Stop the sync before it can spread more damage. Disconnect the affected computer from the network, pause or sign out of its sync client, and avoid editing the cloud files. Then open the provider’s web interface: use Recycle Bin, Trash, or Recently Deleted for removals, and version history or a restore tool for overwritten, corrupted, or encrypted files. Check the result before allowing synchronization again.

Recovery is time-sensitive and depends on the account, plan, permissions, and how long ago the change occurred. OneDrive personal deleted items are retained for 30 days, while work or school accounts normally retain them for 93 days unless an administrator changes that setting. Apple’s iCloud.com recovery for eligible deleted files is also limited to 30 days. Permanently deleted or expired items generally cannot be restored through the provider.

1. Contain the problem before recovering anything

Disconnect a device when changes are still spreading

If files are being encrypted, replaced, renamed, or deleted in bulk, take the affected computer offline immediately. Turn off Wi-Fi, unplug Ethernet, or pause the sync application. You can also sign out of the account in the desktop client. Google specifically recommends signing out of the Google Account in Drive for desktop so encrypted files do not continue syncing.

Do not open the sync folder on another computer and start making “fixes” until you know the cloud copy is stable. A second active client can upload the same unwanted changes and reduce the number of usable versions.

Do not modify the cloud data during an iCloud recovery

Apple advises leaving iCloud Drive data unchanged while recovery is running. Editing, moving, or deleting files can interrupt the recovery process or create a newer version that obscures the one you need.

Identify the exact account and scope

Confirm whether the files belong to a personal account, a work or school tenant, or a shared folder. Administrator retention policies, ownership, permissions, and shared-folder actions can determine what appears in the recovery interface. Record the approximate time of the incident, affected folders, file names, and the device that first showed the problem.

2. Determine whether the file was deleted or overwritten

What you observe Likely event First recovery surface
The item is absent from its folder Deletion, move, or permission change Web Recycle Bin, Trash, or Recently Deleted; then search and shared-folder activity
The file exists but contains older, blank, or incorrect content Overwrite or sync conflict File version history
Many files have new extensions, unreadable contents, or ransom notes Ransomware or mass encryption Contain the device first, then use version history or bulk restore
A whole folder or account changed at once Bulk deletion or broad synchronization error Provider-wide restore tool, if your account is eligible

A file can be both deleted and overwritten during one incident. Check the trash first, then inspect the item’s version history after restoring it if necessary.

3. Use this recovery sequence

  1. Stop active synchronization. Disconnect the device or pause/sign out of its client when unwanted changes are continuing.
  2. Open the service in a browser. The web interface usually exposes recovery controls that are not available in the local synchronized folder.
  3. Recover deleted items. Open Recycle Bin, Trash, or Recently Deleted, select the original files or folders, and choose Restore. Restore to the original location first unless that location is itself damaged.
  4. Recover an overwritten or corrupted item. Open the file’s details or context menu, select Version history (or the provider’s equivalent), choose a timestamp before the incident, and restore or download that version.
  5. For broad damage, consider a rollback. A whole-account restore can repair many files at once, but it can also undo legitimate changes made after the selected point. Export or document any good files created since then before confirming.
  6. Verify the restored copy while the client is still stopped. Open representative documents, inspect image previews, check file sizes, and compare important folders with known-good copies.
  7. Resume synchronization only after verification. If the local computer still contains damaged files, move them outside the sync folder or replace them with verified copies before reconnecting.
  8. Search for independent copies if the service has no usable history. Check other devices, local Recycle Bin or Trash, removable drives, NAS snapshots, and a separate backup.

4. Recover files from OneDrive

Deleted personal OneDrive files

Sign in to OneDrive on the web and open the Recycle Bin. Microsoft states that personal-account files and folders can be restored when deleted within the last 30 days. Select the items and choose Restore. Cloud-deleted files, including online-only files, may not appear in the Windows Recycle Bin or macOS Trash, so checking the computer alone is insufficient.

Work or school OneDrive accounts

Microsoft states that work or school items remain in the OneDrive Recycle Bin for 93 days unless an administrator has changed the retention setting. If the item is missing, contact the organization’s administrator promptly; the user-facing period may differ from the tenant policy, and a secondary administrator recycle bin may be involved.

Overwritten files and ransomware damage

Open the file in OneDrive on the web, choose Version history, and select a version created before the unwanted edit or encryption. Review the timestamp and restore the correct version. Keep the sync client paused until you have opened the restored file and confirmed that it is usable.

Restore an entire OneDrive

Eligible Microsoft 365 subscribers can use OneDrive’s “restore your entire OneDrive” feature to roll back changes to a point within the previous 30 days. This is appropriate for widespread accidental deletion or ransomware when restoring files individually would be impractical. It is a broad operation: files and folders may return to their earlier state, so changes made after the selected point can also be reverted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Know the permanent-deletion limit

Microsoft’s documented limitation is explicit: “You can’t restore files or folders after they’ve been permanently deleted from the OneDrive recycle bin.” If an item has passed the retention period or was removed permanently, use another copy or backup rather than repeatedly submitting recovery requests.

5. Recover files from iCloud Drive

Use iCloud.com recovery

Sign in to iCloud.com, open the data-recovery area, and select the option for recovering files. Apple says eligible files deleted from iCloud Drive and other supported apps can be recovered within the last 30 days. Select the item and restore it to iCloud Drive.

Leave iCloud Drive unchanged

Do not edit, move, or delete iCloud Drive content while the recovery operation is in progress. Apple warns that changes made during recovery can interfere with the process. Keep the Mac, iPhone, or iPad from making additional synchronized changes until you have verified the restored files.

Items that cannot be restored

Apple excludes items that were permanently removed. Once the 30-day eligibility window has passed, or an item has been permanently deleted, look for a local copy, another device that was offline, or a separate backup.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Recover files from Dropbox

Start with deleted files and version history

Dropbox recovery depends on what happened, when it happened, the account’s plan, and your permissions. In the web interface, check the deleted-files view for removed items. For an existing file with unwanted content, open its version history and select a version from before the change.

Do not assume one retention period

Dropbox does not provide one universal recovery duration for every account. Confirm the current plan’s file-history window and the permissions on the affected folder. A shared file may be controlled by another owner or team administrator.

Understand support limits

Dropbox says Support cannot recover files that were permanently deleted or files deleted outside the account’s available version history. If the item is not present in the available history, move to local copies and independent backups instead of expecting a provider-side reconstruction.

7. Recover files from Google Drive

Restore deleted files from Trash

Open Google Drive in a browser and select Trash. Find the file or folder, open its menu, and choose Restore. If you cannot locate it, use Google’s “Find lost files” help path and verify that you are signed in to the account that owned or shared the item.

Use version history for replacements and encryption

For a file that still exists but has incorrect or encrypted contents, open its version history and choose a version created before the incident. Google documents older versions as a way to undo changes and recover from encryption. For many affected files, Google also documents bulk-restore procedures; eligibility and available controls can depend on the account and file type.

Stop Drive for desktop during ransomware recovery

Sign out of the Google Account on Drive for desktop so encrypted files do not continue syncing. After restoring representative files in the web interface, inspect them before reconnecting the desktop client.

8. What to do when the provider cannot restore the file

Check devices that were offline

A laptop, phone, or external disk that was disconnected during the incident may still contain the last good copy. Do not reconnect that device to the sync service until you have copied the files to a safe location.

Check local deletion areas

Look in the computer’s Recycle Bin or Trash, but treat this as a supplement rather than the main recovery method. Online-only cloud files may never have had a full local copy and therefore may not appear there.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Look for an independent backup

A backup is useful only if it contains a copy made before the deletion or overwrite. It cannot recreate a file that was never backed up. Restore the backup to a separate location first, scan or inspect it, and only then place verified files back into the synchronized folder.

Consider service-level backup options

Microsoft 365 Backup documentation describes restoring OneDrive and SharePoint files and folders after accidental deletion, ransomware, or another event. This illustrates the role of a restore-capable backup layer separate from ordinary synchronization; it is not a promise that every consumer account has that feature or that any specific product is required.

9. Recovery windows and limitations at a glance

Service Deleted-item recovery Overwrite or corruption recovery Important limit
OneDrive personal Up to 30 days, according to Microsoft Version history; eligible Microsoft 365 subscribers can roll back the entire OneDrive within the previous 30 days Permanently deleted Recycle Bin items cannot be restored through that path
OneDrive work or school 93 days unless an administrator changes the setting Version history and, where eligible, broad restore tools Tenant policy, permissions, and administrator actions affect availability
iCloud Drive Eligible items within 30 days on iCloud.com Use the available recovery controls; do not change iCloud Drive data during recovery Permanently removed items cannot be restored
Dropbox Depends on plan, permissions, and available history; no universal duration is stated Version history when the account still retains the needed version Support cannot recover permanently deleted files or items outside the available history
Google Drive Trash and the “Find lost files” path Version history and documented bulk-restore procedures where eligible Eligibility and controls vary by file and account; stop Drive for desktop during active encryption

10. Common cases and the safest response

A single document was replaced

Do not restore the entire account. Open that document’s version history, select the last known-good version, and save or download a verified copy before reconnecting synchronization.

A folder disappeared after a move or rename

Search the web interface by the exact file name and inspect shared-folder activity and permissions. If the item was deleted, use the service’s trash; if it was moved, restoring from trash will not be necessary once you locate its new parent folder.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Hundreds of files changed at once

Keep every client offline, preserve one affected device for examination, and use the provider’s bulk or whole-account restore only after choosing a rollback point. Verify a sample of documents and media before reconnecting any device.

A shared file is missing

Check ownership and membership. The owner or administrator may have deleted the item, changed access, or applied a different retention policy. Ask the owner or administrator to perform the recovery if your account lacks the required permission.

The recovery window has expired

Stop trying provider-side restores and inventory every independent copy: offline devices, local deletion folders, NAS or server snapshots, removable media, and scheduled backups. Record which versions are available so you do not overwrite the best remaining copy.

11. Prevent a repeat

  • Keep synchronization and backup conceptually separate: sync mirrors current changes, while a backup preserves earlier copies.
  • Maintain at least one backup that is not continuously mounted or synchronized with the production folder.
  • Test restoring several files periodically; a backup that has never been restored is an assumption, not evidence.
  • For work or school accounts, ask the administrator how long deleted items and historical versions are retained.
  • Enable alerts for unusual mass deletions or sign-ins where the service supports them.
  • When ransomware is suspected, isolate the device first and investigate before reconnecting it to any cloud account.

An external hard drive can serve as a separate backup destination, but it protects you only when a known-good copy has already been stored on it and is kept separate from the sync process.
