You do not need macOS Preview, a signature pad, or a scanner to collect signatures on a PDF. Use a browser-based request workflow in Acrobat on the web, Google Drive eSignature (for eligible Google Workspace accounts), or Microsoft 365 eSignature in a SharePoint document library. Each lets you upload or open a PDF, assign fields to specific recipients, send notifications, and retrieve a completed document.
Requesting a signature is different from signing a PDF yourself
Adding your own typed, drawn, or uploaded signature changes the file but does not ask another person to complete it. A signature-request workflow creates a transaction: you identify recipients, place fields such as signature, initials, name, text, or date, send an invitation, and monitor completion. The service records the request and produces a signed copy when the required fields are finished.
The sender usually needs an account or organizational access that includes the feature. A recipient’s requirements can be different. For example, Acrobat’s documented recipient flow lets signers complete an agreement in a web browser or on a mobile device without an Acrobat subscription or account. That statement applies to recipients; it does not guarantee that every sender account includes the request feature.

Start with the service your organization already uses. Before preparing the request, confirm that your plan, administrator settings, and document type are supported. Feature names, availability, and plan rules can change. Do not assume that a personal account has the same controls as a managed business account, or that a feature is included at no cost; the documented eligibility lists do not establish a universal sender-pricing rule.

Prepare the PDF and recipient list
Check the source file
- Use the final version of the PDF. Check page order, spelling, totals, dates, and attachments before adding fields.
- For SharePoint’s native flow, remove encryption first; Microsoft documents that only unencrypted PDF documents are supported at this time.
- Decide whether the signers will complete one document or several. Acrobat combines multiple uploads into one agreement, so separate files will not return as separate completed PDFs in that workflow.
- Keep an untouched source copy. Google keeps the source document separate from the generated request PDF, while the request copy becomes locked after sending.
- Make sure the pages have enough room for every field. A signature box that overlaps existing text, a table, or a page edge can make the final document difficult to read.
Gather recipients and signing rules
- Use the email address each person actually monitors. A wrong address can send confidential material to the wrong recipient and leave the request waiting indefinitely.
- Decide who must sign, who only needs to receive a copy, and whether one person must finish before the next can start.
- Assign every signature, initials, name, date, and text field to a specific signer. Unassigned fields can be left for the sender or become ambiguous during completion.
- For agreements with a required sequence, put recipients in order and review the order before sending. Parallel signing is appropriate only when no signer depends on another person’s completed fields.
- Tell recipients what to expect, including the sender address, the document name, and any deadline. This reduces confusion when an invitation arrives alongside phishing messages or routine automated mail.
Option 1: Request signatures with Acrobat on the web
This is the browser workflow for people who have Acrobat access but are not using the desktop application. An administrator can disable the request feature; enterprise accounts can be routed to Acrobat Sign instead.
- Open the Acrobat on the web home page and choose E-Sign, then Request e-signatures.
- Upload the PDF or PDFs. If you upload more than one document, Acrobat combines them into a single PDF agreement.
- Review the agreement name and the message that recipients will see. Use a descriptive name that distinguishes this transaction from earlier versions.
- Open the agreement settings. Set a completion deadline if the request should expire, configure reminder messages, and enable a password requirement when your policy calls for an additional check. Select the recipient language when that setting is available.
- Add each recipient and select the appropriate role. Verify every email address and arrange the signing order when signatures must occur sequentially.
- Choose Preview and add fields (the exact button label can vary slightly by account). Place signature and other form fields on the correct pages, then assign each field to its signer.
- Review the complete agreement, recipient order, deadline, reminders, and message. Send the request.
After sending, Acrobat saves a copy of the agreement in Adobe cloud storage and lists it in Recent. Use that sent copy to check status rather than editing the original local PDF. Recipients can open the request in a browser or on a mobile device; Acrobat’s documentation says they do not need an Acrobat subscription or account to sign.
When Acrobat is not available
If Request e-signatures is missing, your administrator may have disabled it, your account may not include it, or your organization may use a separate Acrobat Sign entry point. Ask the account administrator which approved workflow to use instead of uploading the document to an unapproved personal account.

Google’s eSignature feature is tied to eligible Workspace editions and organization settings. Google lists Workspace Individual plus specified Business, Enterprise, Enterprise Essentials, and Education Plus plans; administrators may have to enable the feature for organization accounts.
- In Google Drive, open the PDF in viewing mode.
- Open Menu and choose eSignature.
- Add the fields the form requires: signature, initials, name, text, or date. Assign each field to the signer who must complete it.
- Select Request signature.
- Enter each signer’s email address and verify the recipient list. Set the signing sequence if your account presents that choice, then send the request.
When you click Request signature, Google locks the generated request PDF so it cannot be changed while signers are completing it. If a clause, amount, or recipient is wrong, cancel the request, correct the separate source document, and create a new request. Do not try to replace the locked request file in place.

Google keeps the source document separate from the request copy. After completion, the signed PDF and request details remain accessible in Drive, and the final PDF includes an audit-trail page. Retain both the final file and the audit information according to your organization’s recordkeeping policy.
Option 3: Request signatures in Microsoft 365 SharePoint
Microsoft’s native flow starts in a SharePoint document library and requires a work account. It supports unencrypted PDFs; an encrypted file must be converted to an acceptable unencrypted copy under your organization’s security rules before you can use this path.

- Open the unencrypted PDF in the document viewer and select the pen or eSignature action.
- Add the recipients who must sign. Place signature, initials, and date fields on the appropriate pages and assign each field to its signer.
- Choose whether recipients sign in order. Use ordered signing when a later signer must see an earlier signature; leave it unordered when everyone may sign independently.
- Review the request title and add an optional message explaining what the recipients should do and when.
- Send the request. Microsoft 365 sends notifications and provides request tracking through the document workflow.
If your organization already uses another approved e-signature provider, Microsoft documents starting that provider’s request from the SharePoint document viewer. Selecting an integration transfers the remaining setup to the provider’s own request process. Follow your organization’s approved provider and retention rules rather than switching services informally.
How the three choices differ in practice
Acrobat is the most direct choice when the PDF is on your computer and you already have access to Acrobat’s web request feature. It offers agreement-level settings such as deadlines, reminders, password requirements, and recipient language, but multiple uploads become one combined agreement. That matters when accounting, legal, or records staff need one completed file per form.
Google Drive is convenient when the source already lives in Drive and your Workspace edition supports eSignature. Its locked generated PDF protects the transaction from mid-process edits, while the separate source makes it possible to prepare a corrected version without destroying the original. The audit-trail page in the completed PDF is useful for recordkeeping, but you still need to follow your organization’s retention and access rules.

SharePoint fits a work-managed Microsoft environment where the document library is already the system of record. It supports ordered or unordered signing and tracks the request in the Microsoft 365 workflow. Its most important file constraint is the unencrypted-PDF requirement. If your company has standardized on Adobe Acrobat Sign or Docusign, the SharePoint viewer can start that provider’s process, but the provider’s own site controls the remaining steps.
None of these choices requires a special device. The signer can generally use a browser, and Acrobat specifically documents browser and mobile signing without an Acrobat subscription or account. Sender access, plan eligibility, authentication settings, and organizational approval remain separate questions.
What recipients do and what you receive back
Recipients normally open a notification, review the document, complete only the fields assigned to them, and submit the request. The exact identity checks, authentication prompts, reminder schedule, and signing controls depend on the service and your organization’s configuration. Tell recipients which email address will send the invitation and warn them to verify the document before signing.
When every required signer finishes, download or open the completed PDF from the service that handled the request. Keep the final PDF, its audit or activity information when supplied, and the original source according to your retention policy. A locally saved copy is useful for records, but it does not replace the service’s transaction history when an audit trail is part of your process.
Common problems and fixes

Security, organizational policy, and legal fit
Use the account and storage location approved by your employer or client. Administrators can limit features, require a particular provider, impose retention rules, or block external recipients. Do not move a confidential PDF to a personal account merely because the work account lacks a button.

Review recipient addresses, field assignments, deadlines, and the final PDF before sending. Password requirements, recipient authentication, reminders, and audit details are controls to configure deliberately, not settings to assume are present.
An electronic signature’s legal suitability depends on the document, the parties, and the applicable jurisdiction. Microsoft describes its native service as using simple electronic signatures and advises users to assess whether that method is appropriate under applicable law. Some documents, industries, or internal policies may require stronger identity verification, a particular audit record, notarization, or a different signature class. Confirm those requirements with your legal or compliance team before sending; no single workflow is universally sufficient.

- Have you confirmed that your Acrobat, Workspace, or Microsoft work account includes the request feature?
- Is the PDF final, readable, and in a supported format, with encryption removed only when your policy allows it?
- Did you enter the correct recipient emails and choose parallel or ordered signing intentionally?
- Are every signature, initials, name, date, and text field assigned to the correct signer?
- Have you set a deadline, reminders, language, and authentication options where the service offers them?
- Do you know where the sent agreement, completed PDF, status, and audit information will be stored?
- Does the selected signature method satisfy your organization’s and jurisdiction’s requirements for this document?
With those checks complete, a browser and an eligible cloud account are enough to send and collect PDF signatures; a Mac, printer, scanner, or special signature hardware is not required.
Frequently Asked Questions
Can I request a signature without installing Acrobat?
Yes. Acrobat on the web starts the request in a browser. Google Drive and SharePoint also provide browser or cloud-library workflows. The sender still needs an account or organization plan that includes the feature.
Does the person signing need an account?
Acrobat says recipients can sign in a web browser or on a mobile device without an Acrobat subscription or account. Google and Microsoft recipient prompts can vary with the sender’s settings and organization policy, so do not assume every workflow has identical authentication requirements.

Can I change a PDF after sending it?
Treat a sent request as fixed. Google explicitly locks the generated request PDF after you choose Request signature; cancel it, correct the separate source, and send a new request. Other services also require correction or cancellation rather than silently replacing the transaction.
What if several people must sign?
Add every recipient, assign each field to the correct person, and choose ordered signing when one signer must complete the document before another. Use parallel signing only when the signers can act independently.
Where is the completed PDF stored?
Acrobat saves a sent agreement in Adobe cloud storage and shows it in Recent. Google keeps the request and completed PDF in Drive and adds an audit-trail page to the final PDF. SharePoint handles notifications, tracking, and completed documents within the Microsoft 365 workflow.

Is an electronic signature automatically legally valid?
Legal suitability depends on the document, jurisdiction, parties, and organizational rules. Some situations require stronger identity checks, a specified audit record, notarization, or another signature class. Ask legal or compliance staff when the requirement is unclear.

A Mac is optional. Choose the browser or cloud service your account and organization approve, prepare the final PDF and recipient list, assign every field, select the signing order, and verify where the completed file and audit information will be stored. Check plan eligibility, file restrictions, security policy, and legal requirements before sending.
