Replace Windows applications one at a time, keep the original program installed during a defined test period, and work only on copies of important data. A safe migration is an evidence-based process: inventory the workflows that matter, back up and verify recovery, check the alternative’s current Windows requirements and download source, test real files and peripherals, then change file associations and uninstall the old application only after the replacement passes.

This guide covers application migration, not replacing Windows itself. The examples are starting points rather than guarantees of current compatibility; confirm each project’s requirements, release notes, support route and license before installing.

What “safe replacement” means

An open-source program is not automatically a drop-in substitute. It may open the same file formats while differing in layout fidelity, automation, plug-ins, accessibility, account integration or device support. Safety comes from controlling the change: preserve a way back, test representative work, and make the switch reversible until the new program has proved itself.

Keep three decisions separate:

  • Application choice: whether a particular open-source program performs your required tasks.
  • Migration timing: whether you can run both programs while testing and while collaborators transition.
  • Operating-system support: whether your Windows release still receives security updates. Replacing an application does not repair an unsupported operating system.

Start with an inventory, not an installer

Write down what you actually do in each application. A name-only list misses the details that cause migrations to fail.

Seagate Portable 5TB External Hard Drive HDD – USB 3.0 for PC, Mac, PS4, & Xbox - 1-Year Rescue Service (STGX5000400), Black
  • Easily store and access 5TB of content on the go with the Seagate portable drive, a USB external hard Drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Record the application and its dependencies

  • Application name, edition and version, including any separate runtime or helper tools.
  • Windows version, system architecture, available storage, graphics hardware and connected printers, scanners, cameras or audio devices.
  • File types you open, edit, export and exchange. Include older formats and files stored on network or removable drives.
  • Macros, scripts, templates, fonts, extensions, plug-ins, codecs, profiles and hardware drivers.
  • Account features such as calendar synchronization, contacts, cloud storage, two-factor authentication and organization-managed sign-in.
  • Irreplaceable workflows: monthly reports, tax forms, production exports, print jobs, accessibility checks and collaboration handoffs.

Preserve information needed to return

Keep the old installer, license details, activation information and configuration exports where the license permits. Note where the old program stores profiles, templates, mail archives and plug-ins. This record is useful if you must restore the previous application or help someone else reproduce the setup.

Back up before installing or removing anything

The Document Foundation’s official LibreOffice system-requirements page states: “It is a recommended best practice to back up your system and data before you remove or install software.” Treat that as a migration gate, not a suggestion to skip when the change looks minor.

What to back up

  • Original documents, media, mail archives, address books, templates, scripts and project folders.
  • Application profiles and settings that are difficult to recreate.
  • Installers, license records and encryption or recovery keys that you may need after a restore.
  • A recoverable system backup when the application is business-critical or difficult to reinstall.

An external drive is one possible separate backup device, but owning one does not prove that a backup completed or can be restored. Open several backed-up files, check that the expected folders and dates are present, and perform a test restore of non-critical data. Keep the original data untouched while you test the replacement.

Choose candidates by workflow, not popularity

Use the following examples as investigation leads from Canonical’s migration material. That guide was written for an older Windows 7-to-Ubuntu migration and is not a current Windows compatibility guarantee. Check each project’s current Windows support and release information before downloading.

Windows task Illustrative open-source candidate Tests that decide suitability
Office documents LibreOffice DOCX, XLSX and PPTX formatting; formulas; templates; collaboration handoff; macros; add-ins; PDF and print output.
Desktop email Thunderbird Account authentication; mail, calendar and contact needs; local archive import; search; encryption; provider-specific folders.
Media playback VLC Required codecs; playlists; subtitles; hardware acceleration; media-library organization; network or removable-media playback.
Image editing GIMP Native file types; layers and masks; plug-ins; fonts; color management; export settings; round-tripping with collaborators.
PDF reading Evince or Okular Forms; annotations; signatures; accessibility; embedded files; print output; password-protected documents.

No table can establish feature parity for your particular files. A candidate is acceptable only when it supports the tasks you identified and your collaborators can consume the resulting files.

Check Windows support, requirements and the download source

Confirm the environment

Read the project’s current requirements page for the exact release you intend to install. Requirements can change between versions. Confirm the supported Windows editions, 32-bit or 64-bit architecture, processor and memory expectations, graphics requirements, available disk space, administrator-rights requirement and any dependency such as a runtime or database.

Use an authoritative distribution path

Download installers from the project publisher’s official website or the distribution channel that publisher explicitly recommends. The Document Foundation says users seeking the official LibreOffice version should download it from the organization’s website. Avoid search advertisements, repackaged installers, “driver” portals and unofficial bundles that add software or obscure the publisher’s signature and version.

Before running an installer, check its filename, version, publisher information and digital-signature status where Windows provides one. Decline optional offers that are unrelated to the program. Keep the installer so you can reproduce the tested version or roll back if a later release changes behavior.

Install beside the incumbent application

Do not remove the working program at the start. Side-by-side installation gives you a controlled fallback and lets you compare output directly.

  1. Finish the backup and restore check. Do not proceed while important files exist only in one location or the backup cannot be read.
  2. Close the incumbent application and any files it has open. If the program has a profile-export or repair option, create that export first.
  3. Run the publisher’s installer with the required permissions. LibreOffice’s requirements state that administrator rights are needed for installation on supported Windows systems.
  4. Choose installation options deliberately. LibreOffice’s installer asks whether it should open Microsoft Office file types. Leave existing associations unchanged until testing is complete.
  5. Record the installed version and location. Save this information with your inventory so a later update can be compared against the tested build.
  6. Launch the new program without opening originals. Copy representative files into a test folder and use those copies for the first pass.

Test real files and complete workflows

A program that opens a file has passed only the first checkpoint. Test the entire path from import to delivery, including the people and devices on the other end.

Build a representative test set

  • One simple file, one complex file and one file that has previously caused trouble.
  • Files containing tables, charts, tracked changes, comments, embedded objects, unusual fonts, images, formulas or external links.
  • A file that must be printed, exported to PDF, uploaded to a service or exchanged with a customer or colleague.
  • At least one workflow that uses a macro, script, plug-in, extension, codec, scanner, printer or specialized input device.

Open copies, save to the candidate’s native format, export to the formats your recipients need, close and reopen the results, then compare them with the originals. Check page breaks, fonts, formulas, links, metadata, permissions, print margins, color and accessibility. Ask a recipient to open a sample where collaboration is important; local success does not prove handoff compatibility.

LibreOffice: formats and macros

LibreOffice can open and save Word, Excel and PowerPoint formats, but its help documentation warns that Microsoft Office and LibreOffice generally cannot run the same macro code. Some VBA support does not mean that every VBA workflow, add-in or event will work. Run each business-critical macro on a copy, compare calculated results and generated files, and identify a manual or rewritten process before switching. Test templates, tracked changes, pivot tables, charts, embedded objects and print layouts with the people who receive the documents.

Thunderbird: mail and account behavior

Verify the provider’s authentication method, folder mapping, message search, attachments, local archives, address books, calendar requirements and offline behavior. Send test messages to and from a non-critical account, confirm that sent items and drafts appear where expected, and check that importing an archive does not alter the original. If your organization requires a particular calendar or contact protocol, treat that integration as a release-blocking test.

VLC: playback rather than just opening

Play every codec and container used in your library, including files with subtitles or multiple audio tracks. Test seeking, playlists, resume position, full-screen output, hardware acceleration and playback from network or removable storage. Confirm that the audio device, captions and display behave correctly after sleep or monitor changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

GIMP: round-tripping and production output

Open the formats your collaborators exchange and verify layers, masks, text, color profiles, transparency and export dimensions. Test required plug-ins and fonts, then send an exported sample through the same publishing or print process used in production. If another editor must continue the work, confirm what remains editable after export; a flattened image may be visually correct but operationally unusable.

Evince or Okular: documents beyond reading

Test every PDF feature you rely on: interactive forms, annotations, certificates or signatures, embedded files, password protection, screen-reader navigation and printing. A viewer that displays a page correctly may not preserve a signature workflow or form data, so retain the incumbent reader until those cases pass.

Change file associations only after testing

Changing defaults is convenient but can hide an incompatibility by sending every file to the new program. Change only the extensions you intend to migrate.

  1. In File Explorer, locate a test file with the desired extension.
  2. Right-click it and choose Open with, then choose the new application.
  3. If Windows offers a checkbox to always use that application for the file type, select it only after the test file opened and saved correctly.
  4. Repeat for each extension you have approved; do not assume that choosing a program for one extension changes related types safely.
  5. Open files from their normal locations and from email or download folders to verify that the association behaves as expected.

LibreOffice Help documents this File Explorer “Open with” method. You can reverse the association through the same menu if a file type needs to return to the original program.

Keep a staged overlap and define the exit decision

Leave the previous application installed while the replacement is used on real work. Set a time or workload checkpoint—such as completing a reporting cycle, a client handoff and a restore drill—rather than uninstalling after one successful launch.

Uninstall when all of these are true

  • Every essential workflow in the inventory has passed with representative files.
  • Macros, plug-ins, peripherals, exports, printing and collaboration have an accepted replacement or documented exception.
  • The backup is current and a restore has been verified.
  • Any required installer, license or configuration information for recovery is preserved.
  • Users know which application now owns each file type and how to reopen an old-format file if necessary.

Uninstall through Windows Settings or the application’s own uninstaller, then restart if requested. Do not delete profile or archive folders until you have confirmed that the new application imported what you need. If a failure appears, restore the old file associations, reopen the original copies and use the preserved installer or system backup to return to the previous state.

Security practices for open-source application migration

Open source describes how code is developed and licensed; it is not a blanket security ranking. Reduce risk through the same controls you would use for any software:

  • Use the publisher’s site or recommended channel and verify the product name and version before installation.
  • Keep the operating system, replacement application and extensions updated through trusted mechanisms.
  • Review installer permissions and decline unrelated bundled offers.
  • Do not open untrusted documents merely to test compatibility; scan and handle them according to your organization’s policy.
  • Keep the old application only as long as needed, and remove it when its continued presence creates an unnecessary attack surface.
  • Document who owns update decisions and how to report a broken release or security issue.

Understand the license before redistribution or commercial use

“Open source” does not mean that every component has identical terms. LibreOffice is made available under the Mozilla Public License 2.0 and includes components under other open-source licenses. Check the license information for each project and for the way you will use it. If you redistribute modified software, bundle it into a product or rely on it for a consequential commercial obligation, obtain legal advice about notices, source-availability and other requirements.

Do not confuse app migration with Windows support

Microsoft reports that Windows 10 support ended on October 14, 2025. Windows 10 continues to run, but it no longer receives normal security updates and is at greater risk without them. Installing an open-source replacement does not extend that support. Decide separately whether the computer should move to a supported Windows release or another supported operating system, and verify that every application and device will work after that operating-system change.

Troubleshooting common migration failures

The installer will not run

Recheck the project’s current requirements, Windows edition, architecture, available storage and administrator permissions. Re-download from the official publisher path and compare the version and publisher information. Do not bypass a security warning by using an unofficial mirror.

A document opens with changed layout

Compare fonts, page breaks, tables, formulas, embedded objects and print settings. Install legitimately licensed fonts if they are missing, then retest on a copy. If the format must remain pixel-identical for legal or customer reasons, keep the incumbent application for that workflow or convert through a controlled process rather than assuming the replacement is equivalent.

A macro or plug-in fails

Confirm whether the extension supports the new application and version. For LibreOffice, assume that Office macro code will need testing or rewriting; do not treat partial VBA support as a guarantee. Identify a manual fallback and keep the old program available until the automation has been validated.

Free tools Windows power users keep installed

Email, calendar or contacts are incomplete

Check account authentication, server folders, archive format and synchronization settings. Test with a non-critical account, preserve the original archive, and involve the service administrator when a provider requires a specific protocol or security policy.

Changing defaults caused confusion

Use File Explorer’s Open with command to return a particular extension to the previous application. Apply defaults per extension, communicate the change to other users and avoid changing associations globally until the test set passes.

A reusable migration checklist

  1. List essential applications, file types, macros, plug-ins, devices, accounts and handoffs.
  2. Preserve installers, licenses, profiles and configuration details for the incumbent program.
  3. Back up important data and verify that selected files can be restored.
  4. Check the candidate’s current Windows requirements, release notes, support route and license.
  5. Download from the publisher’s official site or explicitly recommended channel.
  6. Install beside the incumbent without changing defaults.
  7. Test copies of simple, complex and business-critical files end to end.
  8. Exercise automation, extensions, peripherals, printing, accessibility, export and collaboration.
  9. Change only the file associations that passed.
  10. Use the replacement on real work for a complete checkpoint period.
  11. Uninstall the old application only after the backup and rollback path remain usable.
  12. Review Windows support separately; application replacement cannot make an unsupported operating system secure.
