For an Indian restaurant, the amount credited by a food-delivery operator is a settlement figure, not automatically the restaurant’s gross sales. Reconcile order-level sales and taxable values to the POS or sales ledger first; then account separately for refunds, cancellations, discounts, commissions, taxes and other settlement adjustments. Finally, classify each supply under the applicable GST rules and tie the resulting totals to the current GSTR-1 and GSTR-3B instructions for that tax period.
This guide assumes restaurant service supplied in India through an e-commerce operator. Section 9(5), premises classification, registration status, transaction date and the live return forms can change the treatment, so use the workflow as a control process rather than as a determination of your individual liability.
Start with the number GST reconciliation is supposed to prove
Your primary control total is the value of restaurant supplies made during the tax period, supported by orders, invoices or other applicable records and your POS or sales ledger. The bank credit from a delivery platform is normally a later settlement amount after deductions and timing effects.
A useful control equation is:
gross order value ± sale adjustments = restaurant sales value

and, separately:
restaurant sales value − platform deductions ± settlement corrections = expected payout
The first line answers what the restaurant sold. The second explains what the platform eventually remitted. Combining both lines into one net number is the most common reason platform sales and GST records stop agreeing.
Keep the two views side by side for every platform and period. A settlement can include orders placed in an earlier period, refunds processed after the order date, or deductions covered by a separate invoice. None of those facts, by itself, changes the original order value or the tax treatment of the underlying restaurant supply.
Why a platform payout differs from restaurant sales
Settlement deductions are not automatically reductions in sales
Commission, payment-processing charges, delivery-related charges, advertising or other platform services may be withheld before the remittance reaches your bank. Match each deduction to the platform statement and, where issued, the platform’s invoice. Record the charge as a separate transaction unless the underlying order documents and current GST rules establish that it changes the restaurant’s sale value.
Discounts require an identified funding source
A restaurant-funded discount can reduce the consideration received for the order, subject to the conditions that apply to the relevant supply and document. A platform-funded promotion may be accounted for differently. Do not infer the treatment from the customer’s app display alone; use the order record, promotion terms, settlement statement and applicable tax rules.
Refunds, cancellations and corrections change timing
An order may be cancelled before preparation, refunded after delivery, or corrected in a later settlement. Preserve the original order reference and the date of the adjustment. A later credit in the bank statement is not proof that the original sale never occurred, and an order marked cancelled is not evidence that a completed supply should remain in turnover.

| Record or event | What it explains | Reconciliation treatment |
|---|---|---|
| Completed order | Gross restaurant sale before settlement deductions | Compare with POS or sales-ledger entry and applicable invoice |
| Restaurant-funded discount | Reduction in consideration, if the legal and documentary conditions are met | Show separately with the funding source and adjustment reference |
| Platform-funded discount | Promotion funded outside the restaurant’s own discount | Do not net it blindly; follow the transaction documents and current rules |
| Cancellation or refund | Reversal or correction of an order | Link the adjustment to the original order and period |
| Commission or other platform fee | Charge for a platform service or settlement deduction | Reconcile to the platform statement or invoice separately from sales |
| Bank credit | Cash received after deductions and timing differences | Use as a settlement check, never as the gross-sales source |
Understand the section 9(5) boundary
Section 9(5) of the Central Goods and Services Tax Act permits specified categories of services supplied through an e-commerce operator to have the operator pay GST as if it were liable for that service. Restaurant service supplied through a qualifying operator is treated under this notified mechanism. The rule is specific to the notified service and channel; it does not mean the operator pays every GST amount shown on a customer receipt or every tax connected with the restaurant’s business.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Classify transactions before preparing a return. A restaurant may have several populations in the same month:
| Transaction population | Question to answer | Why it matters |
|---|---|---|
| Restaurant service through the operator | Does the supply fall within the notified section 9(5) service for the transaction date? | The operator may be responsible for the GST on that qualifying supply, with a specific supplier-side reporting treatment. |
| Restaurant service sold directly | Was the customer order accepted and supplied outside the operator channel? | Normal supplier obligations may apply instead of the section 9(5) route. |
| Non-restaurant charges | Is the item a separate good or service, such as a fee or other charge? | It may not share the restaurant-service classification or rate. |
| Corrections and refunds | Does the adjustment reverse a qualifying supply or represent a separate charge? | The return period and table treatment can differ from the original order. |
Keep evidence for the classification: the order channel, restaurant registration details, premises status, service description, tax period and the platform documents. If a platform statement combines restaurant sales with unrelated charges, split the populations before calculating turnover or tax.
Check the rate and premises classification for the transaction date
CBIC’s published rate schedule lists restaurant service other than at specified premises at 5%—2.5% CGST plus 2.5% SGST—subject to the stated condition that input tax credit on inputs used to supply the service has not been taken. The schedule lists restaurant service at specified premises at 18%—9% CGST plus 9% SGST. These entries must be checked against amendments and the facts applicable on the date of each supply.
Do not copy a rate from an old invoice template or an online screenshot. Confirm whether the premises meet the definition applicable to the period, whether the restaurant has taken input tax credit contrary to a rate condition, and whether a later notification changed the entry. If the premises classification or rate is uncertain, isolate the affected orders and obtain advice before filing rather than forcing them into the dominant category.

- Order-level data or a period summary showing order references, order dates, completion or cancellation status and values.
- The settlement statement for the same period, including opening or carried balances if the platform uses them.
- Reports for refunds, cancellations, chargebacks, corrections and promotional adjustments.
- Platform invoices or tax documents for commission and other charges.
- The restaurant POS report, sales ledger, invoice register and daily closing totals.
- Bank statements showing each remittance, with the settlement reference and value date.
- GST registration details, premises classification evidence and the rate decision used for the period.
- Copies of the GSTR-1 and GSTR-3B filed or prepared for that period, plus the portal instructions used.
Platform exports do not use universal field names. If an export lacks an order-level field, retain the platform’s summary and document how it was reconciled to the POS. Never invent a mapping simply because two columns have similar labels.
Follow this reconciliation workflow
- Lock the scope. Write the financial year, tax period, platform, GST registration and order-date rule on the worksheet. Decide whether the comparison is by order date, completion date or settlement date, and apply the same rule consistently. Any different date used for a return adjustment must be shown separately.
- Export and preserve the source reports. Download the order report, settlement statement and adjustment or tax reports available for that period. Record the download date, file name and any platform filters. Keep an untouched copy and work from a controlled copy.
- Build the gross-order population. List each order reference once, then mark completed, cancelled, refunded or corrected. Compare gross order values with the POS or sales ledger. Investigate missing orders, duplicate references and orders present in one system but not the other before looking at payout amounts.
- Separate sale adjustments. Add columns for restaurant-funded discounts, platform-funded discounts, cancellations, refunds, chargebacks and order corrections. Each amount should have a source document and a reason code. Do not hide an adjustment by reducing a platform-fee column.
- Reconcile settlement deductions independently. Match commission and every other charge to the platform statement or invoice. Recalculate the expected remittance from the order total and documented deductions, then compare it with the bank credit. A residual difference is a settlement exception, not an automatic sales correction.
- Classify the supplies. Split qualifying restaurant service supplied through the operator under section 9(5) from direct restaurant sales, other charges and reversals. Confirm registration status, premises classification and rate for the transaction date. Keep a count and value for each population.
- Tie the classified totals to the returns. Use the current GSTR-1 and GSTR-3B instructions for the period, including any section 9(5) fields. Document the bridge from order totals to return figures, including adjustments posted in a later period.
- Resolve or carry forward exceptions. Assign an owner, due date and reason code to every unresolved item. Carry material differences into the next period with the original order or settlement reference; do not erase them by overwriting the prior reconciliation.
Map the result to GSTR-1 and GSTR-3B
GSTR-1 is the monthly or quarterly statement of outward supplies for registered normal and casual taxpayers. GST Portal guidance includes supplies involving e-commerce operators in its reporting framework. The table used for a particular restaurant supply depends on its classification and the instructions applicable to the filing period.
CBIC Circular No. 167/23/2021-GST, dated 17 December 2021, provided interim directions for restaurant service supplied through e-commerce operators. It stated: “Registered persons supplying restaurant services through ECOs under section 9(5) will report such supplies of restaurant services made through ECOs in Table 8 of GSTR-1 and Table 3.1 (c) of GSTR-3B, for the time being.” The words “for the time being” are important: the circular was not a reason to reuse its table instruction indefinitely.
Crashes, No Sound, or Screen Glitches?

Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallNotification No. 14/2022-Central Tax introduced GSTR-3B Table 3.1.1 and item (ii) for taxable supplies made by a registered person through an e-commerce operator on which the operator is required to pay tax under section 9(5). That later form structure means a return prepared from an old circular or screenshot can be wrong even when the underlying sales reconciliation is accurate.
Before filing, open the live portal instructions and the notification or amendment applicable to the exact tax period. Verify whether the portal expects the supplier-side section 9(5) value in Table 3.1.1(ii), another field, or a revised treatment. Preserve a PDF or internal note identifying the instruction used. If your prepared return conflicts with the portal validation, stop and resolve the classification rather than forcing a value into an unrelated table.
Use the same period logic in both returns. If an order is recorded in the sales ledger in one month and a refund is processed in the next, show the original and reversal in the periods required by the applicable rules and retain the cross-period bridge. Do not net a later refund against an unrelated month’s platform sales merely to make the payout match.

Design a control sheet that another person can follow
A practical reconciliation sheet has one row per order or documented adjustment. At minimum, include:
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Tax period and platform.
- Order or settlement reference.
- Order date, completion date and settlement date where available.
- Gross order value.
- Restaurant-funded discount.
- Platform-funded discount.
- Refund, cancellation or chargeback value.
- Net sale value used in the restaurant ledger.
- Commission and each other settlement deduction.
- Expected payout and actual bank credit.
- GST classification, premises category and rate decision.
- Return field used or planned.
- Exception reason, supporting document and resolution status.
Use formulas that expose, rather than conceal, differences. For example, calculate expected payout = net sale value − documented deductions ± documented corrections, then compare that result with the settlement statement and bank credit. Add a control total at the bottom for gross orders, sale adjustments, taxable value, deductions and payout. A reviewer should be able to trace any total back to an order reference without opening the bank statement first.
Use reason codes to investigate every difference
| Difference observed | Likely investigation path | Evidence to retain |
|---|---|---|
| Platform total exceeds POS total | Look for an order missing from the POS, duplicate POS filters or a period-date mismatch | Order report, POS export and date-filter screenshots or notes |
| POS total exceeds platform total | Check direct orders mixed into the POS, cancelled orders and platform report filters | Channel-level sales report and cancellation report |
| Payout is lower than gross sales | Separate commission, taxes withheld, refunds, discounts and other documented deductions | Settlement statement and platform invoices |
| Payout is higher than the current period’s orders | Check prior-period carryovers, delayed settlement, refund reversals and opening balances | Current and prior settlement statements plus bank reference |
| Return total differs from the sales ledger | Review section 9(5) classification, return-period adjustments and the table instruction used | Return working paper, portal instruction and classification memo |
| Tax amount differs even when value agrees | Recheck rate, premises status, input-tax-credit condition and transaction date | Rate notification or schedule and premises evidence |
Useful reason codes include timing, missing order, duplicate order, cancellation, refund, restaurant-funded discount, platform-funded discount, platform fee, tax classification, rate, return-period mismatch, bank error and report error. A reason code is not a conclusion; attach the document that proves the explanation.
Common failure modes and how to correct them
Using the bank statement as turnover
Bank credits combine sales and deductions and may include earlier periods. Rebuild gross orders from the order or POS population, then use the bank statement only to test the settlement calculation.
Netting commission against sales
Netting makes the restaurant appear to have sold less than it did and can hide an unrecorded platform service charge. Restore the gross sale, post the documented fee separately and reconcile the resulting payout.

Applying section 9(5) to every platform line
The mechanism covers notified services, not every charge shown in an operator report. Split restaurant service from fees, other services and non-qualifying transactions before deciding who accounts for GST.

Repeating an old return-table instruction
The 2021 circular expressly described its table direction as temporary, and later notification material introduced Table 3.1.1(ii). Check the live form and instructions for the tax period instead of relying on a saved screenshot.
Ignoring premises and input-tax-credit conditions
A rate selected for one premises category may be wrong for another, and a 5% entry carries a stated no-ITC condition. Keep the premises and credit decision with the rate working paper.
Overwriting unresolved differences
Changing a figure until the totals match destroys the audit trail. Leave the original value, add a correction row, assign a reason code and carry the item forward if it cannot be resolved before filing.
Close the period with an audit trail
At period end, have a preparer and reviewer sign or electronically approve the reconciliation. The file should show the source reports, report dates, control totals, classification decision, return mapping, bank tie-out and all open exceptions. Restrict edits to the working copy and retain the original downloads.
Compare the current period with the prior period for unusual movements in gross orders, refunds, discounts, commission rate or section 9(5) values. A historical GST Council committee paper documented a case in which food-aggregator turnover reporting and restaurant GSTR-3B turnover differed. That example demonstrates that cross-system gaps can occur; it is not a current industry frequency or a benchmark for your restaurant.
When a platform changes its export format, keep the old-to-new field mapping and test one completed period before using the new report for filing. When a return form changes, archive the instruction and date that governed the filing. These two controls prevent a technically correct reconciliation from being placed in the wrong GST table.
When professional review is warranted
Obtain advice from a GST practitioner experienced with restaurants and e-commerce-operator reporting when a difference affects a filed return, spans multiple tax periods, involves a material refund or discount, changes the section 9(5) classification, depends on premises status, or cannot be supported by platform documents. Provide the practitioner with the order-to-payout bridge and the unresolved reason-code list, not just the bank statement.
Recommended Free Tools
The practical standard is traceability: every amount in the return should be explainable from a defined order population, every payout deduction should have a settlement source, and every exception should remain visible until resolved.
