To make a dataset discoverable in Google Dataset Search, publish a crawlable HTML landing page for the dataset, add valid Dataset JSON-LD to that page, describe each downloadable file with DataDownload and a direct contentUrl, then validate the page and submit its URL in Search Console and an XML sitemap. Google can find and crawl the page only when robots.txt, noindex, authentication, and other access controls do not block it. Discovery is not immediate: Google says a newly published page may take several days to be found and crawled.
What Google needs in order to discover a dataset
Google Dataset Search does not index a bare file as reliably as it indexes a page that explains the file. The strongest publication pattern is one stable, canonical HTML page representing one dataset identity. That page should be useful to people even when JavaScript is disabled and should contain structured metadata that machines can read.
Google’s guidance emphasizes four kinds of information:

- Identity: a descriptive
name, a meaningfuldescription, and a canonical page URL. - Provenance: the creator, publisher, identifier, license, and version.
- Coverage: fields such as time period, geography, measured variables, and measurement method when they apply.
- Distributions: every downloadable file, its direct URL, and its format.
Use visible HTML for readers and JSON-LD for crawlers. The two representations should describe the same dataset and must not contradict one another.

Choose a canonical landing-page model
One page per fixed release
For a versioned release, give each release a stable URL such as /datasets/air-quality/2025-01. Keep the version in the page title, visible metadata, and JSON-LD. This model lets a citation point to the exact data that was used in an analysis.
One page for a rolling dataset
If files are updated continuously, use one durable URL such as /datasets/air-quality and state clearly that it is a rolling release. Display the current update date, update policy, and the time span currently covered. Do not silently replace a historical release if users need reproducibility; link archived versions from the same page or give them their own canonical pages.
Keep mirrors subordinate to the canonical page
A dataset may be listed in several catalogs or mirrored on different hosts. Select one page as the authoritative landing page. Alternate representations can identify the same dataset with sameAs, but they should not create competing descriptions or conflicting versions. A mirror that has no useful metadata should link back to the canonical page rather than pretending to be a separate dataset.
Build the HTML landing page
The landing page is the document Googlebot must be able to fetch. Put the dataset’s essential facts in ordinary HTML, not only in a client-side application that appears after a script runs.
Include these visible elements
- A precise dataset name that distinguishes the subject, geography, and period.
- A description of what is included, how it was collected, important exclusions, and the unit of analysis.
- Creator and publisher names, with a contact or documentation link where appropriate.
- Release version or “rolling” status and the date of the latest update.
- License terms and any restrictions on reuse.
- Coverage dates, geographic scope, variables, and methodology when relevant.
- A table or list of downloadable files showing format, size, and update date.
- Documentation for column definitions, missing values, encoding, and known limitations.
Use a normal, linkable URL. Avoid session IDs, URLs that expire, and a page that changes identity every time it is requested. If a download requires an acceptance step, keep the landing page public and explain the requirement; do not hide the dataset description behind a login.

Add Dataset JSON-LD
Place one JSON-LD block on the canonical landing page. Set @type to Dataset and make the values match the visible page. Google requires name and description; Google’s description guidance calls for 50 to 5,000 characters.

}Remove optional properties that do not apply rather than filling them with guesses. If a property has multiple values, use the form expected by JSON-LD, such as an array of strings or objects.
Describe every downloadable distribution
A dataset page often offers CSV, JSON, spreadsheets, compressed archives, or an API export. Create one distribution object for each downloadable representation. Its contentUrl must resolve directly to the file or download endpoint, and encodingFormat should identify the format, for example text/csv or application/json.

]Do not use the landing-page URL as contentUrl when it merely displays a download button. Do not point to a file that requires a browser session, expires before Google can fetch it, or returns an HTML error page while claiming to be a data file. If a compressed archive contains several formats, describe the archive’s actual format and explain its contents in visible documentation.

Make the page accessible to Googlebot
Correct markup cannot compensate for an inaccessible page. Google specifically warns that robots.txt rules, a noindex directive, and login requirements can prevent discovery.

Review the robots.txt file for the host serving the landing page and the host serving each direct download. A broad disallow rule can block the page even when the URL works in your browser. If a third-party storage host serves the files, check its access policy separately.
Check indexing directives
Inspect the page’s HTTP headers and HTML for X-Robots-Tag: noindex or a robots meta tag containing noindex. Remove the directive from the canonical landing page when you want it indexed. A download file itself does not need to be an HTML search result, but the landing page must remain indexable.
Remove authentication barriers
Googlebot cannot use a private account, accept an invitation, or complete an interactive sign-in flow. Keep the metadata page public. If the actual files must be restricted, say so clearly and provide whatever public metadata and access instructions your policy permits; do not represent a private file as an openly downloadable distribution.
Provide a useful HTTP response
The canonical URL should return a successful response, remain stable, and resolve consistently over HTTPS. Redirects are acceptable when they lead to the current canonical page, but chains, loops, intermittent server errors, and content that differs by crawler user agent make indexing less dependable.

Validate the markup before requesting a crawl
- Render the page as a normal visitor. Confirm that the dataset name, description, creator, publisher, version, license, and file links are visible and accurate.
- Run Google’s Rich Results Test. Enter the canonical page URL or paste its HTML. Fix syntax errors, invalid property types, and warnings that reflect missing information you actually have.
- Check the live URL in Search Console. Use URL Inspection to see whether Google can fetch the page, which canonical URL it selected, and whether indexing is blocked.
- Request a recrawl after critical fixes. Submit the inspected URL when the page is publicly accessible and the JSON-LD is correct. A request does not guarantee inclusion or change the normal crawl priority.
- Submit an XML sitemap. Add the canonical URL and maintain the sitemap as releases are added or URLs change.
For a repository that publishes many dataset pages automatically, Google recommends using the Search Console Sitemap API. Generate sitemap entries from the same release system that generates the landing pages so that removed or superseded URLs do not remain indefinitely.
Compare common publication approaches
The publishing mechanism matters less than whether it produces a complete, accessible, canonical page. Use these criteria when choosing between a hand-built site, a repository, or a catalog application.

Whichever approach you use, test the final public URL rather than assuming that a repository’s internal record or an API response is exposed in the form Google expects.

Versioned releases
Give materially different releases distinct identifiers and versions. Keep old landing pages available when citations or published analyses depend on them. On each page, state whether the files are frozen and link to newer releases without changing the old page’s identity.
Rolling releases
For a continuously updated dataset, document the update cadence and the meaning of the version label. Record the latest update date in visible text and update the JSON-LD when the covered period or files change. A rolling page should not imply that an earlier download is still available if it has been replaced.

Mirrors and alternate listings
Use sameAs only when an alternate URL genuinely represents the same dataset identity. Keep the canonical URL, description, creator, license, and version aligned across listings. If a mirror changes the data, schema, or release boundaries, treat it as a different dataset or release instead of assigning the same identity.
Troubleshoot common indexing failures

Set realistic expectations about timing
Google does not publish an indexing success-rate statistic or a guaranteed inclusion deadline for dataset pages. Its public guidance says that a new page may take several days to be found and crawled. Treat a recrawl request as a signal, not a promise. Continue monitoring URL Inspection, sitemap processing, server logs, and the page’s accessibility while you wait.
Do not remove a valid page simply because it is absent from search immediately. Frequent URL changes, temporary outages, blocked resources, or replacing a stable page with a login screen can restart the discovery process.
Use this publication checklist
- The dataset has one stable canonical HTML landing page.
- The page visibly states what the data contains, its scope, creator, publisher, license, and version or rolling status.
- The JSON-LD uses
@contexthttps://schema.organd@typeDataset. nameand a 50–5,000-characterdescriptionare present and match the visible page.- Identifiers, provenance, coverage, variables, and methodology are included when applicable.
- Every downloadable representation has a
DataDownload, directcontentUrl, andencodingFormat. - Robots.txt,
noindex, authentication, and server errors do not block Googlebot. - The Rich Results Test and Search Console URL Inspection show no critical problems.
- The canonical URL is in an XML sitemap, and automated repositories keep that sitemap current.
- Releases and mirrors have clear identities, versions, and canonical relationships.
Following this sequence gives Google both the machine-readable description and the crawlable page it needs to understand a dataset, its provenance, and the files people can download.
