Slack, Microsoft Teams, and Google Chat do not use equivalent retention controls. Slack retention is set in workspace or organization settings, Teams retention is configured in Microsoft Purview, and Google Chat uses an Admin console auto-deletion rule. A message disappearing from a user’s view also does not always mean every compliance copy has been purged. Choose the control plane, scope, and deletion behavior that match your legal, operational, and discovery requirements before changing a setting.
What each platform’s retention setting actually controls
Retention answers two separate questions: how long a message remains visible in the conversation, and how long an administrator or compliance team can still retrieve a retained copy. The products implement those questions differently.

None of these settings by itself proves that a message satisfies a legal or regulatory requirement. Set a documented retention schedule with your legal and records-management teams, then verify the product’s scope, licensing, holds, and audit behavior.
Before you configure a policy
- Identify the record scope. Decide whether the rule covers all conversations, only particular teams or workspaces, or only a category such as direct messages.
- Separate user visibility from preservation. In Teams and Google Chat, a compliance or Vault copy can outlive what users see. In Slack, deletion under a retention rule is permanent, so do not treat the workspace setting as a legal hold.
- Confirm the administrator role and edition. Slack owners, Enterprise organization owners, Microsoft Purview administrators, and Google Workspace administrators have different permissions. Paid plans and supported Google Workspace editions expose different controls.
- Check existing holds and overlapping policies. A hold or a second retention rule can override an apparent deletion date.
- Plan communication and testing. Retention changes can remove old messages, affect exports, and surprise users. Test with a non-sensitive conversation and record the effective date, scope, and expected outcome.
How to set message retention in Slack
Set a workspace-wide message policy
Workspace Owners control the standard workspace setting. From the Slack desktop app or web interface:

- Open Admin > Workspace settings.
- Expand Data retention.
- Select the message-retention option for the workspace.
- Save the setting and complete Slack’s owner review and confirmation prompt.
On paid plans, Slack keeps messages for the lifetime of the workspace by default. The free plan presents retention choices of 90 days or one year; Slack’s help guidance describes older free-plan data as deleted on a rolling basis after one year. The controls and wording shown in a particular workspace can vary by plan, so record the option displayed in your own settings rather than assuming that every free workspace behaves identically.
When the policy is applied, Slack’s deletion process runs once daily. A message can therefore remain visible for a short period after it reaches the policy age, then disappear during the next deletion run. Slack describes deletion as permanent. Retention also applies to exports, so an export made after deletion will not restore the removed message.
Apply an organization-wide policy in Enterprise
An Enterprise organization can impose one message-retention policy across its workspaces. An Organization Owner requests this policy by contacting Slack Support. By default, the organization policy can prevent Workspace Owners from changing their local retention setting.
Slackbot notifies the Primary Organization Owner and asks for approval. Once approved, Workspace Owners receive notice of the policy or any subsequent change. Treat the organization rule as the controlling layer when a workspace setting appears to allow a different period.
Use conversation-specific overrides
Owners can enable member overrides so that a particular private channel or direct message uses a different period. The available roles depend on the conversation type and plan:

- Members can set retention for private channels and direct messages they belong to when the owner has enabled member overrides.
- Owners can adjust retention for public channels.
- On Business+ and Enterprise, owners or administrators with the required permission can manage channel retention.
- Enterprise multi-workspace channels follow the organization policy.
To change an eligible conversation, open it, select its name in the header, choose Settings, edit Message history, choose deletion after the specified period, and save. Slack posts a notice in the conversation that the setting changed. If the option is missing, check your role, the conversation type, the workspace plan, and whether an organization policy blocks local changes.
Slack deletion and file cautions
- Deleting a channel permanently deletes its messages and revisions, even if the workspace’s normal retention setting would otherwise keep them longer.
- Files hosted by a third-party service are not necessarily deleted from that service when their Slack message or link disappears.
- Because deletion is permanent, export required records before shortening retention and obtain approval from the records owner.
How to set message retention in Microsoft Teams
Use Microsoft Purview retention policies, not Messaging policies
Teams message retention is an administrator and compliance function in Microsoft Purview. Teams Messaging policies are a different feature: they control whether users can edit or delete sent messages and which messaging capabilities are available. Changing a Messaging policy does not establish a retention period.
In Microsoft Purview, go to Solutions > Data Lifecycle Management > Policies > Retention policies, then:
- Select Create a policy.
- Choose an adaptive scope or a static scope. An adaptive scope evaluates membership dynamically; a static scope names the users, teams, or locations directly.
- Select the Teams location that matches the records you need to govern: Teams chat, Teams channel messages, or both.
- Define the users or teams included by the selected scope.
- Choose whether to retain content, delete it, or retain it for a period and then delete it.
- Review the summary, publish the policy, and document its scope and effective date.
Teams chat and channel messages are distinct locations. Chat includes private one-to-one chats, group chats, meeting chats, and chats with yourself. Channel-message policies cover messages posted in teams channels. Shared channels inherit retention settings from their parent team.
Handle private-channel configuration carefully
Microsoft’s administrator guidance notes a private-channel message-handling migration in 2025. If your policy includes private channels, use the current Purview location guidance while creating or modifying the policy and verify which location contains the messages in your tenant. Do not assume that a policy designed before the migration has the same scope afterward.

Understand the Teams retention clock
Purview calculates the retention period from the message’s creation date. A policy configured only for Exchange mailboxes does not retain Teams messages; Teams locations must be selected explicitly.

The copy may remain searchable even though the conversation no longer displays the message. Conversely, a message configured for deletion becomes eligible for automatic removal, but Microsoft says it can remain visible for up to seven days after the configured period expires.
Holds and another retain policy can change the outcome. During an investigation, check the applicable Purview policy, eDiscovery holds, and scope before concluding that a missing Teams message has been permanently purged.
How to automatically delete Google Chat messages
Configure auto-deletion in the Admin console
A Google Workspace administrator sets auto-deletion by conversation category. Sign in with an administrator account and open:
- Admin console > Apps > Google Workspace > Google Chat > Auto-deletion.
- Choose the relevant category: direct messages, group messages, or spaces.
- Set the deletion period and save.
The administrator page says the feature is available only on specified Google Workspace editions and requires the Service Settings administrator privilege. The documented range for space messages is 30 to 36,500 days. Edition availability and labels can change, so verify the current edition table and controls in your tenant before promising a particular period.

Auto-deletion applies only to messages sent while conversation history is on. It does not retroactively impose the same behavior on messages created while history was off. For work or school accounts, the organization controls whether history can be saved in the first place.
Account for Google Vault retention and holds
Chat auto-deletion is not the only retention layer. Google Vault retention rules and holds can preserve messages after Chat removes them.
- If no Vault retention rule applies, Google says messages automatically deleted or removed by a user are kept for 30 days after removal. Purge then begins and can take several additional days.
- If a Vault rule applies, messages can remain in Vault for the rest of that rule’s retention period or for at least 30 days, depending on the rule.
- A Vault hold can prevent deletion while the hold remains active.
- Spaces with more than 50,000 users are an exception to the described hold behavior; confirm the current Vault documentation before relying on a hold for such a space.
When investigating a missing message, check both the Chat auto-deletion category and Vault rules or holds. User-visible removal is not proof that the retention obligation has ended.
External one-to-one conversations
Google changed the rule for some one-to-one conversations started by a person from a different organization after May 1, 2025. In those cases, the external participant’s organization can determine how long history is available to everyone in the conversation. For a cross-organization conversation, identify which organization created it before explaining the expected deletion date to participants.

Common mistakes and how to correct them
Using a feature policy as a retention policy
In Teams, Messaging policies govern edit and delete capabilities, not how long the service retains content. Create a Purview retention policy and select the Teams locations instead.

Assuming one scope covers every conversation
Slack can have organization, workspace, and conversation-level rules. Teams separates chats from channel messages, and Google Chat separates direct messages, group messages, and spaces. Write the exact scope in the policy record and test one conversation in every category you intend to cover.
Treating visible disappearance as final destruction
Teams eDiscovery copies and Google Vault rules or holds can outlast the user interface. Check compliance locations before responding to a deletion request or closing an investigation.
Ignoring edition, role, or plan limits
A missing control is often a permissions or licensing issue rather than a product failure. Confirm the Slack plan and owner role, Purview administrator role and license, or Google Workspace edition and Service Settings privilege.

Slack’s daily deletion run, Teams’ possible seven-day visibility delay, and Google’s post-removal retention and purge window all make the configured date different from the exact moment a user sees a message disappear. Communicate a window, not an artificially precise timestamp.
A practical rollout checklist
- Write the retention objective in plain language, including whether it is an operational cleanup rule, a records schedule, or a legal requirement.
- List every conversation type in scope: Slack channels and DMs; Teams chats, meeting chats, private or shared channels; and Google direct messages, groups, and spaces.
- Identify the controlling administrator, plan, edition, and required permission.
- Check current holds, eDiscovery cases, Vault rules, and overlapping organization policies.
- Configure the narrowest test scope first and create a dated test message.
- Verify user-visible behavior and, where applicable, the compliance or Vault copy.
- Publish the production policy, record the setting, and notify affected users.
- Monitor deletion windows and audit results after the first cycle.
- Review the policy whenever the provider changes its administration model, edition requirements, or conversation-storage architecture.
Which platform approach fits your requirement?
Choose Slack workspace or organization retention when
You need a straightforward workspace-wide rule, with optional channel or DM exceptions, and you accept that messages deleted by the policy are permanently removed from Slack. Enterprise administrators should use the organization layer when workspaces must share one standard.
Choose Teams Purview retention when
You need records-management scope by user, team, chat, or channel and may need a compliance copy for eDiscovery. Design the policy around Teams locations rather than Exchange mailbox settings, and document how holds interact with deletion.
Choose Google Chat auto-deletion with Vault controls when
You need different periods for direct messages, group messages, and spaces, while preserving records under Google Vault where required. Confirm history settings, supported editions, external-conversation ownership, and any holds before relying on the visible auto-delete date.

Final implementation guidance
Set the policy in the platform’s actual retention control plane, not in a nearby feature that merely changes what users can do. Slack owners work from workspace or organization data-retention settings; Teams administrators work in Purview; Google Workspace administrators work in Chat Auto-deletion and coordinate it with Vault. Preserve the policy scope, role, edition, effective date, and deletion window in your records, and involve legal or compliance staff when the retention period is meant to satisfy a formal obligation.
