The executor or other legally appointed personal representative should contact each bank through its bereavement process, provide the requested death documentation and authority evidence, and obtain written instructions for the estate. Do not rely on next-of-kin status alone: banks generally need the person authorized to administer the estate. At the same time, make a separate plan for pensions, benefits, bills, subscriptions, insurance, utilities, phones and broadband, because notifying a bank does not automatically cancel every contract or recurring payment.
The exact documents, probate requirements, treatment of joint accounts and closure process depend on the country, the institution and the account type. The steps below separate UK and US practice where it matters and identify decisions you must confirm with each provider.
1. Confirm who is allowed to act
Find the will and identify the executor. If there is no will, the person appointed to administer the estate is usually the administrator. Together, an executor or administrator is the deceased person’s personal representative. That representative—not simply the closest relative—normally gives instructions about sole-name accounts and estate payments.
UK: personal representatives and probate
UK government guidance describes a personal representative as responsible for estate assets during administration. Probate may be needed to deal with some assets, but there is no single threshold that applies to every bank or account. Ask the institution whether it requires a grant of probate, letters of administration or another authority document. If co-executors or co-administrators are named, ask how the bank requires them to sign or give instructions.

US: executor, administrator or court-appointed representative
In the United States, the equivalent authority is commonly shown by court-issued letters testamentary or letters of administration, although terminology and procedures vary by state and institution. Ask the bank’s estate or deceased-customer department which court document it accepts, whether a small-estate procedure is available in that state and whether a surviving joint owner is handled differently. Do not assume a family relationship gives access to a sole account.
2. Assemble a document pack before contacting banks
Collect enough information to let a bank locate the relationship and verify authority. Requirements differ, so call or check the institution’s official bereavement page before mailing originals or certified copies.
| Information or document | Why it is requested | How to prepare |
|---|---|---|
| Official death certificate or the institution’s verification form | Confirms the death and starts the provider’s bereavement process. | Ask whether an original, certified copy, secure upload or a copy is accepted. During a UK inquest, some firms may accept an interim coroner certificate. |
| Proof of authority | Shows that the caller can instruct the bank. | Use the will plus the relevant probate or administration document, or the equivalent court evidence required in your jurisdiction. |
| Identity and contact details of the representative | Allows the bank to complete identity checks and send estate correspondence. | Have current address, telephone number, email and accepted identification ready. |
| Deceased person’s names and aliases | Helps match records opened under a middle name, former surname or nickname. | List every known spelling and former address. |
| Last address and date of birth | Provides additional account-matching information. | Use the address held by the institution where known. |
| Account numbers, sort codes, branch details or statements | Lets the bank identify current, savings, investment and loan products. | Search paper files and correspondence; do not guess missing numbers. |
MoneyHelper and UK Finance both advise having official death documentation and the executor or administrator’s details available. UK Finance’s February 2026 estate-banking protocol lists the deceased person’s names and aliases, last address and known account information among common details. Confirm what the particular firm accepts before sending irreplaceable originals.
3. Contact the bank through its bereavement channel
Use the bank’s published bereavement telephone number, secure online form or branch route. A general customer-service agent may need to transfer you to a specialist team. Keep the account holder’s information private and do not continue using ordinary online banking credentials as if you were the deceased; ask the bank for an authorized process.
- Report the death. Give the date of death, the deceased person’s full name and known accounts. Ask the agent to record the notification and provide a case or reference number.
- Explain your authority. State whether you are the executor, administrator, surviving joint owner or another authorized person. Ask exactly which documents and signatures are required.
- Request an inventory. Ask the bank to identify sole and joint current accounts, savings, investments, credit cards, loans, overdrafts and safe-deposit arrangements held with that institution.
- Ask about restrictions and access. Find out whether the account will be restricted, whether essential estate payments can continue, and how a surviving joint holder will be able to transact.
- Clarify probate requirements. Ask whether the institution requires a grant or court appointment for each product, and whether its process differs for low-value balances, investments or loans. The sources do not establish a universal balance threshold.
- Choose the destination for estate money. Ask whether the bank can open an executorship or estate account and what documents, fees or signatories it requires. An estate account can separate estate funds from your personal money while bills and distributions are being handled.
- Confirm the next step in writing. Request a secure message or letter listing documents received, actions pending, payment instructions and the contact point for follow-up.
4. Decide what should happen to each account
Do not treat every account as though it has the same legal or operational status. Make a list and record the bank’s answer for each one.

| Account or product | Questions to ask | Possible outcome |
|---|---|---|
| Sole-name current or savings account | When will transactions stop? How are balances, interest and final statements handled? | Restriction and eventual transfer to an estate account or payment to the estate after required authority is verified. |
| Joint account | Does the surviving holder continue using it? Is a death certificate needed to update the title? Are any funds treated as estate assets under local law? | Continuation, retitling or partial transfer, depending on the account agreement and jurisdiction. |
| Investment or tax-advantaged account | What beneficiary, valuation, tax and probate documents apply? What is the valuation date? | Transfer, liquidation or beneficiary processing under specialist rules. |
| Credit card, overdraft or loan | What balance is owed, when does interest stop, and how should payments be made? | Estate claim, payoff, insurance review or continued scheduled payment while the estate is administered. |
| Future-dated transfers | Which payments are already queued, and can they be amended by the representative? | Continue, cancel or replace after the bank confirms authority. |
There is no reliable universal closure timetable. A bank may need to verify a death certificate, court authority, tax information, co-representative signatures or claims against the estate before releasing funds.
5. Separate incoming money from outgoing payments
Incoming credits
List salary, pensions, benefits, annuities, refunds, rental income and other regular credits. Tell each payer about the death and ask whether a final payment is due, must be returned or should be redirected to the estate. A government notification service may cover some public payments, but private pensions and contractual income generally need their own notification.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsDirect debits and standing orders
Ask the bank which instructions it will stop, which it will leave in place and how essential estate expenses can be paid. A stopped debit does not necessarily cancel the underlying contract, and a provider may still send an invoice or claim a balance. Keep a record of every cancellation and request a final bill.
Future-dated transfers and recurring card payments
These are not always treated like direct debits. Santander UK’s published bereavement guidance says its sole-name current accounts close when it is notified, direct debits and standing orders stop, and future-dated payments or pre-authorized recurring card transactions may still be taken while an account remains open unless arranged with the provider or cancelled. That is Santander UK policy, not a rule for every bank. Ask your own bank how card-on-file subscriptions, scheduled transfers and pending transactions are handled.
Subscriptions and contracts
Contact the company providing a streaming service, software plan, membership, newspaper, storage unit or other subscription. Request cancellation, transfer to an authorized household member or a short continuation period when the service is needed to manage the home. Keep confirmation emails and note any final charge.

6. Notify government bodies and financial providers separately
UK notifications
The UK Tell Us Once service can notify listed government departments, local authorities and certain public-sector pension schemes after a death is registered. It does not close private bank accounts, mortgages, insurance policies or subscriptions. Use it where available, then contact banks and contractual providers directly.
The UK Death Notification Service, referenced by MoneyHelper, can notify a number of financial institutions, including most major banks and building societies. Check which firms participate and what follow-up documents they still require. A notification service reduces duplicate messages; it does not replace the bank’s authority checks or guarantee closure.
Contact separately:
- Banks, building societies, investment firms and credit-card providers.
- Mortgage, loan and insurance providers.
- Private pension schemes and annuity providers not covered by a government service.
- Landlords, housing associations or property managers.
- Utilities, telecom providers and security-monitoring companies.
- Memberships, clubs, charities, professional bodies and subscription services.
US notifications
USAGov advises families to report a death to financial institutions and service providers. It says certified death-certificate copies are needed for most government programs. Notify federal, state and local agencies as applicable, then contact banks, credit-card companies, credit bureaus, utilities, memberships and subscriptions individually. US government services should not be substituted for UK Tell Us Once, and UK procedures should not be applied to a US estate.
7. Keep essential household services running deliberately
Closing an account too quickly can leave a property uninsured, without heat or water, or without a communication line needed by the representative. Make a keep, change or cancel decision for every service.
| Service | Keep or change when | Action |
|---|---|---|
| Home insurance | The property is unoccupied, being sold or still contains belongings. | Tell the insurer about the death and occupancy. Maintain appropriate cover; an ordinary policy may have unoccupied-property conditions. |
| Electricity and water | The home needs lighting, heating, leak prevention or cleaning. | Notify suppliers, take meter readings and arrange bills to the estate or responsible occupant. |
| Gas, heating or alarm monitoring | Systems need to remain safe or winterized. | Ask whether the contract can be transferred or placed on a temporary account. |
| Phone and broadband | The representative or a surviving resident needs the connection, number or online access. | Ask about transfer, a new account and number retention before cancelling. |
| TV, streaming and memberships | The household wants continuity or needs a short period to retrieve records. | Change the named customer where allowed, or cancel and obtain a final bill. |
Citizens Advice recommends keeping appropriate home insurance and basic utilities such as electricity and water while a property is being managed. Take meter readings on the date responsibility changes. Ofcom says some phone and broadband services can be transferred or replaced with a new account, and a joint telecom account can be put into a surviving person’s name on request. Ask about preserving a phone number before closure because an unused mobile number may later be recycled.

8. Use a written contact log
A multi-provider estate is easier to control when every conversation is traceable. A spreadsheet or paper log is sufficient; it is practical record-keeping, not a mandated legal form.
- Date and time of contact.
- Provider, department and telephone number or web form used.
- Account, policy or customer reference.
- Name or identifier of the staff member.
- Authority and documents requested.
- Documents sent, delivery method and tracking number.
- Action requested: close, transfer, maintain, redirect or investigate.
- Confirmation or case number.
- Expected next step and follow-up date.
- Final balance, refund, bill or cancellation confirmation.
Store certificates and authority documents securely. Send only through the provider’s official channel, and ask how it protects or returns originals.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.9. Compare the practical options before choosing
| Decision | Advantages | Risks or checks |
|---|---|---|
| Close a service immediately | Stops future charges and reduces misuse risk. | Could remove insurance, utilities, phone access or evidence needed to manage the estate; confirm final bills first. |
| Temporarily maintain it | Preserves property protection and continuity while the estate is settled. | Charges continue; identify who authorizes payment and when the review date is. |
| Transfer or retitle it | Lets a surviving household member keep a number, utility or account relationship. | The provider may require a new contract, credit check, identification or different pricing. |
| Use a bank-provided estate account | Separates estate money and can simplify documented payments. | Opening rules, signatories, fees and availability vary; compare with another lawful estate-fund arrangement. |
| Notify institutions one by one | Allows precise instructions and immediate answers about each contract. | More time-consuming; maintain the contact log. |
| Use an available notification service | Reduces duplicate basic notifications to participating organizations. | It may not cover private providers and does not replace authority evidence or closure instructions. |
Evaluate each choice by accepted legal authority, service continuity, required documents, payment risk, contract terms, fees quoted by the provider and control of estate funds. No universal fee schedule or probate threshold is established for all institutions.
10. Common problems and how to recover
The bank refuses to discuss the account
Ask for the bereavement or estates team, not a standard account-support queue. Request a written list of missing authority documents and the accepted format for each one. If several representatives exist, ask whether all must sign.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A direct debit stopped but the bill remains
Stopping the payment method does not erase the contract. Contact the merchant, request a final statement, and ask whether the estate owes a balance or is due a refund.

A subscription keeps charging a card
Use the provider’s cancellation process and tell the bank that the charge is a recurring card transaction. In the Santander UK example, such transactions may continue while the account remains open unless arranged with the provider or cancelled; other banks may differ.
A property is left without cover or utilities
Contact the insurer and utility suppliers immediately, explain the occupancy and estate status, and arrange temporary billing. Take meter readings and document the date responsibility changed.
A phone number is about to be disconnected
Ask the telecom provider whether the line or number can be transferred before cancellation. Ofcom guidance indicates that transfer or a new account may be possible in some cases. Do not assume a dormant mobile number remains reserved.
You cannot find all accounts
Search statements, tax records, mail, password-manager emergency information that you are lawfully authorized to use, and correspondence for account names. Ask known banks whether they can search across products. Do not guess credentials or impersonate the deceased; use the institution’s authorized discovery process.
11. A printable closure and service checklist
- Locate the will and identify the executor or administrator.
- Register the death and obtain the required death certificates or equivalent documents.
- Gather authority evidence, identity details, aliases, last address and account references.
- Open a contact log and create a list of assets, debts, credits and recurring charges.
- Contact every bank through its bereavement channel and obtain a case number.
- Ask about sole and joint accounts, investments, loans, overdrafts, probate, restrictions and an estate account.
- Record incoming pensions, benefits, salary, refunds and other credits.
- Identify direct debits, standing orders, scheduled transfers and recurring card payments separately.
- Notify UK Tell Us Once or relevant US agencies where applicable, then contact private providers.
- Tell mortgage, insurance, pension, utility, telecom, housing and subscription providers what should continue, transfer or end.
- Take property meter readings and maintain appropriate insurance and basic utilities while needed.
- Send documents only through official channels and record every response.
- Obtain final statements, balances, refunds, cancellation confirmations and transfer dates.
- Reconcile the estate account and keep records for the period required by the representative’s legal and tax obligations.
12. What secure completion looks like
The process is complete when the authorized representative has a confirmed inventory, each account has a documented status, estate money is held separately where appropriate, recurring payments have been addressed by payment type, and every private service has a keep, transfer or cancel decision. Written confirmations matter more than a phone promise. Because banks, jurisdictions and contracts differ, use the bank’s bereavement team, the relevant probate or court authority and the provider’s own instructions as the final word.
