The most reliable way to cut costs in a long-running AI chatbot is to stop paying to freshly process the same context on every turn. Keep system instructions, tool definitions and reference material in a stable prefix so the provider can reuse it, then compact older history into a tested state when the full transcript is no longer useful. Measure cache reads, cache writes, uncached input, output tokens and total spend together; caching lowers the price of repeated context, while compaction reduces the amount of context sent at all.

What actually drives the bill in a long conversation

An API chatbot is usually billed for input tokens, output tokens and, on some platforms, separate cache-write and cache-read operations. A growing transcript makes each new request carry more input. If the request includes the entire conversation, the model may process thousands of old tokens again even when the user has added only one short sentence.

Long context also affects latency and sometimes moves a request into a different pricing tier. A short answer does not make a long prompt cheap: input and output are metered separately. The cost-control problem is therefore two-dimensional:

What’s actually slowing this PC down?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Repeated processing: unchanged instructions and old turns are sent again and again.
  • Unnecessary context: the model receives details that are no longer needed to answer the next turn.

Prompt caching addresses the first problem. Compaction, summarization and retrieval address the second. They are complementary, not interchangeable. A cache can make a repeated prefix cheaper while it remains reusable, but it does not shrink the prompt. Compaction shrinks the carried-forward state, but a newly generated summary can change the prefix and prevent a cache hit from that point onward.

Start with a cost and quality baseline

Do not change prompts before you can see what a typical conversation costs. Select a representative sample that includes short chats, long uninterrupted sessions and conversations with idle gaps. Record one row per request with the following fields:

  • model and account or region used;
  • timestamp and conversation identifier;
  • input tokens and output tokens;
  • cache-read tokens and cache-write tokens, when the provider reports them;
  • number of previous turns and total transcript size;
  • reported latency, especially time to first token;
  • the price category applied to each token type; and
  • the final billed amount.

Use the current rate card for the model and geography that will run in production. Rates, model availability, context tiers and cache behavior change, so retain the date of each rate-card snapshot. OpenAI’s published pricing separates ordinary input, cached input, cache writes, output and short- versus long-context prices; other providers use different categories.

Pair the financial baseline with an answer-quality set. Save conversations that test names, user preferences, commitments, decisions, unresolved tasks and references to earlier documents. After every optimization, run the same conversations and check whether the bot still retrieves those details correctly. A lower token count is not a win if users must repeat themselves.

Make the reusable prompt prefix stable

Most prompt-caching systems reuse a prefix: a contiguous beginning of the request that is identical, or sufficiently similar, to a previous request. Structure each request so the material most likely to repeat appears first and dynamic material appears later.

Recommended ordering

  1. System or developer instructions that rarely change.
  2. Tool schemas and function definitions.
  3. Shared policies, product documentation and other reference material.
  4. A compact, durable memory state.
  5. Recent conversation turns.
  6. The newest user message and other per-request values.

Keep both content and order consistent. A timestamp, random identifier or changing “current date” sentence inserted near the beginning can invalidate everything after it. If the API permits, place those values near the end. Append a new user and assistant turn instead of rewriting old messages, changing whitespace, or reordering tools.

Explicit breakpoints can help when a provider supports them. Put a breakpoint after the stable instructions and shared references, before frequently changing messages. The exact breakpoint rules are provider-specific; verify them for the model you deploy.

Changes that commonly destroy reuse

  • Injecting a fresh timestamp into the system prompt on every request.
  • Sorting tools or reference documents differently between turns.
  • Editing an old assistant message to “clean up” the transcript.
  • Prepending a new policy or user attribute ahead of the cached material.
  • Running summarization or truncation in the middle of a previously cached prefix.

OpenAI documentation cautions that summarization, compaction or truncation can change the prefix and reset reuse from the changed point. Treat prompt construction as versioned code: log a hash or version for each stable block so a sudden cache-hit drop can be traced to a deployment.

Understand cache lifetime, writes and reads

A cache is not a permanent archive. It has a lifetime and usually requires a write before later requests can read the stored prefix. The economics depend on how often the same prefix is reused before it expires.

Anthropic currently documents a default five-minute cache and an optional one-hour cache. Under its general multipliers, a five-minute cache write costs 1.25 times the base input price, a one-hour write costs 2 times the base input price, and a cache read costs 0.1 times the base input price. The documentation states that, ignoring other modifiers and model-specific exceptions, the five-minute write is recovered after one read and the one-hour write after two reads. Recalculate this for the selected model and account because exceptions and pricing can change.

Operation General multiplier documented by Anthropic What it means
Five-minute cache write 1.25× base input price Higher first-use cost; useful when the prefix is reused quickly.
One-hour cache write 2× base input price Higher write cost in exchange for a longer reuse window.
Cache read 0.1× base input price Low-cost processing of the cached prefix; model-specific exceptions may apply.

Cache use refreshes the documented five-minute lifetime without an additional charge. That does not mean an idle conversation will retain its cache indefinitely. A session with long gaps, frequent prompt edits or little repeated context may pay for writes without generating enough reads to break even.

A practical break-even calculation

Let P be the ordinary input price for the relevant token quantity, W the write multiplier, and R the read multiplier. A simple break-even estimate compares the extra write cost with the saving on each read:

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
extra write cost = (W - 1) × P
saving per read = (1 - R) × P
break-even reads = (W - 1) / (1 - R)

Using the general Anthropic multipliers, the five-minute case is (1.25 − 1) ÷ (1 − 0.1) ≈ 0.28 reads, so one read is enough in practice. The one-hour case is (2 − 1) ÷ (1 − 0.1) ≈ 1.11 reads, so two reads are needed. This arithmetic excludes output charges, long-context modifiers, minimum-token rules and model-specific pricing. Use your actual token counts rather than treating the multipliers as a savings promise.

Compact history when the transcript stops helping

Keeping every original turn forever is unnecessary when the next answer needs only durable facts, current constraints and a small amount of recent context. Compaction replaces older material with a smaller state that carries forward what matters.

Server-side compaction

OpenAI’s API supports threshold-triggered server-side compaction for long-running interactions. The API returns an opaque compaction item containing key prior state and reasoning in fewer tokens. In stateless input-array chaining, the documentation says that items before the latest compaction item can be dropped. With previous-response-ID chaining, it says not to manually prune the earlier items. Follow the mode-specific instructions rather than mixing the two approaches.

Choose a threshold based on measured context size, latency and quality, not an arbitrary turn count. A threshold can be expressed in tokens, estimated cost or the point at which the next request would enter a more expensive context tier. Keep enough recent turns outside the summary to preserve conversational tone and references that are still active.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Application-managed state

If your provider does not offer compaction, maintain a structured state object alongside the transcript. A useful state records:

  • stable user facts that the user explicitly provided;
  • preferences and constraints, with a source turn or confidence marker;
  • decisions already made and their rationale;
  • open tasks, owners and deadlines;
  • facts that must not be changed without confirmation; and
  • the latest turns needed for immediate pronoun and topic resolution.

Generate a new state only when the transcript crosses a threshold or when a meaningful task is completed. Version it, retain the prior state for debugging, and never silently overwrite a confirmed user fact with an uncertain inference.

Validate what compaction loses

A shorter summary is not automatically equivalent to the source. Test names, numbers, commitments, user preferences, unresolved work and negative instructions. Include adversarial cases in which an important detail appeared once, several dozen turns earlier, or inside an attached document. Record omissions and retrieval failures, then adjust the state schema or preserve the relevant source text.

Use retrieval selectively instead of carrying everything

For very long-lived assistants, store durable information outside the chat transcript and retrieve only the passages relevant to the current request. Retrieval can reduce input tokens, but it introduces a different failure mode: the right fact may not be selected. Index documents and memory records with clear identifiers, attach timestamps and sources, and set a maximum number of retrieved tokens.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not retrieve a user’s entire profile on every turn. Retrieve a preference when the request concerns that preference, a project decision when the user returns to that project, and a document section when the question names that document. Keep a small, always-present state for high-priority constraints and use retrieval for the rest.

Measure retrieval recall on the same evaluation conversations used for compaction. A system that saves 40 percent of input tokens but misses a critical deadline is worse than a slightly more expensive system that preserves it.

Calculate the full bill, not one headline rate

For each request, calculate:

total = uncached_input_tokens × uncached_input_rate
      + cache_write_tokens × cache_write_rate
      + cache_read_tokens × cache_read_rate
      + output_tokens × output_rate
      + applicable context or service modifiers

Keep uncached and cached input separate. A provider may report cache reads as tokens but charge them at a different rate; a cache write may be billed once for a prefix and then expire. Include output because a model that produces longer answers can erase input savings. Include long-context pricing tiers when the prompt crosses the provider’s threshold.

Metric Why it matters Optimization signal
Uncached input tokens Fresh processing at the base rate Reduce with stable prefixes, compaction or retrieval.
Cache-read tokens Repeated context processed at the cache rate Increase by preserving order and avoiding unnecessary writes.
Cache-write tokens Extra cost to create reusable state Compare writes with expected reads before selecting a lifetime.
Output tokens Generated text can dominate spend Set answer-length targets and avoid redundant completions.
Context tier and modifiers Long prompts may use different rates Compact before crossing a tier boundary.

Report cost per conversation and cost per successful task, not only cost per request. A cheap request that forces a user to repeat information can increase the total cost of completing the task.

Monitor cache health in production

Add dashboards and alerts before rolling out caching. At minimum, track cache-hit ratio, cache-read tokens, cache-write tokens, average stable-prefix length, transcript length, output length, latency and cost per conversation. Break the data down by model, application version, geography and conversation age.

Alert when cache-hit ratio falls after a prompt or tool deployment. Compare the stable-prefix hash before and after the change. Common causes include a reordered tool list, a new dynamic field near the beginning, a changed serialization format or a compaction event that shortened the prefix.

Log enough metadata to diagnose misses without storing sensitive conversation content unnecessarily. A block version, token count, breakpoint identifier and cache status are often more useful than copying the entire prompt into logs. Apply the same retention and access controls to memory state as to the original transcript.

Choose between caching, compaction and a hybrid

Situation Best first move Reason
Many turns within a few minutes share the same instructions and references Prompt caching Repeated prefix is likely to generate cache reads before expiry.
Conversations remain open for hours or days Compaction plus selective caching Older text should be reduced; stable instructions can still be reused.
Users revisit a project after long idle periods Persisted structured memory and retrieval A short state is cheaper to rebuild than an expired full transcript.
Prompt changes frequently during development Stabilize serialization first Optimization is premature while the reusable prefix keeps changing.
Quality depends on exact wording of old turns Retain those turns and compact cautiously A summary may omit wording needed for legal, technical or safety context.

A hybrid design is common: cache stable instructions and reference material, keep a compact state plus recent turns, and retrieve older source documents only when needed. Re-evaluate the split when usage patterns change.

Implementation sequence for an API chatbot

  1. Instrument first. Capture token categories, cache status, model, latency and billed cost for representative conversations.
  2. Freeze prompt construction. Put stable instructions, tools and shared references first; move timestamps and user-specific values later.
  3. Enable the provider’s cache feature. Confirm model support, cache lifetime, write multiplier and read price in the current documentation.
  4. Verify reuse. Send the same prefix in consecutive requests and confirm that the API reports cache reads. Test after tool and prompt changes.
  5. Set a compaction threshold. Trigger it before the transcript reaches an expensive context tier or causes unacceptable latency.
  6. Define the state contract. Specify which facts, constraints, decisions and open tasks must survive compaction.
  7. Run quality regressions. Compare original, cached, compacted and hybrid flows on saved conversations.
  8. Roll out gradually. Use a feature flag, compare cost per successful task, and keep a rollback path to the previous history behavior.

Common failure modes and fixes

“Caching made the first request more expensive”

The first request pays the cache-write charge. Check whether enough subsequent requests read the prefix before expiry. Use a shorter cache lifetime for bursty sessions and avoid caching a prefix that is rarely reused.

“Cache hits disappeared after a harmless prompt change”

Inspect ordering and serialization. A changed tool schema, whitespace-sensitive block, timestamp or inserted policy can invalidate the prefix from that point onward. Restore a stable version or place the dynamic block after the breakpoint.

“Compaction reduced cost but the bot forgot a commitment”

Add commitments and unresolved tasks to the durable state schema, preserve their source turn, and require explicit confirmation before changing them. Increase the recent-turn window if pronoun or context resolution also degraded.

“The summary is short but answers are still expensive”

Measure the entire request. Large tool definitions, retrieved documents or output tokens may now dominate. Compact those components or set retrieval and answer-length limits.

“A provider’s example savings did not appear in our system”

Vendor-published figures describe specific organizations and baselines. GitHub Copilot reported in 2026 that the share of prompt tokens requiring fresh processing fell by more than 50 percent relative to its previous baseline across billions of requests. Wordsmith reported a 20 percent cost reduction after improving cache-hit rates by a few percentage points. Those are examples, not forecasts for another chatbot; compare your own traces.

How to compare providers or models fairly

Replay identical, redacted request traces against each candidate. Compare base input and cached-input rates, cache-write pricing and lifetime, output pricing, context limits, long-context tiers, model quality, latency and data-location requirements. Confirm how tool changes, prompt ordering and history truncation affect cache reuse.

Do not select a model from a single headline input price. A model with cheaper uncached input may cost more if it produces longer outputs, has a higher cache-write multiplier or requires more frequent retries. Conversely, a more capable model may reduce total cost if it completes a task in fewer turns. Use cost per successful task and quality scores from your application’s evaluation set.

What the evidence can and cannot promise

Prompt caching and compaction are implementation controls for developer-built, API-backed chatbots. They do not automatically reduce the price of a consumer chatbot subscription with a flat monthly fee. Provider documentation establishes the mechanisms and listed multipliers, not a universal summary length, cache breakpoint or model choice that is optimal for every application.
