Reconcile a changed loan record in seven controlled stages: preserve the old and new data, identify every field that changes the exposure, validate the revised loan population, rebuild cash-flow or repricing exposure, match it to the derivative and hedge designation, assess effectiveness under the applicable framework, and document or escalate exceptions. A balance correction, prepayment, repricing change, maturity change, or forecast revision can alter the amount, timing, or risk being hedged; comparing the new balance with the derivative alone is not sufficient.
This is an operational framework, not a jurisdiction-specific accounting conclusion. IAS 39, IFRS 9, and US GAAP have different requirements, and your entity must apply its adopted standards, hedge policy, designation documents, and approval controls.
What a loan-data change can do to a hedge position
A loan update matters when it changes one of three dimensions of the hedged exposure:

- Amount: outstanding principal, amortisation, commitment, or designated notional changes.
- Timing: contractual maturity, expected repayment, prepayment, reset date, payment date, or repricing bucket changes.
- Risk profile: index, spread, currency, reset frequency, active status, or the population of loans in the designation changes.
The same database event can have different consequences. A backdated correction to a servicing field may require a re-run of an earlier valuation and effectiveness calculation. A genuine payoff may remove part of the hedged item. A forecast change may affect a highly probable transaction assessment without changing any contractual loan record. Start by classifying the event rather than assuming every update is a hedge-accounting event.

Classify the event before recalculating
| Event type | What it means operationally | First control question |
|---|---|---|
| Correction | An existing record was wrong or incomplete. | Which reporting dates and downstream extracts used the incorrect value? |
| New origination | A new loan or commitment enters the population. | Was it included in the designated hedged item and from what effective date? |
| Payoff or prepayment | Cash flows end or accelerate. | What was the actual repayment date, and which expected cash flows disappeared? |
| Modification or refinance | Contractual terms change. | Did the designated risk, benchmark, or cash-flow pattern change? |
| Forecast revision | An estimate changes without a contractual record change. | Does the revised forecast affect a highly probable transaction or expected repricing? |
Seven-step reconciliation workflow
1. Capture the change with an immutable before-and-after record
Retain the old value, new value, source system, effective date, update or entry timestamp, reason code, and responsible team or source. Preserve the file or message that initiated the change, such as a servicing notice, payoff statement, modification agreement, or approved forecast.
Use separate dates for the economic effective date and the date the system was updated. A payoff effective on 30 June but entered on 5 July can affect the 30 June hedge population, the July valuation, or both, depending on the entity’s cut-off policy. Record the as-of date used by every extract so a later reconciliation can reproduce the original view.
2. Identify every field capable of changing exposure
At minimum, review the fields below. Do not limit the review to principal; a small timing or index change can create material basis or ineffectiveness even when the balance is unchanged.

| Field | Exposure effect | Evidence to retain |
|---|---|---|
| Outstanding principal or notional | Changes the amount of interest-rate, currency, or other designated risk. | Servicing ledger, trial balance, and change history. |
| Contractual maturity | Changes the final cash-flow date and hedge horizon. | Executed contract or approved amendment. |
| Actual or expected repayment/prepayment date | Moves cash flows between repricing periods or removes them. | Payoff notice, behavioural model output, or documented estimate. |
| Interest-rate index and spread | Changes the benchmark risk or introduces basis between loan and derivative. | Rate-setting clause and current servicing terms. |
| Reset dates and frequency | Changes repricing timing and sensitivity to market-rate moves. | Contract schedule and reset calendar. |
| Payment dates and amortisation | Changes the timing and size of cash flows. | Amortisation schedule and payment history. |
| Currency | Changes the risk currency and may invalidate a hedge match. | Loan agreement and treasury master data. |
| Active, terminated, or transferred status | Changes whether the item belongs in the designated population. | Status event, transfer record, or termination notice. |
For each field, state whether the change is contractual, an estimate, or a data correction. That classification determines whether you are updating a legal cash-flow profile, revising an assumption, or repairing a record.

3. Reconcile the revised loan record to authoritative sources
Tie the new values to the servicing or accounting record and the relevant source documents. Check for duplicate loans, missing records, stale snapshots, inconsistent units, reversed sign conventions, and mismatched effective dates. Confirm that treasury, valuation, hedge-accounting, and general-ledger extracts all use the same population and as-of date.
ISDA’s Collateral Management Suggested Operational Practices describes the importance of front-to-back processes, approved data and pricing sources, reconciliation standards, and procedures for breaks and disputes. Its guidance is non-binding and is not legal, accounting, regulatory, financial, or other professional advice, so apply your own control framework and approval matrix.
4. Rebuild the exposure from the corrected inputs
Recalculate the loan cash flows, repricing buckets, or other exposure measure used in the hedge designation and effectiveness method. Keep the prior calculation as a comparison rather than overwriting it. The output should show the old exposure, revised exposure, absolute change, percentage change where meaningful, and the reason for each movement.

Store the assumptions, model version, market-data cut, and run timestamp. If the change is an estimate rather than a contractual event, show which assumption moved and why the evidence supports it.
5. Match the revised exposure to the derivative and hedge records
Compare the new loan population and risk profile with each relevant trade and designation. Review:
- Derivative identifier, notional, effective date, maturity, index, payment dates, and currency.
- Designated hedged item or population, designated risk, hedged amount, and hedged period.
- Benchmark or index relationship, reset frequency, and payment or repricing timing.
- Effectiveness method, valuation inputs, and any permitted sources of ineffectiveness.
- Whether the designation document still describes the revised item and expected transaction.
Assign every break a primary cause: timing, amount, population, index or basis, data quality, or stale designation. A single loan can create several breaks; record them separately so remediation is targeted.
6. Assess effectiveness and accounting consequences
IFRS 9 defines hedge effectiveness as “the extent to which changes in the fair value or the cash flows of the hedging instrument offset changes in the fair value or the cash flows of the hedged item.” The analysis includes expected sources of ineffectiveness at designation and on an ongoing basis. A changed loan record therefore requires more than a mechanical threshold test: explain how the revised item and derivative continue, or no longer continue, to offset.

Ask four questions:
- Did the change alter the designated hedged risk?
- Did it alter the designated item or the population included in the relationship?
- Did it change the expected transaction, its timing, or whether it remains highly probable?
- Does the current framework permit rebalancing, redesignation, or another controlled response?
Do not conclude that hedge accounting continues, stops, or is rebalanced solely because a balance moved. The answer depends on the designation, facts, applicable reporting framework, and documented method. If the relationship no longer qualifies, follow the relevant rules for discontinuation and accumulated amounts rather than deleting historical entries.
7. Resolve exceptions and preserve an audit trail
For each exception, record an owner, severity or materiality classification, due date, root cause, calculation, source versions, approval, and final disposition. Do not update risk, accounting, or general-ledger systems until the controlled review is signed off. Retain time-stamped before-and-after files and evidence of who approved the treatment.
Escalate unresolved valuation, data, or counterparty differences under the firm’s reconciliation and dispute procedure. The precise approval chain is entity-specific; the control objective is that an independent reviewer can reproduce the decision from the retained evidence.

| Change | Exposure analysis | Possible follow-up |
|---|---|---|
| Principal corrected upward or downward | Recalculate designated notional, cash flows, and any over- or under-hedged amount from the correction’s effective date. | Review prior valuations and effectiveness results if the correction is backdated; document whether it is an error correction or a current-period event. |
| Actual prepayment | Remove the repaid cash flows and move the remaining exposure to the actual repricing horizon. | Test whether the designated population and expected transaction remain supportable; process any permitted rebalancing or discontinuation. |
| Expected prepayment changes | Update behavioural assumptions using the approved method and evidence. | Separate an estimate change from a contractual payoff and explain the resulting ineffectiveness. |
| Maturity extension or shortening | Extend or truncate the cash-flow profile and hedge horizon. | Check derivative maturity, designated period, and documentation for the revised terms. |
| Index or spread changes | Measure benchmark or basis mismatch even if principal and dates are unchanged. | Reassess the designated risk and effectiveness method; obtain approval for any documentation change. |
| Reset frequency or payment-date change | Rebucket repricing exposure and payment cash flows. | Compare reset calendars with the derivative and quantify timing mismatch. |
| Currency change | Rebuild exposure in the new risk currency and review translation effects. | Confirm that the derivative and designation still address the same currency risk. |
| Loan termination or transfer | Remove the item from the active population from the controlled effective date. | Trace the status event to the servicing and accounting records and handle any residual designated balance under the applicable rules. |
| Forecast change with no contract update | Revise expected transactions or repricing assumptions, not contractual fields. | Assess probability, timing, and documentation separately from the loan master-data reconciliation. |
Prepayment and repricing: why timing often dominates
In a portfolio hedge, contractual maturity can overstate the period for which a loan is exposed if borrowers are expected to repay or refinance earlier. Expected repricing dates can therefore be more relevant than legal maturity. The estimate must be based on historical experience and other available information, including prepayment expectations, under the entity’s applicable policy.

When an estimate changes, retain both versions of the repricing profile. Show which buckets gained or lost exposure, the evidence for the change, and the effect on the derivative match. An estimate change does not automatically prove that hedge accounting fails; it is an input to the effectiveness and designation analysis.

| Material | Use in this workflow | Limitation |
|---|---|---|
| IFRS 9 | Use the hedge-effectiveness concept and ongoing analysis of expected ineffectiveness when evaluating offset. | Apply the entity’s adopted and endorsed version, policy elections, and designation terms. |
| IAS 39 | Relevant for legacy or specifically applicable relationships, including expected repricing treatment for prepayable items. | IAS 39, IFRS 9, and local adoption are not interchangeable. |
| US GAAP | Assess the revised hedged risk, item, and qualification under current US GAAP and the entity’s documentation. | A 2019 FASB staff issuance is historical illustrative material, not current authoritative guidance. |
| FASB Statement 133 summary | Useful only for a high-level explanation of fair-value and cash-flow hedge mechanics. | It is in a superseded-standards library and must not be treated as current requirements. |
| EU Regulation (EU) 2016/2067 | Contains the IFRS 9 effectiveness wording cited above. | Check later amendments and the version endorsed for the reporting entity. |
| HMRC CFM27200 | Explanatory discussion of IAS 39 macro-hedging and prepayment treatment. | Government guidance is not a substitute for the applicable accounting standard. |
When the revised risk no longer qualifies, the applicable framework may require discontinuation and prescribed treatment of accumulated balances. Obtain technical-accounting review for that conclusion; operational staff should provide the reconciled facts, calculations, and designation documents rather than infer the accounting entry.
Choosing a reconciliation approach or system
No particular vendor or named system is established as superior for this task. Compare an internal spreadsheet, controlled data pipeline, treasury platform, valuation engine, or specialist hedge-accounting system against the same control requirements:
| Capability | Questions to test |
|---|---|
| Data lineage | Can the process show source, as-of date, effective date, transformation, and old-versus-new values? |
| Loan-to-trade mapping | Can each designated loan or population be traced to the relevant derivative and designation? |
| Repricing and prepayment | Can contractual and expected dates be represented separately with versioned assumptions? |
| Calculation transparency | Can a reviewer reproduce cash flows, buckets, valuation inputs, and effectiveness outputs? |
| Exception workflow | Are owners, severity, approvals, disputes, and closure dates recorded? |
| Audit retention | Are historical snapshots, model versions, source files, and sign-offs retained and searchable? |
| Integration | Does the process agree with servicing, treasury, valuation, and general-ledger systems? |
| Framework support | Can the controls reflect the entity’s current IFRS, IAS 39, or US GAAP policy? |
A spreadsheet can be adequate for a small, stable population if inputs, formulas, versions, access, and approvals are controlled. Automation is valuable when populations, repricing assumptions, or exception volumes make manual lineage unreliable; it does not remove the need for documented accounting judgment.
Control checklist for each reconciliation cycle
- Freeze and archive the prior loan population before loading changes.
- Confirm source ownership, effective dates, update timestamps, and as-of dates.
- Run duplicate, missing-record, unit, sign, currency, and stale-snapshot checks.
- Separate contractual changes, estimate changes, and data corrections.
- Recalculate cash flows or repricing exposure with a versioned method.
- Map revised exposure to derivatives, designations, risk, amount, period, benchmark, and timing.
- Quantify and classify every break.
- Obtain technical-accounting review when the hedged risk, item, expected transaction, or qualification changes.
- Obtain controlled sign-off before updating risk, accounting, or ledger systems.
- Retain calculations, source documents, approvals, disputes, and final treatment.
Failure modes and recovery actions
| Symptom | Likely cause | Recovery |
|---|---|---|
| Total loan balance differs from the servicing ledger. | Different cut-off date, duplicate, missing record, or unit/sign error. | Reconcile populations by identifier and rerun both extracts using a common as-of date. |
| Exposure changes but no loan field appears different. | Changed prepayment, repricing, market, or model assumption. | Compare assumption files and model versions; document the evidence and approval. |
| Derivative and loan dates no longer align. | Actual payoff, reset-calendar change, or stale designation. | Rebuild timing buckets and review the designated period and permitted response. |
| Index mismatch appears after a modification. | Loan benchmark or spread changed while the derivative remained unchanged. | Quantify basis risk and escalate the designated-risk assessment. |
| A historical period changes after a late correction. | Backdated servicing update entered after reporting close. | Preserve both snapshots, identify affected valuations and reports, and follow the error-correction policy. |
| Teams reach different results from the same file. | Uncontrolled formulas, market-data cuts, or transformation logic. | Use a single versioned calculation, lock inputs, and require independent review. |
| Accounting treatment is disputed. | Operational reconciliation was mistaken for a framework conclusion. | Provide the fact pattern and evidence to technical accounting; do not alter entries without approved treatment. |
Illustrative reconciliation
Assume a designated portfolio contains loans with a combined principal of 100 million in the reporting currency and a pay-fixed, receive-variable derivative covering the next two years. A servicing correction reduces one loan by 4 million effective at the prior month-end, while a separate behavioural update moves expected repayment for another loan six months earlier. The controlled result should not be described simply as “a 4 million balance break.”
- Archive the prior 100 million population and the corrected source records.
- Remove the 4 million from the effective date of the correction and identify any prior valuation that used the wrong balance.
- Rebuild the second loan’s expected repricing profile and move its cash flows into the earlier bucket.
- Compare the revised bucket totals with the derivative’s notional, reset dates, and designated period.
- Explain separate amount and timing breaks, then ask whether the designation and effectiveness method still describe the revised population.
- Obtain approval for the accounting treatment and retain both calculations, rather than overwriting the original run.
The figures in this example are illustrative only; they are not a benchmark, materiality threshold, or conclusion about any reporting framework.
Bottom line
A reliable hedge reconciliation treats loan data as controlled risk data, not merely an accounting input. Capture the change, prove the revised record, rebuild amount and timing exposure, map it to the derivative and designation, analyze effectiveness under the entity’s current framework, and preserve an auditable decision for every exception. Only then can treasury and accounting decide whether the relationship continues, needs an approved adjustment, or must be discontinued.
