On Linux, PHP mail() does not connect directly to an SMTP server. It hands the message to a local, sendmail-compatible program, which queues and delivers it. On Ubuntu, the supported implementation is Postfix. Install and configure Postfix, make sure PHP’s effective sendmail_path points to its wrapper, send properly formed and sanitized headers, and then verify the Postfix queue and SMTP response.

The most important limitation is that a successful mail() call proves only that PHP handed the message to the local mail transfer agent (MTA). It does not prove that the recipient accepted the message or that it reached the inbox.

How PHP mail() works on a Linux server

Linux and Windows use different PHP mail transports. On Unix-like systems, the PHP mail functions require access to a sendmail binary during PHP’s build, and the runtime configuration normally invokes a local sendmail-compatible command. The usual Unix setting is:

sendmail_path = /usr/sbin/sendmail -t -i

The -t option tells the wrapper to read recipients from the message headers, while -i prevents a line containing only a dot from terminating message input. Postfix and qmail can provide this interface through their own sendmail wrappers.

The Windows-only SMTP and smtp_port directives are not the way a Linux PHP installation selects an SMTP host. A Linux application needs either a local MTA such as Postfix or an SMTP-capable library/relay configured separately.

What PHP provides—and what it does not

  • PHP provides: message construction and a handoff to the configured sendmail-compatible process.
  • The MTA provides: queueing, DNS lookups, SMTP connections, retries, and delivery status responses.
  • Your host and domain provide: a valid hostname, DNS records, reverse DNS where available, TLS and authentication arrangements, and a sender reputation.

PHP does not supply an SMTP server, a delivery queue, retry policy, reputation, bounce processing, or inbox placement. Those responsibilities begin after PHP invokes the local wrapper.

Prerequisites and the correct PHP configuration

You need shell access with administrative privileges, a supported Linux distribution (the commands below use Ubuntu’s package manager), a web server or PHP-FPM/CLI installation, and a domain or hostname you control for production mail. A test address that you can access is also required.

Identify the PHP SAPI that actually sends mail

CLI, Apache, and PHP-FPM can load different php.ini files. Checking the command-line configuration alone may therefore miss the setting used by a web request. Create a temporary diagnostic script in the same SAPI as your application:

<?php
phpinfo();
?>

Open it only from a restricted location, note the “Loaded Configuration File” and “sendmail_path” rows, and remove it afterward. For CLI, run:

php --ini
php -i | grep -i sendmail_path

The effective value should name an executable that exists on the server. If the mail functions are missing or the binary was unavailable when PHP was built, installing an MTA alone will not make an incompatible PHP build work; install or enable the distribution’s normal PHP package and verify the SAPI again.

Install Postfix on Ubuntu

Ubuntu documents Postfix as its default supported MTA and its sendmail interface is compatible with PHP’s Unix mail functions.

  1. Update package metadata and install Postfix:
    sudo apt update
    sudo apt install postfix
  2. When the package configuration dialog appears, choose the site type that matches your role. A server that sends mail for its own domain generally uses an Internet-facing site; a machine that should submit through another server can use a relay-oriented choice. Read each prompt rather than accepting a site type blindly.
  3. Enter a real mail hostname, such as mail.example.net, and the domain used by your application. Do not select domains you do not control as local destinations.
  4. After installation, review the generated configuration in /etc/postfix/main.cf and confirm the service is running:
    sudo systemctl status postfix
    sudo postfix check

Package prompts create a starting configuration; they are not a substitute for checking the hostname, destination restrictions, relay policy, and DNS. Never leave a new host accepting arbitrary destinations without verifying that it cannot be abused as an open relay.

Set the hostname, domain, and relay policy

Postfix uses several settings in /etc/postfix/main.cf. Exact values depend on whether the server delivers directly or submits to a relay, but the following concepts must be deliberate:

  • myhostname: the server’s fully qualified mail name.
  • mydomain: the domain associated with that hostname.
  • myorigin: the domain appended to locally generated addresses when appropriate.
  • inet_interfaces and inet_protocols: which interfaces and IP versions Postfix listens on.
  • mydestination: domains for which this host is the final destination. Include only domains you actually serve.
  • mynetworks, recipient restrictions, and relay restrictions: which clients may submit and which destinations may be relayed.

After edits, validate and reload:

sudo postfix check
sudo systemctl reload postfix

Keep relay permissions tight. A typical application server should permit local submission from the web-server process or a controlled local socket, while refusing unauthenticated relaying for arbitrary Internet recipients. If the server must submit through a hosted SMTP relay, configure that relay explicitly instead of broadening mynetworks.

Verify the sendmail wrapper and sendmail_path

Postfix normally installs /usr/sbin/sendmail. Check the path and permissions:

ls -l /usr/sbin/sendmail
readlink -f /usr/sbin/sendmail
sudo -u www-data /usr/sbin/sendmail -bv postmaster@example.net

Replace www-data with the account used by Apache or PHP-FPM. The verification command should not attempt a delivery; it checks address handling and whether the service account can invoke the wrapper. If permissions, a mandatory access-control policy, or a chroot prevents execution, fix that operating-system issue rather than making the wrapper world-writable.

In the PHP configuration used by the web SAPI, set the path to the wrapper if it is absent or incorrect:

sendmail_path = /usr/sbin/sendmail -t -i

Restart the relevant service after changing php.ini, for example:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
sudo systemctl restart php8.3-fpm
sudo systemctl reload apache2

Use the PHP version and service names installed on your system. Recheck phpinfo() or the SAPI-specific configuration after the restart.

Send a message from PHP safely

Use a fixed recipient while testing and construct headers with CRLF (rn) separators. Provide a syntactically valid From: header; many MTAs and receiving systems reject or quarantine messages without one.

<?php
$to = 'you@example.net';
$subject = 'Linux PHP mail() test';
$message = "This is a test message from the application.n";

$headers = [
    'From: Web application <no-reply@example.net>',
    'Reply-To: support@example.net',
    'Content-Type: text/plain; charset=UTF-8',
];

$ok = mail($to, $subject, $message, implode("rn", $headers));

if (!$ok) {
    error_log('mail() handoff failed');
    http_response_code(500);
    exit('Message could not be handed to the local mail system.');
}

echo 'Message handed to the local mail system.';
?>

Keep user input out of To, Cc, Bcc, From, Reply-To, and any other header unless it has been strictly validated. The PHP documentation warns that outside data used to compose headers must be sanitized so unwanted headers cannot be injected. A line break in an untrusted value can add a new recipient or header. Prefer allow-listed addresses, reject carriage returns and line feeds, and use a fixed envelope sender where your MTA policy requires one.

Do not log full message bodies or credentials. Record a request identifier, recipient category, timestamp, and—after Postfix assigns one—the message ID, while treating addresses and content as sensitive data. Rate-limit application mail and require authentication for any administrative or user-triggered sending feature.

Test handoff, queueing, and actual delivery

  1. Send one message to an address you control. Use a fixed subject that identifies the server and test time.
  2. Immediately inspect the application’s PHP error log and the mail log. On Ubuntu, common locations are /var/log/mail.log and /var/log/mail.err, although logging can be redirected by the system’s journal configuration:
    sudo tail -f /var/log/mail.log
    sudo journalctl -u postfix -f
  3. Inspect the queue while a message is pending:
    mailq
    postqueue -p
  4. For a queued message, examine its details and delivery attempts with the Postfix queue tools. Do not delete messages until you understand why they are deferred.
  5. Read the remote SMTP response in the log. A final “status=sent” indicates that the receiving server accepted the SMTP transaction; a “deferred” or “bounced” result identifies the next problem to solve.
  6. Check the recipient’s spam or quarantine folder and inspect the message’s authentication results. Inbox placement is a recipient-policy decision, not something PHP can guarantee.

The Boolean value returned by mail() is only the local handoff result. It can be true while Postfix later receives a rejection, defers the message, or delivers it to spam.

Choose direct delivery or an authenticated SMTP relay

A small internal application may deliver directly through Postfix, but public production mail often uses an authenticated relay. Compare the operational responsibilities before choosing.

Concern Local Postfix delivery Transactional SMTP relay
Operational ownership You patch and monitor the MTA, queue, TLS, and delivery failures. The relay operator runs the service; you maintain credentials, integration, and account limits.
Authentication and encryption You configure SMTP-AUTH and TLS when submitting or relaying through another host; direct delivery still needs correct TLS behavior. The provider specifies the required hostname, port, authentication method, and TLS mode.
Queue and retry visibility Full access to Postfix queue IDs, logs, retries, and transport settings. Visibility depends on the relay’s dashboard, API, and retention policy.
Bounces and complaints You must collect DSNs, process bounces, and handle complaints. Many relays expose event webhooks or reports, but implementation remains your responsibility.
DNS and reputation You manage sender DNS, reverse DNS, IP reputation, and mailbox-provider policies. The relay supplies sending infrastructure, while you still publish domain authentication and protect your reputation.
Outbound port policy Your host must be allowed to make outbound SMTP connections; some networks block port 25. You use the relay’s submission port, commonly with TLS, subject to its network and account rules.
Cost and limits Software is available in the distribution, but bandwidth, administration, and reputation work are yours. Pricing, quotas, retention, and acceptable-use limits are set by the chosen service.

Configure authenticated submission when a relay is required

Ubuntu’s SMTP-AUTH documentation describes authentication as the mechanism that identifies a client and permits relaying after successful login. Configure Postfix’s SASL client settings and TLS according to the relay’s current requirements; do not copy a port or cipher value from an unrelated example. Store the username and password in a root-readable credentials file outside your application source, restrict its permissions, and run postmap if the configuration uses a hashed map. Reload Postfix and verify the connection in the mail log.

Use a maintained SMTP library instead of mail() when your application needs provider-specific authentication, attachments, structured MIME, connection reuse, or detailed delivery errors. The library still needs a working relay account and secure credential handling.

DNS, hostname, and deliverability requirements

Direct-to-Internet delivery requires more than a functioning PHP script. Set the server’s forward DNS record and ensure the sending IP has appropriate reverse DNS where your host permits it. Publish SPF for authorized senders and configure DKIM signing and DMARC policy for the domain when your mail strategy supports them. Align the visible From: domain with the authenticated sending domain where possible.

Ask the hosting provider whether outbound port 25 is blocked or rate-limited. A new IP may have little sending reputation, and recipient systems can reject or spam-folder mail even when the SMTP conversation is technically valid. Start with low, expected volume, process bounces, and keep complaint rates under control. Never use a personal or unrelated domain as the application’s sender simply because it is convenient.

Troubleshooting by symptom

mail() is undefined

Confirm that the PHP mail functions are enabled in the SAPI that runs the application and that the installed PHP build has access to a sendmail-compatible binary. Compare CLI and FPM/Apache module versions, then check the SAPI’s loaded configuration. Installing Postfix does not repair a different PHP binary or a disabled extension.

mail() returns false

Inspect the effective sendmail_path, verify that the wrapper exists and is executable by the web-server account, and check PHP and Postfix logs at the same timestamp. Mandatory-access-control denials, a full filesystem, malformed parameters, and an unavailable local MTA can all cause an immediate failure.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

mail() returns true, but no message arrives

Follow the message ID in Postfix’s log and queue. A deferred queue entry points to a temporary DNS, connection, or policy problem; a bounce or SMTP rejection identifies a permanent recipient or sender issue. If Postfix reports acceptance, check the recipient’s spam controls, authentication results, and domain reputation before changing PHP code.

Headers are malformed or recipients are unexpected

Join headers with rn, provide a valid From:, keep individual lines reasonably short, and reject all carriage-return and line-feed characters in user-controlled header values. Build recipient lists from validated addresses rather than concatenating form fields.

Relay authentication fails

Check the relay hostname and port, the required TLS mode, SASL mechanism, username, and password file permissions. Read the exact Postfix SMTP response; “authentication failed,” certificate errors, and “relay access denied” require different fixes. Confirm that the relay account permits the envelope sender and destination you are testing.

Production readiness checklist

  • PHP’s active SAPI shows the intended sendmail_path.
  • /usr/sbin/sendmail resolves to the Postfix wrapper and is invokable by the service account.
  • /etc/postfix/main.cf has a real hostname and only the domains you control in local-destination settings.
  • Relay restrictions prevent unauthenticated forwarding to arbitrary recipients.
  • Application headers are CRLF-separated, include a valid From:, and contain no unsanitized input.
  • Credentials, if SMTP-AUTH is used, are outside source control and readable only by the required account.
  • Logs and queue monitoring are in place, with sensitive message content excluded from routine logs.
  • DNS, reverse DNS, sender authentication, outbound-port policy, and volume limits have been checked with the host and domain providers.
  • A controlled test has been traced from PHP handoff through the Postfix SMTP response and recipient mailbox.
