The quickest way to make a Mac screen recording smaller is to export a separate copy from QuickTime Player at an appropriate resolution, then choose Smaller File Size (HEVC) when the recipient and upload service support it. Use Greater Compatibility (H.264) when reliable playback on more devices matters more than maximum compression. Choose 1080p for detailed interfaces, 720p for ordinary demonstrations, and 480p only when a very small file is more important than readable fine text.
Use QuickTime Player for the fastest size reduction
QuickTime Player’s export presets are the simplest native option because they reduce resolution and let you choose between Apple’s two relevant delivery formats without replacing the original recording. Exporting a new copy also gives you a safe fallback if text becomes hard to read or a recipient cannot decode the selected codec.
Step-by-step export
- Open the original recording in QuickTime Player.
- Choose File > Export As.
- Select an output resolution: 1080p, 720p, or 480p.
- For a 4K or 1080p recording, open the format menu and choose either Smaller File Size (HEVC) or Greater Compatibility (H.264).
- Give the export a new name and save it in a different location from the original.
- Play the exported copy from beginning to end before attaching or uploading it.
Apple’s documented maximum output dimensions are 1920×1080 for 1080p, 1280×720 for 720p, and 640×480 for 480p. The export is a new file; it does not improve detail that was absent from the source, so reducing resolution should be treated as a delivery decision rather than an archival one.
Pick the resolution that keeps interface text readable
Resolution is usually the largest quality decision in a screen recording. Smaller dimensions can reduce the amount of visual data in the file, but a menu label or code line that is legible at full size may become unusable after downscaling. Match the preset to what the viewer must read, not merely to the size of the attachment.

| QuickTime preset | Maximum dimensions | Best fit | Main trade-off |
|---|---|---|---|
| 1080p | 1920×1080 | Detailed software interfaces, spreadsheets, code, and demonstrations where viewers need to inspect small controls | Larger output than lower-resolution presets |
| 720p | 1280×720 | Ordinary demonstrations, walkthroughs, and presentations with moderately sized controls | Fine text has less room and may need zooming |
| 480p | 640×480 | Cases where keeping the file very small matters more than fine detail | Small interface text can become difficult to read |
When 1080p is the safer choice
Keep 1080p when the recording explains a dense interface, shows code, compares small visual changes, or expects the viewer to follow a cursor among many controls. A smaller file that forces the recipient to pause and zoom repeatedly may be less useful than a larger file that can be watched normally. If the original is 4K, a 1080p export is still a substantial reduction in dimensions while retaining more detail than 720p or 480p.
When 720p is enough
Choose 720p for a conventional how-to in which buttons and labels are reasonably large, the cursor movement carries more information than tiny text, or the destination imposes a practical upload limit. Watch the exported copy at its intended viewing size. If labels remain clear without enlarging the player, 720p is a sensible compromise.
When 480p is appropriate
Use 480p only when the recipient mainly needs to see the sequence of actions and the smallest practical file is the priority. It is a poor choice for terminal output, code, spreadsheet cells, or any demonstration that depends on reading fine text. If you must use it, enlarge the relevant application or content before recording so the important elements occupy more pixels.

QuickTime presents the codec choice in terms that describe the trade-off: Smaller File Size uses HEVC (H.265), while Greater Compatibility uses H.264. HEVC is the size-first option when every recipient and service in the sharing chain supports it. H.264 is the safer choice when the file may be opened on a wider range of devices or passed through software with uncertain codec support.

| QuickTime label | Codec | Choose it when | What to verify |
|---|---|---|---|
| Smaller File Size | HEVC (H.265) | The destination accepts HEVC and reducing the file is the primary goal | Ask whether the recipient’s player, browser workflow, or upload service decodes HEVC |
| Greater Compatibility | H.264 | The recording must play reliably across more devices and applications | Expect a potentially larger file than the HEVC export at a comparable preset |
Do not infer a guaranteed percentage reduction from the codec names. Apple does not publish one general before-and-after percentage for Mac screen recordings, and the result depends on the recording’s resolution, motion, detail, and encoding settings. Compare the actual exported file sizes if the limit is strict.
What to do if HEVC will not play
Keep the HEVC export if it works for your intended recipient, but make an H.264 fallback when compatibility is uncertain. Open the original or the HEVC copy in QuickTime Player, choose File > Export As, select the needed resolution, and set the format to Greater Compatibility. Save that H.264 version as a separate file so you still have the smaller HEVC copy and the untouched original.
Set the codec at capture time with Screenshot
On supported Macs running macOS Tahoe 26 or later, Apple’s Screenshot tool offers a capture-format choice between SDR with H.264 and HDR with HEVC. This setting applies to new captures, so it is useful when you already know whether compatibility or HDR capture is more important.

Choose SDR and H.264 for broad playback
Select SDR with H.264 when the recording is destined for people using unknown hardware or software, or when an upload workflow has strict codec requirements. This avoids making HDR and HEVC support prerequisites for viewing an ordinary screen demonstration.

Choose HDR and HEVC for HDR content
Select HDR with HEVC when preserving HDR capture is an explicit requirement and the complete sharing chain supports it. HDR is not a substitute for a smaller resolution: it changes the capture and codec combination, while the QuickTime export resolution still determines the dimensions you deliver.
Use Apple Compressor when QuickTime presets are too limited
QuickTime is intentionally simple. If you need control over the encoding rather than only a few fixed presets, Apple Compressor exposes more variables, including the codec, average bitrate, quality, keyframe interval, and delivery-oriented presets.
Bitrate control
Average bitrate is the most direct advanced control for trading file size against image quality. Lowering it can make an upload substantially smaller, but screen recordings reveal compression damage quickly: text edges can become blocky, thin lines can shimmer, and moving cursors can leave visible artifacts. Reduce bitrate in small steps and inspect the result rather than assuming a particular setting will work for every recording.

Quality and keyframes
Quality controls let you prioritize visual fidelity, while the keyframe interval affects how frequently the encoder inserts independently decodable frames. These settings matter when a platform has delivery requirements or when seeking through the recording must remain responsive. Change one variable at a time so you can identify which adjustment caused a readability problem.

Social Platforms preset
Compressor includes a Social Platforms bitrate option intended to create a smaller upload file. Treat it as a delivery starting point, not a promise of a particular size or quality. Check the rendered file’s dimensions, playback, and text clarity before publishing it.
A reliable before-sharing workflow
Use the following sequence whenever a recording must meet an email attachment limit, an upload limit, or a recipient’s playback constraints.
- Keep the original. Do not overwrite the first recording. It is your recovery copy if a smaller export loses important detail.
- Identify the visual requirement. Decide whether viewers must read small text, follow ordinary controls, or merely see a sequence of actions. That determines 1080p, 720p, or 480p.
- Identify the playback requirement. If HEVC support is confirmed, try Smaller File Size. If support is unknown, choose Greater Compatibility or create both versions.
- Export with a new filename. Include the resolution and codec in the name, such as
demo-720p-hevcordemo-1080p-h264, so you can distinguish copies without opening them. - Check the resulting file. Confirm that the export completed, note its actual size, and play it through at normal viewing size.
- Inspect critical frames at 100%. Pause on menus, code, labels, and cursor interactions. Make sure characters are readable and the pointer is still easy to follow.
- Share only after verification. Attach or upload the verified copy, not the large original and not an untested render.
How to meet a strict size limit without making the recording useless
When a service rejects a file, change the least damaging variable first. If the recording is 4K, export at 1080p before aggressively lowering bitrate. If it is already 1080p and the text is important, try HEVC when supported before dropping to 480p. If compatibility is the blocker, retain the resolution and use H.264, then consider a controlled bitrate reduction in Compressor.
Decision order for a text-heavy tutorial
- Start at 1080p so labels and code have adequate pixels.
- Use HEVC’s Smaller File Size option if the destination accepts HEVC.
- If the result is still too large, use Compressor to lower average bitrate cautiously.
- Re-export at 720p only after confirming that the key text remains readable there.
- Use 480p as the final size-first option, and enlarge important content in the original capture if another recording is possible.
Decision order for a general demonstration
- Try 720p with HEVC when compatibility is known.
- Use H.264 at 720p when the audience or platform is uncertain.
- Move to 480p only when the size limit outweighs fine detail.
Troubleshooting common failures
The exported file is still too large
- Check whether you actually changed the resolution; a 4K source exported at 1080p is different from leaving it at the source dimensions.
- For 4K or 1080p material, retry with Smaller File Size (HEVC) if the destination supports it.
- Use Compressor for average-bitrate control when QuickTime’s presets do not meet the limit.
- Do not promise or rely on a fixed reduction percentage; inspect the size produced by your particular recording.
Text is blurry or impossible to read
- Return to the original and export at the next higher resolution.
- Use 1080p for dense interfaces, code, spreadsheets, and small controls.
- Inspect the copy at 100% instead of judging only from a small preview thumbnail.
- If you are recording again, enlarge the application content before capture so important text occupies more of the frame.
The recipient cannot open the file
- Re-export using QuickTime’s Greater Compatibility (H.264) format.
- Keep the same resolution initially so you change compatibility without also sacrificing detail.
- Play the H.264 copy yourself before sending it again.
The export looks blocky or shows artifacts
- Raise the bitrate or quality in Compressor.
- Check text-heavy scenes first; they expose compression problems sooner than static, low-detail areas.
- Prefer a higher resolution with a reasonable bitrate over an extremely compressed low-resolution copy when viewers must read the interface.
Examples of practical choices
Software bug report with small controls
Export at 1080p. Start with HEVC if the issue tracker and its reviewers support it; otherwise choose H.264. Verify the exact menu, error text, and cursor position at 100% before attaching the file.

Short onboarding walkthrough
Export at 720p. Use HEVC for a known-compatible internal workflow, or H.264 when the recording will circulate outside your team. Move to 480p only if the upload limit requires it and the labels remain readable.
Recording captured in HDR
If the HDR appearance is essential, keep the HDR/HEVC path on a supported Mac and confirm that the delivery service preserves and decodes it. If the audience only needs a conventional interface demonstration, an SDR/H.264 capture is the safer compatibility choice.
Public upload with uncertain playback environments
Choose H.264 through Greater Compatibility, then select the highest resolution that keeps the upload within the service’s limit. If the file remains too large, use Compressor’s bitrate controls and test the resulting copy on the intended platform.

Resolution, codec, and bitrate all influence the final size, but none gives a universal file-size result for every screen recording. A mostly static desktop, a fast animation, and a recording full of scrolling text can produce different sizes even when exported with the same preset. Apple publishes the QuickTime labels and maximum output dimensions, but not a general percentage reduction for Mac screen recordings.
That is why the dependable method is empirical: export a separate copy, read the actual file size, and inspect the visual result. If the copy misses the limit, make one controlled change and render again. This approach avoids sacrificing legibility blindly and leaves the original available for another attempt.
Recommended default
For most Mac screen recordings, export a 720p HEVC copy when the recipient and service explicitly support HEVC. Use 1080p instead when viewers must read small interface text, and switch to H.264 through Greater Compatibility whenever playback support is uncertain. Preserve the original, verify the exported copy at 100%, and use Compressor’s bitrate controls only when the QuickTime presets cannot meet the required size.
