The safest way to move to a new laptop is to keep the old computer intact, choose a transfer method that matches your two operating systems, move or copy your personal data, reinstall applications separately, and verify the new machine before you erase or retire the old one. Windows users can use Windows Backup PC-to-PC transfer, OneDrive, or an external drive. Mac users can use Migration Assistant, including Windows Migration Assistant when moving from Windows to macOS.
What to do before moving anything
A successful migration starts with an inventory rather than a transfer button. Write down what exists on the old computer and where it lives so you can check the new laptop later.
Inventory personal files and application data
- Documents, Desktop, Downloads, Pictures, Videos, and Music folders.
- Work, school, tax, accounting, design, development, or other project folders stored elsewhere.
- Browser bookmarks and any browser data that is not already synchronized.
- Email stored locally, including mail archives and attachments maintained by a desktop mail application.
- Application-specific libraries, catalogs, templates, save files, databases, and settings.
- Files on secondary internal drives, SD cards, network shares, or folders outside your user profile.
Installed software is a separate item from the files it creates. A document may transfer successfully even though the program that opens it does not.

Protect the source computer
Do not wipe, sell, or reset the old laptop when the file copy finishes. Keep it available, together with any backup copy, until you have opened representative files on the new machine and confirmed that important data is present. If the old computer is the only place a file exists, a transfer is not a substitute for a backup.

Prepare both laptops
- Install available operating-system updates on both machines.
- Connect both laptops to power and prevent them from sleeping during the move.
- Use the same network when the selected transfer process requires a network connection.
- Check free space on the new laptop. It must have room for the data you intend to place there, plus space for the operating system and applications.
- For Apple Migration Assistant, Apple advises turning off antivirus software, firewall software, and VPN software during the transfer. Turn protection back on after the migration.
Choose the transfer method that fits your computers
The operating-system pair is the first decision. The table also shows whether a method needs an account, how much selection is manual, what happens to applications and settings, and whether you automatically create another copy of your data.
| Method | Works between | Account or network requirement | Applications and settings | Manual work | Second copy created? |
|---|---|---|---|---|---|
| Windows Backup PC-to-PC transfer | Windows 10 or 11 source to a new Windows 11 version 2024 or later PC | Pair the computers with the code shown during new-PC setup; both PCs must be powered and updated | Does not transfer system files, installed applications, saved passwords, BitLocker-encrypted drives, or OneDrive files | Select the files and folders to copy | No separate backup unless you make one |
| OneDrive | Windows to Windows, and any computer that can sign in to the same Microsoft account | Microsoft account and internet access; a personal account includes 5 GB of free storage according to Microsoft’s current support page accessed in 2026 | Moves synchronized files, not installed applications; Desktop, Documents, and Pictures backup is optional on the new PC | Upload files that are not already present, then choose what to download or keep available online | The cloud copy can serve as an additional copy, but verify it before relying on it |
| External SSD, USB drive, SD card, or external hard drive | Any combination that can read the drive | No cloud account or internet connection required; the drive must have enough capacity | Copies files only; reinstall programs and recreate settings separately | Copy folders, browse the drive to verify them, then copy them into destination folders | Yes, the external copy remains available for verification |
| Migration Assistant | Mac to Mac | Pair the computers with the displayed code and follow the assistant’s prompts | You can select applications, user accounts, files, privacy and security settings, and system and network settings; incompatible applications may not transfer or work | Select the categories to migrate | Not automatically; keep the old Mac until verification is complete |
| Windows Migration Assistant | Windows to Mac | Install the assistant version matching the destination macOS, use the displayed code, and follow the category-selection screens | Transfers selected categories, not a working Windows installation; Windows applications must be replaced with macOS versions | Select categories and wait for the transfer | Not automatically; retain the old PC and any backup |
Windows to Windows: use Windows Backup PC-to-PC transfer
Microsoft’s PC-to-PC experience is designed for a new Windows setup. The source computer can run Windows 10 or Windows 11. The destination must run Windows 11 version 2024 or later.
Step 1: Start setup on the new PC
Turn on the new Windows laptop and begin its normal setup. When the PC-to-PC transfer option appears, let the new computer display its pairing code.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Step 2: Pair the old computer
On the old Windows computer, open the transfer experience requested by the new PC and enter the displayed code. Keep both machines powered and updated while they establish the connection.
Step 3: Select what to copy
Choose the files and folders you identified during your inventory. Include folders outside the standard profile locations if they contain projects or application data. Allow the transfer to finish before shutting down either computer.
What this Windows transfer excludes
This route does not move system files, installed applications, saved passwords, BitLocker-encrypted drives, or files stored in OneDrive. Reinstall programs and sign in to services separately. If encrypted-drive contents or OneDrive data are important, use the appropriate cloud or external-storage procedure as well.
Windows cloud transfer with OneDrive
OneDrive is useful when both computers can access the internet and the files fit within the available cloud storage. Microsoft states that a personal account includes 5 GB of free OneDrive storage; storage limits and paid-plan terms can change, so check the current account allowance before starting a large migration.

Upload from the old computer
- Sign in to OneDrive on the old PC with the Microsoft account you intend to use on the new laptop.
- Review the folders you inventoried and upload files that are not already present in OneDrive.
- Open OneDrive on the web and verify that the important folders and representative files are visible. Do this before disconnecting or resetting the old PC.
Sign in on the new laptop
- Sign in to OneDrive on the new PC with the same Microsoft account.
- Wait for the files to appear in the OneDrive folder, or keep them online when local storage is limited.
- If you want the new computer to protect common folders automatically, optionally enable OneDrive backup for Desktop, Documents, and Pictures.
Plan around cloud limits
OneDrive is not a complete image of the old PC. It does not reinstall applications or reproduce every Windows setting. It also cannot contain more data than the account’s available storage. If your data exceeds that allowance, use an external drive, transfer only selected folders, or choose a storage plan after checking its current terms.
Offline transfer with an external SSD or USB drive
An external drive is the most direct route when you prefer not to use cloud storage, have a slow or unreliable internet connection, or want a reusable copy for checking the migration. Its usable capacity should exceed the total amount of data you plan to move.
Step 1: Prepare the drive
Connect the external SSD, USB drive, SD card, or external hard drive to the old computer. Confirm that it has enough free space for the selected folders. Do not begin by deleting files from the old laptop to make room; the old copy is your safety net.
Step 2: Copy the source folders
Copy the inventoried folders to the external drive. Include project folders and application-specific libraries, not just the standard Documents folder. When the copy completes, browse the external drive and open representative documents, photos, and videos so you know the files are readable.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Step 3: Eject and connect to the new laptop
Safely eject the drive from the old computer, connect it to the new laptop, and copy each folder into its intended destination. Keep the external copy unchanged until the new laptop has passed your verification checks.
Why this method is often the safest baseline
The drive gives you a visible source copy that is independent of both laptops. It does not move installed applications or automatically recreate settings, but it makes it straightforward to retry a folder or compare the old and new locations.
Mac to Mac: use Migration Assistant
Migration Assistant can move selected categories from an old Mac to a new one. Apple’s setup flow lets you choose applications, user accounts, files, privacy and security settings, and system and network settings.

Start the assistant on the new Mac
During setup on the new Mac, choose “From a Mac, Time Machine or startup disk.” Follow the prompts until the new Mac shows a code for pairing.
Pair and select categories
Open Migration Assistant on the old Mac when prompted, confirm the displayed code, and select the categories you want. Review the selections rather than assuming every old setting belongs on the new computer.
Account for incompatible applications
Some applications are incompatible with the new Mac or macOS version and may not transfer or may fail to run after transfer. Obtain current Mac-compatible versions from the software publishers, then sign in and restore their libraries or licenses.
Allow the process to finish
Do not put either Mac to sleep or disconnect it while the assistant is working. Keep the old Mac available after the first login so you can retrieve a file or setting that was not selected.
Windows to Mac: use Windows Migration Assistant
Apple provides Windows Migration Assistant for moving selected data to a Mac. It transfers data categories; it does not turn Windows applications into Mac applications.
- On the Windows computer, download and install the Windows Migration Assistant version that matches the destination Mac’s macOS.
- On the new Mac, choose “From a Windows PC” in Migration Assistant.
- When the Mac displays a code, enter that code in the assistant on Windows.
- Select the categories offered by the assistant and start the transfer.
- Leave both computers powered and connected until the process reports completion.
Apple notes that large transfers may need hours to complete and may appear to pause occasionally. Do not cancel solely because the progress display seems unchanged; first confirm that both computers remain connected and active.
Reinstall applications and restore account-based data
File migration is not the same as reinstalling every program. After your files arrive, install current versions from the official software vendors and sign in with the accounts or licenses associated with them.

- Confirm license activation, subscription sign-in, and any device-activation limit.
- Turn on browser synchronization or import bookmarks if they were not transferred.
- Configure mail accounts and verify that locally stored mail archives are in the correct location.
- Reconnect application-specific libraries, catalogs, templates, and databases from the folders you copied.
- Check whether an application uses a special export and import process rather than ordinary files.
Install only versions compatible with the new operating system. A copied program folder is generally not a substitute for an installer, even when its documents are intact.
Verify the new laptop before retiring the old one
Verification is the point at which a migration becomes trustworthy. Work through the following checks while the old computer and any external or cloud copy are still available.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Open representative files
- Open documents from each important project.
- View photos and play videos from different folders.
- Open spreadsheets, presentations, archives, and other formats that matter to your work.
- Launch applications and confirm that their libraries and recent projects are visible.
Compare what arrived
Where practical, compare folder counts or total sizes between the source and destination. A matching top-level folder name is not proof that every nested file arrived.
Check services and personal settings
- Confirm browser bookmarks and synchronized data.
- Send and receive a test email and locate older mail that was stored locally.
- Verify that cloud files are either downloaded for offline use or intentionally left online.
- Check printers, network shares, and other peripherals you rely on.
Only after these checks pass should you reset, sell, donate, or otherwise retire the old laptop. Keep the external copy or cloud copy according to your normal backup practice instead of treating migration as your only backup.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Troubleshoot common migration problems
The computers cannot pair
Confirm that both machines are powered, updated, and on the same network when the selected method requires one. Restart the transfer assistant on both computers and generate a new pairing code. For Migration Assistant, temporarily disable the antivirus, firewall, and VPN software Apple identifies as possible blockers, then restore those protections after the transfer.
The new laptop reports insufficient space
Return to your inventory and select only essential folders, or use an external drive for an archive that does not need to live locally. OneDrive also requires enough account storage for the files you upload; its 5 GB personal allowance may be insufficient for a complete laptop.
Files are missing after a Windows PC-to-PC transfer
Check whether the missing items were in OneDrive, on a BitLocker-encrypted drive, or outside the folders you selected. Microsoft’s PC-to-PC transfer excludes OneDrive files, BitLocker-encrypted drives, installed applications, saved passwords, and system files. Retrieve excluded data from OneDrive or an external copy instead of repeating the same selection.

An application is absent or will not start
Reinstall a current version from the official vendor and sign in. On a Mac, verify compatibility with the destination macOS. On a Windows transfer, remember that installed applications are explicitly excluded.
The progress display appears stuck
Large transfers can take hours. Apple specifically warns that a Windows-to-Mac transfer may pause occasionally while still working. Check power, network connection, and disk activity before stopping it. If the process truly fails, use the retained source computer or external copy to transfer smaller folder groups.
OneDrive files appear online but not locally
That can be intentional when storage-saving behavior leaves files online. Open the files through OneDrive on the web, then choose local availability for folders you need without an internet connection. Do not delete the old copy until you have confirmed access from the new laptop.

Choose Windows Backup PC-to-PC when
Both computers are Windows PCs, the new machine meets the Windows 11 version 2024-or-later requirement, and you want a guided setup-time copy of selected folders without first staging them on another device.
Choose OneDrive when
You want access through a Microsoft account, have reliable internet, and your data fits the account’s available storage. Verify the files on the OneDrive website before retiring the old laptop.
Choose an external drive when
You want an offline process, need to move more data than cloud storage allows, have mixed operating systems, or want a separate copy that you can inspect and reuse.
Choose Migration Assistant when
You are moving Mac to Mac or Windows to Mac and want the operating system’s guided category selection. Plan to replace incompatible or Windows-only applications afterward.
How long does a laptop migration take?
No authoritative migration-speed, success-rate, or failure-rate statistic is provided in the Microsoft and Apple guidance for these methods. Actual duration depends on the amount of data, the connection and storage hardware, and the method you choose. Apple’s published warning is the practical limit to plan around: large Windows-to-Mac transfers may take hours and can appear to pause. Schedule the move when you can leave both computers powered and undisturbed.
