If an AI model rejects your request as too long, do not start by deleting random sentences. Count the complete request for the exact model and interface, remove duplicated or low-value material, preserve the goal and hard constraints, then count again. If the necessary source still cannot fit, process it in coherent sections and carry a compact, fact-preserving summary into the final prompt.

What a context-window error actually means

A context window is the amount of tokenized material a model can handle for one request. The limit is not a character, word, or paragraph limit. Depending on the product, the window can include your instructions, conversation history, uploaded files, images, tool definitions, structured schemas, the model’s generated answer, and internal reasoning tokens.

That is why a prompt that looks short in a text editor can still fail. Conversely, a long document may fit if it is encoded efficiently and the model has a sufficiently large allowance. Limits and overflow behavior vary by model, version, endpoint, and user interface; there is no universal context size to apply to every AI service.

Tokens are not words

Tokenization breaks text into pieces that may be complete words, parts of words, punctuation, spaces, or other symbols. Language, spelling, capitalization, code, numbers, and the surrounding text all affect the result. OpenAI’s Help Center gives rough English planning estimates of about four characters per token and about three-quarters of a word per token. It also describes 100 tokens as approximately 75 words. These figures are estimates, not a fit test.

Use those ratios only to decide whether a prompt is obviously far too large. A tokenizer for the target model is the reliable measurement.

Why output can trigger the failure

Some APIs allocate context to both the input and the possible output. A request may therefore fail, truncate the answer, or leave too little room for generation even when the input alone appears below the advertised window. Reasoning-capable models may also consume internal reasoning tokens. The exact accounting is model- and endpoint-specific, so check the current documentation for the model you are calling.

Use this five-step rescue workflow

  1. Record the exact target. Note the model name or snapshot, API endpoint or chat product, conversation history, attached files and images, tools, response schema, and requested output length. Do not measure a simplified copy if the real request contains more.
  2. Count the complete request. Use the provider’s tokenizer or input-counting method for that model. Include every message, role label, tool definition, schema, attachment representation, and retained history that the interface sends.
  3. Reserve output headroom. Compare the measured input with the model’s context allowance after accounting for the desired answer and, where applicable, reasoning tokens. Do not aim exactly at the ceiling.
  4. Trim in value order. Remove duplicated background, repeated rules, decorative wording, redundant examples, and details that cannot change the answer. Keep the objective, non-negotiable constraints, required evidence, audience, and output format.
  5. Count again and test. Re-run the exact counter after every substantial edit. If the necessary material still does not fit, split it into coherent sections rather than continuing to delete facts blindly.

OpenAI’s official short remedy is “Shorten or rephrase the prompt.” In practice, counting before and after the edit is what prevents an apparently smaller prompt from still overflowing.

Measure the request, not just the pasted text

A word counter sees only visible prose. The model may receive a much larger message package.

Items that commonly add tokens

  • System, developer, and user messages, including hidden or automatically inserted instructions.
  • Conversation history that the chat interface resends on every turn.
  • JSON tool definitions, function parameters, response schemas, and enum descriptions.
  • File contents extracted from documents, spreadsheets, PDFs, or code archives.
  • Image or audio representations and their associated metadata.
  • Repeated delimiters, XML or JSON wrappers, headings, and copied boilerplate.
  • Requested output tokens and, for some reasoning models, internal reasoning tokens.

Ask the provider’s counter for the same model and message format you will actually send. A tokenizer for one model is not a certification for another, even when both products use the same word “token.”

Estimate only when a tokenizer is unavailable

If the interface exposes no counter, use the character and word estimates as a warning signal, not a guarantee. Then leave generous space for output and test with the real request. Non-English text, source code, tables, long identifiers, and unusual punctuation can deviate substantially from the English estimates.

Decide what must survive compression

Shortening works when it removes volume without changing the decision the model must make. Classify each part of the prompt before editing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Prompt element Keep when Compression approach
Goal Always; it defines the requested result State the action and deliverable in one direct sentence
Hard constraints A violation would make the answer unusable Convert repeated prose into a short, numbered list
Evidence or source text The answer must quote, extract, classify, or reason from it Remove duplicated passages; preserve facts, dates, units, and caveats
Examples They establish a pattern the model cannot infer reliably Keep one representative example and delete near-duplicates
Background It changes interpretation or audience Summarize in a few factual lines
Politeness and scene-setting Rarely essential Delete greetings, motivational language, and repeated assurances
Formatting instructions The consumer parses the output or needs a fixed structure Specify the format once, with a minimal example only if ambiguity remains

Preserve constraints, not their explanations

Replace paragraphs that explain a rule several times with a single testable instruction. For example, instead of repeating that an answer must be concise, factual, and free of speculation in three locations, write: Return 5 bullet points; use only the supplied facts; label unknowns as “not stated.” Keep a constraint if it changes content, safety, eligibility, geography, date, tone, or format. Delete commentary that merely persuades the model to follow it.

Remove repetition systematically

  1. Search for duplicated passages and near-duplicate examples.
  2. Merge overlapping requirements into one statement.
  3. Delete instructions that conflict with, or are superseded by, a later rule.
  4. Replace repeated names, labels, and long descriptions with a defined short label.
  5. Retain the original wording only where a quotation, legal text, code fragment, or exact data value matters.

Reorganize before you delete important context

A compact structure helps a model find the information that remains. A practical layout is:

  1. Task: the action and desired deliverable.
  2. Audience and purpose: who will use the result and what decision it supports.
  3. Constraints: limits on sources, length, date, tone, safety, geography, and format.
  4. Context: the necessary source material, clearly delimited.
  5. Question: the precise answer you want from that context.
  6. Output contract: the fields, table columns, or schema to return.

For very long context, Google’s long-context guidance recommends putting the context first and the specific question at the end. This arrangement lets the model read the material before receiving the final extraction or synthesis request. Keep a short task and constraint block at the top, then place the long context, and finish with the exact question.

Use labels and delimiters

Mark source text with stable boundaries such as BEGIN SOURCE and END SOURCE. Give sections meaningful names and include document dates or identifiers where they affect interpretation. Delimiters improve navigation without requiring repeated instructions around every paragraph.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compress into data when prose is repetitive

Lists of identical records often use fewer tokens as a compact table or one-record-per-line format. Define the columns once, omit empty fields, and retain units. Do not convert prose to a lossy summary when the model must quote exact wording or detect a rare exception.

Split material that genuinely cannot fit

Deletion is the wrong solution when every remaining passage is evidence. Divide the input into coherent units and create an intermediate representation that the final prompt can use.

A reliable chunk-and-summarize procedure

  1. Choose semantic boundaries. Split by document, chapter, topic, transaction batch, or code module rather than cutting in the middle of a fact or table row.
  2. Set a safe chunk budget. Count each chunk for the target model and leave room for the extraction instruction and response. A chunk that barely fits may fail when wrappers or history are added.
  3. Give every chunk the same extraction contract. Request the same fields, units, identifiers, dates, quotations, and uncertainty labels from each part.
  4. Record provenance. Attach the source name, section, page or record range, and any caveat to each extracted fact.
  5. Combine the intermediate results. Deduplicate overlapping findings, resolve conflicts, and preserve citations or source identifiers before asking for the final synthesis.
  6. Run the final question against the compact set. Include only the extracted facts and caveats needed for the final decision, not every original passage.

When to use overlap

Overlap can protect meaning when a definition begins at the end of one chunk and continues in the next. Keep the overlap small and intentional, then deduplicate it in the intermediate results. Overlap increases token use, so use section boundaries first and add overlap only where context would otherwise be lost.

Do not summarize away the deciding evidence

An intermediate summary should preserve numbers, dates, exceptions, conditions, negative findings, and disagreements. A generic paragraph such as “the documents generally support option A” is not sufficient if the final answer depends on one exception or threshold. Ask the extraction step for structured fields and an explicit “unknown” value rather than forcing a conclusion.

Provider behavior you should account for

Provider or product behavior What can happen Practical response
OpenAI API conversation state A large prompt can exceed the allocated context window; input, generated output, and reasoning tokens may all affect the allocation. Some requests can produce truncated output. Count the complete message package, reduce history, cap the requested output when appropriate, and split large inputs. Treat the exact accounting as endpoint- and model-specific.
Anthropic Claude Current documentation describes input-only overflow as a 400 invalid_request_error with the message “prompt is too long.” Treatment of prior thinking blocks depends on the model. Context compaction and context editing are available for growing conversations. Inspect the error, compact or edit old context, and recount. Cached prefixes still occupy context even when caching changes cost.
Google Gemini Google says long-context questions generally work better when the question follows the context. Longer queries generally increase time to first token. Caching can help repeated use of the same context but does not reduce the context’s physical meaning. Put the long material before the final question, remove unneeded tokens, and consider caching only for repeated requests.

These behaviors are documentation-specific and can change with a model snapshot or interface update. Verify the current limit, counting method, output allowance, and overflow response for the exact model you use.

Choose the right shortening method

Method Token coverage Evidence preservation Effort Latency or repeated-use cost
Delete repetition and boilerplate Reduces the request directly Usually high when duplicates are truly redundant Low Usually lowers latency
Rewrite instructions compactly Reduces instruction overhead High if every hard constraint remains explicit Low to medium Usually lowers latency
Reorganize and delimit Little direct reduction High; improves retrieval of retained facts Low Little change
Chunk and summarize Allows arbitrarily large source collections over multiple calls Depends on extraction schema and provenance Medium to high Adds calls and processing time
Context compaction or editing Reduces accumulated conversation state Depends on what is removed or summarized Low when built into the provider May add a compaction call; can reduce later requests
Caching repeated context Does not shorten the context itself Preserves the cached material Medium May reduce repeated processing cost, but cached tokens still occupy context

Use the least destructive method first: remove duplication, compress wording, and reorganize. Move to chunking when the remaining evidence is necessary. Treat caching as a cost or latency technique, not as a way to bypass a context limit.

Worked example: turning a bloated request into a fit request

Typical oversized version

A long request may repeat the audience, tone, source restrictions, and output format before and after a 40-page source file. It may include ten nearly identical examples and ask for a “detailed but concise” answer in several paragraphs, a table, and JSON at the same time. The visible prose is only part of the load if the chat history and file extraction are also sent.

Compact replacement

Task: Extract the five decisions that affect the launch date from the supplied project notes.
Audience: Project manager.
Rules: Use only the notes; preserve dates, owners, dependencies, and exceptions; mark missing facts as “not stated.”
Output: One table with columns Decision, Evidence, Owner, Date, Dependency, Risk.
Source: [delimited project notes]
Question: Which decisions affect the launch date, and what evidence supports each?

The compact version keeps the goal, audience, evidence rule, required fields, and output shape. It removes duplicated persuasion and conflicting format requests. If the notes still exceed the measured budget, run the same extraction contract on each logical section and combine the resulting rows.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshoot after shortening

The request still returns “prompt is too long”

  • Check whether the interface is sending old conversation turns you did not include in your local count.
  • Measure tool definitions, schemas, file text, and image representations, not only the visible prompt.
  • Confirm that the tokenizer matches the exact model or snapshot.
  • Reduce the requested output and leave additional headroom for reasoning or wrapper tokens.
  • Split the source into smaller semantic chunks and run an extraction pass.

The request fits but the answer is truncated

  • Lower the requested answer length or ask for a structured, compact format.
  • Remove unnecessary history and tool descriptions from the request.
  • Ask for the result in stages, such as an outline followed by selected sections.
  • Check the endpoint’s output and reasoning-token rules; a nominal context limit may cover more than input text.

The shortened answer loses important facts

  • Restore dates, quantities, definitions, exceptions, and source identifiers first.
  • Replace a free-form summary with a fixed extraction schema.
  • Use one representative example only after confirming that it covers the behavior you need.
  • Keep provenance through every chunk and summary so a final answer can be checked against the source.

The model ignores a constraint

  • State the constraint once in a short, testable form.
  • Put it near the task and repeat it in the output contract only when the format requires it.
  • Remove conflicting instructions and ambiguous adjectives such as “brief,” “thorough,” or “creative” unless you define them operationally.

Prevent context overflow in recurring workflows

  • Count representative requests in automated tests whenever the model, snapshot, schema, or file format changes.
  • Set a maximum history length and summarize older turns instead of resending everything indefinitely.
  • Store stable instructions outside the per-request content where the provider supports that separation, while still counting what the endpoint includes.
  • Keep source documents modular and assign stable identifiers so you can retrieve only the relevant sections.
  • Define an output schema with bounded fields rather than requesting unrestricted prose.
  • Log input, output, and error counts without storing sensitive content unnecessarily.
  • Recheck provider documentation after model upgrades; context limits, reasoning treatment, and overflow behavior are not permanent constants.

A practical decision rule

If a small amount of repetition is the problem, edit and recount. If the prompt contains essential evidence that cannot be shortened without changing the answer, chunk it and create a structured intermediate summary. If the same large context is reused repeatedly, consider caching for efficiency, but do not mistake caching for extra context capacity. In every case, measure the complete request for the exact model, preserve the constraints that determine correctness, and reserve room for the answer the model must generate.
