Start with the repository catalog and its collection-level finding aid—not with a presumed full-text search of the letters or notebooks. Search descriptions for the site, expedition, institution, archaeologist, correspondent and date range; then work down the collection hierarchy, verify OCR against page images, and ask archivists about material that is described but not digitized.

What you are actually searching

“Search the archive” can mean several different things. A catalog may describe a collection, a finding aid may list its series and folders, and a digital object may provide an image of one letter or notebook page. These are separate access levels. A description can identify relevant records even when the document’s words are not indexed or the document has no online scan.

That distinction explains why a search for a person’s name can return no hit even when the person’s correspondence is held by the repository. The name may appear only in a folder list, in an unindexed image, in handwriting that optical character recognition (OCR) cannot read, or not at all because the collection description uses a broader phrase such as “correspondence” or “expedition records.”

Access level What it can reveal What it cannot guarantee
Catalog record Collection title, creator, scope, dates, repository and links to further description That every person, letter or page is named or searchable
Finding aid Collection context, provenance, arrangement, series and box/folder or file-unit inventory That each listed item has a digital copy or full text
Digitized object Page images, sometimes OCR or transcribed text, and an item-level identifier That the online view represents the repository’s complete holdings

Use all three levels in sequence. Treat a search result as a lead until you have opened the complete description, inspected the image and recorded where the item sits in the collection.

1. Identify the repositories most likely to hold the material

Begin with the institution connected to the work: the university that sponsored an excavation, the museum that received field notes, the government agency that administered a site, or the organization where an archaeologist worked. Search that institution’s own catalog and archival pages before relying on a general web search. Repository coverage and descriptive practices differ, so an absence from one catalog is not evidence that the records do not exist elsewhere.

Build a repository list from the project’s history

  • Identify the excavation site, expedition name and approximate dates.
  • List the expedition leader, archaeologists, assistants, sponsoring institution and correspondent.
  • Note museums, universities, government offices and professional bodies associated with the project.
  • Search each likely institution for collections, papers, field books, expedition records and correspondence.

The Smithsonian Archives illustrates the kind of institutional coverage you may find: searchable collections, finding aids, expedition records and field books. It is an example of a repository with archaeological material, not a universal directory of all excavation archives.

Use broad web queries only to discover the right catalog

Search engines can help you locate an institution’s catalog or finding-aid system, but the repository’s own records should control your interpretation. Useful literal queries include:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • "[archaeologist name] papers"
  • "[expedition or site name] correspondence"
  • "[institution] field books"
  • "[site] excavation notebooks"
  • "[person surname] letters"
  • "[repository] finding aid"

These formulations help you find possible collections; they do not establish that a collection exists or that it is digitized.

2. Search catalog descriptions before document text

At the catalog stage, search the terms an archivist would use to describe a collection rather than only the sentence you hope to find in a letter. Start with the site or project name, expedition leader, sponsoring institution, archaeologist, correspondent, place and an approximate date range.

Work from several name and topic combinations

  • Project or site name plus papers, records, correspondence, field notes or expedition.
  • Person’s full name plus letters, papers or the institution where the person worked.
  • Institution plus the site, expedition or decade.
  • Place name plus a broader term such as excavation, survey or field book.

Catalog descriptions may describe an entire series or collection and may not name every individual or document. Read the scope and contents note rather than assuming that a missing name means the records are absent.

Record promising results immediately

For every plausible collection, save its title, repository, creator, date span, description level and link or identifier as displayed by the institution. A collection that looks only partly relevant can still contain the correspondence series or field notebooks you need.

3. Open and read the finding aid

A finding aid explains what a collection contains and how its parts relate. Read the collection summary, creator and provenance information, arrangement statement, and series or box/folder inventory before opening individual scans.

What each finding-aid section tells you

  • Creator and provenance: whether the records came from the archaeologist, an expedition office, a sponsoring institution or another source.
  • Scope and contents: the subjects, activities, formats and time span represented.
  • Arrangement: the order used by the repository, such as correspondence followed by field records or reports.
  • Series and inventory: the path to boxes, folders, file units or individual items.
  • Restrictions and access notes: conditions that may affect viewing or requesting material.

Finding aids often reveal relevant records that a document-level search cannot. A folder labeled “correspondence, 1934–1936” may be the correct place even if no correspondent’s name appears in the online catalog.

Follow the hierarchy instead of flattening the results

Archival descriptions are hierarchical. In the National Archives and Records Administration (NARA) model, record groups or collections contain series, which contain file units or items; digital objects can attach at lower levels. The exact labels vary by repository, but the principle is consistent: a hit at a collection level is a doorway, not proof that every component is digitized.

Level Typical question to ask Action
Collection or record group Does this creator or organization hold the project’s records? Read scope, dates and provenance.
Series Which part covers correspondence, field books, reports or photographs? Open the series description and date range.
File unit, box or folder Which container is most likely to include the person, site or event? Note the exact identifier and inventory wording.
Item or digital object Is there an image, transcript or OCR text to inspect? Open the full item record and page viewer.

4. Search names flexibly inside a promising collection

Once you identify a likely collection, search within its hierarchy for names, topics and dates. Use more than one form of every name. The NARA guidance recommends full names in different orders, quoted exact phrases, surnames and variant spellings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a deliberate name-variant set

  1. Search the full name in normal order, such as Jane Mary Smith.
  2. Search the reversed form, such as Smith, Jane Mary.
  3. Search the exact quoted form, such as "Jane Mary Smith".
  4. Search the surname alone.
  5. Test alternate first-name forms, initials, titles and known spelling variants.
  6. Try the person’s employer, expedition role, site or correspondent when the name is not indexed.

Do not rely on one spelling. Names can be abbreviated, transliterated, misspelled in descriptions or omitted from a broad collection-level record.

Combine people, places, subjects and dates

If a surname returns too many results, add the excavation site, expedition, institution or decade. If a full name returns nothing, remove the first name and search the surname with a topic term such as letters, field notes or reports. Search approximate dates as well as exact years because a collection may use a date range for a folder or series.

5. Refine results and inspect the complete record

Use every filter the repository provides, including date, material type, description level, collection or record group and digital-object availability. Filters can separate correspondence from photographs, narrow a long date span and show whether an item has an online object attached.

Open the full description, not only the result snippet

For each candidate result, check:

  • the complete title and description;
  • creator, correspondent or subject fields;
  • date or date range;
  • collection, series, box, folder or file-unit position;
  • digital-object links and the number or sequence of pages;
  • access, use or reproduction notes.

Record the hierarchy before downloading or quoting anything. A page image without its collection and folder context is difficult to cite and easy to misinterpret.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Treat OCR as a discovery aid, not a transcription

OCR can locate digitized pages quickly, but recognition is imperfect. Handwriting is especially difficult, and a failed OCR search does not demonstrate that a name or phrase is absent. Conversely, an OCR hit is not reliable evidence of the exact wording.

Verify every useful hit against the page image

  1. Open the scan page that produced the match.
  2. Read the surrounding lines, not just the highlighted word.
  3. Check names, dates, place names and quotations letter by letter against the image.
  4. Compare adjacent pages when a sentence continues or a page is out of sequence.
  5. Record uncertainty rather than silently correcting an unclear reading.

For typed documents, OCR may be a fast index with occasional character errors. For handwritten letters and field books, use it to identify pages to inspect, then rely on the scan for interpretation.

7. Find material that is described but not online

Online collections represent only a fraction of many repositories’ holdings. A finding aid may identify relevant boxes or folders that have no digital object, or a viewer may omit pages that are restricted, not yet scanned or temporarily unavailable.

Compare the digital view with the finding aid

  • Check whether every listed folder has a digital-object link.
  • Look for gaps in page numbering or date sequences.
  • Compare the viewer’s item title with the finding-aid title and identifier.
  • Note whether the online object is a sample, a partial folder or a complete unit.

Ask reference staff a precise question

Contact the repository when the finding aid points to material that you cannot see, when a scan is incomplete or when the description is ambiguous. Provide the collection or record-group title, series, box/folder or file-unit identifier, relevant dates, names and the exact problem you encountered. Ask whether the material is digitized elsewhere, available by request, restricted, misfiled in the interface or still awaiting digitization.

Reference staff can also clarify repository-specific terminology and suggest related collections. Their answer should become part of your research notes, with the date of the exchange and the staff member or reference desk identified according to the repository’s citation policy.

8. Preserve provenance as you work

Copy the identifying information at the moment you find an item. At minimum, retain the repository, collection or record group, series, item or file-unit identifier, dates and box/folder data when supplied. Keep the repository’s preferred citation format rather than inventing a shorter one.

A practical note-taking record

Field What to enter
Repository The institution that holds or describes the record
Collection or record group Exact title and identifier
Series Series title and number, if provided
Item or file unit Folder, box, file-unit or item identifier
Date Document date or repository date range, clearly labeled
Digital object Viewer link or object identifier as displayed by the repository

Archaeology-specific search tactics

Field books and notebooks

Search both the person and the activity: an archaeologist’s name, the expedition, the site, “field books,” “field notes,” “diaries,” “journal” and the excavation years. A repository may group notebooks by creator or expedition rather than by site name. Once you find a field-book series, inspect neighboring folders and date ranges; related daily notes, maps or reports may be arranged together.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Expedition correspondence

Correspondence can be filed under the expedition office, sponsoring institution or recipient rather than the sender you know. Search the project name, institutional sponsor, expedition leader and broad date range. Within a correspondence series, test both correspondents’ surnames and inspect folders whose descriptions use only “general correspondence.”

Excavation reports and administrative records

Reports may appear in a series for the institution, government agency or museum rather than in an individual’s papers. Add terms such as “annual report,” “site report,” “survey,” “permit” or “administration” when those activities fit the project. Confirm the exact scope in the finding aid before treating a nearby title as the document you need.

How to compare repositories and catalogs

When several institutions might hold related material, compare their search systems on the dimensions that affect discoverability—not simply on which interface looks easiest.

Comparison axis Questions to ask
Search coverage Does the search index collection descriptions, item descriptions, OCR, or only finding aids?
Description level Are series, boxes, folders or individual items listed?
Digital access Are digitized objects linked and viewable from the record?
Online proportion Does the repository explain how much of its holdings is online?
Filters Can you filter by date, material type, collection and location?
Help and citation What citation format, access rules and reference assistance does it provide?

Apply these questions to each institution’s own catalog. A strong OCR search in one repository does not imply that another repository indexes handwritten pages the same way.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What NARA’s statistics do—and do not—tell you

NARA states that more than 95% of its holdings are described at the series level. That figure concerns description, not digitization or item-level discoverability. You should therefore expect to navigate from a series description to lower-level records rather than assume that every document has an individual searchable record.

NARA’s 2022–2026 strategic plan commits to making 500 million pages available through its Catalog by September 30, 2026. The digitization page carrying that commitment was last reviewed October 8, 2024; the commitment should not be presented as a verified completion total. Use the current Catalog and item records for the status of a particular document.

Troubleshooting common dead ends

“No results” for a full name

  • Search the surname alone and reverse the name order.
  • Try initials, alternate first-name forms and spelling variants.
  • Search the institution, expedition or site instead of the person.
  • Open likely collection-level records and read the finding aid.

A catalog hit has no scan

  • Follow the series and box/folder hierarchy.
  • Check whether the finding aid lists a lower-level digital object.
  • Ask reference staff whether the material is nondigitized, restricted or available through another view.

OCR returns a strange name or quotation

  • Open the page image and compare every character.
  • Read neighboring pages and the surrounding paragraph.
  • Quote only what the image supports, marking uncertain readings.

The online collection appears incomplete

  • Compare the viewer with the finding aid’s inventory.
  • Look for missing folders, dates or page sequences.
  • Contact the repository with exact identifiers and dates.

A repeatable checklist

  1. List the site, expedition, people, institutions and approximate dates.
  2. Identify repositories connected to that history.
  3. Search each repository’s catalog for collection-level descriptions.
  4. Open the finding aid and read scope, provenance, arrangement and inventory.
  5. Follow the hierarchy to the relevant series, box, folder or file unit.
  6. Search names in both orders, exact phrases, surname-only and variant forms.
  7. Apply date, material-type, collection, description-level and digital-object filters.
  8. Open the complete item description and inspect the page image.
  9. Use OCR only to locate pages; verify names and quotations against scans.
  10. Compare online objects with the finding aid and ask reference staff about gaps.
  11. Save repository, collection, series, item, date and box/folder details using the stated citation policy.

This sequence prevents the most common error in archival searching: treating a convenient search box as if it represented the entire collection.
