Do not answer a broad accusation with an equally broad defense. Preserve the exact statement, identify the passage or fact being challenged, check it against your reporting record, and involve an editor before you promise any change. If you find a significant factual error or a materially misleading omission, use your publication’s correction process promptly and transparently. If the work is accurate and the dispute is about framing or opinion, reply briefly with checkable facts and avoid a personal argument.
Start by separating an error from a disagreement
A PR team may say that a story is “wrong,” “biased,” or damaging. Those labels do not establish what, if anything, needs to change. The first question is whether the complaint identifies a checkable factual problem.
What counts as a factual problem
A factual problem could be an incorrect date, amount, name, quotation, attribution, description of an event, or statement presented as fact without adequate support. It can also be a materially misleading omission or a combination of accurate details that creates a false impression. The Society of Editors’ Editors’ Code says fact should be distinguished from comment, conjecture, and opinion. That distinction is useful when a complaint treats an interpretation as though it were a factual error.
What is usually a dispute over framing
Disagreement with emphasis, headline wording, selection of relevant facts, tone, or an honestly identified interpretation is not automatically an inaccuracy. The Society of Professional Journalists’ code cautions journalists to avoid misrepresenting or oversimplifying a story when promoting, previewing, or summarizing it. That is a standard for your own descriptions of the work; it does not mean every subject has a right to choose the framing.

Ask the PR team to identify the particular sentence, quotation, fact, or characterization it disputes. A general claim that you are incompetent or hostile is not evidence that a specific passage is false.
Preserve the complaint and your reporting record
Before arguing about the merits, preserve what was actually said. Save the email, message, post, letter, or call notes, including the date, time, sender, recipient list, and where a public statement appeared. Capture a copy of the published story and note the version or update date. Keep the reporting records relevant to the challenged passage.
Build a claim-by-claim file
Create a short worksheet with one row for each allegation. Record:

- the source, document, recording, or observation supporting your wording;
- any new evidence supplied by the PR team;
- what remains uncertain or disputed.
This is a practical way to apply accuracy and accountability principles. It is not a universal records-preservation protocol, so follow your outlet’s own retention and source-protection rules. Do not disclose confidential sources merely to answer a complaint.
Keep versions separate
Do not overwrite your notes while investigating. Keep the published version, working drafts, transcripts, emails, and subsequent corrections distinguishable. If a page changes, record what changed and why. A clean timeline helps an editor decide whether the issue is an error, an omission, or a disagreement.
Check the allegation against the evidence
Review the challenged material with the same care you would use before publication. Read the surrounding paragraphs, headline, deck, captions, and promotional copy, not just the sentence quoted by the PR team. A technically accurate sentence can become misleading if a key qualification was omitted nearby.

Test the wording
- Quotation: Compare the published words with the recording, transcript, or contemporaneous notes. Check whether ellipses, translation, or editing changed the meaning.
- Attribution: Confirm who made a claim and whether the story clearly attributes allegations, estimates, or opinions.
- Numbers and dates: Recheck the underlying document and the unit, time period, geography, and edition involved.
- Characterization: Ask whether a description is supported by documented conduct or is actually an interpretation that should be labeled as such.
- Context: Determine whether a reasonable reader would receive a materially different impression if an omitted fact were added.
Evaluate new evidence independently
A complaint can contain useful evidence even when its characterization is overstated. Verify documents, links, screenshots, and explanations rather than accepting them because they come from an interested party. Check whether a document is complete, current, authentic, and relevant to the exact claim. If the new material changes your understanding, discuss that change with the editor before altering the story.
Bring an editor or standards contact into the decision
Do not handle a contested accuracy issue as a private negotiation if you work for a publication. Send the complaint, your claim-by-claim worksheet, and the supporting records to your editor or newsroom standards contact. Ask for a decision on three separate questions:
- Is there a material factual error?
- Is there a significant omission or wording choice that creates a misleading impression?
- If the work is accurate, would a clarification or fair reply help readers understand the dispute?
The practical workflow varies by newsroom. The cited standards establish principles of accuracy, accountability, correction, and fair comment; they do not prescribe one universal approval chain. Follow your outlet’s correction, legal-review, source-protection, and attribution policies.
Why outside pressure should not decide the outcome
Fourth Estate guidance says that when no error or incomplete or misleading information is found, accurate work should not be materially altered or removed in response to pressure from outside interests. That does not mean dismissing a complaint. It means the evidence, not the status or persistence of the complainant, determines the editorial result.
Choose the remedy that fits the finding
Use the smallest remedy that fully addresses the verified problem, while giving a significant correction enough visibility for readers who saw the original error.

When a correction is warranted
The Editors’ Code states: “A significant inaccuracy, misleading statement or distortion must be corrected, promptly and with due prominence, and — where appropriate — an apology published.” Apply the test to significance, not embarrassment. A typo that cannot mislead readers may need a routine fix; an incorrect allegation, quotation, identity, amount, or central fact may require a visible correction.

When a reply may be appropriate
The same code says: “A fair opportunity to reply to significant inaccuracies should be given, when reasonably called for.” A reply is not a substitute for correcting your own error. It can be appropriate when the published account is accurate but a person or organization has a material, relevant response that helps readers understand a contested issue. Your editor should decide the format, length, placement, and attribution.
Write a calm holding response
If you need time to check the record, acknowledge receipt without conceding the allegation. A short holding message prevents an improvised argument and sets a clear next step:
“Thanks for raising this. I’ve shared your concern and the material you provided with my editor. Please point us to the exact passage you believe is inaccurate and the records you believe support that view. We’ll check it against our reporting and follow our correction process if we find a material error.”

Use the wording as a template, adapting it to your newsroom’s policy and any agreed attribution terms. Do not imply that the allegation has been accepted, that a correction is guaranteed, or that the editor has reached a conclusion.
What to include in a substantive reply
- Confirm which specific allegation you reviewed.
- State whether the passage is factual reporting, attributed comment, or analysis.
- Identify the records that support the wording, without exposing protected sources.
- Explain any correction, clarification, or reply your publication will make and when it will appear.
- If no change is warranted, say that the work was reviewed and briefly explain the factual basis.
Keep the answer proportionate. A long rebuttal can repeat an unsubstantiated accusation, create new ambiguities, or turn a standards question into a personal dispute.
Handle public claims differently from private complaints
When the accusation is private
Use the private channel to request specifics and evidence. Limit the distribution of sensitive material to people who need it for the editorial decision. If the PR team provides a correction request in a required format, forward it to the designated editor or standards contact rather than making an informal promise.

When the accusation is public
First complete the internal review. If the public statement contains a material error about your reporting, your editor may decide that a public clarification is necessary. Do not reply instantly merely because a post is gaining attention. A measured statement that links each assertion to a checkable passage is safer and more useful than a point-by-point personal exchange.

When the claim targets your reputation personally
Separate criticism of your methods from allegations about your character. You can correct a false factual statement about what you reported without debating a PR representative’s motives. Avoid insults, threats, speculation about undisclosed relationships, or claims about intent that you cannot establish.
Know what the standards do—and do not—establish
Reuters’ standards emphasize that getting the story right takes precedence over speed and call for errors to be rectified promptly, clearly, and comprehensively. The standards also recognize fair comment. These principles support checking the record and correcting confirmed mistakes; they do not decide whether a particular sentence is defamatory or create a universal right to a reply.
Legal consequences depend on the jurisdiction, the exact words, the publication, the audience, and the surrounding circumstances. The standards discussed here are not jurisdiction-specific legal advice. If a PR team threatens litigation, demands removal, or alleges defamation, preserve the communication and refer the matter through your publisher’s legal or senior editorial process. Do not make a legal conclusion from the headline alone.
Questions that require jurisdiction-specific review
- Which country, state, or other jurisdiction’s law applies?
- Was the statement published, and to whom?
- What exact words are alleged to be false?
- Is the subject an individual, company, public body, or public figure?
- What defenses, remedies, limitation periods, or pre-action requirements apply?
Those questions cannot be answered reliably without the underlying facts and location.

- Capture the record. Save the complaint, public context, story version, and supporting notes.
- Pin down the allegation. Ask for the exact sentence, quotation, fact, or characterization in dispute.
- Classify the passage. Mark it as fact, quotation, attributed claim, analysis, comment, or opinion.
- Recheck the evidence. Verify your records and independently test any new material.
- Escalate internally. Give the editor or standards contact the complaint and your evidence.
- Assess materiality. Decide whether the issue changes the meaning, fairness, or reliability of the story.
- Select a remedy. Choose correction, clarification, reply, no change, or a combination approved by the publication.
- Respond proportionately. State the result, avoid personal exchanges, and do not disclose confidential sources.
- Record the outcome. Keep the decision, wording, publication time, and any follow-up request with the story file.
Common failure modes and safer alternatives
Failure: treating every complaint as an attack
Safer approach: Treat the complaint as a set of testable claims. A hostile tone does not make the evidence irrelevant, and a polite tone does not make it true.

Failure: defending the headline while ignoring the body
Safer approach: Review the headline, deck, captions, social copy, and article together. Readers may encounter the summary without the full story.
Failure: correcting silently
Safer approach: Follow the publication’s correction policy and give a significant correction due prominence. Explain what changed without exaggerating the mistake.
Failure: promising an outcome too early
Safer approach: Acknowledge the review, request the precise evidence, and reserve the decision until the editor has checked the record.

Safer approach: Discuss wording, evidence, context, and remedy. Motive speculation rarely helps readers decide whether a fact is accurate.
Failure: treating legal threats as an editorial verdict
Safer approach: Route threats through the appropriate legal and senior editorial channels. The existence of a threat neither proves an error nor proves that no correction is needed.
What a defensible outcome looks like
A defensible process leaves a clear trail: the exact allegation was preserved, the relevant passage was identified, the reporting record was checked, new evidence was independently verified, and an editor participated in the decision. If a material error existed, the publication corrected it promptly and visibly. If the work was accurate, the response explained the factual basis without materially changing the story merely because an outside interest objected. If readers would benefit from a relevant response, the publication considered a fair reply on appropriate terms.
The goal is not to “win” an exchange with a PR team. It is to protect accuracy, accountability, and the reader’s ability to distinguish verified fact from comment, conjecture, and opinion.
