Outlook can add most email accounts automatically, but a provider may require a manual POP3 or IMAP setup. The correct steps depend first on which Outlook you have: New Outlook for Windows uses an account-based setup screen, while Classic Outlook provides the traditional POP/IMAP server fields.
This guide covers Outlook for Microsoft 365, Outlook 2024, 2021, 2019, and 2016, plus New Outlook for Windows. It also includes the current server settings for Outlook.com, Hotmail.com, Live.com, and MSN.com accounts.
Before you start: choose POP3 or IMAP
POP3 and IMAP both download email to Outlook, but they handle messages differently.

Use IMAP unless your provider specifically requires POP3 or you deliberately want a mostly local download. Your email provider—not Microsoft—supplies the server names, ports, encryption method, and authentication requirements for most third-party accounts.

Check whether you have New Outlook or Classic Outlook
The easiest distinction is the menu bar. If Outlook has a File tab and you can select File > Add Account, you are using Classic Outlook. If the File tab is missing, you may be using New Outlook for Windows.
Both current Outlook versions support POP and IMAP. However, Microsoft documents the detailed manual server-entry workflow specifically for Classic Outlook. New Outlook uses an account-based sign-in flow and may not present the same incoming and outgoing server fields.
Set up a POP3 or IMAP account in New Outlook
New Outlook supports third-party IMAP accounts, including Gmail, Yahoo, iCloud, and other providers. Use this path:

- Select Accounts > Your accounts.
- Under Email accounts, select Add Account.
- Select a suggested account, or type the email address and select Continue.
- Complete the provider’s sign-in and authorization prompts.
- Enter the password if Outlook asks for it, then select Done.
Another current entry point is Settings > Accounts > Add account. In some versions, Add account also appears at the bottom of the folder list.
New Outlook normally detects the provider and uses its supported authentication method. If the provider requires specific POP3 server fields and New Outlook does not display them, use Classic Outlook or follow the provider’s instructions for a supported connection method.
Automatically add the account in Classic Outlook
Try automatic setup first. It is the simplest option and allows Outlook to select the correct account type and authentication method.

- Open Classic Outlook.
- Select File > Add Account.
- Enter the complete email address.
- Select Connect.
- If Outlook asks for the password again, enter it and select OK.
- Select Finish when setup completes.
The same File > Add Account path works for the first account and for additional accounts. If automatic detection fails, or if you must select POP3 or IMAP explicitly, use manual setup.
Manually configure POP3 or IMAP in Classic Outlook
Have your provider’s settings ready before beginning. You typically need the incoming server, incoming port, encryption type, outgoing SMTP server, SMTP port, and authentication method.
- Select File > Add Account.
- Enter the email address.
- Select Advanced options.
- Check Let me set up my account manually.
- Select Connect.
- Choose POP or IMAP.
- Enter the incoming and outgoing server information on the Account settings screen.
- Select Next.
- Enter the account password.
- Select Connect.
Outlook may pre-fill most of the Account settings screen. Do not assume those values are correct if the connection fails. Replace missing or incorrect values with the settings supplied by your email provider.
Typical fields on the manual setup screen

Do not use the incoming server as the outgoing server unless your provider explicitly tells you to. Many services use different hostnames for IMAP or POP3 and SMTP.
Outlook.com, Hotmail, Live, and MSN server settings
For an Outlook.com, Hotmail.com, Live.com, or MSN.com mailbox configured through POP3 or IMAP, use these current settings:

Use the full email address as the username. The Outlook.com POP3 and IMAP services require Modern Authentication. A setup that insists on legacy basic authentication may fail even when the password is correct.

Enable POP3 or IMAP in Outlook.com first
Outlook.com has POP and IMAP access disabled by default. Enable the protocol before trying to connect it to Outlook:
- Sign in to Outlook.com in a browser.
- Select Settings > Mail > Forwarding and IMAP.
- Under POP and IMAP, turn on Let devices and apps use POP or Let devices and apps use IMAP.
- Select Save.
Enable only the protocol you plan to use. If you are adding the account as IMAP, do not troubleshoot it as POP3 simply because both use the same incoming hostname.
Password, two-factor authentication, and app-password problems
A regular password is not always the credential Outlook needs. Gmail, Apple, Yahoo, Outlook.com, and business providers may redirect you to a browser authorization page or require an app password.

- If your provider supports or requires app passwords, create one in the provider’s account-security settings and enter that generated password in Outlook.
- For Gmail and similar services, two-factor authentication or provider-specific authorization may be required.
- Check Caps Lock if Outlook repeatedly rejects an otherwise correct password.
An app password is not the same as changing your normal account password. It is a separate provider-generated credential intended for an application or device.
What to do when setup fails
Correct the server settings after a failed attempt
In Classic Outlook, Microsoft provides a recovery path after setup fails:
- On the failed setup screen, select Change Account Settings.
- Compare every server name, port, encryption option, and username with the provider’s documentation.
- Correct the values and select Connect.
- Select Done after Outlook completes the setup.
The most common errors are a mistyped hostname, a POP port entered for IMAP, SSL/TLS selected with the wrong port, or an SMTP server that requires authentication.

Outlook never asks for the IMAP password
If Classic Outlook does not prompt for an IMAP password, open the IMAP details page and make sure Require logon using Secure Password Authentication (SPA) is unchecked. Microsoft lists this as the first workaround for that specific symptom.

- Open Control Panel.
- Select Mail.
- Select Email Accounts….

The same Outlook.com IMAP account fails in multiple clients
Microsoft documents a current Outlook.com issue where configuring the same account as IMAP in multiple email clients can cause a connection error. To approve the affected sign-in:
- Go to account.live.com/activity.
- Under Recent activity, find the matching Session Type event.
- Expand the event and select This was me.
- Retry the IMAP connection in Outlook.
IMAP synchronization fails for a custom-domain address
Microsoft also documents a limitation when Outlook.com is used to access an account whose address uses a domain other than @live.com, @hotmail.com, or @outlook.com. If IMAP synchronization fails in that arrangement, remove the connected IMAP account in Outlook.com and reconfigure it as POP, using the original provider’s POP settings.
Microsoft 365 and Exchange accounts
Do not use manual POP3 or IMAP setup as the normal method for a Microsoft 365 or Exchange Server mailbox. Classic Outlook does not provide ordinary manual setup for those account types. Use the automatic Microsoft 365 or Exchange sign-in flow instead.

Final setup checks
- Send a test message to another address and confirm that it arrives.
- Reply to the test message to verify both incoming and outgoing mail.
- For IMAP, check whether existing folders and messages appear across Outlook and webmail.
- For POP3, confirm whether messages remain on the server or are removed after download according to the provider’s policy and Outlook’s settings.
- Check the provider’s storage and security pages if mail works in a browser but not in Outlook.
For a new third-party account, automatic setup is usually the best first attempt. Use manual POP3 or IMAP setup in Classic Outlook when automatic detection fails or when you need precise control over the protocol and server settings.
FAQ
Does New Outlook support POP3 and IMAP?
Yes. Microsoft’s current feature comparison lists both POP and IMAP as available in New Outlook for Windows and Classic Outlook. New Outlook uses an account-based setup flow, while the documented manual server-entry screen is in Classic Outlook.
Why can I not find File > Add Account in Outlook?
You may be using New Outlook for Windows. Try View > View settings > Accounts > Your accounts > Add Account, or Settings > Accounts > Add account. The File > Add Account path is the documented Classic Outlook workflow.
Which is better for Outlook: POP3 or IMAP?
IMAP is usually better when you use multiple devices because it synchronizes messages and folders with the server. POP3 is more suitable when you mainly download mail to one computer or your provider specifically requires it.
Why does Outlook reject a correct password?
The provider may require OAuth2/Modern Authentication, a browser authorization step, or an app password instead of the normal account password. Also check Caps Lock and confirm that the username is the full email address.
Why does Outlook.com POP or IMAP not connect?
First enable the required protocol under Outlook.com Settings > Mail > Forwarding and IMAP. Then check the server, port, encryption, and authentication values. Outlook.com uses OAuth2/Modern Auth and may not accept a legacy password-only connection.
Can I manually set up a Microsoft 365 account as IMAP?
Not as the normal Microsoft 365 or Exchange setup. Manual setup is available only when the mailbox is being connected through POP or IMAP and the administrator has enabled that access.
The Bottom Line
Bottom line: Use automatic setup whenever possible. In New Outlook, go to View > View settings > Accounts > Your accounts > Add Account. In Classic Outlook, use File > Add Account; select Advanced options and Let me set up my account manually when you need POP3 or IMAP server fields. For Outlook.com accounts, enable POP or IMAP first and use the current OAuth2-compatible server settings.
