The safest rule is simple: share only what you would be comfortable having processed under that exact app, account and feature’s terms. Privacy controls can limit model training, history, memory, personalization or connected-app access, but they do not turn a consumer service into an offline, private tool. Remove unnecessary details before sending a prompt, confirm whether you are using a personal, work or API account, and check the current privacy controls whenever you enable a new feature or upload new material.
What privacy protection can—and cannot—do
An AI app may process more than the text you type. Depending on the product and features enabled, that can include uploaded documents, photos, audio, video, screen content, imported conversations, prompts sent to connected services, device context, feedback and saved memories. Each flow can have a different retention period, reviewer access and training rule.
Turning off a model-improvement switch usually affects a defined category of future content. It does not automatically erase existing records, remove information already reviewed for safety, delete a saved memory, revoke a connected app’s copy or control unrelated services operated by the same company. Treat every control as narrow and read its scope.
The Federal Trade Commission’s Office of Technology wrote in January 2024: “There is no AI exemption from the laws on the books.” The FTC also says that using retained consumer data for another purpose without clear notice and affirmative express consent can create legal risk. That is regulatory guidance, not a promise that a particular app is confidential or a substitute for legal advice.

How do I protect my privacy when using AI apps?
- Minimize the input. Remove names, addresses, account numbers, customer identifiers and other direct identifiers. Replace them with labels such as
[client A]or[invoice total]where practical. - Send the smallest useful excerpt. A redacted paragraph or synthetic example is safer than an entire contract, mailbox export or medical file. Do not upload a whole file merely for convenience.
- Verify the exact product and account. Consumer, work or school, and API or managed-service accounts can have different terms even when they carry the same brand name.
- Review controls separately. Check model improvement or training, activity and history, memory or personalization, deletion, feedback and connected-app permissions. One switch rarely governs all of them.
- Use a temporary or incognito mode only for an appropriate one-off prompt. Read its retention and safety exceptions; “temporary” does not necessarily mean immediate deletion or zero human or automated review.
- Recheck before new capabilities. Uploads, voice, video, screen sharing, imported chats and integrations can introduce data flows that were not present in an ordinary text conversation.
These steps reduce exposure; they cannot guarantee that a person could never re-identify a redacted record or that a provider will retain nothing for security, abuse prevention or legal reasons.
What should I not share with AI?
Unless you have verified that the exact service and account are suitable for the material, keep the following out of consumer AI prompts and uploads:
- Passwords, recovery codes, API keys, private encryption keys and other credentials.
- Payment-card numbers, bank-account details, Social Security numbers and similar financial identifiers.
- Health records, diagnoses, prescriptions, insurance information and other sensitive medical data.
- Confidential personal documents, identity documents and information about children or other vulnerable people.
- Non-public business documents, customer lists, source code, trade secrets, legal strategy and unreleased financial information.
- Precise location, biometric material, private audio or video and any dataset whose combination of details identifies someone.
Anthropic specifically cautions users about financial details, health records, passwords and confidential personal or business documents. Microsoft’s consumer guidance likewise advises against confidential or sensitive personal information. A privacy setting is not a reason to submit a secret that you could avoid disclosing.

Before relying on a privacy promise, identify the sign-in and surface shown in the app. A personal subscription, an employer-managed workspace and an API request may be governed by different data-use defaults, administrators and deletion processes. Do not transfer an enterprise statement to a personal app.

If you cannot identify the account type, pause before sending confidential material. Ask the administrator or consult the current terms for that exact surface.
Can AI apps use my chats to train their models?
Sometimes. The answer depends on the provider, account, setting, content type and whether you send feedback. “Training” or “model improvement” is only one possible use; services may also retain data to provide a response, detect abuse, investigate incidents, operate a feature or comply with law.

ChatGPT and OpenAI individual services
OpenAI says content from Free, Plus and Pro individual services may be used to improve models. On those plans, open Settings > Data controls and turn off Improve the model for everyone; OpenAI also provides a Privacy Portal. The opt-out applies to new conversations after the change. OpenAI says that if an individual user submits response feedback, the associated conversation may be used for model improvement even after opting out, so do not put sensitive material in feedback.

That is a statement about those offerings, not evidence that every log, administrator or security process is private. Confirm the contract, workspace settings and retention terms that apply to your deployment.
Claude and Anthropic consumer accounts
Anthropic’s consumer help article, dated May 22, 2026, says users can change model-improvement settings. It also says Incognito chats are not used to improve Claude even when the main setting allows improvement. Anthropic notes an exception: conversations flagged by classifiers may still be used for internal trust-and-safety models. Incognito therefore limits a stated improvement use; it does not promise that no safety system will process the content.
Gemini and Google
Google’s Gemini Apps Privacy Hub, last updated September 24, 2026, distinguishes signed-in Gemini Apps from signed-out processing. With Keep Activity on, chats and shared content are stored in Gemini Apps Activity and used to provide, develop and improve services, including generative-AI model training. Google says some activity may be reviewed by human reviewers; data sent for review is disconnected from the account and retained for three years.
With Keep Activity off, future chats do not appear in Gemini Apps Activity and are not used to train models unless you send feedback. Google says those chats are nevertheless kept for 72 hours to provide responses and protect the service. Turning Keep Activity off does not control data retained by other Google services, and some Connected Apps become unavailable. Content already reviewed is not deleted simply because you later turn off or delete account activity.
Microsoft Copilot
Microsoft’s consumer Copilot FAQ says conversation activity can be used for model training and personalization and provides controls for both. Microsoft says consumer Copilot conversation activity is kept for 18 months by default. That policy should not be applied to every Microsoft product: consumer Copilot, Microsoft 365 home apps and work or school Copilot Chat have different surfaces and terms.

Microsoft says work or school Copilot Chat, when authenticated with a work or school account, provides enterprise data protection: prompts and responses are not used to train foundation models. The same statement says prompts, triggered Bing searches and responses are logged and may be viewed by an IT administrator. “Not used for training” is therefore not the same as “private from your employer.”
How do I stop ChatGPT from using my conversations to train its models?
- Sign in to the individual ChatGPT account you actually use.
- Open Settings, then Data controls.
- Turn off Improve the model for everyone. OpenAI’s labels can change, so follow the current wording shown in your account.
- Make the change before starting a sensitive conversation; OpenAI describes the opt-out as applying to new conversations.
- Do not submit thumbs-up or thumbs-down feedback on a sensitive chat unless you accept OpenAI’s stated feedback exception.
- For a suitable one-off prompt, select Temporary Chat and verify what the current interface says about history, memory and retention.
OpenAI says Temporary Chats do not appear in chat history, do not create or update memories and are not used to improve models while temporary. That does not establish immediate deletion from every operational or safety system, so avoid treating the mode as an offline confidential channel.
Review activity, history and deletion separately
Model-improvement controls, chat history and account activity answer different questions. A chat can be excluded from future training yet remain in history; deleting history may not remove a saved memory; and a provider may retain a short-lived copy for security or response generation.
Gemini activity example
Google says Keep Activity controls future storage and use in Gemini Apps Activity. Its default auto-delete period for saved Gemini activity is 18 months, with choices of three months, 36 months or no auto-delete. Google also says activity previously reviewed by human reviewers is disconnected from the account and retained for three years, and is not deleted when you delete account activity. These are Google’s stated policy periods, not independent measurements.
Deletion checklist for any app
- Delete the chat or conversation from the app’s history.
- Delete saved memories, profile facts or personalization entries in their separate control.
- Remove uploaded files from the provider’s file area, if the product has one.
- Revoke connected-app permissions and check the connected service for its own copy.
- Look for an account-level activity dashboard and an export or deletion request process.
- Record the date and scope of a deletion request, without assuming it removes material already used for safety review or retained in backups.
Are temporary chats really private?
Temporary, incognito and similar modes are risk-reduction tools, not universal privacy guarantees. They may suppress ordinary history, memory or model-improvement use while still permitting short-term retention, automated abuse detection, human safety review or use of feedback.

Use these modes for low-risk, one-off work such as brainstorming a generic outline—not for passwords, regulated records or secrets.

Memory, personalization, files and connected apps need their own review
Memory can preserve a fact after the original conversation is no longer visible. Personalization can use account-level preferences. A connected calendar, drive, mail account or third-party service can receive prompts or return data under its own terms. Uploading a spreadsheet, recording audio, sharing a screen or importing an old chat can expand the data set beyond the text you intended to discuss.

- Review the list of connected apps and disconnect integrations you do not need for the task.
- Check the connected service’s permissions, retention and audit logs; the AI provider’s toggle may not delete that service’s copy.
- Before an upload, create a redacted copy, remove hidden metadata and confirm whether the file remains available after the chat is deleted.
- For audio, video or screen sharing, disable the capability when finished and review any resulting transcript, recording or activity entry.
Google’s notice specifically covers prompts, files, videos, screens, photos, imported chats, connected apps and some device context. That breadth is a reminder to reassess privacy whenever you add a capability.

Workplace data belongs to an organization even when an employee enters it from a personal device. Use only an approved account and follow the organization’s data-classification, retention and incident-reporting rules. A work account may provide stronger training restrictions while giving administrators broader access to logs.
For Microsoft work or school Copilot Chat, Microsoft says prompts, triggered Bing searches and responses are logged and may be viewed by an IT administrator, despite the stated exclusion from foundation-model training. Similar administrative access can exist in other managed deployments; ask your administrator rather than assuming the consumer app’s behavior applies.
Common privacy mistakes and how to recover
“I turned off training, so the old chats are safe.”
Opt-outs generally concern future eligible data. Delete existing chats and memories separately, and account for feedback, safety retention and connected services.

Check the provider’s stated retention window. Gemini documents 72 hours for temporary chats and for chats with Keep Activity off; other providers describe different operational and safety handling.

“A paid personal plan is the same as an enterprise plan.”
Verify the account category. OpenAI distinguishes individual plans from Business, Enterprise, Edu and API offerings, while Microsoft distinguishes consumer Copilot from work or school Copilot Chat.
“Deleting the chat deletes everything.”
Look for memories, uploads, activity dashboards, feedback records and connected-app copies. Google says content already reviewed by human reviewers is not deleted with account activity.
“A redacted document is risk-free.”
Redaction lowers exposure but combinations of dates, roles, amounts and unusual facts can still identify a person. Remove more detail or use synthetic data when the task permits.
“A privacy accessory protects my prompts.”
A VPN, webcam cover or privacy screen may address other security concerns, but it does not change how an AI provider handles prompts, uploads or chat history. The useful interventions here are data minimization, account choice and service settings.
A repeatable check before every sensitive prompt
- What data is included? Remove identifiers, secrets, unnecessary context and hidden file metadata.
- Who operates the account? Confirm personal, work or school, API or another managed surface.
- What feature is active? Check text, file, voice, video, screen sharing, memory and integrations separately.
- What does each toggle control? Read whether it affects future chats only, feedback, reviewers, safety systems or other services.
- How would I delete it? Locate chat, memory, file, activity and connected-app deletion controls before submitting.
- Can the task use less detail? Prefer a short excerpt, placeholders or synthetic data.
- Would I accept the stated processing? If not, do not send the material; use an approved private or offline workflow instead.
Recheck the privacy notice and settings before enabling a new feature, uploading a new file type or changing accounts. Provider labels and policies can change, and the exact product and region determine which controls you see.
