To set up Namecheap Private Email, first identify which provider hosts your domain’s active DNS zone, then add or select the mail records there. If the domain uses Namecheap Basic or Premium DNS and Private Email is its only mail service, Namecheap’s Mail Settings option can configure the records automatically. Other DNS providers, multiple mail services, and Namecheap hosting nameservers require a different route.

Find where your domain’s DNS is managed

Your domain registrar and DNS host do not have to be the same company. Check the domain’s nameservers, then make changes in the DNS zone managed by the provider those nameservers point to. Namecheap explains this prerequisite in its Private Email setup guidance.

Choose the matching setup path:

  • Namecheap Basic or Premium DNS: Use Mail Settings for the simplest setup when Private Email is the only mail service, or add records manually when you need more control.
  • Namecheap hosting nameservers: Make changes in cPanel’s Zone Editor, not Advanced DNS.
  • Third-party DNS: Add the records in that provider’s DNS zone.

Set up Basic or Premium DNS automatically

This is the simplest option when your domain uses Namecheap Basic or Premium DNS and Private Email is the only email service you need to configure.

  1. Sign in to Namecheap and open the Dashboard.
  2. Select Manage beside the domain connected to your Private Email plan.
  3. Open Advanced DNS.
  4. Under Mail Settings, select Private Email.
  5. Save the changes.
  6. Check that the domain’s DNS zone contains the DKIM record for your subscription. Namecheap says the record is available immediately after ordering and is unique to each subscription; use the value shown in your account, not a key copied from another domain.

See Namecheap’s Basic/Premium DNS setup instructions.

Add records manually when needed

Choose manual DNS configuration if you need multiple email services to coexist or are setting up mail on a subdomain. Add the records at the active DNS provider. For a root-domain setup on Namecheap Basic or Premium DNS, Namecheap lists these core values:

Record Host Value Priority or note
MX @ mx1.privateemail.com 10
MX @ mx2.privateemail.com 10
TXT (SPF) @ v=spf1 include:spf.privateemail.com ~all Combine with authorization for any other services that send mail for this hostname.
TXT (DKIM) See subscription-date rule below Copy the subscription-specific value from Namecheap The key is unique to the subscription.
TXT (DMARC) _dmarc Set a policy suited to your domain’s sending setup Namecheap shows p=none as an example, not a universal policy recommendation.

The MX and SPF values come from Namecheap’s manual Basic/Premium DNS instructions. If you already authorize other senders, do not publish a second SPF record at the same hostname. Consolidate all authorized sending services into one SPF record; Namecheap warns that multiple SPF records at one hostname interfere with one another.

Use the DKIM hostname that matches your subscription date

Namecheap’s current guidance gives a hostname boundary of June 2, 2026: subscriptions purchased on or after that date use privateemail._domainkey; subscriptions purchased earlier use default._domainkey. Copy the TXT record and key for the relevant subscription from your Namecheap account. Do not guess the key or reuse another subscription’s value. See Namecheap’s DKIM setup guide.

Treat DMARC as a domain-specific policy

DMARC belongs at the _dmarc hostname, but the right policy depends on how the domain sends mail and what you intend to do with messages that fail authentication. Namecheap’s example of p=none is an example value, not a blanket recommendation. Its third-party DNS guide includes DMARC among the recommended records.

Use the right process for hosting or third-party DNS

Namecheap hosting nameservers

If your domain uses Namecheap hosting nameservers, edit DNS in cPanel’s Zone Editor. Namecheap states that its cPanel email service and Private Email cannot run simultaneously: adding Private Email records stops the cPanel email service. Before changing records, check whether existing mailboxes or senders rely on cPanel email and review the SPF record for authorized senders. See Namecheap’s hosting nameserver instructions.

Third-party DNS

When another provider hosts the DNS zone, create the MX, SPF, DKIM, and DMARC records there rather than in Namecheap Advanced DNS. Use the same subscription-specific DKIM value and date-based hostname rule described above. Namecheap also lists CNAME and SRV records for webmail access and automatic setup in some email clients; those are optional conveniences, not replacements for the MX or sender-authentication records. Create a mailbox as part of preparing the service. See the third-party DNS instructions.

Allow time for DNS verification

Namecheap says its verification system checks for the required records every 15 minutes and activation can take up to four hours because of propagation. These are Namecheap’s operational guidance, not a guaranteed wait time for every DNS provider or network. If activation has not completed, confirm that the records were added to the active DNS zone and that the hostnames, values, and priorities match the instructions.
