For routine documents, open the print settings for your HP inkjet printer and select Black Ink Only, Black and White, or Monochrome instead of color. Select Draft quality when a lighter, still-readable print is acceptable. The exact labels and menu locations depend on the printer model, operating system, application, and installed driver.

This guide shows the settings to use on Windows, macOS, and the HP app, explains why a printer can still consume some color ink during a grayscale job, and separates inkjet advice from LaserJet toner settings.

Use these settings first

The shortest path is to change the individual job rather than changing supplies or buying software. In the document’s print dialog, choose the HP printer, open its preferences, and select a black-only or monochrome option. For ordinary drafts, proofs, class notes, or internal copies, select Draft quality if the lighter output remains legible.

  1. Open the document or image and choose File > Print.
  2. Select your HP printer.
  3. Open Properties, Printer Properties, Preferences, More settings, or the equivalent control.
  4. Set color to Black Ink Only, Black and White, Monochrome, or a standard Grayscale mode.
  5. Set Draft quality, or EconoMode when the driver offers it and the result is suitable.
  6. Check the preview, then print.

HP documents these choices and their varying labels in its black-and-white printing guide and print settings guide.

How the main print modes differ

Mode or setting Intended cartridge use When to use it Trade-off
Black Ink Only Uses the black cartridge alone where the printer supports true black-only output. Routine text, forms, and documents without needed color. Color images and shaded graphics may lose detail or appear less natural.
Black and White / Monochrome Requests monochrome output; the actual ink behavior is model-dependent. General documents when the driver does not expose a separate Black Ink Only control. Some inkjet models can still use color for grain reduction or maintenance.
Standard Grayscale Converts the job to gray tones. It may use black alone or a mixture, depending on the model and driver. Text and simple graphics when a grayscale result is acceptable. Do not treat the label as a guarantee that every color cartridge will remain untouched.
High Quality Grayscale Uses both black and color cartridges to create a wider range of gray and black tones. Important graphics or images where smoother tonal transitions matter. It is not the ink-saving choice because color cartridges are part of the rendering process.
Draft Reduces print quality and normally reduces the amount of ink laid down. Proofs, working copies, and routine text that remains readable at lighter density. Text can be lighter and images can show more banding or missing detail.
EconoMode Ink- or toner-saving mode where supported by the device and driver. Fast, low-density drafts. Availability, name, and effect vary by model and driver.

HP specifically warns that High Quality Grayscale uses color and black cartridges, so choose a basic black-only or monochrome option when conserving color ink is the priority.

Windows: set a black-only job

Windows exposes printer controls through the application’s print dialog and the HP driver. The labels can differ between a full-feature driver, a basic driver, and an app’s simplified print window.

  1. Open the document, spreadsheet, browser page, or image.
  2. Choose File > Print, or press Ctrl+P.
  3. Choose the correct HP printer from the printer list.
  4. Select Printer Properties, Properties, Preferences, or More settings.
  5. Look in the Paper/Quality, Color, Features, or Advanced tab.
  6. Choose Black and White, Monochrome, Black Ink Only, or Print in Grayscale, whichever your driver provides.
  7. Open the print-quality control and select Draft for a routine copy. If the driver offers EconoMode, it may be listed under print quality, output quality, or media.
  8. Apply the settings, review the application’s preview, and print.

If none of the color or quality controls appears, the installed driver may be limiting the options. HP notes that a full-feature driver can be required for the complete set of controls. Download the driver only through HP’s support page for your exact model, then repeat the steps in the application.

When an application overrides the driver

Some applications present their own simplified color menu and can apply a setting after the printer preferences window closes. Confirm the final preview says black and white, monochrome, or grayscale before sending the job. If the preview still shows color, reopen the application’s print options and set the mode there as well.

macOS: turn off color and lower quality when appropriate

  1. Open the file and choose File > Print.
  2. Select the HP printer in the printer menu.
  3. Open the settings section that contains color or quality controls. Depending on the driver, this may be under a printer-specific menu, Media & Quality, or a similar heading.
  4. Turn off Print in Color, or select Black & White when that option is offered.
  5. For a routine copy, set Draft in the quality or print-quality control if available.
  6. Check the preview and click Print.

macOS menu names and available controls vary with the printer model and driver. If the standard macOS dialog has no monochrome choice, look for a printer-specific settings panel or install the current full-feature HP driver for that model.

HP app: select grayscale from the print preview

In the HP app, the route depends on whether you are printing a document, photo, or scan, but the relevant control is normally in the print-preview screen.

  1. Open the HP app and select the printer.
  2. Choose the document, photo, or scan to print.
  3. Open the color, grayscale, or presets menu.
  4. Select Grayscale, Monochrome, Black Ink Only, or Black Only when shown.
  5. Open quality settings and choose Draft for an acceptable low-density copy.
  6. Review the preview and send the job.

Not every printer-and-app combination exposes every option. If a control is absent, use the operating system’s printer preferences instead of assuming that a grayscale preview guarantees black-only ink use.

Save a shortcut for recurring jobs

If you print invoices, schoolwork, meeting notes, or shipping forms repeatedly, save the combination of monochrome and Draft as a preset or printing shortcut. HP’s print-settings guide describes presets and custom shortcuts, but the feature is not present in every driver.

  1. Open the printer preferences from a print dialog.
  2. Choose the desired black-only or monochrome setting and quality level.
  3. Find Presets, Printing Shortcuts, Save As, or a similar control.
  4. Give the preset a descriptive name such as “Routine black draft.”
  5. Before each job, verify that the preset is selected and that the preview does not contain needed color.

A preset affects the jobs to which you apply it; it does not change the printer’s physical ink system. Keep a separate higher-quality preset for documents where fine graphics or photographs matter.

Why color ink can fall during a black-and-white job

A monochrome selection is a rendering instruction, not an absolute promise that every color cartridge will remain unused. HP says some inkjet models mix color ink with black to reduce visible grain in gray areas. HP also says the printer can draw ink from all cartridges during periodic servicing intended to prevent clogs and other print-quality problems. These functions cannot be bypassed through a print setting. See HP’s explanation in its black-and-white printing support article.

This explains why a color-level indicator can decline after a job that looked black and white. It does not mean the setting failed. To minimize avoidable color use, select Black Ink Only or basic Monochrome when available, and avoid High Quality Grayscale, which intentionally uses color and black cartridges for richer tones.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ink-level estimates are not a precise measurement of the amount used by one document. They are estimates maintained by the printer and can change after maintenance cycles or cartridge recognition. Do not infer a guaranteed percentage saving from a setting; HP’s cited guidance does not provide a universal ink-savings percentage.

Reduce total ink consumption without sacrificing legibility

Use Draft for documents that are not final

Draft lowers output density and is suited to proofs and routine text when the lighter result is readable. Inspect the first page at normal viewing distance. If small fonts, thin lines, or gray text become hard to read, move up to the next quality level rather than reprinting an entire batch.

Separate text jobs from image jobs

Keep a black-and-white Draft preset for text and a normal-quality preset for photos, charts, or shaded diagrams. Applying Draft to a photograph can make the result unusable, while applying high-quality grayscale to a simple text memo consumes more resources than necessary.

Print only the pages you need

Use the page-range field in the print dialog instead of printing an entire document to retrieve one page. Check the preview for blank pages, cover sheets, and repeated attachments before sending a long job.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Remove unnecessary backgrounds

Web pages and presentation slides can contain colored backgrounds, decorative banners, and large images that add ink without adding information. If the application offers a simplified or reader view, use it for text-heavy pages, then print the selected pages in monochrome.

Proof on screen first

Review spelling, page breaks, margins, and table alignment before printing. Correcting errors on screen avoids consuming ink on discarded copies. Use the preview supplied by the application or operating system rather than relying only on the document editor’s canvas.

Troubleshoot missing or ineffective settings

The printer properties window has no grayscale option

  • Check that the selected device is the actual HP printer, not a generic or system-created queue.
  • Open the printer’s full Properties or Preferences window rather than the application’s compact dialog.
  • Install the full-feature HP driver for the exact model if the current driver exposes only basic controls.
  • Try the HP app, which may present a grayscale or black-only control that the application does not show.

The output is still in color

  • Reopen the final print preview and confirm that Print in Color is disabled.
  • Check for a second color control in the application, such as a photo-specific setting that overrides the printer preference.
  • Make sure a saved preset has not restored color mode.
  • Print a one-page test before sending a large batch.

Black text looks faint

  • Change from Draft to the normal quality level.
  • Confirm that the document is not using light-gray text or a transparency effect.
  • Run the printer’s built-in maintenance procedure only when the printer requests it or print quality indicates a problem; maintenance can consume ink.

Color levels continue to decline

Some decline can result from grain-reduction mixing or periodic servicing, even when every job is set to monochrome. HP states that these inkjet functions cannot be bypassed. If color disappears unusually quickly, check for accidental color jobs, high-quality grayscale selections, repeated cleaning cycles, or a cartridge warning, and consult the support information for the exact model.

Inkjet ink versus LaserJet toner

This article’s main instructions apply to HP inkjet printers, which use liquid ink cartridges. HP LaserJet devices use toner, so an ink-saving expectation does not transfer directly. For the LaserJet Pro MFP 4301, 4302, and 4303 series, HP says grayscale printing reduces color toner use when resolving color print-quality problems. The model-specific guidance is at HP’s LaserJet Pro color print-quality support page.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the product name on the printer or in the operating system before troubleshooting supplies. A LaserJet setting may be labeled grayscale or monochrome, but it controls toner behavior rather than ink cartridges. Do not apply inkjet cartridge advice to a LaserJet or assume that an inkjet driver’s labels will appear on a LaserJet model.

Replacing a cartridge safely

Changing a cartridge does not reduce consumption; it only restores a depleted supply. If replacement is necessary, identify the exact printer model from the front panel, printer information page, or operating-system printer name, then verify the cartridge compatibility in HP’s documentation. The title alone does not establish a cartridge number, and neighboring models can use different supplies.

  • Do not order by a visual match or by a similar model name.
  • Match the cartridge family and regional version specified for the exact printer.
  • After installation, allow the printer to complete its recognition or alignment process.
  • Keep the printer connected and powered as recommended so required servicing can occur; repeatedly interrupting maintenance can create print-quality problems.

A practical decision checklist

  • Mostly text, not final: Black Ink Only or Monochrome plus Draft.
  • Text and simple diagrams: Black Ink Only or standard Grayscale at normal quality if Draft loses detail.
  • Important gray graphics: Use normal or higher quality, understanding that High Quality Grayscale uses color and black cartridges.
  • Photographs or color-coded charts: Keep color enabled and use the quality level needed for accurate interpretation.
  • Color still drops in monochrome: Check for high-quality grayscale, then remember that some inkjet models mix color for grain reduction and servicing.
  • Controls missing: Try the full-feature driver, another print dialog, or the HP app for the same printer.
  • Printer is a LaserJet: Follow toner-specific grayscale guidance instead of inkjet cartridge advice.

There is no universal setting that guarantees zero color consumption on every HP inkjet model. The most controllable approach is to choose black-only or monochrome for each applicable job, use Draft when the quality is sufficient, verify the final preview, and reserve color and high-quality modes for pages that genuinely need them.
