Use AI to organize clues, not to decide whether an email is safe. Do not click its links, open its attachments, reply, or use contact details inside the message. Verify the sender through a website, phone number, or person you already trust, then report the message through your mail provider or organization. Only submit message content to an AI service after checking whether it contains confidential information and whether that service’s data policy permits it.
The safe sequence for a suspicious email
When a message feels wrong, treat it as untrusted until an independent check says otherwise. The order matters because opening a link or attachment can create risk before an AI tool has a chance to analyze anything.
- Stop interacting with the message. Do not click links, download attachments, reply, or call a number supplied in the email. The Federal Trade Commission (FTC) warns that unexpected messages can use links or attachments to request personal information or deliver malware. Its consumer guidance is direct: “Don’t click on links or download attachments in these messages.” FTC consumer guidance, December 2024.
- Preserve the message as evidence. Leave it in the mailbox, or use your provider’s report function if you can do so without opening a link or file. Do not forward it as your only reporting step when your organization has a dedicated security-reporting route.
- Verify independently. If the email claims to be from a company, colleague, bank, or service, use a phone number, website, or separate conversation that you already know is genuine. Never use contact information supplied by the suspicious email. The FTC recommends this separate-channel check.
- Decide whether AI review is appropriate. Remove unnecessary personal or confidential material, and check your employer’s policy and the AI provider’s current privacy terms before pasting anything. A general-purpose chatbot is not automatically approved to receive business mail.
- Treat the AI response as a hypothesis. Ask it to identify evidence and uncertainty. Do not treat a confident “safe” or “phishing” label as proof.
- Report through the correct channel. Use your mail provider’s built-in reporting control or your organization’s security process. In Microsoft 365 environments, Outlook reporting and the Defender Submissions page are documented routes.
Why caution is justified
Phishing is designed to look ordinary enough that a hurried recipient acts before checking. The FTC reported that email was the top method scammers used to contact people in 2024 in its April 2025 alert, “Protect yourself from phishing scams”. That statistic does not make every unexpected email malicious, but it explains why an unfamiliar request deserves a pause.
The dangerous action is often not reading the text. It is following the message’s instructions: visiting a login page, sending information, opening a document, or calling a number. AI analysis should therefore happen after the message has been isolated, not as a reason to interact with it.

What to do before giving an email to an AI tool
Keep links and attachments inert
Copying visible text is safer than opening the message’s destinations, but copying is not a guarantee of safety. Do not click a URL to see where it goes, download a file “just to let the AI inspect it,” enable macros, or preview an attachment in an unfamiliar application. If your mail client automatically loads remote content, avoid interacting with the message while you decide how to report it.
An AI tool can examine the wording you provide without proving that a destination is safe. A link can lead to one page today and another page later, and a clean-looking message can still be part of an account-compromise attempt. Keep the investigation focused on the message’s evidence and verify the claimed sender separately.
Confirm identity outside the email
Suppose a message says your account will be closed, a payment failed, or a colleague needs a document. Do not use the email’s “support” number, reply address, button, or link. Open a browser and type the organization’s known address yourself, use a bookmark you previously created, or contact the person through an established channel. Ask whether the message was sent and whether the requested action is genuine.

Pick the symptom - the matching free tool is one click away.
This independent check is useful even when an AI tool says the wording resembles a legitimate notification. The check tests the real-world claim; AI can only assess the material it receives.

- Names, addresses, phone numbers, account identifiers, or customer records.
- Passwords, one-time codes, recovery links, access tokens, or other authentication data.
- Internal business plans, contracts, source code, legal correspondence, or regulated records.
- Full message headers, routing details, attachments, and embedded content that reveal more than the visible body.
Redact material that is not needed for the question. Keep enough context for a reviewer to understand who supposedly sent the email, what action it requests, and how the message was delivered. If removing the sensitive data would destroy the evidence, use your organization’s approved security workflow instead of a consumer AI service.
Can you paste a suspicious email into AI?
There is no universal yes-or-no answer. The safe choice depends on the information in the message, the service you plan to use, and the rules that govern the mailbox. Privacy terms for general-purpose AI services are provider-specific; the available official guidance does not establish one policy that applies to all of them.
Recommended Free Tools
| Situation | Safer handling | Reason |
|---|---|---|
| The message contains only low-sensitivity text and no live files | Redact names and identifiers, paste the smallest useful excerpt, and ask for an evidence-based analysis. | Less content limits unnecessary disclosure while preserving the wording you want examined. |
| The message contains work-confidential or customer information | Use an organization-approved security tool or ask your security team before submitting it. | Your employer’s policy may restrict external processing, and a general chatbot’s terms may not match your obligations. |
| The message includes passwords, codes, access links, or personal records | Do not paste those values into an unapproved service. Report the message through the approved channel. | The AI analysis does not require exposing credentials or unrelated personal data. |
| The analysis would require opening an attachment or following a URL | Do not open it merely for AI review. Escalate it to a suitably equipped security reviewer. | The FTC warns that links and attachments in unexpected messages can solicit information or deliver malware. |
| You are considering Microsoft’s documented Defender submission workflow | Read the current submission terms and follow your organization’s policy before submitting. | Microsoft says that workflow copies message content, headers, attachments, routing information, and associated data for algorithm reviews. |
For Microsoft’s documented submission process, the service says submissions are held in secured and audited US data centers, may be read by Microsoft personnel, and are deleted when no longer needed. Those statements apply to that Defender submission workflow; they should not be generalized to unrelated AI services. See Microsoft’s reporting-submissions documentation for the current details.
A safer AI-review workflow
1. Make a redacted copy
Work from a copy rather than your live mailbox. Remove passwords, codes, account numbers, customer details, private signatures, and unnecessary internal names. Replace them with short labels such as [sender] or [account identifier removed]. Do not include the original attachment unless an approved security system specifically requires it.
2. Preserve the facts that matter
Keep the sender’s displayed name, the address or domain as shown, the date and time, the exact request, and the visible destination text. If you are authorized to share headers, preserve them separately; headers can help an administrator investigate delivery, but most recipients do not need to inspect them to avoid clicking.

3. Ask bounded questions
Do not ask, “Is this safe?” as though the model can certify the message. Ask it to identify observable evidence, missing information, and checks you can perform without contacting the message’s sender. For example:
Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallCrashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteReview this redacted email as a phishing-risk triage assistant. Do not assume the sender is genuine. List only evidence visible in the text, explain what each item does and does not prove, identify any request to click a link, open an attachment, or provide information, and give independent verification steps that do not use contact details in the email. State what you cannot determine.
This prompt makes the model show its reasoning and limits instead of supplying a bare label. It also keeps the next action focused on verification rather than interaction.
4. Challenge the first answer
Ask a second question that tests the opposite interpretation: “What benign explanation could fit this message, and what evidence would distinguish it from phishing?” A useful answer should point to specific text and acknowledge what is missing. If the response changes dramatically when you rephrase the prompt, that instability is a reason to rely on independent verification and human review, not on the model’s confidence.
5. Keep the AI output separate from the decision record
Save the redacted message, the questions you asked, and the model’s answer only where your policy permits. Record the independent check and the report you filed. Do not paste the AI’s wording into a report as though it were a security verdict; describe the observable facts and the action taken.
What AI can and cannot establish
Useful assistance
An AI assistant can help organize a long message, extract the actions it requests, compare the displayed sender with the text’s claimed identity, and turn a vague concern into a checklist. It can also explain why a particular sentence deserves verification. Those are analysis and communication tasks.

Limits that change the decision
An AI response cannot independently confirm that the sender controls an account, that a website belongs to the claimed company, or that an attachment is harmless. It may not have the full delivery context, and it cannot guarantee what a URL or file will do when opened. A “low risk” answer therefore does not authorize a click, reply, download, or disclosure.
Microsoft’s documentation illustrates why product-specific evidence matters. Its Phishing Triage Agent is an enterprise feature in Defender that classifies alerts and explains its reasoning. Microsoft’s instructions tell analysts to review the AI-generated response before saving a feedback lesson. That documents a supervised workflow for that product; it is not evidence that arbitrary consumer chat tools accurately detect phishing.
Individual review versus organizational AI triage
These are different jobs. An individual needs to avoid immediate harm and report the message. An organization may need to classify alerts, preserve metadata, tune protections, and let a trained analyst correct an automated result.
| Decision point | Individual safe review | Organizational AI triage |
|---|---|---|
| Primary goal | Prevent a click, disclosure, or reply and verify the claim independently. | Classify alerts, explain the classification, and support analyst investigation. |
| Tool context | Mail provider’s report control and, only when permitted, a redacted AI conversation. | Supported enterprise security tooling such as Microsoft Defender’s Phishing Triage Agent. |
| Human role | Use the AI output as a clue, then make the decision through independent verification. | Review the generated response before saving a feedback lesson or taking an administrative action. |
| Data question | Minimize what leaves the mailbox and check the AI provider’s terms. | Follow the organization’s submission policy and understand what the configured service copies and retains. |
| Reporting route | Use the mail provider’s built-in report function or the employer’s stated process. | Use the organization’s configured route, which may send the report to its security team, Microsoft, or both. |
How to report a suspicious message
Use the built-in reporting control
For an ordinary recipient, the mail provider’s reporting action is usually safer than forwarding the message manually. In Microsoft 365, Microsoft documents Outlook’s built-in reporting route for applicable organizations. Follow the label and confirmation screen presented by your organization rather than creating a new reply or forwarding chain.
Use Defender Submissions when your organization supports it
Microsoft also documents the Defender Submissions page for reporting messages and files. The organization’s configured process determines whether a report goes to its security team, Microsoft, or both. Microsoft explicitly says that forwarding suspicious email is not a replacement for Defender-based reporting and may omit full metadata. That metadata can matter to an investigation, so use the designated submission route when it is available.

Because the submission workflow can copy message content, headers, attachments, routing information, and associated data, confirm that submitting is allowed for the mailbox and message involved. The same Microsoft documentation describes its handling statements and should be checked for changes before use: report messages and files to Microsoft.
When headers and security settings matter
Headers are an administrator’s investigation tool
Message headers can help an administrator understand why a phishing message reached a user. Microsoft specifically points administrators to the Spam Filtering Verdict, or SFV, value in the X-Forefront-Antispam-Report field. This is useful for an organizational investigation, not a prerequisite for an ordinary recipient to stay safe.
If you do not know how to interpret headers, do not let header analysis delay reporting. Preserve the original message and ask the security team to inspect it through the organization’s approved tools.
Protection settings are not identical
Microsoft says Safe Links and Safe Attachments protections are enabled through Built-in protection in preset policies. It also says impersonation protection is not enabled in the default anti-phishing policy and requires configuration. Therefore, the presence of one protection does not prove that every impersonation scenario is covered. Administrators should review the tenant’s actual policies and configuration using Microsoft’s anti-phishing protection guidance.
Common mistakes and the safer correction
| Mistake | Why it fails | Correction |
|---|---|---|
| Clicking the link to see whether it looks real | The click is the interaction the message may be trying to cause. | Read the visible text only and visit the claimed organization through a known, separate route. |
| Opening an attachment so an AI tool can analyze it | The file may deliver malware or request information before analysis is complete. | Leave it unopened and escalate it to an approved security reviewer. |
| Calling the number printed in the email | The number may connect you to the scammer. | Find a number from a statement, saved contact, or website you already trust. |
| Forwarding the message and skipping the report function | Microsoft says forwarding may omit full metadata and is not a replacement for Defender-based reporting. | Use the provider’s built-in report control or the organization’s designated submission page. |
| Pasting the entire message, headers, and attachments into a public AI service | It exposes more information than the analysis needs, and provider privacy terms differ. | Redact and minimize, or use an approved enterprise workflow after checking its data handling. |
| Accepting a confident AI verdict | Confidence is not independent sender verification or proof that a destination is safe. | Require observable evidence, document uncertainty, and perform the separate-channel check. |
| Spending time on headers before taking basic precautions | Header interpretation does not make it safe to click, reply, or open a file. | Report first; let an appropriately equipped administrator analyze headers when needed. |
A practical decision checklist
Use this checklist whenever you are unsure whether an email is phishing:
- Have I avoided every link, attachment, reply, and phone number in the message?
- Can I verify the claimed sender through a website, number, or conversation I already trust?
- Does the text ask me to provide information or take an action that I have not independently confirmed?
- Have I removed credentials, personal records, and unnecessary business information before using AI?
- Is the AI service approved for this mailbox and this type of data?
- Did I ask the tool to show evidence and uncertainty rather than provide a simple verdict?
- Have I used the mail provider’s report control or the organization’s stated security process?
- If this is a work mailbox, did I preserve the original message for the security team instead of relying on a copied excerpt?
The bottom line
AI can make suspicious-email review faster and clearer, but it should sit inside a safety process rather than replace one. Isolate the message, verify the sender independently, minimize any content you submit, treat the AI response as an explanation to check, and report through the correct mail or organizational channel. Enterprise tools may add classification and analyst workflows, but their capabilities and data handling are product- and configuration-specific.
