For a flexible poster, roll it around protective paper and send it in a rigid tube; for a thick card, mounted print, or any sheet that can crease, ship it flat between rigid boards. In both cases, stop movement inside the package, seal the outer container securely, and verify the chosen carrier’s current size limits, customs rules, tracking, and damage coverage for the exact route.
Choose rolled or flat shipping before you buy packaging
The paper, board, finish, and mounting method determine the safe format. Rolling is usually practical for an unmounted, flexible poster. A thick card, foam-mounted print, brittle coating, or sheet that resists bending should remain flat: forcing it into a tube can create a permanent crease or crack a surface.
| Option | Use it when | Main risks to control | Package implications |
|---|---|---|---|
| Rolled in a tube | The poster is flexible and can form a smooth curve without stress. | Hard creases from a tight roll, scuffs, crushed ends, and movement inside the tube. | Use protective paper, a rigid tube with secure closures, and a label surface that stays flat and readable. |
| Flat in a rigid mailer or box | The print is thick, mounted, brittle, highly finished, or otherwise not safe to roll. | Bending under compression, corner impacts, abrasion, and sliding between boards. | Use firm boards on both sides, cushioning, and an outer container that does not flex under normal handling. |
When rolling is appropriate
A flexible poster should be rolled gradually, not folded. The protective layer must be larger than the print so no edge is exposed to the tube wall. The finished roll should be loose enough that it does not form a sharp crease, yet narrow enough to enter the tube without force. If the sheet springs back aggressively or shows whitening along a bend, treat it as a flat shipment instead.

Thicker card and mounted artwork can crease when rolled, even if the outside of the package looks intact. Put the print between two rigid, clean boards and add cushioning so the boards cannot bow into the artwork. A do-not-bend marking is only a handling request; it is not a substitute for rigidity.

If you cannot decide
Test a small, non-display edge or a spare copy using the same radius you would need for the tube. Stop if the paper develops a line, coating crack, curl memory, or surface scuff. The cost of a larger flat package is normally lower than replacing a damaged original, but confirm that the intended service accepts the resulting dimensions before packing.
Pack a rollable poster in a tube
Prepare the print
- Clear a clean, dry work surface. Lay craft paper or another smooth protective paper on it, leaving extra material beyond every edge of the poster.
- Place the poster face in the orientation that keeps the printed surface from rubbing directly against itself. DHL eCommerce UK’s method folds one edge of the paper over the poster, covers it with another section, and then rolls the protected assembly.
- Roll slowly around a consistent curve. Do not pinch the sheet to start the roll, and do not make the roll tighter than necessary to fit the tube.
- Hold the roll with a small piece of masking tape on the protective paper. Avoid a tight elastic band: concentrated pressure can leave a ring or crease in the print.
If you use an inner sleeve to limit scuffing, treat it as an optional layer rather than proof of archival protection; the carrier guidance does not establish a particular sleeve material or conservation standard.

Select and load the tube
- Choose a sturdy tube with enough internal diameter that the paper-covered roll slides in without scraping. Fiberboard construction with secure end closures is suitable for lightweight rolled items such as posters; USPS packaging standards allow crimped or taped ends where the closure is strong enough for the contents.
- Prefer a triangular or square tube when available. Colissimo warns that a round tube can roll off sorting equipment or be difficult for automated handling. Its guidance summarizes the trade-off this way: “Rolling can be a lot more practical than folding, but it’s a lot less practical for sorting machines.”
- If a round tube is your only option, stabilize it against rolling with an appropriate outer support or carrier-approved method. Do not add anything that prevents the shipping label or barcode from lying flat and remaining readable.
- Insert the roll without forcing it. Add clean cushioning at the ends if needed, but leave enough room for the closure to seat fully. The goal is to prevent back-and-forth sliding, not to compress the poster.
- Close both ends according to the tube manufacturer’s design. Reinforce seams and closures with strong packing tape, keeping tape off the print and away from any barcode area.
Check the tube before labeling
- Shake it gently; the roll should not rattle or travel from end to end.
- Press the sides lightly; they should not collapse onto the artwork.
- Inspect every seam for gaps, lifted tape, or an end cap that can pull free.
- Confirm that the tube is dry and free of sharp fiberboard edges.
Pack a print that must remain flat
Build a rigid sandwich
- Place a clean protective sheet or sleeve around the poster so the printed surface cannot abrade against a board.
- Put the protected print between two firm boards that are larger than the artwork on all sides. Boards should remain flat when lifted by one edge.
- Use thin cushioning around the perimeter and between the board sandwich and the outer mailer if there is empty space. Cushioning should stop movement without creating pressure points.
- Put the sandwich in an appropriately sized rigid mailer or box. A container that is much larger than the boards allows impact and sliding; one that is too small bends the contents during closure.
- Seal every opening with packing tape. If the package has a second outer box, immobilize the inner mailer so it cannot shift.
Protect corners and surfaces
Corner impacts can transfer through a board into the print. Add corner protection that does not touch wet ink, soft varnish, or an exposed adhesive. Keep abrasive materials, loose paper clips, and crumpled paper away from the image surface. Do not place tape directly on the poster or on a removable sleeve unless you have confirmed that it will not pull the finish.

| Tube shape | Handling behavior | Label considerations |
|---|---|---|
| Triangular | Less likely than a round tube to roll on conveyors and generally stays oriented during handling. | Provides a broad flat face for an address label and barcode. |
| Square or rectangular | Resists rolling and can stack more predictably than a round tube. | Use a face wide enough for the complete carrier label and customs markings. |
| Round | Can roll off sorting equipment or be awkward for automated systems. | Stabilize it and ensure the label is flat, fully adhered, and scannable; a curved or wrinkled barcode can delay processing. |
Colissimo’s recommendation for a square or triangular tube is a handling precaution, not a guarantee against damage. Any shape can be crushed, pierced, or misrouted if the outer container is weak or the contents move.

Complete international customs information accurately
Customs requirements depend on the origin, destination, carrier, service, contents, and declared value. For applicable USPS international shipments, the customs information includes a detailed description, quantity, weight, and value; the current International Mail Manual also describes situations requiring HS codes. USPS places responsibility on the sender to check the destination country’s import and export restrictions and any additional documents.
Describe the item so customs can identify it
- Use a specific description that reflects the contents, such as an unmounted printed art poster, rather than an unexplained abbreviation or a vague description.
- State the actual quantity and value for the contents. If the carrier’s form asks for material, purpose, or country of origin, answer those fields consistently with the item.
- Provide an HS code when the selected service or destination requires one. Use the carrier’s current classification guidance rather than guessing from a generic internet list.
- Check prohibited and restricted items, import permits, paper or wood requirements, and tax or duty procedures for the destination before payment.
- Do not undervalue the poster and do not mark merchandise as a gift merely to avoid charges. An inaccurate declaration can cause inspection, seizure, return, penalties, or an invalid insurance claim.
Keep the paperwork consistent
The description, quantity, value, and weight on the customs declaration should match the invoice or other documents supplied with the shipment. If a carrier requests an electronic customs submission, complete it before the parcel reaches the counter so the label and data agree. Retain a copy of the declaration and proof of value.

Address, label, and hand off the package
Make the label machine-readable
- Use the complete recipient name, street address, locality, postal code, and country in the format accepted by the destination.
- Put the carrier label on the flattest, cleanest face of the tube or mailer. Do not wrap a barcode around a curve, a seam, or a corner.
- Remove or cover old barcodes and addresses. Keep customs forms and required markings visible as the carrier directs.
- Use waterproof label stock or a clear protective covering that does not create glare or bubbles over the barcode.
Photograph the shipment
Before handing it over, photograph the poster, the protective layers, the sealed package, and the completed label. Record the tracking number, declared value, and receipt. These records show the package condition and contents if the carrier later asks for evidence.

Choose an acceptance point carefully
Ask the carrier or postal operator to confirm that the packed dimensions, shape, weight, and service are eligible for the destination. Obtain an acceptance receipt showing the tracking number. A counter clerk can often identify a missing customs field before the parcel enters the network, but the sender remains responsible for accurate information.

Verify dimensions and service limits for the exact route
There is no universal international poster-parcel size, price, delivery time, or tube rule. Limits vary by carrier, service, origin, destination, and whether the item is treated as a document or merchandise.
| Published example | What it says | How to use it |
|---|---|---|
| La Poste large-document guidance | For certain international flat-mail services, length + width + thickness must be no more than 90 cm, with maximum length 60 cm, thickness 3 cm, and weight 2 kg. The operator lists separate limits for parcel and tube services. | Use these figures only when buying the identified La Poste service. They do not establish limits for another operator or route. |
| USPS Priority Mail International | USPS states that merchandise is insured up to $200 against loss, damage, or missing contents; additional coverage limits vary by country. | Treat this as a U.S.-origin, service-specific example. It is not automatic coverage for every USPS service, carrier, or destination. |
Measure the finished package, including caps, tape, boards, and any outer box. Weigh it after sealing. If the package exceeds a document limit, select a parcel or tube service that explicitly accepts the dimensions instead of hoping the operator will reclassify it.
Tracking, insurance, and claims
Buy coverage that matches the real value
Check whether the selected service includes coverage, what events it covers, and the maximum payable amount. Read exclusions for artwork, surface damage, inadequate packaging, indirect loss, and delay. Coverage can be denied when the carrier decides the package was not packed to its standards, so keep photographs and receipts as well as the product description and value proof.
Understand what tracking does and does not do
Tracking records scans and delivery events; it does not prevent crushing or prove that a print was undamaged at handoff. Choose a service with end-to-end events appropriate to the route, and give the recipient the tracking number and expected delivery window. If scans stop, contact the carrier within the time limit stated for an inquiry.
Report damage promptly
- Keep the outer package, tube ends, boards, cushioning, labels, and contents exactly as received.
- Photograph the damage from several angles before discarding anything.
- Compare the condition with your pre-shipment photographs and gather the receipt, tracking history, customs declaration, invoice, and proof of value.
- File the claim through the carrier or postal operator within its stated deadline. Follow its instructions about inspection or returning the package.
Troubleshoot common failure modes
| Symptom | Likely packaging cause | Correction before shipping |
|---|---|---|
| Poster arrives with a transverse line | The roll was started sharply, tightened with an elastic band, or compressed by a narrow tube. | Use a larger diameter, roll around protective paper gradually, and secure only the paper with light masking tape. |
| Print has rubbed or scuffed | The image contacted the tube, a board, or loose debris during movement. | Add a clean inner layer, remove abrasive materials, and immobilize the roll or flat sandwich. |
| Tube arrives with crushed ends | Weak end closures or no end cushioning allowed impact to reach the roll. | Use a stronger tube, reinforce closures, and add cushioning that prevents the roll from touching the caps. |
| Flat print has bent corners | Boards were too small, too flexible, or able to slide inside an oversized mailer. | Use larger rigid boards, protect the corners, and fill movement gaps without creating pressure. |
| Tracking shows a delay at customs | Description, value, HS code, document, or destination restriction was incomplete or inconsistent. | Respond to the carrier’s request quickly with matching records; do not submit a contradictory replacement declaration. |
| Label cannot be scanned | It was wrapped around a round tube, folded over an edge, covered by glare, or placed over a seam. | Move it to a broad flat face and reprint it if necessary before acceptance. |
Final pre-shipment checklist
- Format chosen from the poster’s actual flexibility and thickness.
- Protective paper or sleeve is clean, dry, and larger than the print.
- Roll is smooth and loose enough to avoid a hard crease, or flat boards are rigid and larger than the artwork.
- Tube or mailer is strong, appropriately sized, and free of movement.
- Closures and seams are securely taped without touching the artwork.
- Label and barcode lie flat, are readable, and have no old labels underneath.
- Customs description, quantity, weight, value, and any HS code or supporting document are accurate.
- Destination restrictions and service eligibility have been checked for the exact origin and destination.
- Tracking, coverage, exclusions, and claim deadlines are understood before payment.
- Photos, proof of value, receipt, and tracking number have been saved.
Following these checks reduces avoidable creasing, bending, abrasion, and sorting problems, but no packaging method eliminates every transit risk. The carrier’s current rules for the specific route control the final decision.
