The most reliable way to stop a Teams deepfake or impersonation scam is to verify the person outside the meeting before you share information, approve access, move money, or change an account. Treat a familiar face, voice, display name, and caller warning status as clues—not proof. Refuse passwords and authentication codes, use the lobby and participant-role controls that fit the meeting, and harden your tenant, identities, and devices.

What Teams security can—and cannot—prove

Teams encrypts traffic and data in Microsoft services. Transport Layer Security (TLS) and Secure Real-time Transport Protocol (SRTP) protect relevant meeting communications, while encryption at rest protects stored data. Those controls protect the channel between systems; they do not authenticate the human represented by a face, voice, account, or caller ID.

An attacker can use a stolen account, a convincing synthetic voice or video, or a trusted-looking display name to ask for confidential information, remote access, a payment, a password reset, or a two-factor authentication (2FA) code. Microsoft describes deepfake impersonation as a possible path to business email compromise, leaked information, or resetting an important account’s password or 2FA. It does not publish a Teams-meeting deepfake incident rate in the material available here.

A Teams warning can add useful context, but it is not an identity certificate. Microsoft notes that a legitimate caller can occasionally be flagged, and a malicious caller may not be flagged. The absence or presence of a warning therefore cannot replace an independent check.

How can I tell if someone is using a deepfake on a video call?

Visual or audio glitches are not a dependable test. Compression, poor lighting, background noise, a Bluetooth headset, or a weak connection can look unusual; modern synthetic media can also appear polished. Instead of trying to prove that a stream is synthetic, decide whether the request and the surrounding context justify a separate identity check.

Risk signals that should make you pause

Signal Why it matters Safe response
An unexpected urgent request Urgency is commonly used to prevent you from checking with colleagues. Pause and verify through a previously trusted channel.
A request for money, credentials, confidential files, or remote access These actions have consequences that a meeting identity alone cannot justify. Do not act during the call; use an independent approval process.
A changed voice, unusual phrasing, or a video that freezes around the mouth or eyes It may be synthetic, but ordinary technical problems can look the same. Use the anomaly as a reason to verify, not as a diagnosis.
A new external participant or unfamiliar organization The account may not belong to the person the name suggests. Keep the person in the lobby until an organizer confirms the context.
A caller asks you to install software or approve a sign-in Remote-access and consent prompts can hand over control of your device or account. Decline, end the call, and contact your IT or security team using a known route.

No Teams meeting setting should be described as a guarantee that synthetic audio or video will be detected. Identity proof comes from a trusted relationship and an independent communication path, not from visual familiarity.

How do I verify someone’s identity on Microsoft Teams?

Use this procedure whenever a participant makes an unexpected or consequential request.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Pause. Do not share information, open a link, install software, approve a sign-in, or grant remote control while you are still deciding whether the request is genuine.
  2. Check the context. Compare the person’s name, organization, meeting invite, role, and request with what you expected. A matching display name or familiar face is not sufficient proof.
  3. Choose a trusted channel. Call a phone number already stored in your directory, use an established internal chat or previous conversation, or navigate to the organization’s known website yourself. Do not use a phone number, link, or alternate contact supplied only in the suspicious request.
  4. Ask for confirmation outside the meeting. Have the real person confirm the request through that independent channel. For a financial or access change, use the organization’s normal two-person or documented approval process as well.
  5. Refuse secrets and end the call if necessary. Never disclose a password or authentication code on a call. If you cannot independently confirm the request, leave the meeting and contact the person or organization directly.
  6. Report it when the option exists. If your organization exposes Teams’ Report call option, submit the call for review and tell your security or help-desk team what happened.

Microsoft’s Teams warning for a suspected call says: “We recommend that you leave the call now, unless you’re sure of the caller’s identity.” Follow that advice when you cannot establish who is calling.

What should I do if a Teams caller asks for a password or verification code?

Do not read the password, one-time code, recovery code, or approval number aloud or paste it into chat. Legitimate support staff should not need you to disclose an authentication secret. Do not approve a push notification simply because someone on video tells you to; open your organization’s normal support channel and create the request yourself.

A short response you can use

“I do not share credentials or codes in meetings. I will contact the organization through its published or previously verified channel and follow the normal process.”

How should an organizer configure a meeting before it starts?

Use the least-permissive configuration that still allows the work to happen. Microsoft distinguishes three common outside-participant classes:

  • Anonymous users: people who are not signed in with an account recognized by the meeting’s organization.
  • Authenticated external organizations: signed-in users from another organization permitted through external-access settings.
  • Guest accounts: invited outside users who receive controlled access to specified organizational resources.

If a meeting does not need anonymous participation, block anonymous join. Restrict external access to the organizations required for the project, and use guest accounts when an invited person needs controlled access to particular resources rather than open external participation.

Lobby and admission choices

  • Send unknown or untrusted participants to the lobby.
  • Decide who can bypass the lobby and who may admit people. For a sensitive meeting, limit admission to the organizer or a trusted co-organizer.
  • Check an unexpected name against the invite, business context, and independent contact information before admitting it.
  • Decide whether anonymous or dial-in participants may start the meeting before internal or trusted participants arrive. For high-risk discussions, do not let an unknown participant start alone.

Roles and permissions

  • Make only the people who need to present presenters.
  • Limit screen sharing, recording, and other meeting capabilities to the agenda’s requirements.
  • Generally prevent external users from requesting control of a shared screen or window unless there is a documented business reason and a trusted operator is supervising the session.
  • Do not grant organizer, presenter, or remote-control privileges merely to make troubleshooting easier.

Which meeting setup fits the sensitivity of the discussion?

These are practical starting points; your tenant’s policies and client support determine the exact choices available.

Meeting situation Participant policy Lobby and roles Extra verification
Routine internal meeting Authenticated internal users; no anonymous access unless needed Use normal internal admission; keep presenting limited to the agenda Still verify an unexpected request out of band
Project with known partners Allow only the required external organizations or invited guests Lobby unknown names; organizer or trusted co-organizer admits participants; assign presenter rights deliberately Confirm a new participant with the partner’s known contact
Financial, privileged, or highly confidential meeting Disable anonymous join; use selected organizations or named guests Require organizer-controlled admission; restrict presenting, screen control, recording, and other privileges Use an independent identity check before any consequential action

Can administrators require a verification check for external or anonymous users?

Teams administrators can use the Teams admin center or a PowerShell meeting policy to require a verification check for anonymous users and people from untrusted organizations. The documented policy option is AnonymousUsersAndUntrustedOrganizations; Microsoft lists Not required as the default. Set the policy to require the check when the meeting risk and participant mix justify the added friction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not promise that this check covers every joining path. Microsoft documents exceptions in which a user may join without completing the CAPTCHA, including Cloud Video Interop, Azure Communication Services, Teams Rooms on Windows and Android, and third-party devices using Direct Guest Join. Test the actual clients and devices used by your organization and confirm the current tenant documentation before relying on the control.

Microsoft’s bot-protection guidance has changed over time; an article dated June 29, 2026 and updated July 24, 2026 does not, by itself, establish universal licensing or availability. Treat current admin-center documentation and your tenant’s policy results as authoritative.

How should an organizer prepare a high-risk meeting?

Preparation prevents an attacker from turning a last-minute request into a policy exception. Classify the meeting before sending the invite: routine collaboration, partner work, or financial, privileged, legal, or otherwise confidential business. Record which external organizations or named guests are actually needed, and remove broad “anyone with the link” habits where they are unnecessary.

Give the organizer and co-organizer a way to recognize expected participants. A short roster can include the person’s organization, expected display name, role, and a previously verified contact method. Tell attendees in advance that passwords, codes, software installation, remote control, and payment changes will never be authorized solely by a meeting request. For especially sensitive sessions, designate one person to manage the lobby and another to lead the discussion so admission decisions are not rushed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Test the join paths that matter. A policy may behave differently for a browser, mobile client, dial-in number, Teams Room, interoperability service, or third-party device. Confirm who can start the meeting, bypass the lobby, present, record, and request control. Document the exception process rather than granting everyone broad rights “just in case.”

How should I handle a late joiner, dial-in caller, or name I do not recognize?

Keep the participant in the lobby while you compare the join details with the invite and the expected business context. A telephone number, initials, or display name is not enough to establish identity. Ask the known contact through a separate channel whether the person is joining and what number or account they are using. If the answer is not independently confirmed, do not admit the participant merely because the meeting is running late.

Once admitted, grant only the role required for the agenda. A legitimate guest may need to speak but not present, share a screen, record, or request control. Recheck identity if the person changes devices, asks to add an unlisted participant, or introduces a new urgent request.

What identity and device controls reduce the impact of an impersonation?

Meeting settings are only one layer. Microsoft recommends combining them with:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Microsoft Entra ID sign-in risk policies and multifactor authentication.
  • Just-in-time elevation for privileged roles instead of standing administrator access.
  • Current, supported Teams clients, browsers, and operating systems.
  • Device-compliance checks and Conditional Access policies.
  • Careful external-access and guest-account controls, including periodic review of who still needs access.
  • Activity monitoring and Microsoft Defender protections for Teams and connected identities.

These measures reduce account takeover opportunities and limit what an attacker can do with a compromised account. They complement, rather than replace, a human identity check. A correctly authenticated account can still be controlled by an attacker, and a security policy cannot prove that a face or voice is genuine.

What impersonation tactics has Microsoft observed?

Microsoft documented Teams social engineering in which attackers posed as support staff, created urgency, and persuaded targets to install or grant remote-access tools. Its October 2025 reporting also described a late-2024 campaign in which compromised accounts impersonated IT personnel and sought remote access. These are examples of threat behavior, not evidence that every suspicious Teams call uses a deepfake. The practical lesson is to treat a support pretext, urgency, and a request for remote control as a high-risk combination.

How should a team handle a suspected impersonation during a meeting?

  1. Tell participants to stop sharing information and to reject sign-in, file, software-installation, and remote-control prompts.
  2. Remove or do not admit the suspicious participant if you control the lobby or meeting.
  3. Leave the call if the request continues or the identity cannot be confirmed.
  4. Contact the purported person or organization using a known number, established chat, or independently navigated website.
  5. Use Report call when enabled, and notify the organization’s security or help-desk team.
  6. Record the facts: time, meeting link, participant and organization names, messages, requested action, links, and any account or device that may have been exposed.

Do not continue the conversation to gather evidence if doing so puts credentials, confidential information, or a device at risk.

What should happen after someone may have been deceived?

Speed matters more than proving whether the audio or video was synthetic. Tell security or IT which account, device, file, or approval may be exposed. From a trusted device, change affected passwords, revoke active sessions or tokens if your organization directs you to do so, and review recent sign-ins and multifactor prompts. If remote-access software was installed, disconnect the device from sensitive networks and follow the incident team’s instructions rather than simply deleting the program.

Notify finance, legal, or the relevant business owner if money, contracts, confidential data, or privileged access were involved. Preserve the invite, chat, transcript or recording where policy permits, participant list, timestamps, links, phone numbers, and screenshots. Do not forward suspicious links to colleagues for testing. A concise timeline helps investigators distinguish a compromised account from a fake identity and identify other people who may have received the same request.

Is a security accessory able to detect a Teams deepfake?

A webcam cover, better camera, headset, hardware key, or general security book cannot authenticate another meeting participant. Hardware keys can strengthen your own account sign-in, but they do not prove that a remote face or voice belongs to the claimed person. Spend effort first on independent verification, least-privilege meeting settings, MFA, device health, and monitoring rather than treating a physical accessory as a deepfake detector.

How should I interpret Microsoft’s threat statistics?

Large figures describe the wider threat environment, not the probability that a particular Teams meeting is a deepfake.

Figure What it measures What it does not establish
USD 4 billion Microsoft said it blocked fraud schemes—many AI-enabled—in the year from April 2024 through April 2025. It is not a Teams-meeting loss total or a count of deepfake incidents.
1.6 million per hour Microsoft said bots and synthetic fake-account creation attempts blocked on its services reached this rate. It is not a Teams-specific attack rate.
195% growth Microsoft’s Digital Defense Report 2025 reported global growth in use of AI-generated IDs. The report attributes the figure to a cited reference whose original source should be verified before using the number as a headline claim.

What is the practical bottom line for Teams users?

Assume that a caller’s appearance, voice, account name, and warning status can all be misleading when the request is unexpected or sensitive. Pause, verify through a trusted separate channel, and never provide a password or authentication code in the meeting. Organizers should limit who can join, wait in the lobby, present, share control, or start a meeting; administrators should add verification checks where supported and strengthen MFA, Conditional Access, device compliance, privileged access, and monitoring. These layers reduce both the chance of impersonation succeeding and the damage if an account or call is compromised.

Frequently Asked Questions

Can I rely on a Teams warning to identify a scammer?

No. A warning is useful context, but Microsoft says legitimate callers can occasionally be flagged and malicious callers may not be. Verify through a known phone number, established conversation, or independently navigated website.

Should I challenge a suspected deepfake with personal questions?

Do not treat a successful answer as proof. Stop the consequential request and confirm the person’s identity through a separate trusted channel. Avoid revealing additional confidential information while testing the caller.

Does requiring a CAPTCHA stop every anonymous or external impersonator?

No. The policy can add friction for supported anonymous and untrusted-organization joins, but Microsoft documents exceptions including Cloud Video Interop, Azure Communication Services, Teams Rooms, and some third-party Direct Guest Join devices. Check current tenant behavior.

What if the caller says the request is an emergency?

Urgency is a reason to slow down, not bypass controls. End or pause the meeting, contact the person or organization using a previously known route, and follow documented approval procedures for payments, access changes, or account recovery.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What information should I report after a suspicious meeting?

Provide the meeting time and link, participant and organization names, messages, requested action, links or phone numbers, devices involved, and any credentials, files, approvals, or software installations that may have been exposed.

The Bottom Line

Verify identity out of band, refuse passwords and codes, use the least-permissive Teams access settings, and layer MFA, device controls, and monitoring. No face, voice, warning, or meeting policy alone proves who is on the other side.
