You can sign a PDF at no cost, but “signing” can mean two different things. Fill & Sign adds a visible signature mark that you type, draw, or import as an image. A certificate-based digital signature uses a Digital ID to bind your identity to the file and records certificate information. Use the first method when the recipient only needs a completed, visibly signed form. Use the second when the recipient explicitly requests a certificate, Digital ID, or cryptographic signature.

Adobe documents both workflows in its free Acrobat Reader and related Acrobat services. The steps below show which path to choose, how to complete it, and what to do when PDF security settings block signing.

Choose the right kind of PDF signature

Start by reading the recipient’s instructions. A drawn name on a page and a certificate-backed digital signature are not interchangeable processes.

Question Choose Fill & Sign Choose certificate-based signing
What does the recipient ask for? A visible signature, completed form, or signed copy A digital certificate, Digital ID, cryptographic signature, or certificate-backed signing
What appears in the PDF? A visible mark that looks typed, handwritten, or image-based A signature appearance plus certificate and identity details that PDF software can validate
What do you need? Acrobat Reader and the PDF A Digital ID that already exists or that you configure during signing
What can stop the process? PDF permissions, especially in browser-based Fill & Sign No suitable Digital ID, certificate problems, or document permissions
Best environment Desktop Reader for a local file, or Acrobat on the web for an eligible file Desktop Acrobat’s certificate-signing workflow

If the request is vague, ask the recipient which type they accept before signing. The appearance of a signature alone does not establish identity verification or guarantee acceptance under a particular jurisdiction’s rules.

Add a visible signature with free Acrobat Reader

Adobe’s Reader instructions describe a no-cost Fill & Sign route. You can type your name, draw with a mouse or touchpad, or select an image of your signature. When you save the completed file, Adobe says the signature and added text become part of the PDF. See Adobe’s Sign PDFs in Adobe Acrobat Reader guide for the current interface.

Before you begin

  • Keep the original PDF unchanged so you can return to it if a field is misplaced.
  • Save a working copy with a new filename, such as application-signed.pdf.
  • If the PDF opens with a password or a message saying changes are restricted, check the security section below instead of trying to bypass protection.
  • Decide whether you want to type, draw, or use an image. A high-contrast image with a transparent or white background is usually easiest to position, but the recipient may have its own formatting requirements.

Step-by-step on the desktop

  1. Open the PDF in Acrobat Reader. If another program opens PDFs by default, right-click the file, choose Open with, and select Acrobat Reader.
  2. Open the signing tool. Select the Sign icon, or choose Tools > Fill & Sign. Interface labels can change as Adobe updates Reader, so look for the Fill & Sign tool if the icon is not visible.
  3. Choose the signature command. Select the option to add a signature. Reader presents choices to type a signature, draw one, or select an image file.
  4. Create or select your signature. Type your name for a clean text appearance, draw it with a pointer or touch input, or browse to the image file. Review the preview before applying it.
  5. Place the signature. Click the intended location in the PDF. Drag the placed mark if it is not aligned with the signature line. Use the on-screen handles to resize it without covering nearby instructions or fields.
  6. Complete other fields. Fill text boxes, dates, initials, or check marks with the same Fill & Sign controls. Keep entries inside their intended boxes so the finished form remains readable.
  7. Save a new copy. Choose File > Save As, select a destination, and give the signed copy a distinct name. Saving incorporates the signature and entered text into the PDF according to Adobe’s documentation.

Move, resize, or delete a placed signature

Select the signature or field after placing it. Drag it to a new position, use its corner handles to change its size, or choose the delete control when you need to remove it. If the object cannot be selected, you may be viewing a flattened or permission-restricted file; reopen the original working copy and check its document properties.

Check the saved result

  1. Close the document and reopen the newly saved copy.
  2. Scroll through every page, including pages after the signature, to confirm that no text or field is hidden.
  3. Zoom in on the signature line to check that the mark is sharp and fully inside the intended area.
  4. Confirm that the filename and recipient are correct before sending.

Do not overwrite your unsigned original until the recipient confirms that the format is acceptable. Keeping both files gives you a clean source for corrections.

Apply a certificate-based digital signature

Use this route only when the recipient requires a certificate-backed signature or asks for a Digital ID. Adobe’s separate instructions are documented in Add digital signatures to PDFs in Acrobat. This is not the same as inserting a drawn or image signature.

What a Digital ID does

A Digital ID supplies identity information and cryptographic material that Acrobat uses to create a verifiable signature. You may already have an ID from an employer, certificate provider, or organizational system. If you do not, Acrobat’s workflow can offer a way to configure a new one, subject to the identity and certificate requirements of the person or organization receiving the document.

Step-by-step certificate signing

  1. Open the PDF in Acrobat. Work from the original or a clearly named unsigned copy.
  2. Open the certificate tool. Select All tools > Use a certificate > Digitally sign.
  3. Draw the signature field. Drag across the area where the signature should appear. If the form already contains a certificate-signature field, select that field instead.
  4. Select a Digital ID. Choose an available ID. If none is listed, use Acrobat’s option to configure a new Digital ID and complete the requested setup before returning to the document.
  5. Review identity details. Check the displayed name and other certificate information carefully. Stop if the identity is wrong or the required certificate is missing.
  6. Apply the signature. Confirm the signature appearance and continue. Acrobat may ask you to authenticate or enter the Digital ID’s protection information.
  7. Save the signed PDF. Use a new filename so the unsigned source remains available.
  8. Lock the document when required. Adobe provides an option to lock the document after signing. Use it only when no further signatures or edits are expected; locking can prevent later participants from completing their parts.

The recipient’s software should be able to inspect the certificate and report whether the signature is valid, trusted, or changed after signing. A valid cryptographic signature still does not automatically mean every organization or jurisdiction will accept it; follow the recipient’s stated rules.

Typical browser workflow

  1. Open Acrobat online and sign in if the service requests an account.
  2. Choose the fill-and-sign action and upload the PDF.
  3. Select the signature control, then type, draw, or upload a signature image.
  4. Place and resize the signature, complete remaining fields, and review every page.
  5. Use the available save or download control to obtain the completed PDF before closing the browser tab.

Browser tools are convenient when you cannot install desktop software, but they require uploading the file to an online service. Consider whether the document contains confidential information and whether your organization permits that handling method.

Important online limitation: secured PDFs

Adobe’s supported-format page states that secured PDFs are not supported by the online Fill & Sign workflow. The limitation is documented at Adobe’s Fill and sign supported file formats page. If the browser tool rejects the file, do not attempt to remove or circumvent its protection. Check the PDF’s permissions and ask the issuer for an authorized signing method, an unlocked copy, or instructions for an approved certificate workflow.

How to diagnose a failed or blocked signing attempt

The Fill & Sign tool is missing

Use the application’s Tools area and search for Fill & Sign rather than relying on an older toolbar layout. Adobe may roll out interface changes, so the exact icon placement can differ between Reader releases. If the tool still does not appear, verify that you opened the file in Acrobat Reader rather than a basic operating-system preview.

The PDF is read-only or asks for a password

Read-only status can come from a password, a permissions setting, or a file opened from a location where you lack write access. First save a local working copy if permitted, then inspect the PDF’s security or document-properties information. If signing is prohibited, contact the issuer. Do not guess passwords, strip restrictions, or use a workaround intended to defeat the owner’s controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The online service rejects the file

Confirm whether the PDF is secured. Adobe specifically excludes secured PDFs from online Fill & Sign. If the file is not secured, check that you are signed in to the intended account and that the upload completed. A desktop Reader workflow may work for an eligible local file, but it cannot override permissions that the issuer has intentionally applied.

The signature is in the wrong place or covers text

Return to the unsigned copy, place the signature again, and zoom in before saving. Resize from a corner rather than stretching one side, and leave enough room for dates, printed names, or additional signatures. Reopen the saved copy to verify the final layout.

The recipient says the signature is unacceptable

Ask whether they wanted a visible Fill & Sign mark or a certificate-based Digital ID signature. If they require a certificate, repeat the process with All tools > Use a certificate > Digitally sign. If they require a particular certificate authority, identity format, or document-locking behavior, follow their specification rather than substituting a visual signature.

The saved PDF looks unsigned

Make sure you saved the edited copy, not the original file or a browser preview. Close and reopen the exact file you intend to send. If the signature is visible but cannot be edited, that is expected after the mark has been incorporated into the saved PDF; use the original working copy for changes.

Visible signature versus certificate signature: practical trade-offs

Situation Most practical choice Reason
A landlord, school, or office asks for a signed PDF but gives no certificate instructions Fill & Sign in Reader It quickly adds a typed, drawn, or image signature and other form entries.
An organization specifies a Digital ID or certificate Certificate-based signing The request concerns cryptographic identity data, not only a visible mark.
You are using a shared computer and the document is non-sensitive Desktop Reader or an eligible browser workflow Choose the environment allowed by your organization and the file’s permissions.
The PDF is secured and online Fill & Sign refuses it Contact the issuer Adobe documents secured PDFs as unsupported for that online workflow; authorization is needed for another route.
Several people must sign in sequence Follow the issuer’s specified signing order Locking a certificate-signed document too early can prevent later signatures or edits.

Final sending checklist

  • Confirm you used the signature type the recipient requested.
  • Check the signer name, date, and every required field.
  • Reopen the saved PDF and inspect all pages at normal and zoomed views.
  • Use a clear filename that distinguishes the signed copy from the original.
  • Keep the original and signed copies in a secure location.
  • Send the file through the recipient’s requested channel and retain any confirmation.
  • If the recipient reports a validation or permission error, ask for the exact requirement instead of repeatedly applying a different visual signature.

What “free” covers in these workflows

Adobe documents a free Fill & Sign path in Acrobat Reader, and Acrobat online advertises free signing capabilities for eligible users. The free route does not remove document permissions, create a certificate that a particular organization must accept, or guarantee legal effect. A certificate, identity-verification service, organizational account, or other requirement may be separately controlled by the recipient. Confirm those requirements before you commit a final signature.
