Start by identifying where the usable backup lives, then restore only the file, folder, or account scope you actually need. After the restore, compare the result with a backup inventory, open representative files in their normal applications, and use a checksum only when you have a trusted checksum for the known-good file. A restore confirmation alone does not prove that the recovered data is complete or usable.

First, identify the backup and the damage

The correct recovery procedure depends on the product that created the backup. A missing local file may be in Windows File History or a Mac Time Machine backup. A deleted cloud file may still be in OneDrive’s recycle bin. A new or reinstalled Windows PC may use Windows Backup during setup, while an organization may have an administrator-controlled Microsoft 365 Backup restore point.

Do not assume synchronization is a backup. A synchronized folder can reproduce deletions or unwanted edits on other devices; recovery requires a separate retained copy, version, recycle bin, or backup point that still contains the desired data.

  • Where is the copy? Check an external drive, network location, Time Machine disk, OneDrive account, or organization-managed backup.
  • What changed? Distinguish a deleted file, an overwritten version, a damaged file, or a missing computer. Each may require a different scope of restore.
  • Which account and device apply? OneDrive retention and Microsoft 365 permissions vary by personal, work, or school account. Windows Backup depends on the Microsoft account used when the backup was created.
  • How old is the needed version? Confirm that a restore point, version, or recycle-bin item predates the problem and has not expired.
  • Can you avoid overwriting current data? Prefer a file-level restore or a new destination when the service offers one. A broad rollback can move or replace changes made after the selected point.

Choose the narrowest restore method

Backup method Best fit Typical scope Important condition
Windows File History Previous copies of personal files and folders Individual files or folders Backup is on an external drive or network location
Windows Backup Supported information when setting up a new or reinstalled Windows PC PC setup and backed-up account data Sign in with the Microsoft account used for the backup; supported data varies
macOS Time Machine Files and folders captured on a Mac backup disk Individual items or broader selections The Time Machine backup disk must be available
OneDrive recycle bin Recently deleted cloud files and folders Selected deleted items Personal items are normally recoverable for 30 days; work or school items for 93 days unless an administrator changed retention
OneDrive version history An earlier version of one existing file Single file The needed version must still be retained
Restore your OneDrive Undoing a larger set of recent OneDrive activity Whole OneDrive account activity Available to Microsoft 365 subscribers for activity in the preceding 30 days
Microsoft 365 Backup Organization-managed recovery for supported workloads Workload data at a selected restore point An administrator selects the point and destination

If a single-file method can solve the problem, use it instead of rolling back an entire account, site, or computer. Larger restores can affect legitimate work completed after the incident.

Restore files with Windows File History

When File History applies

Microsoft describes File History as protecting personal files by keeping copies on an external drive or a network location. It is intended for previous versions of personal files and folders, not for reconstructing arbitrary data when no File History copy exists.

File-level restore procedure

  1. Connect the external backup drive or make the network backup location available.
  2. Open the Windows File History restore interface and browse to the folder that contained the missing, overwritten, or damaged item.
  3. Move through the available historical dates until the required filename and content appear.
  4. Select the file or folder, then choose the restore action. If Windows offers a destination choice, use a separate location first when you need to inspect the result without replacing the current copy.
  5. After the copy completes, record where Windows placed it and continue with the verification process below.

File History limitations and recovery choices

  • If the backup drive is disconnected, unavailable on the network, or no longer contains the relevant history, the restore browser cannot supply that version.
  • Restoring a folder can bring back more items than intended. Select the individual file when only one file is missing.
  • If the restored copy has the same name as a current file, preserve the current file until the recovered copy has been checked.
  • A successful copy operation says that Windows transferred bytes; it does not establish that the original backup copy was complete or uncorrupted.

Use Windows Backup after setting up a PC

What Windows Backup is designed to restore

Microsoft’s Windows Backup guidance describes restoring supported backed-up information while setting up a new or reinstalled Windows PC. Files backed up to OneDrive become available by signing in to OneDrive with the Microsoft account used for the backup. Applicability and supported data vary.

This is not the same as selecting one arbitrary local file from a File History archive. If you only need one older local file, look for File History or another backup that actually contains that file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Windows Backup procedure

  1. Start the setup process on the new or reinstalled Windows PC.
  2. Sign in with the same Microsoft account that was used when Windows Backup was configured.
  3. When Windows presents the available backup or restore choices, select the relevant backup.
  4. Allow supported settings and data to be restored, then sign in to OneDrive with that account so backed-up files can appear.
  5. Check the restored folders and files rather than assuming every local application, file type, or device-specific item was included.

If the backup does not appear, confirm the account identity first. A different Microsoft account can make a valid backup look absent.

Restore items with macOS Time Machine

Restore a missing or older item

Apple’s Time Machine procedure lets you navigate historical backups, select one or more items, and restore them to their original locations. Use it for an isolated file or folder before considering a broader recovery.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Connect or otherwise make the Time Machine backup disk available to the Mac.
  2. Open the folder where the item was originally stored, then enter the Time Machine browsing view.
  3. Move through the timeline or backup snapshots until the required file or folder is visible.
  4. Select the item and choose Restore. Time Machine returns it to its original location.
  5. Keep the current item until the restored copy has been opened and checked, especially if both versions have the same name.

Recover an earlier document version inside an app

Many Mac applications expose document history through File > Revert To > Browse All Versions. This can be more precise than restoring an entire folder when the file still exists but contains unwanted edits. Availability and displayed labels depend on the application.

Recover deleted or changed files in OneDrive

Restore a deleted item from the recycle bin

Microsoft says personal OneDrive recycle-bin items can normally be restored within 30 days. For work or school accounts, the stated period is 93 days unless an administrator changed the retention setting. Items permanently deleted from the recycle bin cannot be recovered through that recycle bin.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open OneDrive with the account that owned the file.
  2. Open the recycle bin and locate the deleted file or folder.
  3. Select the item and choose Restore.
  4. Return to its original folder and verify the restored copy. If the file is absent, check that you used the correct personal, work, or school account and that the retention period has not elapsed.

Use version history for an overwritten file

When the file still exists but contains unwanted edits, open its version history and select a version created before the problem. This is a single-file operation and avoids rolling back unrelated OneDrive activity. Preserve the current version if you may need content from both copies.

Use Restore your OneDrive for broad recent changes

Microsoft 365 subscribers can use Restore your OneDrive to undo activity from the preceding 30 days. This is a broad rollback, so review the activity feed before confirming the restore point. Files or folders created after the selected point are sent to the recycle bin; changes made after that point can therefore require separate recovery or recreation.

  1. Open OneDrive’s restore feature and review the activity timeline.
  2. Select a point before the unwanted deletion, overwrite, or other change.
  3. Review the listed activity and the affected scope rather than choosing a date blindly.
  4. Confirm the rollback only after deciding that its effect on later work is acceptable.
  5. Check the restored folders, then inspect the recycle bin for items created after the selected point.

Restore organization data with Microsoft 365 Backup

Microsoft 365 Backup is an administrator-managed process for supported workloads. An administrator selects a restore point and can restore to the original location or to a new location.

  • The available storage capacity may vary.
  1. Ask the Microsoft 365 administrator to identify the affected workload and the restore points available before the incident.
  2. Choose the narrowest restore point that contains the required data.
  3. When replacing current contents would be risky, request the new-location option so the restored data can be inspected first.
  4. Have the administrator follow the workflow for the relevant workload and record the destination used.
  5. Compare the restored data with the expected inventory before deciding whether anything should replace current content.

Permissions, supported workloads, and the exact administrator interface determine what can be restored. Do not promise recovery merely because an organization has Microsoft 365; the needed content must exist in an available restore point.

Verify that the restored files actually work

Verification should establish both coverage (the expected items are present) and usability (the files open and behave as expected). Perform it before deleting current copies or declaring the incident resolved.

1. Restore into a safe inspection area

Use a separate folder or the service’s new-location option when available. This prevents an uncertain restore from overwriting a newer file and gives you a stable set to compare.

2. Compare structure and inventory

  • Compare top-level folders and subfolders with the backup source or a previously recorded inventory.
  • Check filenames, extensions, file counts, and approximate sizes.
  • Look for skipped files, duplicate names, unexpected zero-byte files, and dates that do not match the selected restore point.
  • For a large restore, sample every major folder and file type rather than checking only the first few items.

An inventory can show that something is missing, but matching names alone cannot prove that a file’s internal contents are correct.

3. Open representative files in their normal applications

  • Open documents in the applications that normally edit them and confirm that expected pages, sheets, formatting, and recent content are present.
  • Render several images at full size and check for missing regions or decoding errors.
  • Play restored audio and video beyond the opening moment, seeking through different portions when practical.
  • For archives, databases, project files, or other container formats, use the application that created them and check that contents can be listed or opened.

Choose samples from different folders, dates, and file types. A few files opening correctly does not prove that every restored file is intact.

The external drive is great for keeping your library on hand, but it can't run the new games.

4. Use a checksum only with a trusted reference

A cryptographic checksum can provide a strong byte-for-byte comparison when you have a checksum recorded for the known-good file before the incident. Calculate a checksum for the restored file with a trusted local utility and compare the result with that reference.

  • Matching checksums provide evidence that the restored bytes match the referenced file.
  • A different checksum proves the bytes differ, but not why they differ; the files may be different legitimate versions.
  • Without a trusted reference checksum, a newly calculated checksum cannot establish that the backup contained the intended, uncorrupted original.

5. Record the outcome

Write down the restore source, selected date, destination, files checked, applications used, and any items that failed. Keep the original backup and current files until the verification record is complete and a second recovery path is available for anything that remains damaged.

What to do when verification fails

The file is missing from the restored set

Check another restore date, the recycle bin, version history, or a different backup source. Confirm that you are looking in the correct account, folder, and backup device. If no retained copy contains the item, the restore tool cannot recreate it.

The file exists but will not open

Copy it to the inspection area again from the backup, compare its size with the source, and try the application associated with its format. If multiple restore points exist, test an earlier one. Do not overwrite the only surviving copy while experimenting.

A broad rollback moved newer work

For OneDrive, inspect the recycle bin because items created after the selected Restore your OneDrive point are sent there. Recover needed newer files before making further changes. For other services, use the product’s version history or a separate backup rather than repeating a broad rollback.

The backup device is unavailable

Check the cable, power, network path, and account access without initializing or reformatting the device. A new external drive can store future File History or Time Machine backups, but buying one does not recover files unless the relevant backup already exists on it.

How to choose when several recovery routes exist

Decision question Prefer Reason
Is one file missing? File History, Time Machine, OneDrive recycle bin, or OneDrive version history Limits the change to the affected item
Was an entire OneDrive account changed recently? Restore your OneDrive, after reviewing activity Designed for a larger rollback within the preceding 30 days for Microsoft 365 subscribers
Could replacing current data cause harm? New destination or separate inspection folder Lets you compare before replacement
Is the computer new or reinstalled? Windows Backup during setup Its documented flow restores supported information through the Microsoft account
Does an organization control the backup? Microsoft 365 Backup administrator workflow Restore-point selection and permissions are administrator-managed

For every option, check the restore-point age, retention, permission requirements, possible impact on later changes, and whether you can inspect the destination before replacing current content.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Prepare for a future restore

  • Keep backup media connected or scheduled often enough for the files’ importance, and verify that the destination remains reachable.
  • Record which Microsoft account, Apple Mac, network location, or organization owns each backup.
  • Maintain a simple inventory of critical folders and files, including versions that must be retained.
  • For especially important files, record a trusted cryptographic checksum while the known-good file is available.
  • Test opening representative backups periodically; a backup that has never been checked may contain an unusable copy or an unsupported format.
  • Keep at least one recovery option that is independent of the device being backed up.

An external backup drive is a legitimate category for File History or Time Machine storage. Check the connection supported by your computer and the size of the existing backup before choosing one. The drive’s purchase price, brand, and capacity cannot by themselves guarantee recoverability.
