To scan a document with an all-in-one printer, place the page on the flatbed glass or in the automatic document feeder (ADF), select the printer’s scanner in your computer or mobile app, choose the matching input source, set the file type and destination, and start the scan. Review the resulting file for correct orientation, cropping, legibility, and page count.
The labels and available features differ by printer model, scanning app, and operating system. The procedure below gives a reliable default workflow, then explains Windows, manufacturer apps, multipage PDFs, two-sided originals, and common failures.
Before you scan
Have these items ready:
- An all-in-one printer with its scanner powered on.
- A supported connection between the printer and your computer or mobile device, such as the connection already configured for printing.
- The printer installed and selected in the scanning application.
- The original document, with staples, clips, and sticky notes removed if it will pass through an ADF.
- A destination folder and a filename that will still make sense later.
If the printer is connected but does not appear in the scan application, treat that as a setup problem first. Check power, the connection, installation, and which scanner is selected before changing scan settings.

Choose the right place for the original
Use the flatbed for one page or delicate material
Lift the scanner lid, place the original face down on the glass, and align its edge with the printed corner or guide mark. This is the safer choice for a single sheet, a page from a book, a photograph, a receipt, or anything that should not be pulled through rollers. Microsoft’s Windows guidance also specifies face-down placement on the flatbed; its general instructions say to consult the scanner documentation for the feeder orientation. Microsoft’s scanner instructions explain the basic placement and selection steps.

Use the ADF for a stack of loose pages
If your printer has an automatic document feeder, fan the stack, square the edges, and load it within the feeder’s marked guides. Use the orientation icon printed on the feeder or the model’s manual rather than assuming whether the first page should face up or down. Keep the stack within the feeder’s capacity and remove folded, torn, unusually thick, or delicate items that could jam or be damaged.
An ADF is convenient for several separate sheets, but it does not automatically mean the printer can scan both sides. Duplex capability depends on the exact hardware and the scanning software, as described below.
Default workflow: scan one document
- Turn on and connect the printer. Confirm that it is awake, connected to the computer or mobile device, and installed in the operating system or printer app.
- Load the original. Put one page face down on the flatbed alignment mark, or load a stack into the ADF using the printed orientation guide.
- Open a scan application. Use the printer maker’s app, or an operating-system scanning app such as Windows Scan where supported.
- Select the scanner. Choose the intended all-in-one printer. In Windows, a multifunction printer’s scanner may be listed under the printer’s name rather than as a separate scanner.
- Select the input source. Choose Flatbed, ADF, Document feeder, or Automatic according to where you loaded the original. If the source is wrong, the app may wait for paper, scan a blank area, or crop the page unexpectedly.
- Set the document options. Select a document or photo preset, paper size, color mode, and any other controls offered by that particular app. Available controls differ by device and software.
- Choose the file type and destination. PDF is normally the useful choice for a document; an image format may be better for a photograph. Select a folder and enter a recognizable filename before scanning if the app allows it.
- Start the scan. Keep the lid closed and do not pull pages from the ADF while its rollers are moving.
- Inspect the result. Open the saved file and check that every page is present, text is legible, the page is upright, and no edge has been clipped. Rescan after correcting placement or settings if anything is wrong.
Windows Scan lets you select a scanner, source, file type, and save location before scanning. If no different folder is selected, Microsoft documents a default PicturesScans location on Windows. See Microsoft’s current Windows path and labels, because wording can change with Windows updates.
Windows Scan: exact sequence
On a Windows computer, Microsoft’s documented route is:
- Open Windows Scan from the Start menu. Install it first if it is not present and your Windows setup offers it through Microsoft’s app distribution.
- Use the scanner selector to choose the all-in-one printer. A multifunction device can appear as a printer even though you are using its scanner.
- Set Source to the flatbed or feeder that contains the original. Choose an automatic source only when you are confident the device and app can detect it correctly.
- Choose the available file type and destination folder. Give the file a descriptive name when the interface provides a name field.
- Start the scan and open the saved result to verify it.
The exact options shown depend on the driver and scanner. If Windows Scan exposes fewer controls than the printer maker’s app, use the manufacturer’s software for source-specific settings or multipage workflows.

Manufacturer software and model-specific differences
HP printers
On supported setups, HP’s current app workflow starts by selecting the printer, opening the scan tile, choosing the glass or ADF, adjusting available settings, scanning, and saving. HP identifies controls such as paper size, resolution, color, and input source, but the controls shown vary by printer and operating system. HP’s scan instructions show the current labels and sequence.
HP says its HP app replaces HP Smart where the newer app is available. Rollout is not identical for every setup, so HP Smart remains a supported route where the HP app has not yet been provided. Use whichever application the printer’s support page and operating system identify for your model.
Canon printers
Canon’s IJ Scan Utility documentation describes scanning multiple documents from an ADF on the covered Windows configuration. That capability is model- and software-specific: install the utility intended for your printer, select the ADF workflow, and verify whether the resulting output is a single document or separate files. Canon’s IJ Scan Utility instructions provide the supported Windows procedure.
Brother printers
Brother documents a workflow for saving a multipage document as one file when a compatible file type is selected. Its support guidance also describes continuous scanning for flatbed workflows or jobs that exceed the ADF’s capacity on covered setups. The option may not appear on every model or driver, so check the controls presented by your installed software. Brother’s multipage scanning instructions show how the file type and additional-page controls work.
macOS
There is no single set of current macOS menus that applies to every all-in-one printer. Open the scan app supplied for the printer, or the macOS scanning interface exposed by the installed driver, then confirm the exact printer model and macOS version in its instructions. Verify the source, file type, destination, and multipage controls before starting a large job; menu names and available options differ among brands and versions.

Settings that affect the result
Use the simplest settings that meet the purpose of the scan. The names and ranges below are concepts, not a promise that every printer exposes each control.
| Setting | Choose it for | What to check |
|---|---|---|
| Input source | Flatbed, ADF, or automatic selection | It must match where the original is loaded. A mismatch can produce a blank scan or cause the app to wait for a feeder. |
| Paper size | The original’s actual size | Incorrect size can crop edges or add excessive white space. Preview when available. |
| Color mode | Color for colored content; grayscale or black-and-white for suitable text-only pages | Color preserves stamps, signatures, and highlights; monochrome may reduce file size but can lose detail. |
| Resolution | The level of detail needed for reading, filing, or image reproduction | Higher resolution creates larger files and longer scans. Use the document preset unless a specific need requires adjustment. |
| File type | PDF for a document intended to stay together; an image format for an individual picture | A multipage PDF requires a file type and workflow that support adding pages. |
| Destination and filename | A folder you can find and a name that identifies the contents | Confirm the folder before scanning, or note the app’s default location. |
Do not assume that a setting shown in one app exists in another. HP, for example, documents paper size, resolution, color, and source controls on supported configurations, while an operating-system app may expose a different subset.
How to scan multiple pages into one PDF
To create one document instead of a collection of unrelated image files, both the application workflow and selected file type must support additional pages. A single-page scan command repeated several times may save each page separately even when the printer itself can feed a stack.
Using an ADF
- Load the complete stack in the ADF, respecting the feeder’s orientation and capacity marks.
- Open the printer’s scan app and select the ADF as the source.
- Choose PDF, or another format the software explicitly identifies as multipage-capable.
- Start the scan and watch for a page-count, additional-pages, or finish prompt.
- When the feeder is empty, choose the command that completes the document rather than starting a new file.
- Save and open the PDF. Check that the order, orientation, and page count are correct.
Canon documents ADF multiple-document scanning in IJ Scan Utility for the covered Windows setup. Brother likewise explains that the selected file type must support a multipage document. Those instructions apply to the specified model and software combinations, not automatically to every printer.
Adding pages from the flatbed
For a book, fragile original, or stack larger than the feeder allows, choose a flatbed workflow with an Add page, Continue scanning, or equivalent command. Scan the first page, place the next page when prompted, and continue until all pages are captured; then choose Finish or the command that saves the combined file. Brother documents continuous scanning options for flatbed jobs and for workflows beyond ADF capacity on covered setups. If your app has no additional-page control, scan the pages separately and use a document-combining function only if your software provides one.

Preventing separate files
If every page is saved separately, stop and check three things: the file type is PDF or another format identified as multipage, the source workflow offers additional pages, and you are finishing the same scan session rather than starting a new one for each sheet. Changing only the filename will not combine files.
Can an all-in-one printer scan both sides at once?
Only some models can. Two-sided scanning depends on the ADF’s hardware and the scanning application. A printer may have an ADF that feeds pages but still require a manual two-pass process, while a model with duplex hardware may capture both sides automatically. Do not infer duplex scanning from the presence of an ADF alone.
Automatic duplex scanning
If the app offers Duplex, Two-sided, or a similar source mode, select it, load the stack as directed, and confirm the preview or final PDF includes both sides in the intended order. The exact label and whether the feature is single-pass depend on the printer and driver.
Manual two-pass scanning
Some supported workflows scan one side, instruct you to turn the stack over, and then scan the reverse side. Follow the on-screen order precisely and keep the pages aligned. After the second pass, inspect the PDF because software may need to sort or interleave the pages. HP documents a two-sided workflow in its support guidance, including cases where pages must be turned manually. Review HP’s two-sided instructions for the applicable setup.

Troubleshooting common scan problems
The printer or scanner is missing
- Make sure the printer is powered on and not displaying a paper, cover, or connection error.
- Check the cable or network connection used by the computer or mobile device.
- Confirm the printer is installed and selected in the scan app. Windows may list the scanner under the multifunction printer’s name.
- Close and reopen the scan app after reconnecting the device.
- If several scanners are installed, explicitly choose the all-in-one printer rather than leaving an unintended device selected.
Microsoft’s Windows procedure begins with checking power and selecting the desired scanner; follow that same order before changing document settings. Microsoft’s troubleshooting-oriented setup steps are the appropriate reference for Windows labels.
The scan is blank
- For the flatbed, place the page face down against the alignment mark and close the lid.
- For the ADF, check that pages are loaded in the orientation shown on the feeder.
- Make sure the selected source matches the physical location of the original.
- Look for a protective sheet, open lid, or feeder obstruction.
- Preview or rescan after correcting the placement.
The page is cut off or has too much white space
- Align the page with the flatbed’s corner guide.
- Choose the correct paper size rather than a smaller preset.
- Check whether automatic cropping is enabled and whether it is detecting the page edge correctly.
- Use the app’s preview, if available, before committing a large batch.
HP identifies input source and paper size as controls that can affect this result on supported setups. Use HP’s settings guidance when those are the controls shown by your app.
Pages are out of order
For an ADF job, stop the scan if a page feeds incorrectly and reload the stack in the orientation specified by the printer. For manual two-sided jobs, keep the stack aligned when turning it and inspect the final file for front/back interleaving. If the software does not sort a two-pass job, you may need to reorder pages in a document editor that supports PDF page organization.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Each page becomes a separate file
Select PDF or another explicitly multipage-capable type, then use the app’s add-page or continuous-scan workflow. Brother’s support guidance specifically ties a single combined file to choosing a compatible format and using the appropriate multipage process. See Brother’s explanation of the required file type and workflow.
The scan is hard to read
- Clean visible dust from the flatbed glass with a suitable lint-free cloth and allow it to dry before scanning.
- Use a document preset and select color or grayscale according to the original.
- Increase resolution only when the text or fine detail requires it; larger settings produce larger files and slower scans.
- Check that the original itself is not faint, folded, or printed on a low-contrast background.
The ADF jams or skips pages
- Remove clips, staples, adhesive notes, and damaged sheets.
- Square the stack and set the feeder guides against it without squeezing the pages.
- Keep the stack within the marked capacity.
- Scan delicate or irregular originals one at a time on the flatbed.
How to name and store scanned files
Use a name that identifies the document without opening it, such as 2026-10-16_Insurance-Claim_Page-Set.pdf or Invoice_1842.pdf. Keep the name consistent for a batch, then verify that the application saved the file where you expect. If Windows Scan uses its default and you did not choose another folder, Microsoft documents the Pictures/Scans location. Move or back up important scans after checking them.
Open the saved file immediately after a job. Confirm the page count, readability, orientation, margins, and whether signatures, stamps, or colored marks survived. This check is faster than discovering a missing page after the original has been returned or discarded.
