Use the built-in Notes app when you want to keep a scan with your notes and find its text inside Notes. Use Preview when you want to assemble and manage a PDF directly. Both apps can capture multiple pages and produce a PDF, but Apple’s documentation does not establish that every PDF exported from either app contains a portable OCR text layer that will be searchable in every other PDF reader. If cross-app searching matters, verify the actual saved file in the reader your recipients will use.
Choose the right iPhone workflow first
Your destination determines the best built-in tool. Notes is the straightforward choice for a receipt, form, letter, or packet that you want to keep alongside related notes and search while working in Notes. Preview is better when the deliverable is a PDF that you intend to organize, edit, combine, or save from Preview itself.

Neither workflow requires a dedicated scanner, stand, tripod, or paid OCR application for the documented job. The camera, Notes, and Preview are the tools described for scanning to PDF and searching scans within Notes.

A scanned page starts as a camera image. A genuinely searchable PDF normally has machine-readable text associated with that image, so a reader can locate words rather than only display a picture. Apple documents that Notes can search text in scanned documents and that its search can include PDFs and other attachments. That establishes useful search behavior inside Notes.

It does not establish a universal promise about every file saved or shared from Notes or Preview. A PDF may open correctly in another app while still behaving as an image there, or its text recognition may not be exposed in the same way. Treat “searchable” as a requirement to verify, not as an automatic property you should assume from the word “PDF.”
When Notes search is enough
If you will continue finding the document from Notes, the documented Notes search feature may meet your need. Search for a distinctive word from the scan and enable the option to include attachments when that control is available. This is especially practical for a collection of scanned documents stored in notes.
When you need portability
If a client, records system, or colleague must search the file in a different PDF reader, test the exact saved or shared file in that reader. Use a distinctive word that is clearly visible on the page, search for it, and confirm that the result points to the scanned page. Do this after any export, save, or share operation that changes the file.
Scan a document to PDF with Notes
Notes can capture a single sheet or a multi-page document in one scanning session. It detects page boundaries automatically by default, while manual capture gives you control over the shutter.

- Open Notes. Create a new note or open the note where the document belongs.
- Open the attachment controls. Tap Attachments, then choose Scan Documents.
- Frame the page. Hold the iPhone over the document so all edges are visible. Keep the phone as parallel to the page as practical and avoid covering the sheet with your hand or casting a strong shadow.
- Let automatic capture work, or switch to manual capture. Notes can capture when it detects the page boundaries. For a manual shot, turn off automatic capture and tap the shutter when the page is framed.
- Review the thumbnail immediately. Inspect the page before moving on. Use the available flash and filter controls when lighting or paper color makes the first image hard to read.
- Correct the page shape. Adjust the detected corners so the crop includes the complete page and excludes the table or floor around it. Keep the scan when the text and edges are clear; retake it when they are not.
- Capture every remaining page. Continue the same process for the rest of the packet. Keep pages in order and check each thumbnail rather than waiting until the end to discover a missing or upside-down sheet.
- Finish the scan. Tap Done after the final page. Notes saves the document as a PDF in the note.
Getting cleaner Notes scans
- Use an evenly lit, flat surface and move glare-producing lights away from glossy pages.
- Keep the entire page inside the camera view before capture; boundary detection cannot recover an edge that was outside the frame.
- Pause briefly between pages so the thumbnail represents the page you just placed down.
- Use the thumbnail review as a quality gate: a blurry or clipped page is faster to replace immediately than to find and rescan later.
Scan and assemble a PDF with Preview
Preview provides a PDF-centered alternative. It captures pages, lets you adjust them from thumbnails, and creates a PDF. Apple’s Preview overview also describes combining pages into a single PDF that can be saved and edited.
- Open Preview. Start the scan from Preview’s document view by tapping Scan Documents.
- Position the iPhone over the page. Keep the full sheet visible and allow Preview to detect its boundaries.
- Choose automatic or manual capture. Preview captures automatically by default. To control the shutter yourself, tap Auto so it changes to Manual, then tap the shutter for each page.
- Review the page thumbnail. Check that text is legible and the entire page is present before continuing.
- Adjust the page if necessary. Use the thumbnail controls to correct the crop, rotate the page, or change its coloring. These controls are useful when a page is sideways, tightly cropped, or difficult to read against its original background.
- Repeat for the complete document. Capture each page and check the order as you go.
- Tap Done. Preview creates the scanned PDF. Use Preview’s save or share controls to place the file where you need it, then verify it in the target reader if portable search is a requirement.
Why choose Preview instead of Notes?
Preview keeps the task centered on a PDF rather than on a note. That makes it the more natural path when page order, rotation, coloring, combining, saving, and later PDF editing are the main concerns. Notes remains more convenient when the scan is evidence or an attachment for a note and you want Notes search around it.
Check the scan before you send or archive it
A PDF that opens is not necessarily a complete or useful scan. Perform a short inspection while the original paper is still available.

- Page count: Confirm that every sheet is present, including backs, inserts, and signature pages.
- Order: Check that pages follow the original sequence.
- Edges and corners: Make sure no headings, totals, signatures, or page numbers were clipped by the crop.
- Orientation: Rotate sideways or upside-down pages before sharing.
- Legibility: Zoom in on small print, faint handwriting, and dense tables. Retake a page that is blurred or obscured by glare.
- Color: Compare the scan with the original when colored marks, stamps, or highlighting carry meaning. A filter that improves contrast can also remove distinctions you need to preserve.
- Search behavior: If the file must be searchable outside Notes, open the saved or shared copy in the intended PDF reader and search for a word you can see on the page.
How to verify that a PDF is searchable
Verification inside Notes
Search from Notes for a distinctive term printed on the scanned page. Where the search interface offers it, include attachments so PDFs and other attached files are considered. A result that identifies the scanned document confirms that Notes can find text in that scan within Notes.

Verification in another PDF reader
Use the actual file you plan to deliver, not merely the scan still embedded in the note. Open it in the recipient’s PDF application and use that application’s text-search command. Search for two or three words from different parts of the page. If the reader finds nothing despite clearly legible printed text, treat the file as image-only for that workflow and do not promise portable searchability.
This check matters because the Apple guidance for Notes and Preview describes scanning, PDF creation, and Notes search, but does not establish universal OCR-text-layer behavior after export. The result can depend on the app, the saved copy, and the reader used to open it.
Fix common scanning problems
Automatic capture triggers too soon
Move the phone farther from the page or reposition it until the full sheet is visible. If automatic timing remains inconvenient, switch to manual capture and press the shutter only when the page is stable.

The page is cropped incorrectly
Open the page thumbnail and correct its corners. Include the complete document, not just the text block. Retake the scan if corner adjustment cannot restore an edge that was outside the camera frame.

A page is blurry or has glare
Rescan on a flat surface with more even light. Avoid a bright lamp reflected directly from glossy paper, hold the iPhone steady, and inspect the new thumbnail before proceeding.
Pages are out of order
Use the thumbnails to identify the misplaced page and capture it again in the correct sequence. For a long packet, pause after each capture and compare the thumbnail with the page number before turning to the next sheet.
A page is sideways or the color is wrong
In Preview, use the thumbnail controls to rotate or change coloring. In Notes, use the available scan adjustments before keeping the page. Recheck signatures, stamps, and highlighted text after any color change.
The PDF is present but another app cannot find words
First test the file in Notes, where Apple documents scanned-text search. Then test the exact exported or shared copy in the other app. If the second app still finds no text, the available documentation does not provide a universal fix or guarantee; you will need a workflow that explicitly creates OCR text for that target system, rather than assuming that changing the scan’s crop or filename will add it.

The scan is missing a page
Compare the PDF with the paper original page by page. Return to the scanning workflow, capture the missing sheet, and inspect its thumbnail before finishing. Do not rely on the final page count alone if the original contains unnumbered inserts.

How to preserve a reliable archive
Keep the original paper until you have checked the PDF’s page count, readability, orientation, and required search behavior. Name or organize the file according to the system where it will live, but do not confuse a descriptive filename with searchable content: a filename helps you locate the file, while text search depends on what the app and PDF reader can recognize.
For multi-page records, review the thumbnails in sequence before filing the document. If you share a copy, verify that copy rather than the version still stored in Notes or Preview. This catches problems introduced during saving or sharing and avoids sending a file that looks complete on your iPhone but fails the recipient’s search requirement.
iOS versions and changing labels
Apple’s Notes scanning instructions are documented in an iOS 26 guide. The Preview scanning and PDF overview material includes a versioned iOS 27 overview. Apple can change labels, icon locations, and feature availability between iOS releases, so a device may show slightly different wording or controls. If you cannot find a label exactly as written, look for the same function—attachments and document scanning in Notes, or document scanning and the Auto/Manual capture control in Preview—within the current app interface.
What you do and do not need
- Required for this workflow: an iPhone with the built-in Notes or Preview app and the paper document you want to capture.
- Not established as necessary: a dedicated document scanner, phone stand, tripod, paid OCR application, or separate PDF subscription.
- Useful but optional: a flat, well-lit surface and enough time to inspect every thumbnail before finishing.
The built-in workflows cover camera capture, multi-page assembly, page correction, PDF creation, and—inside Notes—searching text in scanned documents. Add another tool only when your destination system has a requirement these documented workflows do not meet, such as a confirmed portable OCR text layer or large-scale document management.
