If Outlook suddenly looks different, first identify which Outlook you’re using: new Outlook for Windows, classic Outlook for Windows, or Outlook on the web. In new Outlook and the web version, check Settings > General > Appearance. In classic Outlook, check File > Office Account > Office Theme. These settings control different parts of the experience, so use the steps for your client and for the specific area that changed.
Identify which Outlook you’re using
The appearance controls depend on the Outlook client. In Outlook for Windows, a Settings button in the upper-right corner indicates new Outlook. If it is missing, you’re using classic Outlook. New Outlook has Home, View, and Help ribbon tabs; classic Outlook includes a File tab. Microsoft’s Outlook version guide explains the differences.
Also identify what changed: the entire app, the mailbox’s theme, or only the message or reading-pane background. “Theme” does not mean the same thing in every client; Microsoft’s comparison of new and classic Outlook lists Themes as unavailable in classic Outlook and available in new Outlook.
Restore appearance in new Outlook or Outlook on the web
Change dark mode or the overall appearance
- Select Settings > General > Appearance.
- Under Dark mode, choose Light for a light interface, or Use system settings to follow your device’s appearance preference.
- Select Save.
In Outlook on the web, the same Settings > General > Appearance area provides mailbox theme and dark-mode choices. These web settings are separate from classic Outlook’s Office theme. Microsoft’s instructions for dark mode in Outlook cover the available appearance controls.

Keep the app dark but make messages light
If the overall interface looks right but the reading pane or message background is dark, you do not have to change the whole app. In new Outlook, select View > Light Reading Pane. For an open message, use the light-background button in the message window. Microsoft notes that Outlook’s black color theme includes dark mode, which gives the message window a black rather than white background; the message background can be adjusted separately from the overall interface.
Restore the Office theme in classic Outlook
In classic Outlook for Windows, select File > Office Account, then choose the desired setting under Office Theme. Microsoft says this theme applies across Microsoft 365 desktop applications, not just Outlook. Depending on the installation, the same control may be available at File > Options > General > Office Theme. Microsoft’s Office Visual Refresh guidance notes that the theme dropdown can appear empty for some users until they select a new theme.

If Outlook itself switched to the new app
A change in the Outlook application is different from a changed theme. New Outlook for Windows has a top-right toggle for returning to classic Outlook, when classic Outlook is installed. Choose Switch back to classic Outlook to make the change persist. Choose Use classic Outlook this time to open classic Outlook for one use; future launches will continue redirecting to new Outlook. If the toggle is missing, classic Outlook may not be installed. See Microsoft’s instructions for switching Outlook versions.

If your old appearance settings were not carried over when you moved from classic to new Outlook, Microsoft lists Dark Mode and Header Theme among the settings that can be imported. Importing requires General > Store my Outlook settings in the cloud to be enabled in classic Outlook. Microsoft’s settings and accounts import guide also documents retrying the process: open Settings > Accounts > Your accounts, select Manage beside the primary account, and choose Get Started.

If the appearance option is missing
- Confirm whether you’re in new Outlook, classic Outlook, or the web version before following another set of steps.
- Check whether the change affects the whole interface or only the message background; those controls are separate.
- If a documented menu or switch is not present, check your Outlook version. Microsoft notes that features and labels can vary as the apps are updated and features roll out.
