The most reliable way to reduce an all-in-one printer’s running cost is to match print settings and supplies to the job: use Draft or Normal quality for routine pages, choose a true black-only mode when your model provides one, print on both sides, and compare cartridges by cost per published page rather than sticker price. A subscription can help only when its page allowance, color rules, overage charges, and cancellation terms fit your actual volume.

These changes do not produce identical savings on every inkjet or laser model. Driver labels, cartridge yields, maintenance cycles, subscription availability, and regional terms vary, so verify each setting and cartridge number in your printer’s manual or manufacturer support documentation.

Start with a one-month printing baseline

Before changing anything, measure a representative month. Record the number of pages printed, how many were color, how many were single-sided, and which jobs required presentation-quality output. Include pages printed from computers and mobile devices, not just the printer’s control-panel counter if those counters differ.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Also write down the exact printer model and every installed cartridge number. An all-in-one may use separate black and color cartridges, a combined color cartridge, or different cartridges for different regions. You cannot compare a replacement accurately without the exact number.

Calculate your current consumable cost

For each cartridge, note its purchase price and the manufacturer’s stated page yield. Divide price by yield to get a cost per stated page:

cost per stated page = cartridge price ÷ published page yield

This is a comparison figure, not a promise of your real cost. Published yields are measured under specified conditions, while pages with heavy graphics, photos, large fonts, or full-page backgrounds use more consumable than lightly printed text. Keep paper cost separate so you can see whether a setting saves ink or toner, paper, or both.

Use lower-quality modes for low-stakes jobs

Draft, Economy, and EconoMode settings are designed to use less consumable, but they normally reduce print quality. They are appropriate for drafts, proofs, internal checklists, reference copies, and documents that will not be distributed externally. Keep Normal or a higher quality setting for forms that must be dark and legible, customer-facing documents, graphics, and photographs.

Choose the setting in the print dialog

  1. Open the document and choose Print.
  2. Select the all-in-one printer, then open Preferences, Properties, or the printer-specific settings panel.
  3. Find a control named Quality, Print quality, Resolution, Draft, Economy, or EconoMode. The label and location depend on the driver.
  4. Select Draft or Economy for the test page and print a representative document.
  5. Check small text, light lines, barcodes, and shaded areas. If any are unreliable, move up to Normal quality rather than assuming the lowest setting is suitable for every job.

If the driver supports presets, save a preset such as “Internal draft” with the lower quality, black-and-white, and duplex choices together. Keep a separate “Final” preset so a previous economy setting does not accidentally carry into an important document.

Do not leave Economy enabled blindly

Economy mode is not a universal always-on recommendation. For certain LaserJet Pro MFP models, HP Support says, “HP does not recommend full-time use of EconoMode.” Its explanation is that toner can outlast mechanical parts in the toner cartridge when EconoMode is used continuously. That warning is scoped to the cited model family; use the same caution for other printers only after checking their documentation.

Use black-only printing carefully

For text documents that contain no intentional color, select Black and white, Monochrome, or a model-specific Black ink only option when available. A genuine black-only mode is preferable to a generic grayscale choice because it tells the driver not to synthesize gray tones from color inks.

Why grayscale may still consume color ink

Grayscale is not proof that an inkjet is using only black ink. HP explains that some printers mix black and color inks to produce smoother grain or gray tones, and that some models use ink from cartridges during periodic servicing. The exact behavior is model-dependent.

To verify what your printer does, inspect the driver for an explicit black-only option, print a test page containing black text and gray shading, and check the cartridge-level indicators afterward. A printer may also perform maintenance outside the print job, so a small change in an indicator does not prove that every page used the same amount.

When color should remain enabled

  • Charts, logos, highlighted instructions, and color-coded forms need color to convey meaning.
  • Some printers produce better neutral grays with a color mixture than with black toner or ink alone.
  • Photos and images generally require color cartridges or color toner even when the surrounding text is black.

Use black-only for genuinely monochrome jobs, not as a blanket setting that makes every document worse or triggers an unexpected driver conversion.

Turn on two-sided printing to cut paper cost

Automatic duplexing prints on both sides of a sheet. It does not directly reduce ink or toner consumption per printed side, but it reduces the number of sheets required and therefore lowers the total cost of a document. It also reduces storage and mailing volume.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Enable duplex for routine documents

  1. Open the print dialog and select the all-in-one printer.
  2. Open Preferences or Properties.
  3. Enable Two-sided, Duplex, or Print on both sides.
  4. Choose Long-edge binding for a conventional portrait document or Short-edge binding when the page should turn along its shorter edge.
  5. Print a two-page test and confirm that the back side is oriented correctly before sending a long job.

Use single-sided printing for forms that must be separated, pages that will be scanned through a single-sided feeder, labels, transparencies, or paper that the manufacturer does not approve for duplexing. If your model lacks automatic duplex hardware, manual duplexing can still save paper, but follow the driver’s reinsert-paper instructions to avoid reversed or duplicated pages.

Buy cartridges by cost per published page

High-yield or XL cartridges generally contain enough consumable to print more pages than standard cartridges. A higher yield alone does not establish a lower cost, however. Compare the price of each compatible cartridge with its stated yield for your exact printer.

Use a like-for-like cartridge comparison

Check What to record Why it matters
Compatibility Exact printer model and cartridge number Similar-looking cartridges may not fit, communicate, or be supported in the same device.
Type Standard, XL, high-yield, or regional variant Yield and price can differ even when the cartridge family name is similar.
Published yield Pages stated by the manufacturer This is the denominator for a consistent cost comparison.
Current price Price for the complete cartridge, including required shipping or delivery fees A low sticker price can be misleading when delivery or a separate color cartridge is required.
Color arrangement Separate black and color cartridges or a combined color unit Individually replaceable colors can prevent discarding unused cyan, magenta, or yellow ink.

For illustration, HP lists an example yield of 1,000 pages for an HP 940 black cartridge and 2,200 pages for an HP 940XL High Yield black cartridge. Those are manufacturer figures for that cartridge family, not independent tests or guaranteed results in another printer. Calculate the price per stated page for both options before deciding.

When XL is likely to make sense

An XL cartridge is usually easier to justify when you print enough pages to use the additional capacity before the ink or toner ages, your printer accepts that exact high-yield number, and the price-per-page calculation is lower. If you print only a few pages a month, the larger initial payment may tie up money without reducing your near-term spending.

Compare color cartridges separately. A high-yield black cartridge does not make a color cartridge cheaper, and a combined color cartridge may require replacement when only one color is empty. Keep receipts and note the date installed so you can compare your own page count with the published yield over several replacements.

Evaluate a page subscription against your real volume

A subscription can replace individual cartridge purchases with a monthly page allowance, but its value depends on your actual pages and the plan’s rules. Do not choose a plan from the allowance alone.

Questions to answer before enrolling

  • How many pages do you print in a representative month, and how much does that number vary?
  • Are color and black-and-white pages counted the same way?
  • How many unused pages roll over, and is there a cap?
  • What is the charge for pages beyond the allowance?
  • Is the plan available for your printer, country, and account type?
  • Does the service require an internet connection and a continuing account?
  • Are shipping costs included?
  • What happens to subscription cartridges if you cancel?

Example: how HP Instant Ink mechanics affect the calculation

HP says Instant Ink counts color and black-and-white pages alike, allows rollover within plan caps, and charges for pages beyond the plan allowance. That means a month containing a few color pages can consume allowance at the same rate as monochrome pages. A plan that looks inexpensive for text-only printing may cost more when your volume rises or when overage charges apply.

HP also says Instant Ink cartridges work only in enrolled printers. After cancellation, the cartridges must be removed when the billing cycle ends. Include that restriction in your comparison: the cartridges are not simply a discounted purchase that remains usable forever outside the service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compare subscription cost with direct purchasing

Factor Buying cartridges Page subscription
Payment pattern Pay when a cartridge is needed Recurring charge tied to a page allowance
Color accounting Color cost depends on which cartridges you use Check whether every color and black page counts equally
Unused capacity Ink or toner remains in the cartridge Check rollover rules and caps
Extra pages Buy another cartridge when needed Pay the plan’s overage rate or change plans
Eligibility Must match the exact cartridge and printer Requires an eligible printer, region, account, and usually internet access
Cancellation No service cancellation condition Check cartridge return or removal requirements and the billing-cycle date

Use your baseline month, a low month, and a high month in the calculation. If the subscription is cheaper only in an unusually low or high month, it may not be the most predictable choice. Recheck the terms before enrolling because allowances, prices, and regional eligibility can change.

Maintain the printer without wasting consumable

Do not run printhead cleaning as a routine savings tactic

Cleaning cycles can consume ink. HP advises cleaning only when needed for the cited Designjet family. That is legacy, model-specific guidance rather than a universal all-in-one procedure, but it supports a sensible rule: do not start repeated cleaning cycles merely to “use up” a cartridge or as preventive maintenance. If output has streaks or missing nozzles, follow your model’s documented diagnostic sequence and stop when the problem is resolved.

Keep paper and print settings consistent

Select the actual paper type in the driver. Inkjet printers often change ink application for plain, coated, or photo paper; a mismatch can produce poor output and repeat printing. Store paper sealed and flat, and replace damp or curled sheets that cause jams. Every reprint consumes more ink or toner and paper than the original successful job.

Prevent accidental high-cost jobs

  • Preview page count and color before confirming a large print job.
  • Remove blank pages and unnecessary background graphics from documents.
  • Use a PDF or print preview to catch orientation and margin errors before printing.
  • Cancel duplicate jobs in the queue rather than allowing them to finish.
  • Keep the printer’s default on Normal quality and duplex only if that combination suits most work; use saved presets for exceptions.

Choose settings by job type

Job Recommended starting settings Reason to change them
Personal draft or proof Draft or Economy; black-and-white; duplex Increase quality if light text or fine lines cannot be read.
Internal text document Normal or Draft; black-only when available; duplex Use Normal for signatures, barcodes, or forms that must scan reliably.
Color chart or coded spreadsheet Normal quality; color; duplex when layout permits Keep color where it carries information.
Customer-facing report Normal or higher; color only where needed; duplex if acceptable Raise quality for graphics, branding, or fine print.
Photo or presentation image Photo or presentation setting; correct paper type; usually single-sided Lower settings may produce banding, inaccurate color, or visible artifacts.

Troubleshoot unexpected consumption

Color cartridge falls while printing “black and white”

  1. Confirm whether the driver selected grayscale or a true black-only mode.
  2. Check the printer manual for color mixing and periodic servicing behavior.
  3. Print a controlled black-text test page and observe cartridge indicators over several jobs rather than one page.
  4. If color use is still unexpected, contact the manufacturer with the exact model and driver version; do not assume a universal setting applies.

Draft output is too faint

  1. Switch from Draft or Economy to Normal for that document.
  2. Verify that the correct paper type is selected.
  3. Check whether a toner-save or ink-save option is enabled in both the application and printer driver.
  4. Run only the model’s recommended diagnostic or cleaning step if the manual identifies a print-quality fault.

Duplex pages are upside down or misaligned

Print a two-page test, change the binding edge, and confirm page orientation in the application. If the paper is unsuitable for automatic duplexing, use approved stock or single-sided printing rather than repeatedly reprinting a misfed job.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A subscription is costing more than expected

  1. Compare the account’s recorded page count with your own baseline.
  2. Check whether color and monochrome pages count identically.
  3. Review rollover caps and overage charges for the billing period.
  4. Compare the total monthly charge with the cost-per-page figures for the exact cartridges your printer accepts.
  5. Before cancellation, read the service’s cartridge and billing-cycle instructions so you know when enrolled cartridges stop working.

A repeatable monthly cost check

At the end of each month, record pages printed, color pages, black-only pages, paper sheets, cartridges installed, and any cleaning or failed jobs. Update the price-per-stated-page calculation when purchase prices change. Then answer three questions:

  • Did a lower quality setting produce an acceptable result for the jobs where it was used?
  • Did duplexing reduce sheets without creating extra reprints or workflow problems?
  • Was the month’s cartridge or subscription cost lower than the previous comparable month after accounting for page volume?

If the answer to the first question is no, reserve Draft for less demanding work. If the answer to the second is no, use duplex only where the paper and document workflow support it. If the third is no, revisit cartridge yield, color-page behavior, overage charges, and your actual page volume rather than assuming the printer itself is defective.
