A NAS becomes useful only after you configure its storage, create shared folders, assign permissions, build an independent backup job, and select remote access that matches the protocols you actually need. This walkthrough uses Synology DSM 7 labels as the concrete example; other NAS platforms use different menus and may not support the same features.

Follow the sequence in this order: plan drives and capacity, initialize a storage pool and volume, create organized shares, add users, configure Hyper Backup to a separate destination, test a restore, then enable QuickConnect, DDNS, or direct access according to your workflow.

What a NAS does—and what it does not do

A network-attached storage device provides centralized folders that computers, phones, media players, and applications can use over a network. In Synology DSM, shared folders are the basic directories for storing and managing files. They are not available until the NAS has a configured storage pool and at least one volume.

A NAS is not automatically a backup. If the only copy of a document, photo library, or project is on the NAS, deleting or encrypting that file still destroys the only copy. A proper design has a separate backup task, a destination that is independent enough for the risks you care about, a retention policy, and a restore test.

The instructions below are a Synology example. Storage layouts, supported drives, applications, firewall rules, and remote-access choices vary by model and vendor. Treat every model-specific compatibility list and current DSM help page as authoritative for your equipment.

Plan the NAS before turning it on

Define users, workloads, and recovery needs

List who will use the NAS and what each person or application needs to do. A household might need document storage, a media share, and computer backups. A small office may need separate departmental shares, individual home folders, and an application that writes its own data. Decide whether users need read-only access, editing access, or administration.

Also write down recovery objectives:

  • How much recent work can be lost? This determines backup frequency.
  • How far back might you need to recover? This determines the number of retained versions.
  • What outage can you tolerate? A second NAS or cloud destination can provide more location separation than a USB disk beside the primary NAS.
  • Which data is irreplaceable? Prioritize family records, source code, financial files, and original media when capacity is limited.

Choose bays, capacity, and compatible drives

Select the enclosure by user count, drive-bay count, expected usable capacity, applications, and the vendor’s compatibility list. Check the exact NAS model and exact drive model before purchase; a drive that physically fits may not be supported by the appliance’s current firmware or storage manager.

Do not estimate usable capacity from the sum printed on the drive labels. Redundancy, filesystem overhead, reserved space, snapshots, and future growth change the amount available to shared folders. The material available for this guide does not establish a particular RAID level, capacity calculator result, or model recommendation, so use the storage manager’s current calculator and model documentation rather than applying a generic rule.

Prepare networking and power

Connect the NAS to a reliable wired network where possible, reserve an address or otherwise document how the NAS will be found, and confirm that the router can provide the connectivity your chosen remote-access method requires. A UPS can help a NAS ride through short power interruptions, but its requirement and compatibility depend on the model and installation; verify those details with the vendor.

Keep the NAS administration account, router administration account, and user accounts separate. Record the recovery email or other account-recovery method before you need it.

Initialize DSM storage

Install DSM and update it

  1. Install the drives in the bays specified by the enclosure documentation.
  2. Connect power and Ethernet, then use the vendor’s discovery or setup process to reach DSM.
  3. Install the DSM version offered for your model, create the initial administrator account, and apply available security and system updates.
  4. Open the storage manager and confirm that every installed drive is detected and reports a healthy state before creating storage.

Names and choices in the storage manager differ by model and storage architecture. Do not select a redundancy option solely because it is familiar: compare its usable capacity, rebuild behavior, expansion limits, and failure tolerance with the model’s documentation.

Create a storage pool and volume

In the storage manager, create a storage pool using the drives and protection layout you selected, then create at least one volume on that pool. Wait for any initialization or data-scrubbing operation to complete or reach a state the vendor identifies as safe for production use. Large arrays can take substantial time to initialize; avoid treating an unfinished operation as a failed installation unless DSM reports an error.

Enable monitoring and alerts for drive health, pool status, and low capacity. A redundant pool can keep services running after some drive failures, but it does not replace a backup: accidental deletion, malware, theft, fire, and a failed rebuild remain possible.

Create shared folders that match real work

Use the DSM 7 shared-folder path

For Synology DSM 7, open Control Panel > Shared Folder > Create > Create Shared Folder. Enter a clear name and choose the volume location. Review the available options, which can include a recycle bin, encryption, and permission settings. The exact options depend on the NAS model and storage architecture.

Create a small number of purposeful shares instead of one giant folder. For example:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Household-Documents: tax records, warranties, and scans.
  • Media: photos, video, and music that several users can read.
  • Computer-Backups: destinations for workstation backup software.
  • Department or Project shares: data that must be isolated by team or client.

Separate shares make permissions, backup selection, quotas, and eventual migrations easier to reason about. Do not create a share merely to hide a folder. DSM’s help explains that hiding a shared folder from a network view does not prevent an authorized user from opening it when they know its path.

Add users and groups before granting access

In Control Panel > User & Group, create individual accounts rather than sharing one password. Put users into groups that represent their job or household role, then grant the group the required access to each share. Give administrators a separate administrative account and use a normal account for daily file work.

For each shared folder, review read/write, read-only, and no-access entries. Test with a non-administrator account: verify that an intended user can create, edit, and delete only where expected, and that another user cannot browse restricted shares. If an application needs a service account, grant it only the share and permissions it requires.

Connect devices on the local network

Use DSM’s file services settings to enable only the protocols your local clients need, commonly SMB for Windows, macOS, and many Linux clients. The exact service names and compatibility switches vary by DSM release. From each client, connect to the NAS by its local hostname or address, sign in with the assigned user account, and map or bookmark the permitted shared folders. Keep local protocol access distinct from Internet access: a share that is available on the home or office LAN is not automatically safe to expose to the public Internet.

Configure a separate Hyper Backup job

Choose a destination with the failure you want to survive in mind

Hyper Backup can create scheduled, multi-version backups to a local shared folder, a USB-attached external drive, another Synology system, a file server, or supported cloud destinations. The available options vary by NAS model and operating system.

Destination What it helps with Limit to understand Restore considerations
Another local shared folder Separate backup set, quick restores, no additional hardware Usually remains in the same NAS and location, so a NAS-wide failure or site disaster can affect both copies Restore through Hyper Backup on the NAS or a compatible client workflow
USB external hard drive attached to the NAS Removable local copy and convenient capacity expansion It can be lost, damaged, encrypted, or stolen with the NAS if it stays connected and nearby Keep the drive connected for scheduled jobs; disconnect and store it safely when an offline copy is needed
Another NAS or file server Location or device separation and centralized administration Requires network reachability, compatible software, and enough capacity at the destination Confirm the destination service, credentials, and firewall path before the first production run
Cloud destination Off-site storage without maintaining a second physical appliance Recurring service cost, upload time, provider limits, and Internet-dependent restores Check encryption, version retention, export options, and the time required to retrieve large data sets

Create a local-folder or USB task

  1. Open or install Hyper Backup in DSM and choose to create a new data-backup task.
  2. Select a local shared folder or an attached USB storage destination.
  3. Choose the source shared folders and, where relevant, the packages whose application data must be protected.
  4. Set a schedule that matches the amount of work users can afford to lose. A daily run is not sufficient for data that changes every hour; an hourly run may be unnecessary for an archive that rarely changes.
  5. Configure notifications so failures are visible, and choose compression or encryption when their CPU, storage, and recovery effects are acceptable.
  6. Enable multi-version retention and set a maximum version count or rotation policy. Keep enough history for the recovery scenarios you identified, while checking that the destination has room for growth.
  7. Run the task manually once, inspect the completion status and logs, and then leave the schedule enabled.

A USB disk connected to the NAS is a separate storage device, but it is not a complete defense against events that affect the same room or building. Rotate it offline or add an off-site destination when location loss is part of your risk model.

Back up to another NAS

  1. On the destination Synology system, install and configure Hyper Backup Vault if the selected task requires it.
  2. Create or designate a destination account and folder with only the permissions needed for the backup.
  3. From the source NAS, create a Hyper Backup task and select the remote Synology or compatible server destination.
  4. Enter the destination address, credentials, and target folder, then select source folders and packages.
  5. Set schedule, notifications, compression, encryption, and version rotation before starting the first run.
  6. Test connectivity and complete a small initial backup before committing to a large transfer.

When the endpoints are on separate networks, the route may require firewall or router configuration. The exact ports depend on the destination method and current vendor documentation; do not copy a port list from one environment into another without checking both endpoints and the intervening firewall.

Make retention and recovery measurable

Choose versions deliberately

Retention is a business decision, not a default checkbox. Keep frequent recent versions for accidental edits and deletions, plus less frequent older versions if a corruption or ransomware event might remain unnoticed for weeks. Revisit the policy when the data set grows or when users’ recovery expectations change.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Track three values: the backup interval, the oldest version still available, and the amount of destination space consumed. Hyper Backup exposes scheduled tasks and maximum-version or retention controls; use those controls instead of assuming that every run creates an unlimited history.

Perform a restore test

  1. Select representative files, including a large file, a recently changed file, and a file from a restricted share.
  2. Restore them to a temporary folder rather than overwriting production data.
  3. Open the restored files and verify names, timestamps, permissions, and application usability.
  4. Record how long the restore took and which account or software was required.
  5. Repeat after major DSM, Hyper Backup, storage, or destination changes.

A successful backup job proves that data was processed; it does not prove that the right versions, permissions, or application packages can be recovered. A restore test supplies that evidence.

Select remote access for the workflow you actually have

Synology’s external-access guidance describes QuickConnect, DDNS, and router port forwarding. The appropriate choice depends on the application, required protocol, network topology, and the security responsibility you are prepared to manage.

Method Best fit Setup model Important boundary
QuickConnect Supported Synology applications and DSM services where convenience matters Sign in or register a QuickConnect ID and enable the service in DSM; the service can help clients connect without manually creating port-forwarding rules It is not a universal tunnel for SMB, AFP, FTP, NFS, WebDAV, Windows network-drive mapping, or a Mac Finder network location
DDNS A stable hostname for services that accept direct network connections while the public address changes Configure a DDNS hostname and ensure the router and NAS service agree on the external address and certificate settings DDNS supplies a name; it does not by itself create a secure service or open a firewall path
Port forwarding Specific services that require direct inbound connectivity and can be secured appropriately Forward only the required router port to the intended NAS service, then configure DSM, certificates, accounts, and firewall rules It increases exposure and requires ongoing router, NAS, and service hardening

Use QuickConnect for supported apps

QuickConnect is an ID-based option for supported DSM services and applications. It is useful when you want remote access without manually setting up port-forwarding rules, but support is service-specific. Synology’s supported-services documentation excludes third-party services and services that require a direct IP address or domain name; examples include mapping a Windows or Mac network drive and connecting through SMB, AFP, FTP, NFS, or WebDAV.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Therefore, use QuickConnect for the Synology apps and services it explicitly supports, not as a promise that every remote file workflow will work. Confirm the current supported-services list for your DSM release before deploying it to users.

Use DDNS and forwarding only for a defined direct-access need

DDNS gives clients a hostname even when your ISP changes the public IP address. Port forwarding tells the router which internal NAS service should receive a connection. Together they can support direct protocols that QuickConnect does not, but they also make router and NAS security your responsibility.

  1. Identify the exact service and protocol required by the remote client.
  2. Confirm that the NAS model and DSM release support that service securely.
  3. Configure a hostname, valid certificate, strong individual accounts, and the NAS firewall.
  4. Forward only the necessary port to the NAS service; never forward a broad range “just in case.”
  5. Test from an external network, review logs, and remove the rule if the workflow no longer needs it.

Changing an ISP, router, or network topology can require updating the external-access configuration. Keep an inventory of hostnames, forwarded ports, certificates, and responsible administrators.

Security and maintenance checklist

  • Use unique passwords and individual accounts; reserve administrator rights for administration.
  • Apply DSM, package, and router updates after checking model compatibility and maintenance impact.
  • Enable notifications for failed backups, degraded storage, authentication events, and low capacity.
  • Limit each shared folder to the groups that need it; verify access with a non-admin test account.
  • Keep backup encryption keys or passwords in a separate, recoverable location. An encrypted backup without its key is not a usable recovery plan.
  • Separate backup credentials from everyday file credentials where the destination supports it.
  • Review remote-access rules periodically and disable unused services and port forwards.
  • Keep at least one backup copy separated from the primary NAS when protecting against theft, fire, flood, or destructive malware.

The documented access methods establish how to connect; they do not constitute a universal hardening checklist. Use the current security guidance for your exact NAS, DSM version, router, and exposed service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshoot the common failure points

The NAS is visible but no shared folder opens

Confirm that a volume is healthy, the shared folder exists on that volume, and the signed-in account has permission. Check whether the client is using the correct local hostname or address and whether the required file service is enabled. Test with a known-good account before changing permissions broadly.

A backup task completes but files are missing

Review the task’s selected source folders and packages, then inspect the task log for exclusions or permission errors. Confirm that the expected version exists at the destination and perform a test restore to a temporary folder. A task that ran successfully may still have been configured without a newly created share.

The backup destination is full

Check version-rotation settings, source growth, compression, and other data occupying the destination. Increase capacity, reduce retention only after confirming the recovery requirement, or add another destination. Do not delete historical versions blindly if they are needed for an unresolved incident.

Remote access works in one app but not as a network drive

This is expected when the app uses QuickConnect but the file workflow requires SMB, AFP, FTP, NFS, or WebDAV. QuickConnect does not provide those general protocol connections. Choose a supported direct-access design, such as a carefully secured DDNS and forwarding setup or the vendor’s current VPN guidance, and verify the required protocol end to end.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A remote NAS backup cannot connect

Verify that Hyper Backup Vault or the required destination service is running, credentials are valid, the destination folder permits the backup account, and both networks can route to each other. Check firewalls at the source, destination, and routers. Required ports depend on the selected method, so consult the current documentation for both systems instead of assuming a universal port number.

A practical decision framework

Use this sequence when choosing among otherwise valid designs:

  1. Need organized local storage? Build the storage pool and volume, then create shares around users and workloads.
  2. Need protection from accidental deletion? Enable scheduled, multi-version Hyper Backup and test restores.
  3. Need protection from a NAS or site failure? Add a destination on another device or in another location; a second folder on the same NAS is not enough.
  4. Need remote access only through supported Synology apps? Evaluate QuickConnect first.
  5. Need a general file protocol or network-drive behavior? QuickConnect is not the answer; design and secure direct connectivity or a VPN-based workflow for the exact protocol.
  6. Changing routers or ISPs? Recheck DDNS, forwarding, certificates, firewall rules, and application reachability after the change.

Document the final design: storage layout, shared-folder owners, user groups, backup destinations, schedule, retention, encryption-key location, restore procedure, remote-access method, and the date of the last successful restore test. That record turns a collection of settings into an operating system for your data.
