Keep the design set to Only you can access while you work. When the audience is known, invite people by email and give each person only the view, comment, or edit permission required. Use Anyone with the link only for material that is safe for uncontrolled forwarding. Before making a design public, remove hidden or historical content, inspect comments and notes, share a reviewed copy, and delete the public link when it is no longer needed.
What private Canva sharing actually protects
Canva’s sharing model controls two different risks: who can open a design and what that person can learn after opening it. A restrictive audience setting limits entry. Content review limits information that may be present in the file even when it is not visible on the current page.
New designs default to Only you can access, according to Canva’s sharing help. That is the safest working state because possession of a copied URL does not, by itself, grant access. Treat this setting as a starting point, not a permanent guarantee: anyone who can edit the design can change its content, and a later change to link settings can broaden the audience.

Privacy also includes collaborator information. Canva’s privacy policy says anonymous visitors using an “Anyone with the link” design may see logged-in users’ full names, avatars, cursors, and comments, depending on the design and account settings. A link that is not indexed by search engines is still not confidential if it can be forwarded.

Choose the sharing method before you send anything
Use the narrowest audience that will complete the job. The table below separates audience scope, permission, and the main exposure to consider.

Account type, region, plan, and the kind of link you create can change the labels and controls. The public-view-link help experience has been localized for India, so verify the wording displayed in your own Canva account rather than relying on an old screenshot.
How to share a Canva design privately
- Open the design’s Share controls. Do this before copying a URL or sending an invitation. Read the current access line and confirm that it still says Only you can access or another setting you deliberately chose.
- Identify the audience. If every recipient is known, use the people-invitation area rather than a universal link. For a team project, determine whether you are sharing with the whole team, a group, or named members.
- Add people by email. Enter each recipient under People with access. Check spelling and the account identity shown by Canva; inviting the wrong address is an access-control error, not merely a delivery mistake.
- Assign the least powerful permission. Select View for read-only consumption, Comment for feedback without design changes, or Edit only for people who must modify the file. Do not grant edit access as a convenience when comment access is sufficient.
- Confirm the final audience. Re-read the names and permissions before sending. A person who only needs to approve a draft should not remain an editor after approval.
- Send the invitation through Canva. Tell recipients which identity they should use if their organization has multiple accounts. This avoids a recipient opening the invitation while signed in to an unintended account.
Why named invitations are safer than a forwarded URL
An email invitation ties the access decision to selected people instead of to possession of a string that can be pasted into a chat, document, or public post. It does not prevent screenshots, downloads, or retyping of information, but it gives you a clear list to audit and remove. It also avoids making anonymous access part of the normal workflow.
Set permissions for real roles
View
Use view access when someone needs to read, present, or inspect the current design without changing it. It is the default choice for a final approval copy when comments are handled elsewhere.

Comment
Comment access is appropriate for design review, but it is not a privacy mode. Canva states that comment-only access does not hide existing comments: people holding the link can view all comments in the editor without logging in. Before using this permission, remove comments that contain personal data, customer details, internal discussion, or credentials. Also check resolved or older comments if they remain visible in the editor.
Edit
Edit access lets a collaborator change the design. Give it only to people who need to alter pages, assets, or settings. Before downgrading or removing an editor, check whether that person created comments or content that must be retained and whether the design contains information they should no longer see.
When a link is unavoidable
Some workflows require a URL, such as embedding a presentation or sending a one-time review. In Share, select the link audience and permission deliberately; do not accept the broadest option simply because it is preselected.

- Choose Anyone with the link only when anyone who receives, forwards, or discovers the URL may safely view the design.
- Check whether the link is a view, watch, edit, or public-view link. Controls differ by type.
- Assume that a forwarded link reaches people outside your original conversation.
- Record where you sent a sensitive link so you can revoke it and notify recipients if the audience changes.
Canva’s policy explicitly warns, “We do not recommend this option for information you wish to keep confidential.” That statement concerns the Anyone with the link setting. It is a useful decision rule: if disclosure would cause harm, use named access or keep the design private.

Prepare a safe copy before public viewing
A public design can expose more than the currently displayed canvas. Canva’s guidance identifies hidden pages, cropped images or video, presenter notes, comments, and previous revisions as areas to inspect. A crop can conceal sensitive material during a presentation while leaving it available in the underlying design. A hidden page can be revealed by someone with editing access or by a later change to presentation settings.
- Inventory every page. Unhide or navigate through pages and confirm that drafts, alternate versions, internal instructions, and unused layouts are gone.
- Inspect media boundaries. Open cropped photographs, videos, frames, and grouped elements. Remove faces, document numbers, addresses, QR codes, or other material that is outside the intended public view.
- Read presenter notes and comments. Delete internal talking points, review conversations, personal names, contact details, and anything that identifies a customer or colleague unnecessarily.
- Check revision-sensitive content. Decide whether earlier versions contain information that should not survive in a public workflow. Do not assume that displaying the latest page erases the history of the original design.
- Remove the sensitive material. Delete it rather than merely hiding it. If you may need it later, retain it in a separate private design with its own access list.
- Make a copy. Canva recommends creating a copy after unwanted content is removed. The copy does not include the original design’s previous revisions, which makes it a cleaner public artifact.
- Review the copy from the beginning. Use the same page, media, notes, and comment checks on the copy. Confirm that its title, thumbnails, file name, and any linked assets do not disclose information you intended to remove.
- Publish or share only the copy. Keep the source design private and clearly label it as the internal master so that future edits do not accidentally alter the public version.
Comments and collaborator information need a separate check
Content review is not complete when the visible artwork looks clean. Comments can carry names, email addresses, customer references, pricing, or internal decisions. If comment access is enabled, inspect the entire conversation and remove anything that the audience should not see. Anonymous access can also expose logged-in collaborators’ full names, avatars, cursors, and comments, depending on settings. Warn collaborators before opening a link broadly so they understand that their profile information may appear.
Do not place passwords, private keys, identity documents, unredacted customer records, or other secrets in a Canva design intended for sharing. Moving a secret off the visible page but leaving it in a note, hidden page, comment, or older version does not make it safe.
Team links require extra care
Team sharing is useful for internal work, but it is not automatically restricted to the people in your meeting or chat. Canva’s team-sharing guidance says view or watch links can be forwarded or shared, and permissions cannot be changed after those links are shared. Before choosing a team link, determine whether the account offers a way to revoke that specific link and whether its permission can be changed later.

- Prefer named team members or groups for confidential drafts.
- Use a team view link only for material that remains safe if forwarded inside or outside the team.
- Do not assume that changing a person’s team membership retroactively neutralizes every URL they received.
- Keep a private master separate from a shareable team copy when the design contains internal-only pages.
Revoke access when the project ends
Leaving a link active creates an avoidable future disclosure path. When the review, event, or campaign ends, return to Share and remove people who no longer need access. For a public view link, use Canva’s public-view-link controls to delete the link. Canva says deletion removes access and deletes that URL; a replacement public view link receives a new URL.
Revocation cannot retrieve information that someone already copied, downloaded, photographed, or forwarded. It does stop future openings through the revoked link where the relevant Canva control supports that action. If a link type does not offer a revocation or permission-change control, replace the design with a cleaned copy and stop distributing the old URL.
Verify privacy before sending: a practical checklist
- The access label is the one you intended, not an old setting left from a previous review.
- Every named recipient is correct and has the minimum required permission.
- No confidential material remains on hidden pages or in alternate layouts.
- Cropped images, videos, and grouped elements contain no concealed information.
- Presenter notes and comments have been read and cleaned.
- The title, thumbnail, file name, and visible metadata are suitable for the audience.
- The URL type is known: named invitation, team link, anyone-with-link, or public view.
- You know how to remove the audience or delete the link after the project.
- The public or broad-access version is a reviewed copy, not the private master.
What to do if a private link was exposed
If the design is still private
Do not forward the URL while asking others not to open it. Check the access list, remove unintended invitees, and keep the design at Only you can access until you have confirmed the correct recipients. If a recipient used the wrong account, remove that account and invite the intended identity.
If “Anyone with the link” was enabled
Change the audience or revoke the link using the controls available for that link type. Treat the URL as compromised if it appeared in a public post, shared document, support ticket, or large group chat. Inspect comments and collaborator details, then create a clean copy if the exposed design contained information that should not remain in the shared version.

If a public view link was published
Delete the public view link to remove access, then create a new link only after the copy has passed the content checklist. Because the replacement has a new URL, update legitimate recipients and remove the old URL from websites, documents, messages, and social posts that you control.
If sensitive information was visible
Revoking access does not undo copies. Follow your organization’s incident process, identify what was exposed and for how long, and notify affected people when required. Rotate credentials or replace documents if the design contained secrets or identity information.

Keep the workflow maintainable
For recurring projects, establish a simple naming convention such as “MASTER—private” and “SHARE—public copy.” Store the master in a restricted folder, keep a short list of current invitees, and set a calendar reminder to review access after a launch or contract ends. Document which link type was sent and where it appeared. These habits do not replace Canva’s controls, but they make it less likely that an old URL or an unreviewed page becomes the accidental source of disclosure.
