Start with the bank or payment-service transaction, then trace it to the payment journal, vendor ledger, and invoice or credit memo. Compare the supplier, reference, transaction date, posting date, amount, currency, and remaining balance. A mismatch often means the payment was allocated to the wrong invoice, covers several invoices, is partial or unapplied, arrived before its remittance advice, or was imported twice—not that another payment should be recorded.
Review the system’s suggested match and exceptions before posting. If cash has already moved and only the accounting allocation is wrong, correct the existing payment application; do not create a second bank movement. The exact screens differ by product, but the control logic is the same.
What a payment mismatch actually means
“The payment does not match the invoice” can describe several different conditions. Bank evidence proves that money moved (or that a transfer is pending or rejected). A payment journal records how the accounting system classified that movement. The vendor ledger shows which supplier account was affected. An invoice or credit memo shows what should be settled. A remittance advice explains the payer’s intended allocation. These records can be correct individually while appearing inconsistent when compared out of sequence.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
For example, a bank line may show one total while the accounting entry settles three invoices. A remittance email may arrive a day after the bank feed. An invoice can be fully paid in the vendor ledger while the bank statement still contains an unreconciled line because the statement was imported first. Treat the investigation as a trace across records, not as a comparison of two totals.

Documented workflows reflect this distinction. Payment-application guidance describes importing bank lines, proposing applications to open vendor entries, and allowing a user to change the proposal before posting (Business Central payment application guidance). Reconciliation functions can link an existing payment to outstanding invoices without creating another bank transaction (ERPNext payment reconciliation documentation).
The records you must connect
Collect the following evidence for the same payment before changing anything:
- Bank or payment-service record: cleared, pending, rejected, returned, or duplicated status; value date; amount; currency; counterparty text; and bank reference.
- Payment journal or cash entry: company, bank account, supplier, payment method, transaction date, posting date, amount, currency, reference, and document status.
- Vendor open-item ledger: unpaid invoices, credit memos, prior payments, residual balances, and unapplied amounts.
- Invoice data: supplier identity, invoice number, invoice date, due date, gross and tax amounts, currency, and any permitted deductions.
- Remittance advice: the payer’s list of invoices, discounts, deductions, or short-pay explanations.
- Import and matching history: whether the bank line or payment was already imported, matched, posted, reversed, or manually overridden.
Do not assume that an invoice number in the bank description is the complete settlement reference. One payment may cover many invoices, and a payment line may display only one reference even when several open items were settled. Payment-advice processing documentation explains that the advice must first be associated with the correct business partner and payment before its invoice items can be applied (SAP payment-advice processing).
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsEight-step investigation sequence
1. Prove what happened to the money
- Open the bank statement, lockbox file, card processor, or payment-service record.
- Search by amount, currency, value date, counterparty, and reference.
- Classify the line as cleared, pending, rejected, returned, or duplicated.
- Record the statement identifier and retain the source document.
A pending or rejected transfer is not an unpaid invoice that should be covered by a new posting. Conversely, a cleared transfer should not be “fixed” by recording another payment merely because the invoice remains open.
2. Locate the accounting payment entry
Search the payment journal for the same bank account, amount, currency, date range, and reference. If your system imports statement lines, inspect the import status and the link to the posted payment. Some systems match posted vendor-payment journals back to the original statement line and can treat an already matching statement element as a duplicate rather than importing it again (advanced bank reconciliation guidance).
If no accounting entry exists, determine whether the bank feed is delayed, the payment was posted to another company or bank account, or an import exception stopped it. Do not create a journal until you have ruled out an unposted or differently dated entry.

3. Verify status and eligibility
Check that the payment and invoice are submitted or posted according to your system’s rules, belong to the same company and supplier, use the relevant payable account, and still have an outstanding or unallocated balance. A fully settled invoice, a closed period, a different legal entity, or a supplier account with a similar name can all prevent a legitimate application.
For an existing payment, reconciliation should change its allocation to open items rather than create a second cash movement. That distinction is explicit in reconciliation documentation: linking a payment to invoices updates allocation and does not create a new bank transaction (ERPNext documentation).
4. Compare the fields that drive matching
Place the bank line, payment journal, and invoice side by side. Compare:
| Field | What to check | Typical interpretation |
|---|---|---|
| Supplier or business partner | Legal entity, account number, and aliases | A wrong or ambiguous identity can block advice and invoice matching. |
| Payment reference | Invoice number, remittance number, end-to-end ID, and bank reference | A truncated or missing reference lowers confidence; it does not prove that no match exists. |
| Amount | Gross amount, deductions, fees, and rounding | A difference may be a partial payment, discount, charge, or unapplied remainder. |
| Currency | Transaction currency and accounting currency | Foreign-currency settlement can leave an exchange difference even when the invoice is correctly applied. |
| Transaction/value date | Date money moved or was received | Controls cash timing and may differ from the posting date. |
| Posting date | Date entered in the ledger | Can place the accounting entry in a different period from the bank movement. |
| Open balance | Remaining invoice and payment amounts | Shows whether the item is eligible for full, partial, or no application. |
5. Test one-to-many and partial-payment allocations
Read the remittance advice and list every invoice it names. Apply the payment across those invoices in the stated order, then account for any credit memo, discount, withholding, bank fee, or residual amount. A payment of 12,000 in the bank may legitimately settle invoices of 4,000, 5,500, and 2,500. Looking for one invoice equal to 12,000 would create a false exception.
For a partial payment, apply only the amount actually received and leave the invoice’s remaining balance open. Do not edit the invoice total to force a match. Guidance on bank reconciliation and internal reconciliation describes matching a single statement transaction with multiple accounting items and handling partial settlements (Microsoft advanced bank reconciliation; SAP internal reconciliation).
6. Associate delayed remittance advice
Remittance advice can arrive through email, a supplier portal, lockbox, or an electronic file after the bank transaction. First identify the payment and supplier; then attach or record the advice and apply its invoice list. If the system cannot identify the payment’s business partner, it cannot reliably identify which advice belongs to it. Keep the advice with the payment evidence so a later reviewer can reproduce the allocation.

7. Check for duplicate imports and reversals
Search import history and the bank statement for the same transaction identifier, amount, and date. A duplicated bank line can make cash appear twice while the vendor ledger is correct. A reversed or returned payment can leave an original application in place even though the cash no longer settled the invoice; follow your system’s reversal process and preserve the original audit trail rather than deleting it.
8. Review the proposal and exception before posting
Automatic matching is a suggestion or configured workflow, not evidence that every proposed application is correct. Review the fields that produced the match, inspect unmatched lines, and change the application when the supplier, reference, currency, amount, or open-item status is wrong. Systems document different exception mechanisms: unacceptable discrepancies may require manual reconciliation in an invoice-to-pay workflow, while other workflows present matched and unmatched transactions for review (SAP Ariba invoicing and payment workflow; Salesforce payment reconciliation help).
Diagnose the most common mismatch patterns
The bank line exists, but no payment journal is found
Check feed timing, import errors, the selected bank account, company code, and transaction date range. Search for a manual entry or an entry posted in the next period. If the transfer is still pending, hold the item in an appropriate clearing or suspense workflow rather than marking the invoice paid.

Inspect the payment’s supplier, payable account, currency, and unallocated balance. The payment may have been posted on account, applied to another invoice, or blocked because the invoice is in a different company or status. Reallocate the existing payment after confirming the bank movement.
The amount differs by a small value
Compare tax, discount, withholding, bank charges, rounding, and foreign-exchange treatment. Post a difference only to the account and tolerance allowed by your policy, with an explanation and supporting document. Never write off a difference solely because an automatic rule suggested it.
One payment covers several invoices
Use the remittance list and open-item balances to distribute the payment. If no advice exists, request it from the payer or use a documented allocation rule; leave the amount unapplied when the evidence is insufficient rather than guessing.

The invoice is paid, but the bank line is unreconciled
Check whether the bank line was imported after the payment journal, whether the dates differ, and whether the statement line is linked to the posted entry. Match the existing journal to the bank line; do not post another vendor payment.
The same payment appears twice
Compare statement identifiers and import batches. Mark the duplicate according to your system’s process, reverse an erroneous accounting entry if one was posted, and retain both the original and correction in the audit trail. Duplicate detection rules vary, so document the evidence used to distinguish a real second payment from a repeated import.
The remittance advice cannot be matched
Confirm the payer’s legal name, supplier account, bank reference, currency, and payment date. Advice that names a different entity or omits a transaction identifier may require manual association. Do not apply it to the first invoice with a similar number.
Correct the accounting allocation without duplicating cash
Once the bank movement is confirmed, choose the smallest correction that restores the record:
- Wrong invoice, right supplier: unapply the payment from the incorrect open item and apply the existing payment to the invoice named in the evidence.
- Payment on account: retain the cash entry and allocate its unallocated balance when a valid invoice or remittance becomes available.
- Partial settlement: apply only the received amount and leave the residual invoice balance open.
- Several invoices: split the existing payment across the listed open items; record any remainder as unapplied or as an approved difference.
- Wrong supplier or company: follow a controlled reversal and reposting procedure that preserves the original entry and audit history. Do not edit history in a way that hides the error.
- Duplicate accounting entry: reverse the extra entry against the documented bank evidence, then reconcile the surviving entry to the statement.
After correction, verify that the bank balance, payment journal, supplier open items, and invoice balances all reflect the same economic event. Capture who changed the allocation, when, why, and which document supported the decision.

Handle dates and period close deliberately
Transaction date and posting date answer different questions. The transaction or value date says when the payment occurred; the posting date says when it entered the ledger. A payment on the last day of a month can therefore appear in a bank statement for one period and in the accounting ledger for another.

Before closing a period, select the report date consistently with your accounting policy and investigate items in the period where the underlying event occurred. SAP Business ByDesign documents an accounts-payable reconciliation key date based on the payable transaction date rather than the posting date and recommends running the report after operational postings have stopped but before period close (SAP Business ByDesign reconciliation guidance).
If a late remittance arrives after close, do not silently backdate a correction. Use the approved adjustment or subsequent-period process, reference the original payment date, and explain why the allocation was changed.
Design a reviewable automated workflow
Automation is safest when it exposes evidence and leaves an exception path. Configure matching rules to use multiple fields—supplier, amount, currency, reference, date tolerance, and open balance—rather than a single invoice-number string. Set conservative tolerances for deductions and rounding, and route ambiguous matches to a person.

Give reviewers a queue showing the source bank line, proposed payment, candidate invoices, confidence or match reasons, and any unmatched amount. Require a reason code for overrides such as partial payment, credit memo, bank fee, foreign-exchange difference, or duplicate import. Keep remittance files and correspondence attached to the payment where your system permits.
Separate duties when practical: one person reviews the bank import, another approves material allocation changes, and a manager reviews unusual write-offs or supplier-bank changes. Reconcile clearing and unapplied-payment balances at a defined frequency, and investigate aged items rather than allowing them to become permanent suspense balances.
How to compare reconciliation capabilities
When selecting or configuring payment-reconciliation software, compare the workflow—not just whether it advertises “automatic matching.” The following questions expose meaningful differences:
| Capability | Question to ask | Why it matters |
|---|---|---|
| Record linkage | Does it match bank lines to payment journals, vendor open items, or both? | A bank match alone may leave the invoice open; an invoice match alone may miss an unreconciled cash line. |
| Allocation model | Can one payment settle multiple invoices and can an invoice accept partial payments? | Real remittances frequently use one-to-many and partial allocations. |
| Advice timing | Can advice received separately be associated with the correct payment and supplier? | Bank proof and invoice instructions may arrive through different channels and at different times. |
| Duplicate control | Does it detect repeated statement elements and show the original import or journal link? | Prevents double cash recognition while preserving an audit trail. |
| Evidence display | Does the reviewer see the fields and rules that produced a proposed match? | Reviewers need a reason to trust or reject automation. |
| Pre-posting review | Can users change suggested applications before posting? | Incorrect automatic allocations should be corrected before they affect the ledger. |
| Exception tracking | Are unmatched, short-paid, rejected, and unapplied items separately queued? | Different causes require different owners and resolutions. |
| Period-end support | Can reports distinguish transaction date from posting date and retain a close-time snapshot? | It prevents timing differences from being mistaken for missing payments. |
Published product documentation covers different subsets of these behaviors; confirm the exact configuration, edition, and workflow in the system you use rather than assuming that one platform’s feature exists everywhere.
A compact exception record for every unresolved item
For each mismatch that cannot be resolved immediately, record the bank statement identifier, payment and invoice numbers, supplier, amount and currency, transaction and posting dates, current status, suspected cause, person responsible, next action, and target date. Attach the bank evidence and remittance advice. This turns an unexplained difference into a controlled work item and prevents a second employee from posting a duplicate payment while investigating the first.
Close the exception only when the bank movement, payment journal, supplier ledger, and invoice allocation agree—or when an approved, documented difference explains why they cannot be identical.
