Save more than a screenshot. The strongest record combines an uncropped capture of the complete listing (including the address bar and fine print), a PDF of the page, the exact URL and vehicle identifier, a date and time with time zone, and a written, itemized out-the-door quote for that vehicle. Keep the original files unchanged, log every later change, and compare the listing with the quote and final buyer’s order.
This workflow preserves evidence if a dealer changes a price, adds a mandatory fee, conditions a discount on financing, or presents an add-on as required. It also gives a regulator or attorney a chronological packet instead of an isolated image.
What to capture before the listing changes
Start while the vehicle page is still available. Record the complete web address, the dealer’s legal or trading name, location, stock number or VIN, and the capture date and time with your time zone. Note the displayed price, mileage, new or used condition, rebates, financing conditions, add-ons, availability language, and every disclosure or footnote.

Capture a listing on a computer or phone
Desktop browser
- Open the exact vehicle page, not only the dealer’s inventory search.
- Wait for images, price widgets and financing disclosures to finish loading. Scroll through the entire page once so lazy-loaded text and images appear.
- Take an initial screenshot that includes the address bar and the vehicle heading. Then take additional, overlapping captures of the price, disclosures, equipment and availability sections. Do not crop the originals.
- Use the browser’s print command and choose “Save as PDF” (or the equivalent PDF printer). Save the full page, including the URL or page header if the browser offers that option.
- Open every fee, rebate or financing disclosure and repeat the capture for the expanded text. If a calculator or form changes the price, save each state that affects the amount.
Mobile browser
- Capture the page header with the address visible, then make separate, overlapping screenshots as you scroll.
- Use the browser’s share or print menu to create a PDF when available. If mobile PDF output omits the URL, save a second image of the address bar.
- Transfer the originals to a computer or read-only storage without editing them. Keep the phone’s original files as well.
When the page is interactive
Record each action that reveals a condition: selecting a financing term, choosing a trade-in, entering a ZIP code, opening “dealer fees,” or accepting a location prompt. Save a screenshot before and after the action, and write a short note describing what changed. A page that displays one amount until a financing option is selected should be documented in both states.
Preserve originals and create a change log
Make a read-only folder for the evidence. Store the untouched screenshots, PDFs, downloaded emails and exported chats there. Create a separate working copy for highlights or annotations; never draw on or crop the original.
Use a consistent file name such as 2026-10-18T1432-0400_dealer-stock12345-price.png and 2026-10-18T1432-0400_dealer-stock12345-page.pdf. Keep a simple log with:

- capture date, time and time zone;
- full URL;
- vehicle identifier;
- what changed since the previous capture; and
- the exact file name holding the evidence.
Capture the page again whenever the price, mileage, availability, rebate, financing condition or fee wording changes. If a listing disappears, your earlier PDF, screenshots and change log show what was published before removal.
Ask for an itemized out-the-door price in writing
The best pre-visit evidence is a written quote for the exact vehicle identified by stock number or VIN. Ask the dealer to list the selling price, every dealer-required fee, taxes, title and registration, financing prerequisites, trade-in assumptions and optional products separately.
Send the request by email or text so the response is preserved. A practical message is:

Please provide the complete out-the-door price for stock number [identifier] (VIN [VIN]), including the selling price, every dealer-required fee, taxes, title and registration. Please show any financing or rebate condition, trade-in assumption and optional product on separate lines, and identify which items are optional. Please confirm the vehicle is available at this price today.

Keep the sent message, the response, attachments and any follow-up. An itemized quote lets you compare offers on the same basis, reject unwanted add-ons and identify a last-minute charge before you travel to the dealership.
Understand which amounts belong in the advertised price
Federal Trade Commission automobile-pricing guidance says an advertised price must be the actual price a consumer can walk in and pay. A dealer-required fee is part of that price. Government charges that the consumer must pay directly, such as certain taxes, title or registration amounts, may be treated differently, depending on the jurisdiction and how the charge is collected.
The FTC’s example is straightforward: if a vehicle is advertised at $40,000 and the dealer requires an $85 document fee, the advertised price should be $40,085. A footnote that reveals the mandatory fee only after the consumer asks does not make the headline price the amount any consumer can pay.
Do not assume that a rebate or financing discount applies to everyone. Preserve the eligibility language and ask the dealer to state the price without the rebate, the price with it, and every prerequisite (such as a particular lender or term). Keep descriptions of dealer-installed products that are presented as required; compare them with the written quote and buyer’s order.
Save texts, emails, chats and call notes
The FTC treats dealer websites, third-party listings, social posts, phone calls and texts as price representations. Preserve evidence from all of those channels, not only the dealer’s own page.

- Email: download the original message or print it to PDF with headers, and retain attachments.
- Text messages: export the conversation if your device supports it; otherwise make sequential screenshots that show the contact, dates and times.
- Web chat: save the transcript and screenshots showing the chat address or dealer identity.
- Phone calls: immediately write the date, time, number, speaker and exact words you remember. Send a confirming email: “To confirm our call at [time], you said …”
Call-recording consent rules differ by state. Check the law that applies before recording; a contemporaneous note and confirmation email avoid relying on an unlawful recording.
Compare the listing, quote and buyer’s order line by line
Put documents in chronological order: the first listing capture, later captures, the written quote and the final buyer’s order. Use the same stock number or VIN so a price for a different vehicle is not mistaken for a change.

Write a neutral discrepancy note, for example: “At 14:32 UTC on October 18, the page showed $28,995 for stock 12345. The October 19 quote added a $995 dealer fee described as required; no such fee appears in the saved page.” Avoid editing the original files to add that explanation; put it in the change log or a separate memo.

What to do when the dealer changes or removes the price
- Preserve the earlier listing, PDF, URL, communications and change log before contacting the dealer.
- Ask for an itemized explanation and a corrected buyer’s order for the vehicle identified by stock number or VIN.
- Compare the explanation with the saved disclosures. Identify whether the difference is a mandatory dealer fee, a financing or rebate condition, an optional add-on, a tax/title/registration charge or a different vehicle.
- Keep the dealer’s response, including a refusal to provide a written quote.
- If the discrepancy remains, report suspected deceptive conduct to the Federal Trade Commission through ReportFraud.gov and contact the appropriate state or local consumer-protection agency. Procedures, document-fee caps, deadlines and private remedies vary by jurisdiction.
For a used vehicle, retain the FTC Buyer’s Guide supplied with the car. The FTC says an online used-car buyer is entitled to receive it. Keep it with the final buyer’s order and payment records.
Federal enforcement context
The FTC announced warning letters to 97 auto dealership groups in 2026 about advertised prices that must include mandatory fees. In a separate 2022 matter, the agency reported a $3.3 million refund settlement involving allegations that a dealer advertised one price and charged more through additional fees and charges. These actions do not decide a particular state-law dispute, but they show why the original advertisement, written quote and final order should be preserved together.

The price appears only after scrolling or clicking

The dealer page times out or shows a bot check

The PDF is missing sections
Print after all accordions and tabs have been opened. If the browser’s PDF omits dynamic content, save overlapping screenshots and use a capture tool that supports full-page loading, a wait condition or custom JavaScript.

Do not discard either document. Mark the exact line that changed, ask whether it is mandatory, and request a corrected itemized quote. Compare the answer with the listing’s fine print and the final buyer’s order.
Limits and jurisdiction-specific issues
Federal guidance does not answer every state question. Document-fee caps, required wording, call-recording consent, complaint procedures, limitation periods and private remedies vary. Preserve the evidence first, then check the applicable state agency or consult a licensed attorney for a specific dispute. No screenshot by itself guarantees a legal result; authenticity, completeness and the surrounding communications matter.

Is a screenshot by itself proof that the dealer must honor the price?
Not necessarily. Its weight depends on jurisdiction and the surrounding facts. Keep the original file, URL, timestamp, vehicle identifier, disclosures, written quote and buyer’s order so the complete representation can be evaluated.
How long should I keep the evidence?
Keep it through the purchase, any complaint or negotiation, and the applicable legal deadline for your jurisdiction. Because deadlines differ, ask the relevant state agency or a licensed attorney about a specific dispute.
What if the dealer says the online price was a mistake?
Preserve the original listing and request an itemized written explanation for the exact vehicle. Whether a correction, contract or remedy is required depends on the facts and applicable state law.
