To receive dependable NAS health information, configure three separate pieces: an authenticated sender, one or more recipients, and notification rules. Then create a scheduled report if your platform supports one, set an alert-severity threshold, and send a test message and test alert. A report is a periodic summary; an alert is a warning generated by a specific event. Treating them as separate settings is the key to getting both routine visibility and rapid warning of a failing disk, lost network connection, temperature problem, or backup failure.
The menu names differ by operating system. TrueNAS SCALE has distinct email, alert, and TrueNAS Connect report controls. Synology DSM centers event email in Control Panel > Notification > Email, while QNAP QTS uses Notification Center for delivery services, rules, and history.
What a NAS health report and an email alert do
A health report is a scheduled snapshot. It is useful for checking storage capacity, usage trends, update availability, and the health information your NAS exposes on a recurring timetable. An alert is event-driven: the NAS sends it when a monitored condition reaches the configured severity, such as a disk warning or a failed backup task.
TrueNAS Connect makes the distinction explicit. Notification Tasks can run a report hourly, daily, or weekly, while alerts can be delivered immediately or aggregated. On a local TrueNAS system, the built-in system-email service also sends an automatic nightly message containing important information such as disk health. That nightly message is separate from the threshold-triggered alert service.

Do not assume that enabling email automatically creates a daily report. On some systems it only enables event messages, and on others a periodic drive-health report may be monthly rather than daily.
Prepare the NAS and mail account before configuring notifications
Gather the following information before opening the notification settings:
- NAS model and operating-system edition and version.
- An email address that is allowed to send mail through your chosen provider, or an OAuth account if the release requires provider authorization.
- The sender address and display name that recipients should recognize.
- At least one recipient address. Include an address outside the NAS host’s local user database so a local-account problem cannot hide the warning.
- The events that matter to you: disk or pool health, storage capacity, network loss, fan or temperature behavior, power failure, and backup-task failure.
- A safe way to create or simulate a warning for testing, if the platform offers one. Never disconnect a live disk or deliberately damage a pool just to test mail.
Use an authenticated provider. Providers commonly reject unauthenticated or unauthorized sender addresses, so the address in the NAS’s From field must be permitted by the account or relay. If your provider uses OAuth, complete the authorization in the NAS interface rather than trying to substitute a password where the release expects a token.

Set up TrueNAS SCALE
1. Configure the system email sender
- Open the TrueNAS system email settings.
- Choose an email method supported by your installed release. Current TrueNAS documentation describes an Outlook OAuth workflow; the available choices can change between releases.
- Enter the From address and display name.
- Complete the provider authorization flow. Keep the browser window open until TrueNAS confirms that authorization succeeded.
- Click Send Test Email before relying on any alert or report. Confirm that the message arrives at the intended recipient and is not held in spam or quarantine.
- Save the sender configuration only after the test succeeds. Record the account used for authorization and the date of the successful test.
A successful sender test proves that the NAS can authenticate and submit a message. It does not prove that an alert rule will generate one, so continue with the alert-service test.

2. Configure threshold-triggered alerts
- Open the Email Alert Service settings.
- Add or edit the recipient addresses.
- Select the warning level at which mail should begin. TrueNAS sends the selected level and every more severe level.
- Choose the frequency: Immediately, Hourly, Daily, or Never. Use Immediately for conditions that can damage data or stop service; aggregation can reduce noise for less urgent events.
- Click Send Test Alert and verify receipt separately from the ordinary test email.
A low threshold can produce a stream of routine notices; a high threshold can delay a disk or pool warning. Select the lowest level that you can act on consistently, then adjust it after observing real alert volume.
3. Create a recurring report in TrueNAS Connect
TrueNAS Connect provides the clearest daily-report workflow when you want a scheduled summary rather than only event mail.
- Open Notification Tasks and click Add.
- Select the systems and tags to include.
- Choose Report as the task type.
- Set the frequency to Hourly, Daily, or Weekly.
- Select the alert threshold to include in the summary.
- Choose Email as the delivery method and save the task.
A TrueNAS Connect report can include storage availability and usage, usage trends, predictive capacity analysis, update availability, and alert history. The threshold controls which alert information is included in that summary; it does not replace the separate Email Alert Service used for event delivery.
4. Check both schedules
After saving, review the report task and the Email Alert Service independently. Confirm that the report is enabled for the intended systems and that the alert service has the right recipients, severity, and frequency. A daily report can be working even when an immediate alert rule is disabled, and the reverse is also true.

Set up email notifications in Synology DSM
1. Enable DSM email notifications
- Sign in with an administrator account.
- Go to Control Panel > Notification > Email.
- Enable email notifications.
- Enter one or more recipient addresses.
- When required by your provider, configure a third-party relay such as Gmail or Outlook and complete the provider’s authentication requirements.
- Use DSM’s available test function, if shown in your release, and confirm delivery before leaving the page.
DSM’s event notifications can cover system errors, loss of network connectivity, fan behavior, power failure, and backup-task failure. Enable only the categories that have a clear owner and response; otherwise important messages can be buried in routine mail.
2. Set realistic expectations for drive-health reports
Synology storage guidance describes a monthly drive-health report. Do not label that report daily unless your installed DSM release exposes a separate daily schedule. If you need daily visibility, use the event notifications for threshold-triggered disk warnings and check whether your particular DSM version offers an additional scheduled task. The frequency is a product and release capability, not a setting that can be inferred from the fact that email is enabled.
3. Verify event coverage
Review the event list after enabling email. Confirm that disk or storage warnings and backup failures are included, then check the recipient inbox and spam folder. If DSM shows separate notification controls for individual applications or services, make sure the application that performs the backup is allowed to send its failure event.
Set up QNAP QTS with Notification Center
1. Pair a delivery service
- Open Notification Center in QTS.
- Pair the service account or device used for email, or choose another supported delivery method.
- Complete authentication and verify the sender identity required by the service.
- Save the service and send a test if the current QTS build provides one.
Notification Center consolidates QTS system events and alerts in one app instead of requiring separate configuration in multiple applications. QTS supports email, SMS, instant messaging, and push delivery, subject to the services available in your installation.

2. Create notification rules
- Open the system notification-rule editor inside Notification Center.
- Select the event categories that matter, such as storage, hardware, network, or backup conditions.
- Choose the delivery methods for each rule.
- Customize recipients and other per-rule options where available.
- Save the rules and check that they are enabled.
Rules let you send urgent storage events by more than one channel while keeping lower-priority information in email. Avoid enabling every category by default: a noisy rule set makes it harder to notice a genuine disk or pool problem.
3. Use the queue and history views
Open the queue or history view after saving a rule. It should show whether QTS generated a notification and which delivery method was attempted. This distinguishes an event-generation problem from a mail-delivery problem: a missing history entry points to the rule or event, while a recorded event with no inbox message points to authentication, provider, spam filtering, or recipient configuration.
Platform comparison
| Platform | Scheduled report and alert relationship | Documented frequencies | Severity controls | Authentication and channels | Testing or history tools |
|---|---|---|---|---|---|
| TrueNAS SCALE | Separate Email Alert Service for events; TrueNAS Connect Notification Tasks for reports. | Reports: hourly, daily, or weekly. Alerts: immediately, hourly, daily, or never. | Email Alert Service sends the selected level and more severe levels; report tasks include a chosen alert threshold. | Release-dependent email methods; current documentation describes Outlook OAuth. Delivery is email. | Send Test Email and Send Test Alert; TrueNAS Connect reports include alert history. |
| Synology DSM | Email settings focus on event notifications; storage guidance documents a monthly drive-health report. A separate daily schedule depends on the installed release. | Monthly drive-health report is documented; event delivery timing depends on the event and DSM settings. | Event categories are selected in notification settings; a universal severity schedule is not stated in the available guidance. | DSM email with a third-party relay such as Gmail or Outlook when needed. | Use the release’s available test function and verify the received message; a unified history capability is not stated here. |
| QNAP QTS | Notification Center centralizes event rules and delivery; a universal daily health-report schedule is not stated here. | Frequency options are rule- and event-dependent; no single daily-report frequency is documented here. | Per-rule event and delivery customization. | Email, SMS, instant messaging, and push, with a paired service account or device. | Queue and history views show generated notifications and delivery attempts. |
For an explicitly documented daily summary, TrueNAS Connect has the most direct workflow. Synology’s strongest documented path is event email plus a monthly drive-health report. QNAP emphasizes centralized multi-channel event rules and their history rather than one universal report schedule.

Test delivery before trusting it
- Send the platform’s ordinary test message, if available.
- Send the platform’s alert-specific test. On TrueNAS, use both Send Test Email and Send Test Alert.
- Check the recipient inbox, spam folder, and any organizational quarantine. Inspect the sender, subject, timestamp, and event severity.
- If supported, trigger a harmless warning or use a built-in simulation. Do not pull a disk, stop a production pool, or create a condition that could corrupt data.
- Confirm that the generated event appears in the NAS notification history or queue.
- Record the NAS model, operating-system version, sender method, recipient, and last successful test date.
Run this test after every change to the sender account, provider security policy, NAS upgrade, recipient list, or notification rule. A test performed months ago is not evidence that a recently changed OAuth grant or relay password still works.

Reliability and noise-control checklist
- Use an authenticated sender. Verify that the provider permits the From address and that authorization has not expired.
- Keep an external recipient. Include at least one mailbox that is not dependent on the NAS’s local account system.
- Choose a practical threshold. Too low creates noise; too high can hide a disk or pool problem. On TrueNAS, remember that the chosen level includes all more severe levels.
- Separate urgency from routine reporting. Use immediate alerts for conditions requiring prompt action and a daily report for trends and capacity review.
- Watch storage capacity as well as disk failure. A healthy disk does not prevent a pool or volume from running out of space.
- Keep a change record. Note who changed the sender, recipients, threshold, or schedule and when the last test passed.
- Protect the credentials. Prefer OAuth or provider-specific app credentials where offered, restrict administrator access to notification settings, and remove authorization for an account that is no longer used.
Troubleshoot a missing or misleading message
The test email never arrives
- Confirm that the NAS reports successful provider authentication and that the From address is authorized.
- Check the exact recipient spelling and inspect spam and quarantine folders.
- Send to a second external mailbox. If one arrives and the other does not, the receiving service is filtering the message.
- Review the NAS clock and time zone. Incorrect time can invalidate authentication or make a message appear under an unexpected date.
- Reauthorize OAuth or update the provider credential if the account policy changed.
The test email works but an alert does not
- Verify that the alert service or notification rule is enabled and has at least one recipient.
- Check the severity threshold. The event may be below the selected level.
- Confirm the event category is enabled; application-specific backup events may have their own notification control.
- Look in the NAS history or queue. A missing event record indicates a rule or event problem; a recorded event with no delivery indicates a mail-path problem.
The inbox receives too many messages
- Raise the threshold or change lower-priority events from immediate to an aggregated frequency where the platform permits it.
- Keep urgent storage and hardware events on an immediate channel.
- Use the daily report for trends instead of enabling every informational event.
The daily report is missing
- Check that a report task exists and is enabled; an alert rule alone does not create a report.
- Confirm the selected systems, tags, recipient, and schedule.
- Distinguish platform limits from configuration errors. TrueNAS Connect documents hourly, daily, and weekly reports; Synology’s documented drive-health report is monthly; QNAP’s available schedule depends on its rules and event types.
How to use the messages once they arrive
A report is most useful when you compare it with earlier reports rather than reading it as a pass/fail certificate. Look for steadily rising capacity use, an accelerating usage trend, repeated alerts, or an update that remains pending. Predictive capacity information can indicate when a pool may need expansion, but it does not replace backups or a review of the underlying disks.
For an event alert, identify the affected system, severity, and timestamp first. Then check the NAS dashboard and recent changes before acknowledging it. A disk-health warning should prompt a backup check and a replacement plan; a failed backup should be treated as a data-protection incident even if all disks appear healthy. Do not clear or suppress recurring alerts until the underlying condition is understood.
Maintenance schedule for dependable notifications
- After initial setup: perform both sender and alert tests and document the results.
- Monthly: review recipients, spam or quarantine behavior, storage trends, and whether the report still reaches the people responsible for action.
- After provider or NAS changes: reauthorize the sender and repeat both tests.
- After an actual warning: preserve the alert details, investigate the condition, and retest notifications after remediation.
Following this separation—sender, recipients, event rules, scheduled report, and independent tests—gives you a daily health view without sacrificing immediate warning for failures.
