Renting a humanoid robot safely starts with the job, not the robot. Define one measurable task, map everyone and everything that can enter the robot’s workspace, and require a site-specific risk assessment before signing a rental. The provider should document the robot’s limits, safeguards, supervision, training, emergency procedures, insurance, maintenance, support response and acceptance tests. A model name, a standards badge or a low monthly price is not proof that a particular deployment is safe.

Decide whether a humanoid trial is appropriate

A trial is justified when you can test a bounded operational question, such as whether a robot can repeatedly move a defined item between two fixed points during a staffed shift. It is not a safe pilot objective to “see what the robot can do” in a live workplace. Open-ended demonstrations create changing movements, unplanned human interaction and unclear stop criteria.

Write the task and success criteria first

Record the exact work, input and output, operating hours, cycle or batch expectations, permitted payload, hand-off method and quality threshold. State what counts as success, partial success and failure. For example, an acceptance test might require a specified number of supervised cycles with no contact event, no protective-stop reset by an untrained person and a documented recovery for every planned fault. Do not use vendor uptime or deployment figures as independently verified performance statistics; no relevant verified statistic has been established for this decision.

Identify the people and areas affected

Draw the robot’s operating area on a current floor plan. Mark employees, visitors, contractors, delivery routes, fire exits, electrical panels, charging locations and any process where a person may reach into the workspace. Decide whether the area is restricted industrial space or a service/public setting. A humanoid in a controlled cell raises different scope and interaction questions from one greeting visitors in a lobby.

List non-routine work before the quote

Include delivery, unpacking, installation, programming, testing, charging, a failed pickup, software updates, cleaning, jam clearing, maintenance, recovery after a protective stop and end-of-day shutdown. OSHA notes that robot incidents often occur during non-routine work, so these scenarios belong in the trial plan rather than being treated as exceptions. See the OSHA Robotics overview and its Technical Manual discussion of robot-system hazards.

Understand which safety rules actually apply

OSHA: no robotics-specific standard, but duties remain

OSHA states, “There are currently no specific OSHA standards for the robotics industry.” Its robotics page separates consensus standards from OSHA regulations. That statement does not remove an employer’s general duty to provide a safe workplace, nor does it make a supplier’s voluntary conformance claim a legal approval. Determine the applicable occupational-safety, machinery, electrical, fire, privacy and workers’ compensation requirements for your jurisdiction and task.

ISO 10218-1:2025 and ISO 10218-2:2025

ISO 10218-1:2025, published in February 2025, addresses safety requirements for industrial robots as machines. ISO 10218-2:2025, also published in February 2025, addresses integration of industrial robot applications and cells across commissioning, operation, maintenance, decommissioning and disposal. Their published scopes exclude service robots where members of the public can access them. Therefore, neither standard automatically covers every humanoid demonstration, reception deployment or public-facing pilot. Ask a competent safety professional to determine whether the robot and the actual application fit these scopes and what additional controls are required.

Service-robot guidance is not automatically final

ISO’s page for ISO/FDIS 13482 describes service-robot safety for personal and professional or commercial applications, including physical human–robot contact. The page identifies it as a final draft under approval, not a published final standard. Check its status again if a provider cites it, and do not present the draft as a finalized legal requirement.

Build a written trial brief before requesting prices

  1. Define the operating envelope. Specify the task, workspace, hours, payload, speed limits, allowed surfaces, lighting, noise, network access and environmental restrictions.
  2. Set measurable outcomes. Choose quality, throughput, intervention rate, safe-stop behavior, training completion and maximum downtime thresholds. Define who records results and how evidence is retained.
  3. Assign authority. Name the on-site supervisor, trained operators, programmer or integrator, person authorized to press an emergency stop and person who can suspend the trial. State who may enter the area during operation.
  4. Describe every phase. Include transport, setup, commissioning, testing, normal operation, charging, fault recovery, maintenance, software changes and removal.
  5. Specify stop conditions. Examples include an unplanned person entering the operating envelope, repeated protective stops, loss of a required safeguard, unexpected motion, damaged hardware, overheating, communication loss or any near miss.
  6. Choose the evidence package. Require risk-assessment records, test results, training attendance, maintenance logs, incident and near-miss reports, and a final disposition against the acceptance criteria.

Perform a site-specific risk assessment

The assessment must cover the robot, tooling, software configuration, task, surroundings and people—not merely the humanoid model. Have a qualified safety engineer or other competent professional review it, especially where physical contact, public access or shared workspaces are involved.

Scenario to assess Questions to answer Control evidence to request
Normal operation What motions, forces, speeds, reach zones and payloads occur? Where can a person stand or reach? Task limits, operating modes, safeguarded zones, validation or test records and operating instructions.
Collaborative or physical contact Can the robot touch, pinch, trap, strike or drop an object onto a person? Is contact expected or merely possible? Contact-risk analysis, force or speed limits, separation strategy, safety-rated functions and a clearly defined interaction procedure.
Non-routine intervention Who clears a jam, changes a program, retrieves a dropped item or resets a stop? Lockout or isolation steps where applicable, authorization rules, written recovery procedure and supervision requirements.
Loss of power, network or software What happens during a power outage, latency, sensor failure, corrupted program or communication drop? Fail-safe behavior, restart checks, backup or rollback process, recovery responsibilities and test results.
Charging and maintenance Where is charging performed? What thermal, electrical, battery or mechanical hazards exist? Manufacturer instructions, inspection schedule, battery handling rules, competent-maintainer qualifications and fire-response arrangements.
Public, visitor or contractor access Can an untrained person approach, distract or touch the robot? Physical separation or controlled interaction design, access control, signage and a staffed response plan. Do not assume industrial-robot standards cover this setting.
End of trial How are stored data, credentials, programs and hardware removed? Decommissioning checklist, data-return or deletion terms, equipment inspection and incident closeout.

OSHA’s technical material discusses hazards in robot systems and the need to assess the specific application. Its material includes older editions of some standards, so use it for the risk-assessment principle and verify the current edition and legal applicability separately.

Demand a complete provider information package

Send the same written request to every candidate so proposals can be compared on safety and service, not just price. Require answers that are specific to your site and proposed configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Information area What the provider should document Why it matters
Robot identity and configuration Exact robot and hardware revision, software version, accessories, permitted tasks, payload, reach, speed and environmental limits. Capabilities and hazards can change with software, end effectors or a different battery and sensor package.
Risk and safeguards Site assessment, hazard analysis, safeguarded zones, separation or interaction approach, safety-rated functions and controls that are not safety-rated. You need to know which protections are engineered, which depend on procedure and what remains your responsibility.
Integration and testing Commissioning plan, test protocol, acceptance criteria, change-control process and records supplied after testing. A demonstration is not evidence that the delivered setup performs safely at your site.
People and competence On-site staffing, supervisor and operator qualifications, training syllabus, authorization levels and who can program or reset the robot. Untrained intervention is a common route to injury during faults and setup.
Operations and maintenance Charging, inspection, preventive maintenance, spare parts, software updates, fault recovery, emergency response and decommissioning procedures. The trial must remain controlled after the installer leaves.
Support and downtime Support hours, remote and on-site response targets, escalation contacts, replacement or retrieval process and downtime remedy. A stalled robot can tempt staff to bypass safeguards or improvise repairs.
Commercial and legal terms Full rental duration and price, minimum term, delivery and installation fees, insurance certificates, liability allocation, damage limits, cancellation, data, credentials and software-use terms. Responsibility and total cost must be clear before equipment arrives.

Ask for these documents before paying a deposit. A provider’s willingness to supply them is useful evidence of deployment maturity, but receiving a document is not the same as independently validating it.

Compare rental and managed-service offers on the right axes

Vendor models and availability vary by location. The following examples describe vendors’ own advertised services, not independent endorsements; confirm inventory, geography, insurance and documentation directly.

Provider example Advertised offering Questions to verify
RentoBotics Humanoid rental or robotics-as-a-service in New England, with a site-readiness assessment. Is the exact model available for your task and dates? Who performs the assessment, integration, supervision and maintenance, and what written safety deliverables are included?
HumanoidX Canadian rental, lease and pilot services; its description says a commercial pilot starts with a defined task and environment assessment and covers programming, testing, supervision, duration and success measures. Which provinces and sites are served? Are trained personnel on site, and are the proposed measures written into acceptance testing and the contract?
Motion Managed monthly leasing with on-site integration engineering and operator training. What does “managed” include, what response time applies, who owns configuration changes and what happens when the robot is unavailable?

Use six comparison axes in your evaluation:

  • Task fit: demonstrated capability, repeatability, payload and recovery behavior for your exact job.
  • Safety evidence: quality and site specificity of the risk assessment, safeguards, validation and operating procedures.
  • Supervision and training: on-site coverage, operator authorization, emergency-stop control and refresher training.
  • Service coverage: delivery, commissioning, maintenance, parts, response time, downtime remedy and retrieval.
  • Commercial terms: total cost, minimum duration, insurance, liability, damage, software, data and cancellation.
  • Environment and jurisdiction: restricted industrial use versus public access and the rules applicable where the trial occurs.

Prepare the facility and workforce

Before delivery

  • Complete the approved risk assessment and walk the route from unloading to the operating area.
  • Confirm floor loading, doorway and lift dimensions, turning radius, ramps, storage and charging locations.
  • Install only safeguards designed for the identified hazards and validated in the integration plan; generic barriers, signage or personal protective equipment are not substitutes for task-specific engineering and procedures.
  • Control network access, credentials, cameras, microphones and recorded data. Decide who may export, view or delete logs.
  • Brief affected workers, contractors and security staff on the operating boundary, stop signal, access rules and incident-reporting route.

During installation and commissioning

  1. Have the provider verify the delivered model, software, accessories and safety configuration against the contract.
  2. Keep nonessential people out of the area while the provider performs initial power-up, calibration and motion tests.
  3. Test emergency stops, protective stops, guarding, restricted modes, restart behavior, loss-of-power behavior and communication-loss behavior under controlled conditions.
  4. Run the task at conservative limits before increasing speed, payload or operating hours. Record each change.
  5. Train only named personnel on operation, stop authority, inspection, charging and approved fault recovery. Programming and maintenance should require separate authorization.

For every operating shift

  • Complete a pre-start inspection and confirm the area, safeguards, software version and emergency contacts.
  • Maintain a supervisor who can observe the task and stop it without delay.
  • Prevent ad-hoc visitors, distractions and simultaneous work that changes the assessed environment.
  • Log interventions, protective stops, near misses, damage, quality failures and downtime, not just successful cycles.
  • Stop and escalate whenever conditions fall outside the written operating envelope.

Write acceptance tests and stop rules into the contract

Acceptance should be a jointly witnessed test, not a marketing demonstration. Define the sample size, environment, staffing, permitted interventions and pass/fail thresholds before delivery. Useful measures include task success rate under the stated conditions, number and cause of interventions, recovery time, completion of required training, completion of safeguard tests and documentation of every incident or near miss. Specify what happens if the robot fails: remediation, replacement, suspension, extension or termination, and who pays for additional on-site labor.

Include a change-control clause. A new software build, end effector, payload, work area, operating speed or interaction pattern can invalidate the original assessment. Require review and written approval before such a change is used.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Insurance, liability and data terms to settle before signing

  • Request current certificates and confirm policy limits, exclusions, additional-insured requirements and territorial coverage with your broker or counsel.
  • Allocate responsibility for injury, property damage, product damage, cyber incidents, data loss and damage to the rented robot.
  • Define who owns programs, logs, camera or microphone recordings, telemetry and derived operational data; specify retention, access, deletion and breach-notification duties.
  • State whether the provider may remotely access the robot, what authentication and logging apply, and how access is revoked at the end of the trial.
  • Set notice periods and procedures for cancellation, suspension after an incident, force majeure, retrieval and return-condition inspection.

Common failure modes and how to respond

The proposal names a robot but not a task

Reject a generic demonstration as the basis for approval. Return to the written task, environment, limits and acceptance test. A capable model can still be unsuitable once reach, payload, people and recovery work are considered.

The provider supplies a standards label instead of an assessment

Ask which clauses apply to the actual machine and integration, which functions were validated, and what remains outside scope. ISO 10218’s published exclusions for publicly accessible service-robot settings make a scope explanation essential.

Operators are expected to improvise recovery

Pause operation. Require a documented fault procedure, authorization matrix, training and provider support. Do not let staff reach into the workspace, bypass a safeguard or alter code to restore throughput.

The robot behaves differently after an update

Stop the trial, preserve logs and identify the software, configuration and task version that changed. Re-run the affected tests and update the risk assessment before resuming.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Visitors enter the area unexpectedly

Use the prewritten stop rule, make the area safe, record the event and reassess access control. If public interaction is part of the concept, treat it as a different application rather than simply relaxing an industrial setup.

Downtime creates pressure to continue unsafely

Use the contract’s escalation and downtime remedy. A spare robot, technician or extension is a commercial solution; bypassing controls is not.

Make the go/no-go decision

Proceed only when all of these conditions are true:

  • The task, environment, people and non-routine scenarios are defined.
  • A competent person has reviewed a site-specific risk assessment.
  • Safeguards, operating limits, emergency procedures and stop authority are tested and understood.
  • Named staff are trained, supervised and authorized for their roles.
  • The provider has supplied verifiable insurance, support, maintenance and fault-recovery terms.
  • Acceptance tests, change control, data handling and incident reporting are contractual.
  • The applicable jurisdictional requirements have been checked; no OSHA-specific robotics standard or ISO label has been treated as automatic approval.

Defer the trial when any critical item is missing. Ask the provider to close the gap, engage an independent safety professional or redesign the task. A smaller, slower, restricted-access pilot with clear evidence is a better business experiment than a broad demonstration whose risks and success criteria are undefined.
