Replace an all-in-one workspace by mapping the work you actually do, exporting and protecting the old data, then piloting the smallest set of tools that covers those jobs. Most people need only a task manager, calendar, notes system, and dependable file or backup location; a small team may add shared files or collaboration. Keep the old workspace available until active tasks, recurring commitments, attachments, and reference material have all survived a realistic trial.

Start with workflows, not a shopping list

An all-in-one app often feels indispensable because it contains several kinds of information in one interface. That does not mean every feature deserves a replacement. Begin by recording what the current workspace does for you and how often each function matters.

Job in the current app Questions to answer Typical destination
Active tasks Which items have owners, due dates, priorities, recurrence, or dependencies? Task manager
Reference notes Which pages are read later, and which are edited regularly? Notes system or Markdown files
Calendar events Which events are authoritative, recurring, shared, or time-zone sensitive? Calendar service
Files and attachments Where do documents, images, and scans live, and how are they backed up? File storage plus a separate backup
Databases or structured records Which fields, links, statuses, and views are used weekly? Structured local or cloud records, only if genuinely needed
Automations Which rules trigger real work rather than merely adding notifications? Specific integration or a manual checklist
Team collaboration Where do comments, approvals, permissions, and handoffs occur? Shared files, chat, issue tracker, or a focused team tool
Historical material What is retained for legal, financial, or institutional reasons but rarely opened? Read-only archive with a documented location

Mark every job as weekly, occasional, or historical. Then flag workflows that would stop if the old app disappeared tomorrow: an invoice reminder, a recurring household task, a client handoff, or a linked project plan. Those dependencies, rather than the app’s feature count, define the replacement.

Set non-negotiable requirements

Write a short acceptance list before looking at products. A tool that has fewer features but passes these tests is safer than a feature-rich replacement that traps your data again.

Sandisk 2TB Extreme Portable SSD, Up to 1050MB/s, USB-C, USB 3.2 Gen 2, IP65 Water and Dust Resistance, Updated Firmware, External Solid State Drive, SDSSDE61-2T00-G25
  • Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
  • Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
  • Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
  • Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
  • Portability: You can export information in a format you can read or import elsewhere, and you know whether the export is complete.
  • Migration fidelity: You can preserve the fields that matter, including due dates, recurrence, attachments, links, relationships, status, and ownership.
  • Calendar fit: Events can be exchanged in a usable way, such as through ICS, or a supported connection keeps the right calendar authoritative.
  • Offline and storage behavior: You know what works without a connection, where local records and media are stored, and what happens after a device is replaced.
  • Required integrations: Every connection on the list supports a real current workflow; possible integrations do not count as requirements.
  • Appropriate complexity: The destination supports your recurring work without recreating the folder trees, properties, dashboards, and rules you are trying to leave.
  • Recovery: You can restore a usable state from a backup and can keep the previous workspace available during the transition.

Turn each requirement into a pass/fail test. “Has an integration” is vague; “can create and update an event in the calendar I use, with the correct time zone” is testable. “Supports notes” is vague; “opens ordinary Markdown with links and attachments stored in a known folder” is testable.

Design the smallest stack that covers recurring work

Use one primary home for each information type. A common small stack has four roles:

  1. Task manager: next actions, due dates, recurring obligations, and ownership.
  2. Calendar: appointments and time-specific commitments. Avoid maintaining a second competing calendar in the task tool.
  3. Notes: meeting notes, procedures, decisions, and reference material.
  4. Files and backup: original documents, attachments, and a separate copy of exports.

Add a structured-record tool only when a real process needs fields, relationships, or filtered views that plain notes and tasks cannot provide. Add automation only after the manual workflow is reliable. Every additional service creates another account, sync path, permission boundary, and export format.

Example: an individual knowledge worker

Keep tasks in a focused task manager, events in one calendar, notes as Markdown or in a notes application with a dependable export, and documents in a normal folder that is backed up separately. A project note can link to a task and a file without turning the note system into a second task database.

Example: a small team

Give the team one shared location for current documents and decisions, while allowing personal tasks to remain private. Define who owns the calendar, where meeting records are filed, and how a completed project is archived. Shared access should be deliberate; a personal export should not become the team’s only copy.

Example: a local-first arrangement

Productivities documents a local-first model in which structured records live in a local database, notes are Markdown pages, and media is stored in folders you choose. Its documentation says core work can be done offline, while external integrations require connectivity. That arrangement can improve control over local data, but it also makes your folder backup, device synchronization, and restore procedure part of the system’s reliability.

Export and protect the old workspace before changing it

Make a full export or backup before importing, deleting, or reorganizing anything. Save the original file in a location that is not affected by experiments, and make a second copy on separate storage. A portable external SSD is one possible destination for that second copy; it is not a requirement, and sensitive exports must be protected with appropriate access controls or encryption.

Super Productivity’s documentation warns that its normal export and backup JSON is plaintext and may contain private work content or credentials. Treat any similar export as confidential until you have inspected it. Confirm the file type, size, creation date, and contents before relying on it.

  1. Run the application’s complete export or backup command, not a view-level export.
  2. Record which account, workspace, and date the export represents.
  3. Open a copy in a text editor or archive viewer and identify tasks, notes, attachments, links, and settings. Do not edit the original.
  4. Check whether credentials, tokens, private comments, or deleted items are included.
  5. Store the original and a second copy in protected locations, and note how each copy can be restored.
  6. Keep the old account active while the replacement is being tested.

If the application offers several export types, keep the richest machine-readable backup as well as a human-readable format. A JSON archive may preserve relationships that a PDF cannot; a Markdown export may remain readable years later. Neither format alone proves that every feature is recoverable.

Pilot the replacement before importing the archive

Do not begin by rebuilding years of history. Twos recommends trying the new approach on new material first and importing reference material selectively. That is vendor guidance rather than a universal rule, but it is a low-risk way to discover friction: create a few new tasks, schedule an event, write a note, attach a file, and perform the weekly review in the proposed stack.

Use a representative sample

Choose samples that exercise the risky parts of your workflow:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • A task with a due date, priority, assignee, and a recurring schedule.
  • A completed and an incomplete task, including one with a link or attachment.
  • A note containing headings, tables, images, internal links, and code if you use them.
  • A calendar event with a time zone, invitees, recurrence, and a reminder.
  • A structured record with every field and relationship you depend on.
  • A file stored in the same way as your working documents, not just a tiny text attachment.

Compare the destination with the source item by item. Check dates, time zones, links, relationships, formatting, status, ownership, recurrence, and attachment names. A successful import message usually means that the file was read, not that every field arrived intact.

Sandisk 1TB Portable SSD, Up to 800MB/s Read Speeds, Black (Old Model) | External Solid State Drive, Compatible with Laptops & Tablets, Up to 2M Drop Protection, USB 3.2 Gen 2, USB-C to USB-A Cable
  • Solid state performance with up to 800MB/s read speeds in a portable drive. (Based on internal testing; performance may be lower depending on host device, interface, usage conditions and other factors. 1MB=1,000,000 bytes.)
  • Back up your content and memories on a storage solution that fits seamlessly into your mobile lifestyle.
  • Take it with you on your adventures—up to two-meter drop protection means this durable drive can take a beating. (Based on internal testing.)
  • Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
  • From Sandisk, a brand professional photographers trust to take on assignments.

Run the weekly routine

Use the sample stack through at least one complete review cycle: capture an item, clarify it, schedule time if needed, complete it, attach the resulting file, and find it later. Test on the devices and networks you normally use, including an offline period if offline work is a requirement. Ask a teammate to perform a handoff if collaboration is part of the workflow.

Understand what may not migrate

Migration support is specific to the source and destination pair. Read both products’ current import and export documentation for the exact formats and fields you use; capabilities can change.

Data type Documented path or example Risks to verify
Calendar events Zoho documents transfer through ICS. Time zones, recurrence, reminders, invitees, and event ownership may differ.
Contacts Zoho documents CSV and VCF imports among its supported formats. Custom fields, duplicate handling, photos, and groups may not survive.
Tasks Zoho documents supported fields for task migration; a documented FAQ asks how to move tasks from TickTick, Todoist, or Microsoft To Do. Subtasks, recurrence, tags, priorities, comments, and attachments need field-by-field checking.
Notes Mirv documents Markdown note transfer; Productivities documents reading and writing standard Markdown. Plugins, themes, custom rendering, embedded databases, and nonstandard metadata may be lost.
Workspace archives Mirv documents JSON workspace export and Markdown note exports. JSON may preserve structure that a plain-text export cannot, but the destination may not understand every object.
Calendar connections Mirv documents two-way connections with Google, Outlook, and Apple calendars. Two-way sync can create duplicates or conflicting edits; establish one authoritative calendar.

Twos states that it has no folder trees, custom fields or properties, complex formatting, or built-in rule-based automation. Its documentation also describes how data from particular applications maps into its own model. That is a useful illustration of intentional simplification, not a promise that another destination will preserve those structures. Productivities similarly says its Markdown support does not reproduce Obsidian plugins, themes, or custom rendering.

When a feature has no equivalent, choose deliberately: flatten it into text, convert it into a task, keep the original archive read-only, or retain the old application for that one workflow. Do not silently discard information because the import completed.

Compare candidate tools on reliability, not feature count

Axis Questions to ask during a trial Evidence to record
Portability Can I export readable data without a special subscription or proprietary viewer? File format, export scope, and a successful test restore.
Migration fidelity Which fields, recurring items, attachments, links, and relationships survive? Results from the representative sample.
Calendar fit Does ICS or a supported connection preserve the details I use? Event comparison, time-zone test, and duplicate check.
Offline and storage What remains usable without connectivity, and where are local records and media kept? Offline test, folder path, sync behavior, and restore steps.
Integrations Which connections are necessary now? Named workflow, owner, permissions, and failure behavior for each integration.
Complexity Does the tool keep required workflows without recreating unwanted structures? Number of tools, manual steps, rules, and places to check each day.
Recovery Can a new device or a corrupted database be restored quickly? Documented backup frequency, restore test, and responsible person.

Score only requirements that you can demonstrate. A long integration directory does not compensate for an export that cannot be restored. A local database is not automatically safer if it has no tested backup. A simple notes app is not sufficient for a process that depends on permissions and audit history.

Move data in controlled stages

  1. Freeze the source briefly. Pick a cutover window and record changes made after the export. Avoid editing both systems indefinitely.
  2. Import the representative sample. Resolve mapping choices before bringing in the archive.
  3. Move active work. Transfer open tasks, near-term events, current projects, and files needed this week.
  4. Move reference material selectively. Bring over notes you will actually consult. Keep the rest in a searchable read-only archive.
  5. Recreate only essential automation. Replace a rule with a checklist if that is clearer and less fragile; automate after the manual path is proven.
  6. Verify counts and exceptions. Compare open-task totals, upcoming events, recurring items, attachment counts, and a list of records that could not be mapped.
  7. Document destinations. Write down where tasks, events, notes, files, archives, and backups now live, who owns each system, and how to export it.

Some applications replace their current state during import. Super Productivity notes that an import replaces the application’s current state, which is why an earlier backup matters. Never experiment with an import in the only copy of the new workspace.

Keep the old system until the new routine is trusted

Maintain access to the original workspace or a restorable export while you check real work. Review active tasks, recurring obligations, reference material, and attachments on the schedule you normally use. If a missed reminder or missing relationship would cause harm, keep that workflow in the old system until you have a verified equivalent.

Set a clear retirement condition rather than deleting on a feeling. For example, retire the old workspace only after every current project has an owner and next action, the next recurring cycle has run correctly, calendar events have no duplicates, required files open, and another person can locate the documented backup.

Backups and ongoing maintenance

A small stack is reliable only if it remains recoverable. Establish a simple routine:

  • Export task, note, and structured data on a schedule appropriate to how often it changes.
  • Back up the folders containing attachments and local databases separately from the live device.
  • Keep at least one copy unavailable to ordinary day-to-day deletion or synchronization errors.
  • Protect plaintext exports because they may contain private work content or credentials.
  • Test opening an export and restoring a small sample; an untested backup is an assumption.
  • Review integrations after password, permission, or calendar changes.
  • Record the export date, application version, workspace, and any exclusions in the backup folder.

When you add a new tool, add its export and restore procedure to the same documentation. When you remove one, preserve the final export and explain its format so the archive remains usable without the retired application.

Troubleshoot common migration failures

Tasks imported without dates or recurrence

Check the source export fields and the destination’s supported task schema. Recreate recurring obligations manually when necessary, then compare the next several occurrences with the source. Keep the original recurrence definition in the archive for reference.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Calendar events are duplicated or shifted

Stop editing both calendars, choose the authoritative one, and inspect time-zone and recurrence settings. Remove duplicates only after exporting the affected calendar. A one-way ICS transfer may be safer than two-way synchronization for a calendar that rarely changes.

Notes look different

Separate content loss from presentation loss. Standard Markdown may preserve headings and links while omitting plugins, themes, custom rendering, or embedded databases. Export those special elements separately, convert essential information to plain text, or retain the original note archive.

Attachments are missing

Inspect whether the export contains binary files or only links to them. Check relative paths, file names, permissions, and cloud-only placeholders. Copy the attachment folder independently and open a sample from the restored location.

The new stack feels as complex as the old one

Count places you must check and rules you must maintain. Remove integrations that are merely possible, collapse duplicate lists, and move historical material out of active views. If a structured database is used weekly by nobody, archive it instead of rebuilding it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An import damaged the destination workspace

Stop further imports, restore the destination from its pre-import backup, and repeat the test with a small sample. Because some applications replace current state during import, never rely on an export created after the damage as your only recovery copy.

A practical cutover checklist

  • Every current workflow is listed and marked weekly, occasional, or historical.
  • Non-negotiable portability, calendar, offline, integration, and recovery tests are written down.
  • A complete export and a separate protected copy have been inspected.
  • The proposed stack has handled new material without the old archive.
  • A representative sample has been compared field by field.
  • Active tasks, recurring items, near-term events, files, and essential notes are in their new homes.
  • Unsupported fields and intentionally archived material are documented.
  • Backups and restore steps have been tested.
  • The old workspace remains available through at least one normal review cycle.
  • Each category of information has one documented owner and location.

The reliable outcome is not the fewest applications at any cost. It is a small set of understandable tools, each with a clear job, portable data, tested recovery, and no hidden dependency on an abandoned feature. Start with the workflows that recur, preserve the source before experimenting, and retire complexity only after the replacement has proved itself on real work.
