You can self-host OTRS on a VPS, but the dependable approach is to treat it as a release-specific Linux application rather than a generic one-click package. Choose an operating system listed for your exact OTRS release, install the required Perl modules, reverse-proxy web server and database, keep the application under a dedicated account, and make the background services persistent. Current OTRS requirements call for a bare-metal server or virtual machine; containerized environments are not supported. A small help desk can run on less hardware than the published heavy-workload reference, while large ticket queues and attachment libraries require considerably more CPU, memory and storage.
What you are actually deploying
An OTRS installation is a group of cooperating services, not just a web directory. The application runs on Perl, users reach it through a reverse-proxy web server, and ticket data is stored in a supported relational database. Depending on the release, full-text search and document handling may also require Elasticsearch plus Node.js, Python or additional Perl modules.

OTRS requires Perl 5.16 or newer and the modules reported by its otrs.CheckEnvironment.pl check. It also requires Apache, nginx or another suitable reverse-proxy server and one of the supported database families: MySQL 5.7 or newer, MariaDB 10.5 or newer, or PostgreSQL 9.2 or newer. These are compatibility floors, not a recommendation to install the newest database or Perl release without checking the OTRS matrix.

Containers, virtual machines and the edition you choose
The current OTRS requirements state: “Bare metal server or virtual machine is required. Containerized environments are not supported.” A VPS is a virtual machine, so it fits that supported host model when its operating system and resources match the release requirements.
Older OTRS Community Edition documentation describes dedicated-server, virtual-machine and Docker installation methods. That does not make Docker a universal choice for current OTRS releases. If you are following Community Edition instructions, identify that edition and version first; if you are installing a current OTRS release, follow its current requirements and do not place the unsupported deployment inside a container merely because an older guide shows one.
Choose a VPS architecture
A single VPS is the simplest design: the web server, Perl application, database and any search service share one virtual machine. It reduces network latency and administration, but a single host failure takes every component offline.
A split design places the application and database on separate hosts. The installation guidance permits the database to be local or remote, so you can move the database to a second VPS or a managed database that meets the version requirements. Compare the two designs before ordering:

Size the VPS from workload, not a magic minimum
OTRS says hardware requirements depend highly on usage. Its published reference for heavier workloads is an AMD Ryzen 7 3700X octa-core processor or comparable CPU, 64 GB of RAM, two 1 TB NVMe SSDs in software RAID 1 and a gigabit LAN connection. Treat those figures as a workload reference, not a universal VPS minimum or a guarantee of a particular ticket-processing rate.
For a small internal help desk, start below that reference only after estimating concurrency, automation and attachment growth. Size these resources separately:

- Memory: Leave room for the database cache, Perl workers, the web server and any Elasticsearch process. Swapping can make a ticket system appear randomly slow.
- Storage capacity: Include the database, application files, logs, temporary files, backups retained locally and every ticket attachment. Attachments can dominate growth.
- Storage I/O: NVMe or another low-latency volume helps database commits, index updates and attachment uploads. Capacity alone does not describe disk performance.
- Network: A gigabit link is part of the published reference, but actual needs depend on agent traffic, mail volume, remote backups and whether the database is split onto another host.
Measure actual growth after launch. Set alerts before the attachment volume or database consumes the filesystem, and keep backup storage outside the production VPS so a full disk does not erase both live data and its only copy.

Pre-provisioning checklist
- Record the exact OTRS edition and version, then open its current requirements and dependency table.
- Select a listed Linux distribution and release, rather than choosing an image because it is the provider default.
- Decide whether the database and search service are local or remote.
- Reserve a DNS name and an HTTPS certificate plan for the reverse proxy.
- Confirm outbound SMTP, inbound mail retrieval and any firewall or private-network requirements.
- Choose an off-site backup destination and define how long database and file backups will be retained.
- Plan a maintenance window and a rollback snapshot before the first upgrade.
Install OTRS on the VPS
1. Provision and update the operating system
Create the VPS from a supported image, log in with an SSH key and apply the provider’s operating-system updates. Set the correct time zone and enable time synchronization; inconsistent timestamps make mail, audit trails and scheduled jobs difficult to troubleshoot. Do not install application dependencies until you have checked the release-specific matrix.
sudo apt update
sudo apt full-upgradeThe package manager differs on RHEL, CentOS Stream and Gentoo. The commands above are an example for a Debian-family host, not a substitute for the instructions for another distribution.
2. Create a dedicated application account
Run OTRS under its expected dedicated user and group instead of the web server’s general account or root. A typical Linux account creation pattern is:
sudo groupadd --system otrs
sudo useradd --system --gid otrs --home-dir /opt/otrs --create-home --shell /usr/sbin/nologin otrsUse the account, path and shell conventions required by your release manual. Keep ownership and permissions consistent as you unpack the source and create configuration files.
3. Install Perl and verify modules
Install Perl 5.16 or newer and every module reported by the release’s environment checker. The checker is important because a successful Perl installation alone does not prove that mail, PDF generation, database access or other functions will work.
sudo -u otrs /opt/otrs/bin/otrs.CheckEnvironment.plOn Debian and Ubuntu, OTRS 6 guidance says to install from source rather than use the OTRS packages supplied by the distribution. Apply that instruction to the matching OTRS 6 installation, and do not generalize it to a different edition without checking its documentation.
4. Install and secure the database
Install MySQL 5.7 or newer, MariaDB 10.5 or newer, or PostgreSQL 9.2 or newer, according to the compatibility table for your release. Create a database and a dedicated login with only the privileges OTRS needs. Do not reuse a global administrator credential in the application configuration.

The database may run on the VPS or on another host. For a remote database, permit connections only from the application host over a private network or tightly restricted firewall rule, and verify DNS, TLS requirements and latency before running the installer.
5. Install the reverse-proxy web server
Install Apache, nginx or another supported reverse proxy. Configure it to pass requests to OTRS, serve static content as required by the release and terminate HTTPS. Legacy installation guidance includes proxy-related modules and an included OTRS web-server configuration; use the file supplied with your exact release rather than copying a configuration from an unrelated version.
Before exposing the service publicly, set the canonical hostname, redirect HTTP to HTTPS, restrict administrative access where practical and ensure uploaded attachments are not executable. Reload the web server and inspect its error log before proceeding if the configuration test fails.
6. Place the application and activate configuration
Install the OTRS source under the path expected by the release, normally beneath /opt/otrs. Copy the distribution configuration file to activate the local configuration:
sudo -u otrs cp /opt/otrs/Kernel/Config.pm.dist /opt/otrs/Kernel/Config.pmSet the database connection and site-specific values in the resulting configuration using the syntax documented for your release. Keep this file in your protected backup set; it contains the information needed to reconnect the application to its data.
7. Run the web installer
Open the OTRS installer through the HTTPS hostname, select the database engine and enter the database name, host, port, user and password. Complete the initial administrator setup with a unique, long password, then sign in and verify that the expected queues, users and system settings load.
Do not leave the installer reachable to the public after setup. Remove temporary access or restrict it at the reverse proxy and firewall, while preserving the release’s supported configuration.

8. Enable scheduled jobs and services
OTRS relies on cron or daemon processes for mail processing, background jobs and configuration tasks. Enable the release’s supplied systemd units or cron examples, and configure them to start after reboot. The installation guide references systemd examples and the OTRS cron script; the exact unit names and commands vary by release.
Reboot the VPS during a maintenance window and confirm that the web server, database, OTRS daemon or cron jobs and search service all return automatically. A system that works only after manually starting a process is not production-ready.
9. Run release-specific validation
Run the environment check again after all modules are installed. Perform the document-search check appropriate to the release, test login and permissions, send and receive a test message, upload and download an attachment, and confirm that a background job completes. Record the commands and expected results in the operations runbook because they will be needed after upgrades or restores.
Search and dependency matching
Some OTRS releases require Elasticsearch and particular plugins, such as analysis-icu and, for some versions, ingest-attachment. Other releases add Node.js, Python or additional Perl requirements. These components are release-sensitive: pin versions to the OTRS compatibility table instead of installing whatever is newest on the day you provision the VPS.

If search indexing fails while ticket creation works, inspect the OTRS daemon log, search-service log and network or authentication settings separately. Rebuilding an index before correcting a version or plugin mismatch can waste time and does not fix an incompatible service.

A ticket backup is more than a database dump. Include the database, the OTRS application and configuration under /opt/otrs, mail settings, reverse-proxy configuration, service definitions and any search or index data required by the selected release. Restrict access to these files because tickets and attachments may contain personal or confidential information.

Run backup jobs with the application account where the documentation requires it, and store copies away from the production VPS. The example backup script in the Znuny installation guidance is intended for small to mid-sized systems; it is a starting point, not proof that recovery works.

A restore sequence you can rehearse
- Provision a clean, supported base operating system and apply security updates.
- Install the exact web server, database, Perl modules and release-specific search dependencies.
- Restore the database and verify its character set, permissions and connectivity.
- Restore
/opt/otrs, configuration files, mail settings, proxy configuration and certificates. - Reapply ownership and permissions for the dedicated OTRS account.
- Reinstall packages or modules recorded in the runbook, then synchronize OTRS configuration as required by the release.
- Enable cron, daemon and systemd services, start them and inspect logs.
- Run environment and search checks, sign in as an administrator, test a ticket, mail flow and an attachment, and only then redirect production DNS.
Perform this exercise on a temporary host at least periodically. A backup that has never been restored is an assumption, not a recovery plan.

Security and day-to-day operations
- Use SSH keys, disable unnecessary password authentication and restrict SSH at the firewall.
- Terminate HTTPS at the reverse proxy and renew certificates before expiry.
- Use least-privilege database credentials and allow database traffic only from approved hosts.
- Patch the operating system, Perl modules, web server, database, search service and OTRS within the supported matrix.
- Monitor filesystem usage, especially the attachment path, database volume and log directories.
- Alert on web-server errors, database availability, cron or daemon failures and search-service health.
- Test inbound and outbound mail, attachment handling, queue permissions and agent login before inviting users.
- Take a rollback snapshot before an upgrade, while retaining an independent database and file backup.
Troubleshooting common failures
The web page returns a 500 error
Check the reverse-proxy error log and the OTRS application log first. Missing Perl modules, incorrect file ownership, an unreadable Kernel/Config.pm or a version-incompatible configuration are common causes. Re-run otrs.CheckEnvironment.pl as the OTRS account and correct one dependency at a time.
The installer cannot connect to the database
Verify the database service is running, the hostname resolves from the application host, the port is reachable, the database user is allowed from that source address and the selected engine version is supported. For a split design, inspect the private-network and firewall rules before changing application settings.
Attachments fill the disk
Measure attachment, database, log and backup directories separately. Expand the data volume or move attachments and backups to storage designed for the workload, then update monitoring thresholds. Do not delete ticket files manually; use the release’s supported maintenance procedures and preserve a verified backup.
Search is empty or indexing fails
Confirm that the Elasticsearch version and required plugins match the OTRS release, then inspect credentials, network access and service logs. Run the documented search check before attempting an index rebuild.
Mail or background jobs stop after reboot
Check whether the cron entry, daemon or systemd unit is enabled for the dedicated account. Review startup ordering and logs, run a test job manually as the application user and reboot again after correcting the service definition.
An upgrade breaks the installation
Stop and document the failure, preserve logs, and use the rollback snapshot only alongside the independent database and file backups. Recheck the target release’s operating-system, Perl, database, search and web-server matrix before attempting the upgrade again.
When a VPS is the right choice
A VPS is appropriate when you need control over the operating system, database, mail integration, backups and maintenance schedule and can operate those components yourself. It is not a shortcut around administration: you remain responsible for patching, TLS, monitoring, storage growth, dependency compatibility and recovery testing. A managed VPS can reduce host-level work only if it still provides the Linux virtual machine, reverse proxy, database, storage, backup and mail capabilities required by your OTRS release.
Final deployment checklist
- Exact OTRS release and supported OS recorded.
- Perl version and environment-check results saved.
- Supported database selected, secured and backed up.
- Reverse proxy, HTTPS and administrative access restrictions tested.
- Dedicated
otrsaccount, ownership and configuration verified. - Search, cron or daemon services enabled and tested after reboot.
- Mail, queues, permissions and attachments tested with representative tickets.
- Off-site backups include database, files, configuration and service settings.
- Documented restore completed on a separate host.
The safest self-hosted OTRS deployment is therefore a release-matched Linux VM with deliberate sizing, a supported database and reverse proxy, persistent background services and a rehearsed restore process. Treat container support, dependency versions and release status as changeable facts, and recheck the official requirements before every new VPS or upgrade.
