Pause before you interact, verify any questionable request through a known independent channel, and report the message through your organization’s approved security process—even if you did not click anything. Spear-phishing is targeted phishing that uses information about a particular person to make a message seem credible. Personalization is a warning sign to examine, not proof that the sender is genuine.
What spear-phishing is—and why a convincing email can still be dangerous
CISA defines spear-phishing as phishing directed at an individual by including key information about that person. The attacker may know your name, role, manager, project, supplier, customer, travel plans, or a system your team uses. That detail can make an email feel familiar enough to bypass normal caution.
The goal may be to make you disclose credentials, open a malicious attachment, approve a sign-in prompt, send information, transfer money, or visit a fraudulent website. A targeted email does not have to contain obvious spelling mistakes or an implausible story. A polished message with accurate details can still be malicious.
Think of warning signs as reasons to stop and verify, not as a mathematical test. One unusual detail does not prove an email is an attack, and the absence of an obvious warning sign does not make it safe.

Warning signs to check without clicking
1. The sender identity is almost right
Inspect the complete sender address, not only the display name. An attacker can imitate a legitimate business or use a look-alike domain. The display name may say “Finance Director” while the underlying address belongs to an unrelated domain, or a familiar domain may contain a subtle extra character.
Do not treat a familiar name, internal-looking address, or previous conversation as authentication. Sender details are clues that must be considered with the request and its context.
2. The request is unusual for the relationship
Be cautious when a message asks you to bypass a normal process, keep a request secret, act urgently, change payment details, provide a password, send sensitive files, or approve an access prompt you did not initiate. A request can be suspicious even when it uses correct project names and knows your job title.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors3. The greeting or signature does not fit
CISA lists generic greetings and signatures among phishing indicators. A message addressed only to “Dear customer,” lacking a normal signature, or using a style unlike the supposed sender deserves extra scrutiny. This is not conclusive: legitimate automated systems can also use generic wording.
4. The visible link and destination do not match
A hyperlink can display a trusted-looking phrase while leading somewhere else. If your email application permits it, inspect the destination without opening it. Compare the actual domain with the organization you expect, watching for misspellings, extra words, deceptive subdomains, or an unexpected shortened address.

Do not test a suspicious link by opening it in another browser or device. If the request might be legitimate, confirm it using a bookmark or contact method you already trust rather than any address or phone number supplied in the email.
5. An unexpected attachment or download is involved
Unexpected attachments and requests to download and open a file are listed by CISA as phishing signs. Treat a document that asks you to enable content, run a program, sign in, or change security settings as a high-risk request. A familiar filename or a document that appears to come from a colleague does not establish that it is safe.
6. Spelling, formatting, or tone is inconsistent
Spelling mistakes, odd formatting, unusual punctuation, and a tone that differs from the sender’s normal style can indicate deception. However, well-written spear-phishing is common enough that clean grammar should never be treated as clearance.
7. The timing and context do not make sense
Ask whether you were expecting the message, whether the sender normally makes this request, and whether the timing is plausible. A message that arrives during a deadline, outside normal working patterns, or immediately after a public announcement may be exploiting context rather than proving a real business need.
A safe response sequence
Step 1: Pause and stop interacting
Do not click a link, open an unexpected attachment, reply, enter credentials, approve a prompt, or use contact details provided in the suspicious message while you are deciding what it means. Leave the message available for your organization’s approved reporting process.

If you need to check a request, use a known independent channel: for example, a contact method already stored in your directory, a previously verified phone number, or the organization’s normal workflow. Do not use the suspicious email’s reply address, link, attachment, or embedded phone number to perform the verification.
Step 2: Use the organization’s approved reporting route
Every organization should identify how employees submit suspected malicious email. Depending on the employer, that may be a built-in mail-reporting feature, a security operations contact, a help desk process, or another documented incident channel. Use the route specified by your employer’s current policy; do not substitute a guessed mailbox or a public contact.
CISA’s instruction is direct: “Report the email to the appropriate security teams.” Report it whether or not you clicked, opened, replied, entered information, or otherwise acted. Reporting an untouched message can help responders determine whether the same campaign reached other people.
Step 3: Do not forward the suspicious message to coworkers
CISA advises against forwarding malicious email within the organization. Forwarding can expose additional people to the link or attachment, alter useful message data, and spread the attack. Submit the original through the approved mechanism and follow the local instructions for preserving or transferring it.
Do not invent a preservation method. Some organizations request the original message, while others use a reporting button that captures relevant information automatically. Keep the message available and avoid deleting or altering it unless the response team tells you to do so.

Step 4: If you interacted with it, say exactly what happened
Tell the security team promptly and plainly what actions occurred. Examples include:
- opened an attachment;
- clicked a link;
- replied to the sender;
- entered a password or other information;
- approved a sign-in or multifactor prompt;
- sent a file or other data; or
- downloaded or ran something.
Include uncertainty rather than guessing. “I clicked the link and entered my work password” is more useful than a general statement that the email looked suspicious. Your employer’s incident-response instructions determine containment and account-protection steps, so follow those directions rather than improvising a remedy.
Step 5: Follow the response team’s directions
Responders may need you to preserve the message, provide additional details, or use a particular recovery procedure. Do not delete evidence, reset devices, or alter the message unless the organization instructs you. Prompt, accurate reporting lets the team assess whether the event is isolated or widespread and identify indicators that can be used in defensive protections.
Internal reporting and external reporting are different
The first report for a work email belongs in the organization’s own security process. Sending a message to a government agency does not replace notifying the employer’s security team, security operations center, help desk, or incident-response contact.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →External reporting depends on the country, industry, incident type, and applicable rules. CISA interagency guidance describes routes involving the FBI and CISA in the United States and separate routes for Australia, Canada, and New Zealand. Those examples are not universal contacts or a complete statement of legal obligations. Ask your organization’s incident-response and legal or compliance teams which external notifications apply.

| Situation | Primary action | Why |
|---|---|---|
| You received a suspicious work email and did not interact | Submit it through the employer’s approved security channel. | Responders can analyze the message and look for related deliveries. |
| You clicked, opened, replied, entered information, approved a prompt, or sent data | Report immediately and describe each action accurately; then follow the response team’s instructions. | The team needs the facts to assess possible exposure and containment. |
| You are considering a government or regulator report | Consult the organization’s incident-response and legal or compliance teams. | External routes and duties vary by geography, sector, and circumstances. |
How to verify a request without creating more risk
- Separate the request from the sender. Write down what the email wants you to do, such as pay an invoice, open a file, or approve access. Evaluate that request independently of the sender’s name and branding.
- Use a pre-existing contact path. Open the organization’s directory, a known bookmark, an earlier verified conversation, or the normal business workflow. Avoid every contact detail contained in the suspicious message.
- Ask for confirmation in ordinary terms. Confirm the specific action and destination, not merely whether an email was sent. A compromised account could otherwise confirm its own fraudulent request.
- Stop if the verification cannot be completed safely. A deadline or demand for secrecy is not a reason to bypass controls. Report the message and wait for the organization’s guidance.
Examples: applying the signs and response steps
A “vendor” asks for new bank details
The message uses the correct vendor name and references a real invoice, but the sender address has a look-alike domain and asks for payment to a new account. Do not reply or use the email’s phone number. Verify the change through the vendor contact already stored in your procurement records, then report the email internally even if the verification shows the account change was fraudulent.
A manager requests a confidential gift-card purchase
The sender knows your manager’s name and says the request is urgent. Personalization does not authenticate the message. Do not purchase anything or continue the conversation. Confirm through a known independent channel and submit the original message through the approved security route.
A document requests a sign-in
An unexpected shared document opens a page that resembles your normal login screen. The visible link or branding may look correct while the destination is not. Do not enter credentials. Report the message and state whether the page was opened and whether any information was entered.

A message appears to come from a colleague
The wording is polished and refers to an active project, but the colleague did not normally send this type of attachment. Treat the mismatch as a reason to stop. Do not forward the file to teammates for a second opinion; verify with the colleague through an independent channel and report it.
Common mistakes that make an incident worse
- Relying on grammar alone: attackers can produce professional-looking messages.
- Trusting display names: the visible name does not prove control of the address.
- Opening a link to inspect it: inspection by interaction can create the very exposure you are trying to avoid.
- Replying to ask whether it is real: that confirms an active account and keeps the attacker engaged.
- Forwarding it as a warning: coworkers may click before the message is contained.
- Deleting it immediately: responders may need the original or its metadata, subject to local policy.
- Hiding a mistake: delayed or incomplete reporting reduces the team’s ability to assess impact.
- Assuming no harm occurred because nothing obvious happened: some effects are not visible to the recipient.
What organizations should make clear to employees
The reporting process works only when employees can find it quickly. An organization’s policy should identify the approved reporting mechanism, who receives escalations, how original messages are preserved, and what to do after a link is clicked or information is entered. It should also distinguish routine suspicious-email reports from incidents requiring immediate attention.
CISA recommends educating employees to recognize suspicious communications and establishing a reporting policy. Training should emphasize that reporting is expected even when the employee did not act and that an honest account of a mistake is more valuable than silence. The red-team assessment described by CISA shows why this matters: spear-phishing can provide initial access to organizational workstations, so a single suspicious message can be a defensive signal for the wider environment.
A compact decision checklist
- Is the message targeted with personal or organizational details?
- Does the sender address match the expected organization exactly?
- Does a link’s destination match its visible text and expected domain?
- Is there an unexpected attachment, download, sign-in, approval, payment, or data request?
- Does the greeting, signature, formatting, urgency, or context differ from normal?
- Have you paused without clicking, opening, replying, or entering information?
- Have you verified the request, if necessary, through a known independent channel?
- Have you used the employer’s approved security reporting route?
- If you interacted, have you described every action promptly and accurately?
- Have you avoided forwarding, deleting, or altering the message unless instructed?
Key takeaway
Spear-phishing succeeds by making a fraudulent request feel personally relevant. Treat personalization, sender and link mismatches, unusual attachments, and unexpected requests as prompts to stop—not as a checklist that can certify safety. The safest sequence is to pause, verify independently when needed, report through the organization’s designated security channel, disclose any interaction, and follow the response team’s instructions.
