through the suspicious email’s details.
You shared card, bank, tax, or identity information
- Contact the bank or card issuer using the number on your card or statement, not the email.
- Explain what information was disclosed and when. Ask what replacement, freeze, dispute, or monitoring steps apply.
- Record the account, transaction, and contact details for your incident report.
- Continue with password and multifactor steps if credentials were also exposed.
You approved a sign-in or payment
Contact the affected service, bank, or payment provider immediately and state that the approval was fraudulent. Ask whether the transaction can be stopped or reversed and whether sessions or payment methods must be revoked. Inform your organization’s security team if the approval involved work systems.

Write down what you provided, which account or device was involved, and every action you have taken. This prevents omissions when you speak with IT, a bank, or an investigator.
What to do after reporting
Follow your provider’s confirmation and deletion workflow. If the message is in a work mailbox, preserve it when IT requests the original; otherwise, remove it from the inbox and trash after reporting so you do not interact with it accidentally. Blocking the sender can reduce repeat messages, but it will not stop attackers from using a different address.
Review your account’s security activity for unfamiliar logins, new forwarding rules, recovery-address changes, mailbox delegates, or newly installed applications. If you find any, report them as part of the same incident rather than treating the email as an isolated nuisance.

The practical rule for AI-era phishing
Fluent writing is not authentication. A sender address, link destination, request, timing, and independent verification give you more useful evidence than a guess about whether software helped write the message. When a message pressures you to surrender credentials, payment information, or access, stop, verify through a known channel, report it, and escalate quickly if you disclosed anything.
