Prevent GST mismatches by running two linked but separate reconciliations for every tax period: first match outward supplies in your books to GSTR-1 and then to the outward-tax liability in GSTR-3B; separately match purchases and eligible input tax credit (ITC) in your books to GSTR-2B and the ITC reported in GSTR-3B. Work at invoice level before comparing totals, classify every difference, use GSTR-1A when its same-period correction window applies, and preserve an exception log showing why each item was corrected, reversed, deferred or claimed later.
What the three records actually represent
A mismatch is easier to fix when each record is treated according to its purpose rather than as interchangeable versions of the same ledger. Your books are the source accounting record. GSTR-1 is the supplier’s statement of outward supplies. GSTR-3B is the return in which you summarise outward tax liability and ITC claimed. GSTR-2B is a recipient-side, statement-based view of documents reported by suppliers and other prescribed sources for ITC reconciliation.
| Record | Primary question it answers | Reconciliation use |
|---|---|---|
| Books and tax ledgers | What did the business record, with supporting documents? | Baseline for transaction identity, accounting period, tax classification and tax-head amounts. |
| GSTR-1 | What outward supplies and related documents were reported? | Match sales invoices, notes, exports, advances, amendments, HSN/SAC summaries and other outward-supply categories. |
| GSTR-3B | What liability and ITC were declared for the period? | Compare outward-tax summaries with final GSTR-1 data and compare eligible ITC with the separately tested purchase reconciliation. |
| GSTR-2B | Which supplier-reported documents are available in the recipient’s statement? | Use as an evidence and timing check for purchase records; do not treat a listed document as automatic legal approval of ITC. |
Outward-supply matching and ITC matching are therefore separate jobs. A sales register can agree perfectly with GSTR-1 while purchase ITC remains unsupported, or GSTR-2B can contain a document that is not eligible after applying the law and the facts of the purchase.
Set up a controlled period before comparing numbers
Freeze the filing scope
Choose the exact tax period, financial year, registration and filing frequency. Note whether you are preparing an original return, an amendment, a late filing or a correction to an earlier period. Do not combine records extracted on different cut-off dates without labeling them: a supplier amendment or a late upload can change what appears in a statement after your books were first exported.

Preserve the source sets
Export or retain, for the same period, the sales register, purchase register, credit and debit note registers, tax ledgers by head, advance schedules, export and e-commerce schedules where relevant, and the draft or filed return data. Record the extraction date and the accounting or return-preparation system version. Keep a read-only copy of the files used for filing so a later amendment can be traced to the original position.
- Assign a unique internal key to each invoice, debit note and credit note, while retaining the legal document number and date.
- Keep supplier or recipient GSTIN, place of supply, taxable value, rate, tax amount and tax head as separate fields.
- Mark whether an entry is original, amended, reversed, reclaimed, cancelled or carried forward.
- Use one period convention consistently, then record the document date and the reporting period separately where they differ.
This record-control step is an operational control derived from the period-based scope of GSTR-1 and the need to explain later changes; it is not a prescribed GSTN template.
How do I reconcile GSTR-1 with my sales books?
1. Match invoice-level outward supplies
Where GSTR-1 contains invoice-level details, match each sales-register row to the return using a combination of document identity and tax attributes. A practical control key includes:

- invoice, debit-note or credit-note number and date;
- taxable value;
- tax rate and tax amount for each applicable head;
- place of supply and whether the supply is intra-State or inter-State;
- the GSTR-1 table or category in which the document was reported.
Do not rely only on invoice number. A duplicated number, an altered date or a different GSTIN can make two rows look matched while changing the tax result.
2. Reconcile summarized categories
Some outward supplies are reported in summarized rather than document-level form. Compare the classification and period totals to the corresponding book schedules for nil-rated, exempt and non-GST supplies, exports, advances, HSN/SAC summaries and specified e-commerce supplies. The GST Portal’s GSTR-1 guidance describes registered-recipient invoice details, specified inter-State B2C invoices, notes, exports, advances and adjustments, amendments, nil/exempt/non-GST supplies, HSN/SAC summaries and specified e-commerce supplies. The exact table mapping can change with the applicable form instructions, so verify the version for the period being filed.
3. Build an exception list instead of forcing agreement
When a row does not match, assign it to one investigation bucket and leave the original values visible. Typical buckets are:

| Missing from GSTR-1 | Was the invoice included in the sales register before the filing cut-off? Was it assigned to another registration or table? | Confirm whether it is reportable in the period, then use the permitted amendment or correction route. |
| Duplicate in GSTR-1 | Search by GSTIN, document number, date and taxable value; check upload history. | Identify the duplicate and correct it under the current return instructions. |
| Wrong recipient GSTIN or place of supply | Inspect the tax invoice, customer master and supply terms. | Correct the classification or amend the document as permitted. |
| Rate, value or tax-head difference | Compare the invoice, tax calculation and ledger posting line by line. | Fix the accounting entry or return data, documenting the reason and approval. |
| Credit/debit note or amendment in another period | Check the note date, original invoice reference and period in which it was reported. | Align the books and return schedules, preserving the cross-period reference. |
| Book entry not yet reportable as a supply | Check whether it is an advance, non-GST item, internal entry or another excluded category. | Keep it in the appropriate book schedule and report only under the applicable return rule. |
How do I compare outward liability with GSTR-3B?
Start with finalized GSTR-1 data
After resolving GSTR-1 exceptions, aggregate the outward taxable value and tax by the relevant tax heads. Compare that result with the corresponding outward-liability summaries in GSTR-3B and with the tax ledgers in your books. Use the same period and the same treatment of notes, amendments, advances and exempt or non-GST categories.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Explain every difference before filing
For each difference, state whether it is a timing difference, a classification issue, a note or amendment, a non-taxable category, or a data-entry error. Retain the calculation that bridges the amounts. The GST Portal material confirms GSTR-1’s contents and explains that GSTR-1A changes can auto-populate GSTR-3B, but it does not publish a complete official mapping of every GSTR-1 table to every GSTR-3B table. Use the filing-period form instructions for the final mapping rather than assuming that similarly named fields are interchangeable.
- Timing: the book document and return document belong to different reporting periods.
- Classification: the same transaction was placed in a B2B, B2C, export, exempt, advance or other category differently.
- Adjustment: a credit/debit note or amendment changed the return total after the original book entry.
- Data entry: a value, rate, tax head or sign was keyed incorrectly.
How do I correct a GSTR-1 mistake before filing GSTR-3B?
Use GSTR-1A when the portal window applies
The GST Portal describes GSTR-1A as optional. It can be used after GSTR-1 is filed, or after its due date if that is later, and before GSTR-3B for the same period is filed. Changes made through GSTR-1A auto-populate GSTR-3B. A supply declared or amended through GSTR-1A becomes available for the recipient’s ITC in the next period’s GSTR-2B, not necessarily the current statement. That timing can create an apparent supplier-recipient mismatch even when the correction was made correctly.
- Re-open the period’s exception log and verify the source invoice, note or amendment.
- Confirm in the live portal that GSTR-1A is available for the registration and period.
- Enter the permitted correction, checking GSTIN, document number, date, value, rate, place of supply and tax head.
- Save and validate the form, then compare the resulting GSTR-3B auto-populated values with the books.
- Record the GSTR-1A reference, filing date and expected effect on the recipient’s next-period GSTR-2B.
Portal labels and correction availability can change. Confirm the current instructions before relying on this route; if the GSTR-3B for the period has already been filed, use the correction mechanism that applies to the facts and period rather than attempting to use an expired GSTR-1A window.
How do I match GSTR-2B with ITC claimed in GSTR-3B?
1. Match purchase documents to GSTR-2B
Compare each purchase-register document with GSTR-2B using supplier GSTIN, document number and date, taxable value, tax amounts and period. Add place of supply and tax head to the check where those fields affect the credit. Investigate documents absent from GSTR-2B, amended documents, supplier credit notes, duplicates and tax-head differences.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
2. Separate availability from legal eligibility
GSTR-2B is evidence of what has been reported to the statement, not a legal approval of every credit. The GST Portal advises taxpayers to reconcile GSTR-2B with their own records and books, ensure that no document’s credit is taken twice, and reverse credit as required. It also explains that unavailable-credit indications cover only specified cases; other legal restrictions may not be surfaced and must be self-assessed under the applicable law and the facts of the purchase.

Conversely, a missing document is an exception to investigate, not by itself a final legal conclusion that credit can never be claimed. Contact the supplier, check whether the document was filed or amended in a later period, and retain evidence of the decision. For imports of services and other special categories, follow the current form instructions and applicable law; the statement does not provide a complete treatment for every category.
3. Compare the tested result with GSTR-3B
Only after testing eligibility should you compare the amount selected for ITC in your books with the ITC reported in GSTR-3B. The bridge should identify:
- credit in both books and GSTR-2B and accepted after legal review;
- credit in GSTR-2B but rejected because of an eligibility restriction, documentation issue or business-use fact;
- credit in books but absent from GSTR-2B and held for supplier follow-up or a later period;
- credit reversed, reclaimed or carried forward;
- any duplicate claim detected across periods.
The GST Portal’s official guidance states: “Taxpayers, are advised to self-assess and reverse or take such credit in their Form GSTR-3B.” It also states: “Taxpayers shall ensure that no credit shall be availed twice for any document under any circumstances.” Keep those controls visible in the working paper rather than treating the statement total as the answer.
Do these 3 things before closing this tab:

Most differences fall into a small number of investigation categories. The category determines which evidence to request and whether the amount belongs in the current return.
| Cause | Diagnostic questions | Control response |
|---|---|---|
| Supplier filing timing | Did the supplier upload or amend the invoice after the relevant cut-off? Was a GSTR-1A correction made? | Track the expected statement period and do not duplicate the claim while waiting. |
| Duplicate ITC | Does the same document appear in an earlier claim, a reclaimed-credit schedule or more than one source file? | Use a unique document key and reverse or correct the duplicate as required. |
| Credit note or amendment | Was a note issued after the original claim, or did the supplier change the tax value or head? | Link the note to the original invoice and calculate the required reversal or adjustment. |
| Wrong GSTIN or document data | Do supplier GSTIN, number, date, value, place of supply and tax head agree? | Obtain corrected reporting or fix the book master data, with an audit trail. |
| Eligibility restriction | Even if listed, does the purchase satisfy the applicable statutory, business-use and documentation conditions? | Exclude or reverse the ineligible amount and retain the legal and factual basis. |
| Cross-period claim | Was current-year credit claimed in a later period, or reversed and reclaimed? | Maintain a carry-forward schedule and report it according to the applicable annual-return instructions. |
Maintain an exception and resolution log
A reconciliation is only useful if another person can follow the decision months later. Use one row per exception and record:
- document number, supplier or recipient GSTIN and internal transaction key;
- taxable value, tax amount, tax head and affected period;
- which records were compared and the extraction dates;
- reason code, such as omission, duplicate, timing, amendment, classification or eligibility;
- owner and requested action;
- correction, reversal, DRC-03, GSTR-1A or supplier-follow-up reference, where applicable;
- closure date and evidence location.
Separate an unresolved supplier follow-up from a confirmed book error or a filed return amendment. Do not mark an item closed merely because a total now agrees; retain the document-level explanation that produced the agreement. This log is an operational control, not a prescribed GSTN form, but it prevents the same difference from being investigated repeatedly and supports later-period and annual-return work.

What to do when DRC-01C is issued
GSTN’s functionality compilation describes an automated DRC-01C intimation when ITC available in GSTR-2B and ITC claimed in GSTR-3B differ beyond a predefined limit or percentage threshold. The compilation does not state the numeric threshold. Do not rely on an old figure or an unofficial summary.
Use the notice as a response workflow
- Identify the exact tax period and the GSTR-2B and GSTR-3B values used for the intimation.
- Re-run the document-level reconciliation, including amendments, credit notes, reversals, timing differences and duplicate claims.
- Quantify the portion that is a genuine excess, a documented timing difference, or another explainable category.
- Respond in Part B using the available explanation, settlement through DRC-03, or both, as appropriate to the facts.
- Save the submitted response, calculations and supporting documents with the exception-log entry.
A DRC-01C message is not, by itself, proof that every difference is an ineligible claim. It identifies a system comparison that requires a documented explanation and, where necessary, payment or correction. Follow the live portal workflow and current professional guidance for the notice period.
Carry year-end and later-period items into the annual reconciliation
Do not close the monthly or quarterly file without identifying amounts that cross the financial year. Keep separate schedules for:
- credit relating to one financial year but first claimed in the following year;
- credit claimed, reversed and later reclaimed;
- supplier amendments or notes reported after the original year-end;
- outward supplies amended in a later period.
The GSTN FAQ on GSTR-9/9C for FY 2024-25, dated 15 October 2025, distinguishes current-year credit claimed in the following year from credit claimed, reversed and reclaimed and gives different annual-return reporting guidance. Apply that FAQ to FY 2024-25 and check the version issued for any later financial year before filing. A carry-forward schedule should show the original document, first claim or reversal period, later claim period and the annual-return table used.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.A repeatable monthly or quarterly checklist
- Freeze: set the registration, period, filing status and extraction date.
- Prepare: preserve sales, purchases, notes, ledgers, statement downloads and draft return data.
- Match outward supplies: reconcile books to GSTR-1 at document level, then review summarized categories.
- Bridge liability: compare finalized GSTR-1 and books to GSTR-3B by value and tax head.
- Correct where available: use GSTR-1A before same-period GSTR-3B filing when the portal permits it.
- Match inward supplies: reconcile purchases to GSTR-2B and investigate absent, amended, duplicate and note-related documents.
- Test eligibility: decide ITC under the applicable law and facts, separately from statement availability.
- Prevent duplication: check prior claims, reversals and reclaims for every document.
- Log: assign an owner, reason, action and closure evidence to each exception.
- Archive: retain the final bridge, filed return references and supporting documents for later annual reconciliation.
Controls that make the process reliable
Use stable document keys
Normalize spaces, punctuation and letter case for matching, but retain the original legal value in a separate field. A normalized key should not overwrite the source number; otherwise a correction can become impossible to trace.
Keep tax heads separate
Do not net different tax heads merely to make a total agree. A total tax amount can match while the IGST, CGST or SGST allocation is wrong, affecting both liability and ITC treatment.

Distinguish accounting date from reporting period
Store document date, posting date, supplier filing period, statement period and return period separately. This makes a genuine timing difference visible instead of presenting it as an unexplained error.
Require evidence for overrides
If a reviewer overrides an automated match or accepts a difference, require a reason code and supporting document. A green “matched” status without evidence is not a reconciliation control.
Review changes before filing
After any amendment, note or GSTR-1A entry, regenerate the relevant bridge and confirm that the change did not create a duplicate claim, alter a tax head or move an item into the wrong period.
When a spreadsheet is enough—and when to use software
A controlled spreadsheet can work for a small, stable volume if it preserves source files, uses protected formulas, maintains a unique document key and has a reviewer sign-off. Larger or frequently amended datasets benefit from GST accounting or return-reconciliation software that demonstrably supports invoice-level matching, period mapping, amendment tracking and exception reporting. The important capability is not a brand name; it is whether the tool preserves the document-level trail and lets you export the calculations used for filing.
Whichever method you choose, retain the portal downloads and final working papers outside the application as part of your records. A software “matched” flag cannot replace the legal eligibility assessment for ITC or the explanation of a cross-period difference.
Practical decision rules for difficult cases
| Situation | Decision rule |
|---|---|
| GSTR-1 and books differ, but GSTR-3B has not been filed | Resolve the document and classification exception first; use GSTR-1A only if its period window and current instructions permit it. |
| GSTR-2B contains an invoice missing from the purchase register | Verify the underlying purchase and eligibility before recording or claiming it; do not book or claim solely because it appears in the statement. |
| Purchase is in the books but absent from GSTR-2B | Investigate supplier filing, period timing and document data; hold or treat the credit according to current law and documented facts. |
| Same invoice appears in two internal claim schedules | Stop the claim, identify the original claim period, and correct or reverse the duplicate as required. |
| DRC-01C amount is larger than the apparent error | Reconcile the notice’s source periods and statement versions; separate timing and amendment items from genuine excess before responding. |
| Year-end credit is claimed in the next financial year | Move it to a dedicated carry-forward schedule and apply the annual-return FAQ for the relevant fiscal year. |
What a complete reconciliation file should contain
- period and registration control sheet;
- unchanged exports of sales, purchases, notes and tax ledgers;
- GSTR-1, GSTR-2B and GSTR-3B downloads or filed copies;
- outward-supply document match and summarized-category bridge;
- inward-ITC document match with eligibility decisions;
- tax-head and period-bridge calculations;
- GSTR-1A, amendment, reversal, reclaim and DRC-03 references where used;
- exception and resolution log with reviewer sign-off;
- year-end carry-forward schedules for later annual-return reporting.
Keeping these items together turns reconciliation into a repeatable control rather than a last-minute total check. Recheck live GST Portal guidance, current law, period-specific form instructions and the applicable annual-return FAQ before filing because portal behavior and reporting requirements can change.
