Short answer: You can share a Microsoft 365 Family subscription with up to five other people, but you cannot share the Family plan’s Copilot features in Word, Excel, PowerPoint, Outlook, or Designer. Those AI benefits belong only to the subscription owner. Set up the Family sharing normally for apps and OneDrive storage, then give each person who needs Copilot in Microsoft 365 apps a qualifying entitlement on their own account. A family member can also use the general Copilot service with their own Microsoft account, which is a separate form of access.
What “setting up Copilot for each person” actually means
Microsoft 365 Family sharing and Copilot licensing are two different things. The owner can invite other people to the Microsoft family group and let them install the Microsoft 365 apps and use the shared subscription benefits. That invitation does not transfer the owner’s Copilot entitlement.
Microsoft’s support statement is explicit: “AI features in Word, Excel, PowerPoint, Outlook and Designer included in Microsoft 365 Family and Premium plans are only available to the subscription owner and cannot be shared with others.” See Microsoft’s Copilot subscription FAQ.

Choose the access route each person needs
Before sending invitations, decide whether a person needs Microsoft 365 app Copilot, general Copilot, or both. The account and entitlement are different for each route.

Feature availability, limits, and supported entry points can vary by account, plan, market, app version, and Microsoft’s current rollout. Check the person’s own Services & subscriptions page instead of assuming that family-group membership proves Copilot access.
Share the Microsoft 365 Family subscription
The owner can share the subscription with up to five additional people, for six people total including the owner. This process gives invitees access to the shareable subscription benefits; it does not make them beneficiaries of the owner’s Copilot AI entitlement.

- Sign in to Microsoft’s official sharing page: account.microsoft.com/services/office/sharing.
- Select Share.
- Choose whether to send an email invitation or create and copy an invitation link. Send one invitation to each person you want to add.
- Tell each invitee to use the Microsoft account they intend to use for Microsoft 365. If they do not have an account, Microsoft prompts them to create one.
- After an invitation is accepted, confirm that the person appears in the family group and can open their account dashboard to install the Microsoft 365 apps and access the eligible shared benefits.
The owner controls invitations from the sharing page. Sharing is limited to five other people, so an invitation cannot be used to create unlimited Copilot users or bypass the plan’s membership cap.
What an invitee must do
- Open the email invitation or invitation link from the owner.
- Sign in with a Microsoft account, or create one when Microsoft offers that option.
- Select Join now and complete the family-group joining flow.
- Open the account dashboard and install Microsoft 365 apps if needed.
- Sign in to each installed app with the same account that accepted the invitation.

Give each person Copilot in Microsoft 365 apps
For Word, Excel, PowerPoint, Outlook, or Designer Copilot, the person needs an eligible entitlement attached to the account used in the app. The owner’s Family plan does not supply that entitlement to other members.

Use the person’s own qualifying subscription or license
Have the individual sign in to their own Microsoft account and verify the plan shown under Services & subscriptions. If the person receives Copilot through an employer or school, the organization’s license and account must be the one used in the Microsoft 365 app. Microsoft explains how to identify the account and license in What Copilot license do I have.

After the qualifying entitlement is present:
- Sign out of the Microsoft 365 app if it is using another person’s account.
- Sign back in with the account that owns the eligible subscription or license.
- Update the app if Microsoft prompts for an update, then reopen it.
- Look for the Copilot control in the app’s current interface. Its placement and availability can differ by app and rollout stage.
- Test Copilot with a non-sensitive prompt. If the control is absent, recheck the account and license before changing family-sharing settings.
Being able to install Word or Excel through the Family invitation does not establish that the same account has the separate AI entitlement.
Use general Copilot with a personal Microsoft account
A family member may sign in to Microsoft Copilot with their own personal Microsoft account. This is a separate access path from Copilot features embedded in Microsoft 365 apps through a subscription. Do not describe general Copilot access as receiving the owner’s Family-plan Copilot benefit.
Microsoft’s explanation of how Copilot uses personal and family accounts is available in How grounding works with individual or family accounts. The service, available features, and usage allowances can differ from the in-app experience, so the person should check what appears after signing in rather than infer that all app features are included.
Check the right account before troubleshooting
Account confusion is the most common reason a person sees Microsoft 365 apps but not Copilot. Use this checklist for each family member:

- Open that account’s Services & subscriptions page and record the plan shown there.
- In Word, Excel, PowerPoint, Outlook, or Designer, open the account or profile menu and verify the signed-in address.
- Sign out of any personal, work, or school account that is not supposed to hold the entitlement.
- Check whether the person is trying to use general Copilot or an in-app Copilot control; these are not interchangeable.
- Review Microsoft’s current account and license information rather than relying on an old screenshot or a different family member’s dashboard.

What happens if someone belongs to another Microsoft family group?
An invitee who is already a member of a different Microsoft family group must leave that group before joining the subscription owner’s group. The invitation cannot move the person between groups automatically.
- Ask the invitee to review their current Microsoft family-group membership.
- Leave the existing group if Microsoft requires that step for the new invitation.
- Open the owner’s invitation again and select Join now.
- After joining, return to the account dashboard and install or activate the shareable Microsoft 365 benefits.
Leaving or joining a family group changes group membership, not Copilot licensing. Even after the person joins successfully, the Family owner’s in-app AI entitlement remains owner-only. Microsoft documents the sharing and membership rules in Share your Microsoft 365 subscription.
Privacy: sharing a plan does not share personal content
Family members do not automatically gain access to one another’s mailbox, files, or folders. Each person uses their own Microsoft account, and those personal areas remain private unless someone deliberately shares a particular file, folder, calendar, or mailbox item through its own sharing controls.

Microsoft’s account guidance distinguishes subscription sharing from content access. Joining the family group therefore does not let one person use another person’s private documents as Copilot context, nor does it expose the owner’s mailbox or OneDrive files by default. Keep accounts separate when installing apps and signing in to Copilot.
Understand variable Copilot limits
Microsoft’s AI-credit and usage guidance, dated September and October 2026, says limits depend on the plan, feature, entry point, and system conditions and may change as new models become available. The guidance lists different usage levels across Personal, Family, Premium, and Pro plans; it does not create one fixed allowance that applies to every user or every Copilot surface.
Do not promise a particular number of prompts, credits, or generations to a family member. Instead, have that person open their own Services & subscriptions dashboard and review the current plan and limits shown for that account. Troubleshoot the most common setup failures
The person can install Microsoft 365 but cannot find Copilot
Installation confirms access to the shareable apps, not to the owner’s AI entitlement. Check whether the person has a qualifying subscription or work/school license of their own, then sign in to the app with that licensed account. If they only accepted the Family invitation, no owner-side setting can add the in-app Copilot benefit.
The invitation link says the person cannot join
Verify that the link is current and that the person is signed in to the intended Microsoft account. If the person belongs to another Microsoft family group, they must leave it before accepting the new invitation. The owner can send a fresh email invitation or create a new link from the sharing page.
Copilot appears in one app but not another
Copilot availability can vary by application, account type, feature rollout, and system conditions. Confirm the app is updated, verify the signed-in account, and check the person’s current entitlement and limits. Do not treat one app’s control as proof that every Microsoft 365 app has the same feature set.
The wrong account keeps appearing
Sign out of the Microsoft 365 app and any account-management prompts, close the app, and sign in again with the account that should hold the entitlement. Work and school accounts can coexist with personal accounts, so check the full email address before testing Copilot.
A family member expects access to the owner’s documents
That expectation is incorrect. Family membership does not expose private mailboxes, files, or folders. The owner must share an individual item through Microsoft’s normal sharing controls if another person needs it; Copilot access does not change those permissions.

A practical setup plan for a household
Use this sequence when configuring several people:
- List the people who need only Microsoft 365 apps and storage, and the people who also need Copilot inside those apps.
- From the owner’s sharing page, invite no more than five additional people.
- Have every invitee accept the invitation with the account they will actually use.
- Resolve any existing family-group conflict before retrying an invitation.
- Install Microsoft 365 apps from each person’s own dashboard.
- For each person who needs in-app Copilot, verify a separate qualifying entitlement and use that account in the app.
- For general Copilot, have the person sign in separately with their own personal Microsoft account.
- Check each account’s current AI limits and supported features; do not copy the owner’s limits to other members.
- Keep personal files and mailboxes private unless a specific item is intentionally shared.
This workflow separates the benefit Microsoft allows the owner to share—apps and other subscription features—from the AI entitlement Microsoft reserves for the owner or for a separately licensed account.

Frequently misunderstood points
- “The person joined my family, so Copilot should appear.” Family-group membership does not grant the owner’s in-app AI benefit.
- “The person can use Word, so that account must have Copilot.” App installation and AI licensing are separate checks.
- “General Copilot proves the Family plan was shared.” A personal account can use general Copilot independently of the Family subscription’s app AI benefit.
- “Sharing a plan shares OneDrive and mail.” Microsoft keeps each member’s mailbox, files, and folders private by default.
- “The owner can assign unused Copilot credits.” Microsoft’s Family AI entitlement is not a pool that the owner can allocate to members.
