New Outlook for Windows does not use the classic Send/Receive tab. To check for new messages manually, use Mail > View > Sync or press F9. Sending is normally automatic: select Send, and Outlook uploads the message when an internet connection is available.
This guide covers adding an account, sending mail, synchronizing incoming messages, working with shared mailboxes, and fixing the most common send-and-receive failures.
Before you start: confirm which Outlook you are using
New Outlook and classic Outlook have different menus. The instructions in this guide apply to the newer Windows app, which has a simplified interface and a Sync command.

If you can see a Send/Receive tab and commands such as Send/Receive All Folders, you are using classic Outlook. Those are not the current New Outlook instructions. Microsoft also states that its classic-Outlook send-and-receive troubleshooters do not apply to New Outlook for Windows.

Add an email account
Outlook cannot send or receive messages until at least one email account has been added.
- Open New Outlook.
- Select View on the top bar.
- Select View settings.
- Open Accounts, then select Your accounts.
- Under Email accounts, select Add Account.
- Choose a suggested provider, or enter the email address for another account, then select Continue.
- Enter the password or complete the provider’s sign-in and verification steps.
- Select Done when the account setup finishes.
You can also reach account management through File > Account info > Accounts > Your accounts when that menu is available in your build.
New Outlook supports Outlook.com and Hotmail, Microsoft 365 work or school accounts, Gmail, Yahoo, iCloud, and Exchange accounts. Gmail, Yahoo, and iCloud may require changes in the provider’s security settings. Depending on the provider and account type, you may need an app password rather than the regular account password.
Send an email in New Outlook
- Select New mail or New email.
- Enter one or more recipients in the To field. Use Cc or Bcc if necessary.
- Enter a concise subject.
- Write the message and attach files using the attachment command if needed.
- Select Send.
When the computer is online, Outlook normally sends the message automatically after you select Send. If you are offline, New Outlook can retain the message and send it when connectivity returns, depending on the account and offline state.
Set a Reply To address
If replies should go to a different address, open the message’s composing options and use Reply To. New Outlook allows one or more addresses to receive replies to that message. This is useful when sending from a monitored mailbox but directing responses to a team or support address.
Resend a message
To send a previous message again in New Outlook:
- Open Sent Items.
- Select the message.
- Select the … menu.
- Choose Advanced actions > Resend message.
- Change the recipients, text, or attachments if required.
- Select Send.
The Resend message command is currently available only when the primary account is a Microsoft 365 work account. It may not appear for personal accounts such as Outlook.com, Gmail, or Yahoo.
Receive new mail manually
New Outlook checks for incoming and outgoing mail when it starts and at automatic intervals. To force an immediate check:
- Select Mail in the navigation bar.
- Select View.
- Select Sync.
The keyboard shortcut is F9. Outlook displays a status message at the bottom of the message list while synchronization is in progress.
Do not look for Send/Receive > Send/Receive All Folders in New Outlook. That path belongs to classic Outlook. Also, some third-party accounts, including certain Gmail, Yahoo, iCloud, POP, and IMAP configurations, may not expose exactly the same manual Sync behavior as Microsoft-hosted accounts.
Find messages that appear to be missing
A successful sync does not guarantee that a message is in the folder you are viewing. Check these locations and settings:

| Junk | Open Junk Email. If the message is legitimate, right-click it and select Mark as not junk. |
| Rules | Review mail rules that may move, delete, or forward incoming messages. |
| Forwarding | Check whether mail is being forwarded to another address. |
| Sort order | Select Filter > Sort > Date to restore a chronological view. |
Search all folders for the sender or subject rather than checking only the Inbox.

Shared mailboxes behave differently
New Outlook does not automatically synchronize the Inbox of a shared mailbox that was added through automapping. This can make a shared mailbox appear stale even though the user’s primary mailbox is current.
To force an update, select View > Sync, or select the shared mailbox folder that needs synchronization. For automatic synchronization and notifications, Microsoft recommends adding the shared mailbox as an account rather than relying only on automapping.
Fix common send-and-receive problems
1. The message remains unsent
- Check that Windows is online and that Outlook is not in an offline state.
- Run Mail > View > Sync or press F9.
- Open the Drafts or Outbox area and inspect the message for an error.
- Try sending a short message without attachments.
- Remove the signature temporarily and send again. A malformed signature can prevent sending.
2. The attachment is too large
For Outlook.com, a message with an attachment larger than 25 MB cannot be sent. Compress the file, split it into smaller files, or upload it to OneDrive and send a sharing link instead.
3. The recipient did not receive the message
Check the address character by character, including the domain name. Other possible causes include a full recipient mailbox, a problem on the recipient’s mail server, or the recipient’s spam filter. Ask the recipient to check Junk or quarantine folders.
If the recipient never receives the message and you do not get an error, contact the sender’s mail administrator or ask the sender to use Outlook.com’s Sender Support process. A non-delivery report usually contains the most useful diagnostic information.
4. Nothing arrives after Sync
Check the account’s webmail site in a browser. If the message is absent there too, the problem is at the sender, server, or account level rather than in Outlook’s local display.
For a Microsoft account, also check storage. When Microsoft cloud storage is full, the account cannot send or receive email. Messages sent to the account while it was full are bounced to the sender and cannot be recovered after storage is cleared.
5. The password was recently changed
A changed password, unusual sign-in activity, or a temporarily blocked account can stop both sending and receiving. Sign in to the provider’s website, complete any security challenge, and then return to View > View settings > Accounts > Your accounts to repair or re-add the account if Outlook requests it.

6. Gmail, Yahoo, or iCloud will not connect
Sign in to the provider’s security page and check whether third-party access, IMAP, modern authentication, or an app password is required. Do not repeatedly enter the normal password if the provider specifically requires an app password; create the app password and use that value during Outlook setup.

If an account remains stuck after its password and security settings are correct, removing and re-adding it can rebuild the connection.
- Open View > View settings > Accounts > Your accounts.
- Find the account and select its account-management option.
- Choose Remove, then confirm.
- Return to Email accounts > Add Account and complete setup again.
Removing an account from New Outlook does not delete the underlying mailbox. It removes the account from the app and deletes its cached offline content. For non-Microsoft accounts, the confirmation dialog may offer Remove from this device or Remove from all devices; read that choice carefully before confirming.
New Outlook features that affect offline mail
New Outlook supports offline viewing of synchronized mail and composing messages while offline. The default offline mail-sync window was increased from 7 days to 30 days in September 2025, so older messages may still need an internet connection to open fully unless they have already been synchronized.

Why can I send email but not receive it?

An automapped shared mailbox does not automatically synchronize its Inbox in New Outlook. Select View > Sync or select the shared folder. Add the shared mailbox as an account if automatic synchronization and notifications are required.
Does removing an account from New Outlook delete the mailbox?
No. Removing it from Outlook does not delete the online email account. It removes the account from the app and deletes cached offline content.
The Bottom Line
For New Outlook, send messages with Send and manually receive mail with Mail > View > Sync or F9. If synchronization does not solve the problem, check the correct folder, account storage, provider authentication, attachments, and shared-mailbox limitations before removing and adding the account again.
