Secure AI meeting output as a set of separate records, not one file. Decide whether capture is necessary, tell participants, limit who can start and view each feature, map every storage location, set retention, and test deletion of recordings, transcripts, notes, prompts, archives, exports, and copies. A meeting can have retained AI data even when nobody records the audio.

Start with the right security model: one meeting can create many records

An AI meeting assistant may produce an audio or video recording, a transcript, a summary, action items, prompts, responses, a recap page, an archive file, exported documents, and shared links. These are separate data objects with different owners, permissions, storage locations, retention timers, and deletion behavior. Deleting a recording therefore does not prove that the transcript, notes, archive, prompts, mailbox copies, backups, or exports are gone.

Use a lifecycle decision for every meeting:

  • Capture decision: Is recording, transcription, or an AI summary necessary for the business purpose?
  • Participant control: Who may enter, start capture, invoke the assistant, share the recap, or download files?
  • Data map: Where does each artifact live, and which identity or service owns it?
  • Retention: How long is each artifact needed, and what legal hold or eDiscovery rule can override deletion?
  • Verification: Can an administrator demonstrate that every artifact and copy was deleted or preserved as required?

For highly sensitive discussions, the safest default is no capture where the work can be completed without it. NIST’s virtual-meeting guidance puts the principle plainly: “Don’t record the meeting unless it’s necessary.”

Before the meeting: make capture a deliberate, limited choice

Classify the meeting and choose the minimum capture

Classify the agenda before creating the invite. A routine project update may need a short action list; a disciplinary discussion, merger conversation, medical consultation, security incident, or customer-confidential briefing may need no recording or AI assistant at all. Separate the decisions:

  • PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
  • Recording: captures audio and video and is usually the most sensitive artifact.
  • Transcription: creates searchable text and may be retained independently of media.
  • AI notes or tasks: create derived content that can appear in participant mailboxes or a recap service.
  • Prompts and responses: can contain sensitive text even when recording and transcription are disabled.

Turn off any capability that is not needed for the stated purpose. Do not enable recording merely because an AI summary is convenient; check the platform’s prerequisites because some recap features require transcription or recording.

Set organizer and administrator permissions

Apply organization-wide policy to the meeting type, then override it only when justified. Restrict who can start recording or transcription, who can use the AI assistant, and who can publish or download the result. In Microsoft Teams, administrators can apply recording and transcription policies; the exact controls and labels vary by tenant and plan. Use role-based groups rather than granting a broad “everyone can record” permission.

Define a second permission boundary for outputs. The person who may start a recording should not automatically be the only person who can delete it, and a participant who can view a recap should not automatically be able to export the transcript. Record these roles in the meeting’s operating procedure.

Restrict attendance and admission

Use a waiting room or lobby for sensitive meetings, verify names before admission, and avoid reusing access codes. Consider multifactor authentication (MFA) for accounts that host or access confidential meetings. A FIDO2 security key is one possible MFA device when the organization and platform support it; it protects account sign-in but does not encrypt stored recordings or replace artifact-level permissions.

For recurring meetings, review the attendee list rather than relying on a permanent link. Disable guest access when it is not required, and assign a co-organizer who can remove an unidentified participant if the host is distracted.

Screen third-party note-takers and integrations

An external bot may join as a visible participant, receive the audio stream, or send text to another service. Ask who operates it, what data it receives, where it is stored, which sub-processors are involved, and how deletion requests work. A bot does not automatically inherit the meeting platform’s lobby, retention, legal-hold, or eDiscovery controls. Admit it only after the organizer has approved those answers and disclosed its presence to attendees.

Notify participants without making a legal overclaim

Tell participants when recording, transcription, or an AI assistant is active, identify the purpose, and explain who can access the output. Follow the law and employment rules that apply to the meeting’s geography, sector, and participants. Consent, notice, employee-monitoring, data-residency, and retention requirements differ by jurisdiction; a platform’s notification banner is not a universal legal solution. If a participant objects, pause and apply the organization’s documented alternative, such as disabling capture or moving the discussion to a non-recorded channel.

During the meeting: limit exposure while data is being created

Monitor the room and unused capabilities

Keep the participant list visible for sensitive sessions. Remove or place unknown attendees in the lobby, and stop screen sharing, chat, file sharing, or reactions when those features are unnecessary. NIST recommends monitoring attendees and limiting unused meeting capabilities because every enabled channel can disclose information.

Use a neutral meeting title and avoid putting secrets in the invite subject, chat, or shared whiteboard. Treat chat messages and uploaded files as potential records even if no audio is captured.

Assume prompts and AI responses may be records

“No recording” does not necessarily mean “no retained data.” Microsoft states that Teams Copilot prompts and responses may be retained under Microsoft Purview policies and may be discoverable through Purview eDiscovery, depending on configuration. A participant can therefore create a retained record by asking the assistant a question, even when transcription and recording are off.

Use prompts that contain the minimum necessary information. Do not paste credentials, full medical histories, unreleased source code, or customer secrets merely to improve a summary. If a prompt must contain sensitive material, use the organization’s approved data-handling process and label the resulting record appropriately.

Validate the generated notes before sharing

AI summaries can omit a qualification, assign an action to the wrong person, or state an inference as fact. Compare decisions, deadlines, and owners with the source discussion before distributing a recap. Correct the document in the system of record, not only in an email copy, and record who approved the final version when the meeting supports regulated or contractual work.

After the meeting: inventory every artifact and its access path

Within the organization’s response window, create an artifact inventory. For each item, record its owner, location, permissions, retention rule, export path, and deletion method.

Artifact Typical access path Security question
Audio or video recording Meeting platform storage, often linked from the recap Who can play, download, share, or delete it?
Transcript Organizer or meeting service storage; sometimes alongside the recording Does its retention timer differ from the media?
AI notes and tasks Recap service, participant mailbox, or shared document Are copies created for every participant?
Prompts and responses AI service compliance store or eDiscovery collection Can they persist when recording is disabled?
AI archive or meeting file Platform-owned storage container Does deleting the transcript also remove the archive?
Exports and shared copies Downloads, email attachments, document drives, ticketing systems Who controls secondary copies and links?

Check calendar attachments, chat threads, personal downloads, backup systems, data-loss-prevention quarantine, and downstream AI tools. A “deleted” status in the meeting interface is not proof that a recipient’s export or a legally held copy has disappeared.

Storage and retention details you must verify by feature

Microsoft Teams Intelligent Recap

Microsoft’s documentation says Intelligent Recap requires transcription and recording to be enabled. When both are enabled, a transcript copy is stored in the organizer’s Exchange Online account and in OneDrive with the recording. In a transcript-only meeting, a transcript copy is stored in the organizer’s Exchange Online account. AI-generated notes and tasks are stored in Exchange folders in meeting participants’ mailboxes.

Microsoft describes these features as following the recording retention policy and inheriting organizational Teams security, compliance, and privacy policies. Microsoft also says the notes and tasks use GPT through Azure OpenAI, that customer data is not logged or used for AI model training or testing for these features, and that customer data is not shared with non-Microsoft parties for them. Those are Microsoft’s statements about this feature; verify the current behavior in the tenant, plan, and administrator settings actually used by your organization.

Teams AI archive

Microsoft separately documents an AI archive stored as a .meeting file in Teams-owned SharePoint Embedded containers. It contains meeting metadata and AI-generated summary content, not raw user data or transcript excerpts. Access is through Microsoft AI features for people invited to the meeting or people given access by sharing the recap.

The archive is a separate lifecycle. Microsoft says it is not automatically deleted when a transcript or recording is deleted or expires. The documented default expiration is five years (1,825 days), customizable by administrators; Microsoft Purview retention takes precedence. Archive generation is described as enabled by default, with administrator and per-meeting controls, but availability and behavior can change. Check the current tenant configuration and test expiration rather than relying on the default.

Teams Copilot without recording

Teams Copilot can be used during a meeting without transcription or recording. In the “Only during the meeting” mode, it does not start by itself; a participant must turn it on. Microsoft says prompts and responses may still be retained under Purview policy and may be discoverable through Purview eDiscovery, depending on configuration. After the meeting, Recap availability depends on transcription or recording being enabled. Add prompts and responses to the artifact inventory even when the meeting has no media file.

Google Meet

Google’s Meet privacy documentation says recordings and other meeting content are stored in Google data centers and encrypted in transit and at rest. It says live-caption audio is temporarily sent to a Google transcription server, is not linked to user identifiers, and is not permanently stored. Google describes shared content and meeting recordings as private to the user and people in the meeting. Confirm the controls, data residency, retention, and AI behavior for the specific Google Workspace plan and feature enabled in your organization; a general privacy statement does not replace a tenant-level review.

Zoom Meetings, Webinar, and Chat

Zoom’s Meetings, Webinar, and Chat Data Retention Standard says cloud recordings are retained while the end-user account is active unless account settings apply automatic deletion. Content for Zoom AI features follows the retention period of the associated Zoom service, with custom periods available for some content. Zoom says it is implementing these timelines and may adjust them; settings, manual deletion, account deletion, and legal or safety exceptions can change actual retention. Verify account-level settings and current terms, then document the resulting dates in the meeting inventory.

Build a retention and deletion test that covers the whole lifecycle

Choose purpose-based periods

Set a retention period for each artifact based on its business purpose and applicable obligations, not on the platform’s longest default. A project action list may have a shorter period than a contract record. Coordinate the schedule with legal hold, eDiscovery, records-management, backup, and incident-response procedures. A hold must preserve required data even when an ordinary timer says it should be deleted.

Run a controlled deletion test

  1. Create a test meeting in the same account tier and policy groups as production.
  2. Enable the exact combination used in practice: recording, transcription, AI notes, tasks, recap, and prompts.
  3. Invite test identities that represent an organizer, participant, guest, administrator, and an external bot if one is approved.
  4. Record every artifact’s identifier and location: media, transcript, notes, tasks, prompts, responses, archive, chat, exports, and shared links.
  5. Apply the documented retention rule or perform an authorized manual deletion.
  6. Check each storage location and identity. Confirm that links fail, downloads are unavailable, mailbox copies are removed, and the archive is handled separately.
  7. Check legal-hold and eDiscovery behavior so you know which items are intentionally preserved.
  8. Record propagation delays, exceptions, and administrator actions, then repeat after a policy change or platform update.

Do not test only the visible recap page. Microsoft’s separate AI archive is an example of why deletion must be verified across artifact types.

How to compare platforms or account configurations

Do not rank a platform from a single privacy promise. Compare the exact AI feature, account tier, administrator policy, and region against these axes:

Axis Questions to answer
Artifacts Does the feature create media, transcripts, notes, tasks, prompts, responses, archives, or participant copies?
Storage and residency Which service, mailbox, drive, or container stores each item, and in what geographic region?
Access Who can start capture, view, edit, download, share, or delete each artifact?
No-recording behavior Can prompts, responses, captions, or derived summaries persist without audio or video?
Retention What are the defaults, configurable periods, expiration triggers, and account-deletion effects?
Deletion and holds Do deletion commands remove every artifact, and how do legal hold and eDiscovery override them?
External processing Does a bot or third-party processor receive the meeting stream or generated text?
Audit and enforcement Can administrators review access, detect sharing, enforce policy, and export an audit trail?

Require written answers for each feature before approving it for confidential meetings. Recheck them after a plan change, administrator-policy change, or vendor documentation update.

Common failure modes and the corrective action

  • “We deleted the recording, so the data is gone.” Inventory transcripts, notes, tasks, archives, prompts, mailbox copies, exports, backups, and legal holds; delete or preserve each according to its rule.
  • “The platform says private, so every output is private.” Inspect sharing permissions and participant mailbox copies for every artifact, not just the recap link.
  • “No recording means no compliance record.” Check AI prompts and responses, captions, chat, and eDiscovery retention.
  • “The bot joined, but it follows our meeting settings.” Treat an external bot as a separate processor until its storage, deletion, and access controls are documented.
  • “The default retention is our policy.” Replace vendor defaults with a documented, purpose-based schedule and test it in the real tenant.
  • “The AI summary is authoritative.” Have an owner verify decisions and action items against the discussion before distribution.

Keep governance aligned with privacy and security operations

Connect meeting controls to the organization’s records schedule, access reviews, incident-response plan, vendor-risk process, and privacy-risk register. Review who can create and share recaps at least as often as other privileged collaboration permissions. Include a procedure for a participant’s objection, a suspected unauthorized download, a lost account, and a vendor or platform change.

NIST’s Privacy Framework is a voluntary tool for managing privacy risk, not a law or certification. Use it to structure governance, but obtain jurisdiction- and sector-specific legal advice for notice, consent, employee monitoring, data residency, and retention decisions.

A concise operating checklist

  • Classify the meeting and justify each capture feature.
  • Disable recording, transcription, recap, and AI tools that are not necessary.
  • Limit who may admit attendees, start capture, invoke AI, share, download, and delete.
  • Use a lobby or waiting room, verify identities, avoid reusable codes, and require MFA where risk warrants it.
  • Disclose capture and approved third-party bots to participants.
  • Monitor attendees and turn off unused chat, sharing, and file features.
  • Keep prompts and generated notes free of unnecessary sensitive details.
  • Inventory every artifact and storage location immediately after the meeting.
  • Apply retention, legal-hold, and eDiscovery rules to each artifact type.
  • Test deletion, including archives, mailbox copies, exports, links, backups, and downstream systems.
  • Recheck vendor documentation and tenant settings after product or policy changes.
