How to securely share passwords when your password manager has no cloud sync is primarily a matter of controlling scope, protecting the encrypted file, and separating the file from the secret that opens it. A local manager such as KeePassXC can share a selected group through KeeShare, or you can make a separate encrypted handoff. If you accept an online host, Bitwarden Send provides client-side encrypted sharing. In every method, send only the credentials required, keep the vault or container encrypted, and never deliver its password or key in the same message or link.
What “no cloud sync” changes—and what it does not
A password manager without built-in cloud synchronization normally keeps its database on a device or on storage you choose. KeePassXC, for example, stores credentials in an encrypted KDBX database and lets you decide where that file lives. The absence of an automatic sync service means the application does not continuously copy changes between people or devices; it does not prevent you from sharing a selected entry or a separate encrypted file.
The security question becomes a transport and access-control problem. You must decide exactly which credentials another person needs, where an encrypted share file will be stored, how the recipient will obtain the decryption secret, and what happens to the recipient’s copy after the task ends. A strong database password, a trustworthy recipient device, and a recovery plan matter as much as the transfer method.
Security rules that apply to every method
Share the smallest possible scope
Do not hand over your whole vault when the recipient needs one login. Create a dedicated group or a separate encrypted container and put only the required entries there. In KeeShare, sharing is configured on a group and includes that group’s descendants. Enabling sharing on the root group therefore exposes every entry in the database. Treat that setting as an explicit “share the entire vault” decision, not as a convenient default.

Keep the data encrypted at rest
KeePassXC’s documentation states that a database protected with a strong, long password remains encrypted while stored on a computer or cloud-storage service. Use a password that is long and unique to the database; do not reuse an account password or rely on a short phrase that an attacker could guess. An ordinary folder, network share, or USB drive supplies storage, not encryption. The KDBX database or exported container must already be encrypted before it leaves your control.
Separate the file from its opening secret
Anyone who obtains both an encrypted file and its password has the contents. Send the file through one channel and the database password, share password, or key file through another channel. KeePassXC specifically recommends distributing a key file by a different means from the database file. A voice call to a verified number, an in-person exchange, or a separate trusted messaging channel can provide that second path; choose a channel whose recipient identity you can check.
Assume the recipient can retain a usable copy
Encryption protects the transfer and storage; it does not give you control over a credential after the recipient can open it. A recipient can copy an entry, export it, photograph it, or keep a local database. When the sharing purpose ends, remove access to any shared location where you can and rotate the affected account password if continued access would be unacceptable. Deleting your copy does not delete a copy the recipient already downloaded.

Protect recovery material
A key file can be as important as the database password. KeePassXC warns that losing a key file can make a database inaccessible and recommends keeping a safe backup. Keep database and key-file backups in locations you can recover, preferably with automatic backup or version history. A removable thumb drive can be offline storage, but it can be lost or fail; it does not encrypt files by itself. Maintain more than one protected backup and test that you can restore it.
Method 1: Share a selected group with KeePassXC KeeShare
KeeShare is KeePassXC’s group-based sharing feature. It supports three modes: Import, which is read-only for the local database and merges data from a share; Export, which writes changes out but does not read updates back; and Synchronize, which reads and writes with merge behavior. The share file is stored at a location accessible to the people who need it. The project documentation describes network shares and cloud folders as possible locations, so the storage provider supplies availability and access control while the share container remains encrypted.
Prepare a dedicated group
- Create a new top-level or nested group named for the purpose or recipient, such as “Project access,” rather than using the root group.
- Move or copy only the entries the recipient needs. Check usernames, URLs, notes, one-time codes, and attachments for unrelated secrets before you continue.
- Decide whether the recipient should receive a read-only view, publish changes back, or participate in two-way updates. That decision determines whether Import, Export, or Synchronize is appropriate.
Enable KeeShare on that group
- Open the group’s KeeShare settings in KeePassXC and enable sharing for the dedicated group.
- Select Import, Export, or Synchronize. Import is useful when one person maintains the source and another only needs a merged read-only copy. Export suits a one-way publication. Synchronize is intended for shared editing and merging.
- Choose a share-file location that both parties can reach. A shared folder may be convenient, but its availability, account permissions, deletion behavior, and version history become part of your operating risk.
- Set the share-container password or key as required by the version of KeePassXC you run. Give that secret to the recipient through a different channel from the share file. KeeShare does not automatically make that second-channel exchange safe for you; you must arrange it.
Handle merges and conflicts deliberately
KeeShare’s merge behavior relies on entry history. Two people editing the same entry can create changes that need review, especially when usernames, passwords, notes, or attachments diverge. Establish who owns a particular entry and make changes in a predictable order. Before accepting a large merge, keep a backup of the local database so you can restore an earlier state if an unintended change propagates.

Verify the result and end access
- Have the recipient open the share using the supplied access secret and confirm that the intended entries—not the rest of your vault—are visible.
- Check that the recipient can perform the needed task, such as signing in, without requiring you to expose additional notes or credentials.
- When the task ends, remove the shared group from the accessible location where practical and disable further sharing. KeeShare’s documented feature set does not promise revocation of a copy already imported by the recipient, so rotate the underlying account credential when that distinction matters.
Menus and labels can differ between KeePassXC releases. Use the current guide for the version installed on both sides, particularly when upgrading a database or changing a share mode.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Method 2: Make a one-off encrypted file handoff
A file handoff works when your manager has no native sharing feature or when you need to transfer a fixed set of credentials once. Create a new encrypted database or container containing only the required entries. Keep your main vault separate. KeePassXC can keep the resulting database encrypted at rest, and you can save it to a location you select.
One-off handoff procedure
- Duplicate only the necessary entries into a new encrypted database or container. Remove unrelated history, attachments, and notes that the recipient does not need.
- Protect the new file with a strong, unique password. If the format uses a key file, generate or select it and make a protected backup before sending anything.
- Transfer the encrypted file through a path appropriate to the sensitivity and size: a controlled physical exchange, a shared folder, or another file-transfer service. The transport may be online, but the file should remain encrypted before upload.
- Send the password or key through a separate channel. Do not put it in the same email, text, folder, or message that contains the file.
- Ask the recipient to confirm that the file opens and contains the intended entries. Keep a recovery copy until that confirmation, then store it securely or destroy it according to your retention policy.
This approach has weaker ongoing access control than managed sharing. Once the recipient has a usable copy, changing or deleting the sender’s file does not retract the recipient’s copy. If a credential must stop working, change that credential at the service where it is used and update your own vault.

Method 3: Use Bitwarden Send when an online host is acceptable
Bitwarden Send is an alternative for readers who accept an online service hosting an encrypted Send. It is not a no-cloud method: the encrypted Send data is uploaded to Bitwarden servers. Its documented model uses client-side encryption, AES-256 encryption for content and metadata, and a 128-bit Send secret. The decryption key is placed in the URL fragment; Bitwarden states that the fragment is not included in network requests.
Send a password without exposing the key in the same message
- Create a Send containing the minimum text or file needed. Review the content before saving it; a Send can carry text or files, so avoid adding unrelated credentials.
- Use the available access controls, including a Send password when appropriate. Bitwarden describes this password as an authentication gate; it is not the encryption key.
- Share the link carefully. A complete link includes the decryption key in its fragment, so anyone who obtains the complete URL can potentially read the Send. Treat it as a bearer secret.
- For stronger separation, send the link without its key and deliver the key through another verified channel. Bitwarden recommends separate key transmission and explains that the key itself is never included in network requests.
- Confirm receipt and check the current Send settings for expiration, access limits, and availability before relying on them for a deadline. Product controls and limits can change between releases.
End-to-end encryption reduces what the hosting service can learn from the encrypted payload, but it does not protect a compromised recipient device, a captured link, a weak Send password, or a person who deliberately copies the contents. Protect the endpoint and the key-sharing step as carefully as the upload.

How the three approaches differ
| Consideration | KeePassXC KeeShare | Encrypted file handoff | Bitwarden Send |
|---|---|---|---|
| Online service | Uses an accessible shared-file location; a network share or cloud folder can carry the encrypted share. | Uses whatever transfer path you choose, including physical media or an online file service. | Requires Bitwarden’s online service to host the encrypted Send. |
| Scope | Group-based; enabling it on the root group includes the entire database. | Determined by the entries placed in the separate database or container. | One Send can contain selected text or files. |
| Ongoing changes | Import, Export, and Synchronize provide read-only, one-way, or read/write merge patterns. | Recipient keeps a copy; later source changes do not update or retract it. | Uses an ephemeral sharing model with optional controls; verify current settings before depending on expiration or limits. |
| Secret delivery | Keep the share password or key separate from the share file. | Send the container password or key through another channel. | The complete URL carries the key in its fragment; Bitwarden recommends separate key delivery. |
| Recovery concern | Back up the database and any key file; merge errors may require restoring a prior version. | Preserve recoverable copies of both the encrypted file and its opening secret. | Availability depends on the Send, its link, its key, and the service’s current limits. |
Threats that encryption alone does not solve
- Weak vault or container password: Encryption cannot compensate for a short or reused secret. Use a long, unique password and protect it from shoulder surfing and screenshots.
- Compromised endpoint: Malware, browser extensions, screen capture, or another person using an unlocked device can read credentials after decryption.
- Accidental over-sharing: A root-group KeeShare setting or an overfilled export can expose unrelated accounts. Inspect the group or container before publishing.
- Co-located secrets: Sending a file and its password together turns interception of one message into access to both.
- Unrecoverable keys: A lost key file or damaged removable drive can lock you out even when the encrypted database is intact. Keep protected backups in separate locations.
- Permanent recipient copies: Imported entries, screenshots, exports, and saved links can survive the original share. Plan on credential rotation when access must end.
Choosing the right workflow
Choose KeeShare when you need a maintained group
Use KeeShare when the same people need selected credentials to remain available and changes may need to flow between them. Define ownership, select the narrowest group, and choose a mode that matches the direction of updates. Shared storage and merge history become operational responsibilities.

Choose an encrypted handoff for a fixed transfer
Use a separate encrypted database or container for a one-time exchange, especially when the recipient should receive a snapshot rather than edit a common set. Plan for the fact that the recipient’s copy is independent and may require password rotation later.
Choose Bitwarden Send for convenient encrypted delivery
Use an encrypted Send when an online host is acceptable and the recipient benefits from a simple link. Keep the key separate from the URL when possible, treat the complete link as sensitive, and verify the current controls rather than assuming a particular expiry or retrieval limit.
A final pre-send checklist
- Have I created a group or container containing only the required credentials?
- Is the database, share file, or Send encrypted before transfer?
- Is the opening password or key strong, unique, and delivered through a separate channel?
- Have I checked that I am not sharing the KeePassXC root group by mistake?
- Can both parties recover the database and any key file if a device or removable drive fails?
- Do I know how I will remove access or rotate the account credential when the task ends?
- Have I verified the exact KeePassXC or Bitwarden controls in the versions we are using?
Bottom line
A password manager does not need built-in cloud sync to share credentials securely. The safest general pattern is a narrowly scoped encrypted group or container, a strong access secret, and separate delivery channels for the encrypted data and that secret. KeeShare is suited to ongoing group-based work, an encrypted file is suited to a controlled one-off handoff, and Bitwarden Send is suited to readers willing to rely on an online encrypted-sharing service. None of these methods overrides endpoint security or revokes a copy that someone has already opened.
