Set a restaurant private-event minimum by estimating what the reserved space would earn during comparable public service, then adjusting for demand, season, duration, guest count and the regular customers you may turn away. There is no defensible industry-wide dollar minimum. Use a separate food-and-beverage minimum, package price, room fee or combination for each space and time slot when the economics differ.
The number is only useful if the agreement also defines eligible purchases, taxes and fees, package credit, event hours and the treatment of any shortfall. Show the client an estimated all-in bill rather than presenting the minimum as the final price.
What a private-event minimum is designed to protect
A minimum spend protects the revenue you give up by reserving a room or buying out the restaurant. A private party may produce a healthy check, but it can also block normal diners, consume setup and cleanup time, require extra labor and prevent another booking. The minimum is a commercial floor, not a prediction that every event will spend exactly that amount.
The most defensible starting point is your own sales history for the same room and daypart. Caffé Molise describes its minimums as reflecting what the restaurant would sell on a similar public-service night. Harvest Agency’s September 2026 operator guidance likewise recommends using sales for the same day and daypart and adding an allowance for regular customers who would be turned away.

Published venue policies do not establish a representative market average or universal percentage. A competitor’s price can illustrate how a policy is presented, but it cannot replace your local revenue data.
Build the minimum from comparable sales
1. Choose the comparison set
Pull revenue for the exact room, or the closest equivalent, during comparable public service. Separate lunch, dinner, brunch and late-night service. Use several comparable dates rather than a single unusually strong or weak shift. Record food sales, beverage sales, covers, hours open and any unusual promotion or closure.
If the room normally operates as part of the main dining area, estimate the sales attributable to that section instead of using the restaurant-wide average. For a full buyout, use the sales the entire operation would normally generate during the blocked period.

2. Account for displaced regular business
Reservation data may understate the opportunity cost of a private event because some customers will not find a table and may go elsewhere. Add a documented allowance for regular business you expect to turn away, as Harvest Agency recommends. Do not add it twice: if your comparable-room figure already includes the expected demand for that date and time, only add the portion that is genuinely outside the baseline.
3. Adjust for the event’s commercial conditions
Apply explicit adjustments for:
- Day of week: Friday and Saturday demand can differ materially from Monday through Thursday.
- Daypart: Dinner may carry a different opportunity cost from lunch, even in the same room.
- Season: Holiday periods, wedding season and slow months can support different floors.
- Duration: Include the service period plus setup, breakdown and any time during which the room cannot be sold.
- Guest count and format: A seated dinner, cocktail reception and presentation may produce different food, beverage and labor patterns.
- Exclusivity: A full buyout blocks more ordinary business than a partitioned private room.
- Demand certainty: A date that routinely sells out deserves a stronger opportunity-cost adjustment than a date with empty tables.
Piatti Seattle states that its minimums vary by time of day, day of week and time of year. Quentin’s Sentosa also publishes different amounts by space and weekday or weekend. These are examples of venue-specific policy choices, not a formula you should copy.
4. Set a reviewable floor
Document the assumptions behind each rate-card entry: room, date category, service hours, expected covers, average check, displaced sales allowance and included labor or equipment. After each event season, compare actual eligible revenue and total contribution with the comparable public-service result. Raise a floor that repeatedly fails to protect revenue; lower or restructure one that prevents otherwise viable bookings. This review process is an operating recommendation, not a published industry benchmark.
Choose the pricing structure
Decide whether the client is primarily buying food and beverage, exclusive space, a predictable package or a combination. Designodin Hospitality describes minimum, package and buyout-fee structures; venue policies show that the terms vary by property.

| Structure | What the client pays for | Define before signing |
|---|---|---|
| Food-and-beverage minimum | Eligible food and drink purchases up to a stated floor | Qualifying items, package credit, tax and fee treatment, event hours and shortfall billing |
| Per-person package | A set menu or service package priced for each guest | Courses and drinks included, guaranteed headcount, extra-guest price, duration and upgrades |
| Room fee | Use or exclusivity of the private room | Setup access, capacity, exclusivity, included equipment and whether food and beverage are separate |
| Combination | A space charge plus a food-and-beverage commitment | Total commitment before tax and fees, what each charge secures, cancellation and shortfall terms |
Food-and-beverage minimum
This is usually easiest to explain when the client wants menu flexibility. Eligible food and beverage purchases count toward a stated floor. A client who orders more pays for the additional consumption; a client who orders less pays the defined shortfall.
Per-person package
A package makes budgeting easier when menu and service are standardized. State the minimum guaranteed headcount and when it becomes binding. Explain whether an increase in attendance is charged at the same per-person rate and whether upgrades count toward any separate commitment.
Room fee
A room fee monetizes exclusivity independently of consumption. It can fit a reception, meeting or event where food and beverage demand is uncertain. If an F&B minimum also applies, show both amounts and explain that they secure different things.
Combination model
Use a combination when the room itself has a meaningful opportunity cost and the kitchen or bar needs a separate revenue floor. Present the two commitments on separate lines so the client does not mistake the room fee for food-and-beverage credit.

Write the calculation into the proposal
Your proposal should let a client answer four questions without calling the restaurant: What is reserved, what counts, what is excluded and what happens if spending falls short?
- Identify the reservation: name the room or buyout, event date, arrival and departure times, setup and breakdown access, and the maximum guest count.
- State the qualifying spend: list eligible food, beer, wine, spirits, nonalcoholic drinks and approved packages. If certain items do not qualify, name them.
- State the measurement basis: say whether the minimum is calculated before tax, service charge, gratuity, event fee, planning fee, equipment, delivery or room rental.
- Show the estimated bill: provide the minimum or package amount, expected guest count, estimated consumption, taxes and each separate fee.
- Explain the shortfall: specify whether the difference appears as a room-rental fee, an unmet-minimum charge or another named line item, and when it is calculated.
- State payment and change rules: include deposit, final-guarantee date, cancellation schedule and the deadline for changing the room or headcount.
RPM Restaurants defines its own policy this way: “This price reflects the base amount that needs to be spent in food & beverage during your event time.” RPM’s FAQ says its minimum covers listed food and beverage during the event but excludes tax, event fee and gratuity.
Piatti Seattle’s event page states: “Food & beverage minimums are based on consumption expenditures before tax, 5% event fee & your voluntary, suggested gratuity.” That percentage and wording describe Piatti’s policy; they are not an industry rule.

Show the full expected bill, not just the floor
A food-and-beverage minimum is not automatically a cap on the invoice. Separate every amount that can increase the final payment:
- Food and beverage eligible for the minimum
- Room, buyout, planning or administrative fees
- Equipment, rentals, staffing or special production
- Taxes
- Service charges and event fees
- Gratuity, including whether it is voluntary, suggested or mandatory under your policy
- Any delivery, corkage, cake-cutting or outside-item fees that apply
For an illustrative calculation only, suppose a room has a $4,000 food-and-beverage minimum, the client purchases $3,650 in eligible items, and the contract places a $350 shortfall on the final bill. If tax and a separate event fee apply, calculate them on the basis stated in the agreement and display them on separate lines. Do not describe the $4,000 minimum as the total price.
How to handle a shortfall
Choose one treatment and name it consistently in your contract. Piatti Seattle says unmet minimums are charged on the final bill. L’Abattoir describes the difference as a room-rental fee. Either approach can be understandable when disclosed before signing; they are examples of venue policies, not universal legal requirements.
Define whether the shortfall is measured against eligible consumption before tax and gratuity, whether deposits are applied to it, and whether unused package value can be transferred to another category. Avoid wording that says only “a minimum applies” without explaining the arithmetic.
Use space- and time-specific rate cards
A single restaurant-wide number hides the economics that make private events profitable or unprofitable. Create entries by room or buyout, lunch or dinner, weekday or weekend, season and event duration. Include guest capacity and the format each entry supports.

Quentin’s Eurasian Restaurant’s current event page, accessed October 13, 2026, lists a private dining room at $1,200 for weekday lunch and $1,400++ for dinner, with separate values for its other spaces. Those figures demonstrate how one property segments its policy; they are not a market average or recommendation for another restaurant.
If you publish a rate card, mark whether each figure is a minimum, a package price or a room fee. Explain symbols such as “++” in plain language so the client knows which taxes or service charges are additional.

Separate taxes, service fees and gratuity
Never assume the client interprets “minimum spend” the way your staff does. State whether the floor is before or after tax and which fees do not count toward it.
RPM’s FAQ lists an 11.75% Chicago venue tax and a 4% service fee and notes that the tax is subject to change under local ordinance. Piatti Seattle lists a 5% event service fee. These percentages are venue- and jurisdiction-specific examples accessed October 13, 2026; verify current local requirements and your own policy before quoting them.
If gratuity is voluntary or suggested, say so exactly. If a service charge is retained by the business or distributed to staff, explain that in the agreement where required by applicable law. Keep tax, service fee and gratuity lines separate from qualifying food-and-beverage consumption.

- Comparable sales pulled for the same room and daypart
- Displaced regular business considered without double counting
- Separate entries created for room, daypart, weekday or weekend, season and duration
- Guest capacity and event format matched to each entry
- Structure selected: minimum, package, room fee or combination
- Eligible food and beverage categories listed
- Tax, event fee, service charge, gratuity, planning, equipment and room charges labeled separately
- Package credit and exclusions explained
- Shortfall treatment written in plain language
- Estimated total shown alongside the minimum

Final decision rule
Set the floor at the revenue your restaurant reasonably expects from comparable public service in that space and time, adjusted for demand, duration, guest count, format and displaced customers. Then choose the structure that best matches what the client is buying and write every qualifying and excluded charge into the agreement. Because published sources provide venue examples rather than an industry standard, your own sales history should remain the deciding evidence.
