Set up your new MacBook Pro by choosing whether to migrate data, creating a secure local account, reviewing privacy and security options, and configuring a separate Time Machine destination. Treat iCloud as a sync service—not a complete backup—and verify that you can restore a file from Time Machine before relying on it.

Before you begin

Have reliable Wi-Fi or Ethernet available. Connect the power adapter if you plan to transfer data. For a work-owned Mac, check your employer’s setup and device-management instructions before connecting personal accounts or changing managed settings; organizations do not all use the same policies.

Apple’s Setup Assistant guides you through network access, migration, account creation, accessibility, and Apple Account sign-in. Depending on the macOS release, setup may require internet access or prompt you to install an update. The screens and available options can vary by macOS version, language, and region. See Apple’s MacBook Pro setup guide.

Choose a clean setup or migration

During Setup Assistant, decide whether you want to start fresh or transfer information. Apple lists migration from another Mac, a Time Machine backup, a startup disk, or a Windows PC. A clean setup avoids bringing over old settings and files; migration can save time when you need an existing work environment. If the Mac belongs to your employer, follow its instructions about what to transfer.

Create the account and review setup choices

Use a strong password and separate shared accounts

Create a local computer account with a strong password. You’ll use it to unlock the Mac and authorize some actions. If more than one person uses the computer, create a separate user account for each person rather than sharing one login. Apple describes separate accounts as a way to keep each user’s files and settings distinct in its Mac data-safety guidance.

Connect only the accounts and services you need

During setup, decide deliberately whether to sign in with an Apple Account and which services to enable. Review prompts for Location Services, Screen Time, Siri, Apple Intelligence, and Touch ID instead of accepting every choice by default. The exact prompts and feature availability depend on macOS release, language, and region. Set accessibility options to suit your needs.

Review privacy and security after setup

Install available software updates

Check for software updates after setup and install those available to your Mac. Apple says updates include current security software. Menu names can change across releases, so follow the labels shown in your installed macOS.

Consider Find My and app permissions

Consider enabling Find My so you can locate or deactivate a lost Mac using a browser or another Apple device. Review which apps can access sensitive resources, and keep work and personal accounts separated in line with your employer’s policy. Apple’s general safety guidance supports updates, account separation, and Find My; it is not a complete security baseline for every workplace.

Understand FileVault and protect your recovery method

Apple says data on Macs with Apple silicon or an Apple T2 Security Chip is encrypted automatically. FileVault adds a layer of protection that ties access to the login password. Apple explains this in its FileVault guide.

To enable FileVault, open the current macOS privacy and security settings and follow the FileVault controls shown for your release. You need administrator access; additional users may need permission to unlock the disk. When prompted, choose a recovery method you can actually use: Apple Account recovery or a recovery key. If you choose a key, store it somewhere safe and separate from the Mac. Losing both your login password and access to the selected recovery method can leave your files inaccessible. See Apple’s FileVault setup instructions.

Set up a separate Time Machine backup

Choose a destination that is separate from the Mac

Use an external hard drive or SSD, network disk, or NAS as the Time Machine destination. A separate destination remains useful if the Mac or its internal storage fails. Apple recommends a disk with at least twice the Mac’s storage capacity and advises using it for Time Machine rather than unrelated file storage. For a local drive, check that you have a compatible cable or connection for your Mac. Apple lists backup options and capacity guidance in its Time Machine backup instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a local disk if you want a directly connected destination; a network destination is an alternative when it suits how and where you work. Consider how often the destination will be available and how straightforward it will be to reconnect for a restore. Apple documents these destination types but does not rank particular products.

Add the destination and start the first backup

  1. Connect or make the network backup destination available.
  2. On macOS Ventura and later, open System Settings > General > Time Machine.
  3. Add the destination and follow the on-screen instructions. Labels may vary by macOS release and locale.
  4. Choose whether to encrypt the backup. If you enable encryption, keep its password safe: you will need it to restore from that backup.
  5. Start the backup and let the first run finish. The initial backup can take longer than later ones, which are incremental.

Apple’s backup guide explains Time Machine. For version-specific steps, see its macOS Time Machine instructions.

Know what Time Machine keeps

Apple describes Time Machine as keeping hourly backups for the past 24 hours, daily backups for the past month, and weekly backups for earlier months. As the destination fills, it removes the oldest backups to make space. macOS can also create hourly APFS local snapshots, retained for up to 24 hours or until space is needed, but those snapshots stay on the Mac and are not a substitute for a separate backup disk.

Verify that you can restore a file

After the first backup completes, use Time Machine to locate and restore a file. This confirms that a backup exists and gives you a chance to learn the restore process before you need it. Apple’s backup guidance covers restoring files and the role of a separate backup destination.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use iCloud and Time Machine for different jobs

iCloud syncs selected data—such as documents, photos, contacts, calendars, notes, and passwords—across devices signed in to the same Apple Account. Apple explicitly says iCloud does not back up the entire Mac. Time Machine backs up the Mac and can restore files or a previous system state. Use them as complementary tools, not substitutes for one another; see Apple’s Mac backup guidance.
