Do not click, reply, pay, or share information. First inspect the sender’s actual identity and the request, then verify it through a separate trusted channel. In Teams, report a suspicious chat or channel post from its More options menu when your organization has enabled reporting. If the control is absent, use your company’s security process or contact the Teams administrator.

What a Teams phishing message looks like

Phishing is an attempt to make you disclose information, transfer money, open malicious content, or surrender access by pretending to be a trustworthy person or organization. In Teams, the message may arrive as a one-to-one chat, a group conversation, or a channel post. The display name can look familiar while the account or email address belongs to someone else.

A scammer may impersonate an executive asking for a gift-card purchase, a supplier requesting new bank details, a help desk asking for a verification code, or a colleague whose account has been taken over. A message can also be part of a longer conversation designed to make the final request seem normal. Familiar wording or an existing conversation is not proof that the current sender is genuine.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s warnings and labels can help you pause, but they are not proof that a message is safe or malicious. Treat every unexpected request according to its context, sender identity, and consequences rather than relying on a banner alone.

Inspect the sender, not just the display name

Open the sender details and check the actual email address or account identity. Be especially careful with a first-time contact, an infrequent contact, or a person marked as external. An attacker may use a lookalike name, a similar address, or an account that has been compromised.

  • Ask whether you were expecting contact from this person or organization.
  • Compare the address with one you already have in your company directory, address book, contract, or previous correspondence.
  • Be cautious when the request claims to come from an executive, supplier, help desk, bank, or other authority but arrives from an unfamiliar account.
  • Check whether the sender’s role makes sense. A payroll request from an unknown project contact, for example, deserves additional verification.
  • Look for an external indicator, but remember that an internal account can also be compromised and an external contact can be legitimate.

Do not judge identity by a profile photograph, logo, status message, or a familiar first name. Those details can be copied. If the address differs by a character, uses an unexpected domain, or is not the address you normally use for that person, stop and verify.

Look at what the message wants you to do

Risk increases when a message combines an unexpected action with pressure or secrecy. Common warning signs include an urgent call to action, a threat of consequences, a request for money, a request for personal or company information, or an unexpected link or attachment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Signal Why it deserves scrutiny Safe response
Urgency or threats Pressure can discourage normal verification and make a fraudulent request feel mandatory. Pause and verify the request independently before taking any action.
Money or payment request Fraudsters may impersonate an executive, supplier, customer, or payroll contact. Confirm the request using a known phone number or another established channel.
Request for passwords, verification codes, financial details, or other sensitive information These details can enable account takeover, fraud, or further impersonation. Do not provide the information in Teams; use your organization’s approved process instead.
Unexpected link or attachment It may lead to a fake sign-in page or deliver harmful content. Do not open it. Verify the sender and purpose separately.
First-time, infrequent, or externally marked sender The identity and relationship are less familiar, increasing the chance of impersonation. Check the actual address and confirm the person through a trusted route.
Spelling or formatting errors Errors can be one clue, but polished messages can also be fraudulent and a typo alone proves nothing. Use the complete context and independent verification, not a spelling test.

Consider the combination of signals rather than assigning points or relying on one test. A familiar colleague asking for an unusual payment is still suspicious. Conversely, an external partner’s routine message may be legitimate if you expected it, the address matches your records, and the request is independently confirmed.

Do not click a link merely to inspect where it goes. A link can be dangerous before a page loads, and a convincing preview does not establish that the sender or destination is genuine. Do not open an attachment just to see what it contains, and do not respond with a question that reveals your account, role, travel plans, or other useful information.

Verify the request without using the suspicious message

When a request could plausibly be legitimate, verify it outside the message. Do not use the phone number, email address, website link, or reply path supplied by the suspicious sender; those details may be controlled by the attacker.

For a person you know

  1. Stop the Teams conversation without answering the request.
  2. Contact the person by a different method you already trust, such as a known telephone number, a new Teams chat you start from your directory, or an established business email address.
  3. Ask whether they sent the message and whether the exact request is genuine. Read back the amount, account number, document name, or requested deadline instead of asking only whether they contacted you.
  4. Do not forward passwords, one-time codes, payment data, or other sensitive information while checking.

Starting a fresh chat from the directory is safer than clicking the original profile or replying in the existing thread. If the person confirms that they did not send it, preserve the message and report it. Their account may need attention as well.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For an organization or service

  1. Navigate to the organization’s official site independently, using a bookmark or an address you already know rather than the message link.
  2. Use the organization’s published contact route to ask about the request.
  3. For payment or account changes, follow your workplace’s secondary-approval procedure even if the message appears to come from a familiar colleague.
  4. Use a previously verified invoice, contract, or account record to compare contact and payment details.

If you cannot verify the identity and purpose, treat the message as suspicious. Uncertainty is a reason to pause, not a reason to test the link or continue the conversation.

How to report a phishing message in Teams

Microsoft’s documented reporting route applies to a concerning chat or channel message. The exact choices depend on settings controlled by your organization.

  1. Go to the chat or channel containing the message.
  2. Open the message’s More options menu.
  3. Select Report this message.
  4. Choose Security concern – spam, phishing, or malicious content.
  5. Select Report.
  6. Look for the confirmation that the report was sent.

Report the message even if you have already verified that it is suspicious without opening its content. Include any details requested by your organization’s security process, but do not reply to the sender simply to announce that you reported them. If the report form asks for context, describe what the sender requested, whether you clicked or disclosed anything, and how you independently verified the concern. Do not paste secrets such as passwords or authentication codes into the report.

If “Report this message” is missing

The reporting action or the security reason may not be available in every organization. Do not interpret a missing control as evidence that the message is safe. Preserve the message and use the security-reporting address, incident form, help desk, or other procedure supplied by your employer. If you do not know the procedure, ask the Teams administrator or security team.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The control can differ between tenants, accounts, clients, and message types. A colleague may see a reporting option that you do not. Take a screenshot only if your policy permits it and ensure the image does not unnecessarily expose personal or confidential data. Keep the original conversation available so responders can review the sender, timestamps, links, and attachments.

Microsoft also notes that only messages with URL warnings can be reported as not a security concern through that particular option. Your available choices can therefore differ from another user’s screen.

If the message was incorrectly flagged

When a trusted user or message is flagged by mistake, open the flagged message, choose More options, and report it as not a concern if that option is presented. Use this path only when you have independently established that the sender and message are legitimate. If you are unsure, leave the warning in place and ask your administrator or security team to review it.

What Teams warnings cover—and what they do not

Microsoft describes context-aware phishing-content detection worldwide on mobile, desktop, and web for one-to-one and group chats involving new external first-time contacts. Microsoft also describes additional phishing and fraud protection for mobile users in China. These statements do not mean that every Teams message, internal conversation, or device receives identical warnings.

Coverage can depend on the conversation type, whether the contact is new, the client you are using, and organization configuration. A channel post, an established internal chat, and a new external one-to-one chat may not present the same warning behavior. Absence of a banner is not a clean bill of health, and presence of a banner is not a substitute for checking the sender.

Possible external-chat warning

For a separate warning about possible spam, phishing, or impersonation in an external chat, Microsoft advises checking the sender’s name and email address, previewing the message, and accepting the conversation only when the sender is trusted. Choosing Block stops further Teams communications from that sender.

Previewing a message means reading the available content without accepting the conversation or interacting with its links and files. Do not let a preview create pressure to respond. If you do not recognize the sender, keep the conversation blocked or unaccepted while you verify the identity through a trusted route.

A warning is a prompt to examine the message, not a guarantee. An attacker can evade a warning, and a legitimate external contact can be flagged. Base your decision on identity, context, and independent verification.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What to do when phishing is confirmed

Microsoft’s guidance is direct: “If phishing is confirmed, don’t engage with the user.” Report the message and, from the user’s contact card, block and report the account when that control is available. Blocking prevents further Teams communications from that sender, but it does not replace your organization’s incident-reporting procedure.

If you clicked, opened a file, or shared information

Act promptly and avoid further interaction with the message. Do not try to investigate by repeatedly opening the page, downloading the file again, or replying to the sender.

If you only viewed the message

  • Do not click its links, open its attachments, or reply.
  • Report it in Teams using the steps above.
  • Delete the suspicious message after reporting if your organization permits deletion.

If you clicked a link or opened an attachment

  • Stop entering information and close the page or file.
  • Do not download additional content or approve unexpected prompts.
  • Report the Teams message immediately.
  • Follow your organization’s security or incident-response process, including any requirement to contact the help desk or security team.
  • Tell responders what device and Teams client you used, approximately when you interacted, and whether a download or sign-in occurred.

Do not assume that closing a tab proves nothing happened. Security staff may need the URL, filename, time, and device details to check logs and determine whether additional action is required.

If you disclosed information

Record what you shared, when you shared it, which Teams conversation was involved, and any pages or files you opened. Send those details promptly through your organization’s security process so responders can determine the appropriate account, payment, or device actions. There is no single recovery sequence that applies to every workplace; use the instructions for your account and organization rather than improvising.

Do not send additional information to the suspicious contact while trying to correct the mistake. If a payment, password, verification code, or financial detail was involved, say so clearly to the security or help-desk team. Prompt reporting gives the organization a chance to protect accounts, warn other users, or contact a payment provider.

How administrators can make reporting easier

Users can only see the reporting controls that their organization makes available. Administrators should publish one obvious route for suspicious Teams content, explain what information to include, and tell staff what to do when the in-product option is absent.

  • Tell employees whether they should use Teams reporting, an email address, an incident form, or a help-desk queue.
  • Explain how to report messages that contain sensitive information without forwarding that information unnecessarily.
  • Provide a secondary verification method for payment, payroll, password-reset, and account-change requests.
  • Clarify whether users should delete a message after reporting and how long relevant evidence should be retained.
  • Tell staff who handles reports outside business hours and what qualifies as an urgent phone escalation.
  • Offer awareness training so staff practice recognizing impersonation, pressure, unexpected links, and requests for sensitive data.

Training should reinforce judgment rather than a checklist-only approach: a polished message can be fraudulent, while an awkwardly written message can be genuine. Exercises should include internal-looking accounts, external first-time contacts, channel posts, and realistic requests for money or verification codes.

A quick decision path for everyday use

  1. Pause: Do not click, open, reply, pay, or disclose information.
  2. Inspect: Check the actual sender identity, external status, relationship, and request.
  3. Verify: Use a trusted channel that is independent of the Teams message.
  4. Report: Use More options → Report this message → Security concern – spam, phishing, or malicious content → Report.
  5. Block or escalate: If phishing is confirmed, block and report the user from the contact card when available, then follow your organization’s security process.
  6. Document and recover: If you interacted with the message, preserve the relevant details and notify the responsible security team immediately.

This sequence keeps the most important decision first: prevent the message from turning into access, payment, or disclosure. Teams’ warnings and reporting controls support that decision, but careful identity checking and separate verification remain essential.

Frequently Asked Questions

Can I trust a Microsoft Teams phishing warning?

Treat a warning as a useful prompt, not a final verdict. Check the sender’s actual name and email address, consider whether the contact is expected, and verify the request through a separate trusted channel. A legitimate external contact can be flagged, and a malicious message may not display a warning.

What if the sender uses my coworker’s name?

A display name is not enough. Compare the actual account or email address with a trusted directory or previous correspondence. Start a new chat from your directory or call the coworker using a known number instead of replying to the suspicious conversation.

Should I click a link to inspect its destination?

No. Do not click an unexpected link merely to preview or test it. Visit the organization’s official site independently or use a known contact route to verify the request.

Why can’t I find “Report this message” in Teams?

Reporting controls depend on organization settings and can vary by account, client, and message type. Use your employer’s security address, incident form, help desk, or other published process, and ask the Teams administrator if you do not know the route.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I report a suspicious Teams message?

Open the message’s More options menu, select Report this message, choose Security concern – spam, phishing, or malicious content, and select Report. Look for the confirmation. The exact choices may differ in your organization.

What should I do after clicking a phishing link?

Stop entering information, close the page or file, avoid approving prompts, report the Teams message, and promptly follow your organization’s incident-response process. Record the approximate time, device, URL or filename, and whether you downloaded anything or entered credentials.

Should I delete a phishing message?

Report it first, then delete it if your organization permits deletion. Preserve the conversation or relevant details when your security process requires evidence, and do not forward sensitive content unnecessarily.

Can I block the sender?

When phishing is confirmed, Microsoft advises blocking and reporting the user from the contact card when that control is available. Blocking stops further Teams communications from that sender, but it does not replace reporting through your organization’s security process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Pause before interacting, inspect the sender’s real identity, and verify unusual requests outside the suspicious Teams message. Report the message through More options → Report this message → Security concern – spam, phishing, or malicious content when available. If you clicked, opened a file, or shared information, contact your organization’s security team immediately.
